All Employee vs. Flexible User, how do I pick?
It's pure math. Flexible User ($45/user/mo) only counts active logins; All Employee ($37/employee/mo) charges for every W-2 employee on file. For an EPC with 8 office staff + 24 field techs (32 total), Flexible costs $1,440/mo if all 32 actually use Zoho, or $360/mo if only the 8 office staff log in. All Employee always charges $1,184. The tipping point: if >30% of your headcount is field crew that needs the mobile app, All Employee wins. We run this math on your real org chart before quoting.
Why do you phase the rollout instead of going live with everything?
Because we've watched it fail. When a 50-person EPC tries to switch CRM, accounting, field service, HR and payroll on the same Monday, two things happen: half the team can't find anything, and the other half quietly opens their old spreadsheet. Phased rollout, CRM week 3, Books week 6, FSM week 9, People/Payroll week 11, Analytics week 13, gives each user community time to adopt. Our 280+ rollouts and a 96% on-time go-live rate prove the method.
Do I really need all 45 apps?
No, and we'll tell you which ones to ignore. Most U.S. solar customers actively use 12-18 apps. The other 27+ are there if you want them later (Bookings for sales-call scheduling, SalesIQ for website chat, Survey for post-install NPS, Vault for password sharing). The bundle math works because Zoho One is cheaper than buying CRM + Books + FSM separately, even if you only use those three.
Can I cancel after year 1?
Yes. Zoho One is an annual subscription, at the end of your 12 months you can renew, downgrade individual products, or leave. Your data is exportable in standard formats at any time (Books exports a GAAP-compliant general ledger; CRM exports to CSV; Inventory exports SKU + serial history). We've never had a U.S. solar customer leave us in year 1, but the off-ramp is real and clean.
What does ongoing support look like after the 30/60/90-day post-launch period?
Most customers don't need a retainer past month 3, Zoho is stable, you're trained, and your team owns the system. If you want ongoing customization (new dashboards, Creator app changes, monthly health checks), optional retainers start at $1,800/mo. Otherwise, your incremental requests are billed at our published hourly. Roughly 40% of our solar customers do choose the retainer; 60% don't.
What if we already use Salesforce / HubSpot / ServiceTitan?
Migration is a defined workstream in every Zoho One tier we sell. Salesforce-to-Zoho-CRM is a 7-day playbook (custom objects, validation rules, automations, reports). HubSpot is faster (4-5 days). ServiceTitan-to-Zoho-FSM takes 10-14 days and requires re-mapping your job types, we've done it 9 times for U.S. solar. We move history, not just open records. Zero ledger gaps, zero lost deals, zero "wait, where did that customer go?"
