Should you switch from Salesforce to Zoho CRM?
Switch when you pay for far more Salesforce than your team uses, or when keeping the org running needs a specialist you cannot justify. Stay when your business depends on heavy custom Apex code or AppExchange packages with no Zoho equivalent.
The usual trigger is a renewal quote. A sales team of twenty notices that its CRM bill rivals a salary, while most reps live in five screens. Zoho CRM covers leads, accounts, contacts, deals, activities, quotes and reports at lower list prices, and it sits next to Zoho Books, Desk and the rest of the Zoho family when you want them. What it does not have is Salesforce’s huge marketplace or its depth for very large, very custom orgs.
If you are still deciding, our Zoho CRM vs Salesforce comparison goes job by job and edition by edition. This guide assumes you are leaning toward the move and want to plan it properly.
Why should planning start with the contract date?
Because the date decides everything else. Work backward from the day your Salesforce contract ends to a “stopper date”, the last safe day to still be working in Salesforce, and plan every step to finish before it.
Salesforce contracts usually renew for a full term, and many have a notice period. Miss it and you pay for another term of a system you are leaving. So the very first question we ask in a discovery call is when the contract ends and how much notice it needs. From that we set the stopper date with a buffer for testing and training, then count back.
If the date is close, the plan changes shape: move the core sales objects first and rebuild the less urgent automation after go-live, or negotiate a short extension. Both are fine. Discovering the problem three weeks before renewal is not.
What moves, what gets rebuilt and what stays behind?
Records move. Logic gets rebuilt. Clutter stays behind. Zoho CRM has a built-in tool that imports a Salesforce data export, but flows, validation rules, Apex and reports are recreated by hand in Zoho.
Moves across
Users, leads, accounts, contacts, opportunities (as deals), campaigns, cases, tasks, events, notes and attachments, plus custom objects as custom modules. Each record keeps its Salesforce ID in a field so links can be checked.
Rebuilt in Zoho
Flows and workflow rules become Zoho workflow rules or Blueprints. Validation rules become field rules. Apex becomes Deluge functions. Reports, dashboards, page layouts and permissions are set up fresh.
Left behind
Fields nobody fills in, duplicate records, years of history you agree you will never open, and marketplace apps that a Zoho app or a simple integration now replaces.
The “left behind” list is where you save the most time and money, so it deserves a proper conversation with each team. Our Salesforce to Zoho CRM migration page has the full object-by-object manifest we work from.
Who needs to sign off on the migration?
One person per department, usually the department head, plus one overall project owner. They sign the Migration BRD before the build and sign off the sample migration before the full move.
This is the step companies most want to skip and most regret skipping. Sales knows which opportunity stages matter. Support knows which case fields their reports rely on. Finance knows which accounts must match the accounting system. When each of those people checks a sample of their own records in Zoho CRM and says “yes, that is right”, the full move becomes routine. When nobody does, problems surface on the first Monday after go-live.
What does a Salesforce to Zoho CRM migration cost?
Two parts: your new Zoho CRM licenses at Zoho’s US list prices, and our migration work, which is one fixed fee written into the Migration BRD. Larger orgs start with a paid Migration Assessment that is credited in full against that fee.
Zoho CRM US list prices per user per month, October 2026
| Zoho CRM edition | Billed yearly | Billed monthly |
| Standard | $14 | $20 |
| Professional | $23 | $35 |
| Enterprise | $40 | $50 |
| Ultimate | $52 | $65 |
Prices are per user per month in USD before tax. To see your saving, put your current Salesforce invoice next to this table at the same user count; most teams moving from Salesforce land on Professional or Enterprise. The migration fee depends on records, custom objects, automation and integrations, which is why we count them first instead of guessing.
Which planning mistakes slow a Salesforce move down?
Nearly all of them come from moving too much, too late, with nobody checking the result.
- Starting after the notice period. The cheapest fix is a calendar reminder a few months before renewal.
- Copying every field. Old orgs carry hundreds of unused fields. Moving them just moves the clutter.
- Rebuilding automation one to one. Some flows exist to patch problems Zoho handles natively. Ask what each one is for.
- Skipping the sample. A sample checked by each department catches mapping errors while they are cheap to fix.
- Cancelling Salesforce on go-live day. Keep it read-only until every team confirms their data, then cancel.
