Each new hire imports from Zoho People with role, base rate, OT class (FLSA exempt/non-exempt), state, locality, federal W-4 elections, state W-4 (e.g., DE 4 for CA, IT-2104 for NY), and direct deposit. SUTA + FUTA accounts are mapped to the right state employer ID before the first pay run.
Hours imported. Taxes withheld. Direct deposit fires.
Hours flow from Zoho People time tracking (or your existing system) into the pay run. Federal income tax, Social Security, Medicare, state income tax, and any local tax (NYC, Philadelphia, San Francisco gross receipts) auto-withhold. Pay stub delivered to the mobile app the morning of payday.
Crew worked across three states this month? No problem.
For traveling commercial install crews, reciprocity agreements and dual-state withholding rules get applied per state pair. Resident state credit logic runs automatically. SUI gets paid to the right state (usually the state of primary work). We honestly tell you up front which states Zoho Payroll covers in 2026 vs. where we fall back to Gusto/Rippling.

W-2s generated for all W-2 employees with state-specific boxes filled. 1099-NEC bulk filing for every subcontractor you paid $600+ during the year (very common in solar, independent sales reps, freelance designers, day-labor crews). Both forms e-filed federally and to states that require it. Employee/contractor copies delivered electronically.
ACA reporting. Done before January 31.
If you cross 50 FTEs (ALE status), you must file Form 1095-C for every full-time employee and 1094-C with the IRS. Zoho Payroll generates these from hours-of-service data carried over from Zoho People. Offer-of-coverage codes, affordability safe-harbor codes, and employee-share-of-premium all populated. E-filed to IRS, mailed/e-delivered to employees.
