Zoho CRM and Microsoft 365 integration, right inside Outlook and Teams

Keep Outlook and Teams. Put the customer record next to them.

Plenty of US companies run on Microsoft 365 and still pick Zoho CRM for sales. We wire the two together: reps add and update contacts from the Outlook side panel, meetings and contacts sync with their Outlook calendar, and Teams channels hear about the deals that matter. First we agree which app each person should live in.

01Already on Microsoft 365?

Does Zoho CRM make sense if we already pay for Microsoft 365?

Often, yes. Microsoft 365 covers mail, files and chat, not a CRM, so the real choice is Dynamics 365 Sales or something like Zoho CRM plugged into Outlook and Teams. Pick a job below to see where each one leads.

Working from Outlook

Zoho CRM

An Outlook add-in shows the contact beside the email, adds leads and notes, creates activities and links emails to records.

Dynamics 365 Sales

Also has an Outlook app for tracking emails and opening records. Day to day, reps get a similar side panel.

Working inside Teams

Zoho CRM

Event alerts in channels, records shared into chats, lookup commands and dashboards pinned as tabs. Solid, but lighter.

Dynamics 365 Sales

Built by the same company, so Teams ties in more deeply. If deals are run mostly in Teams, that counts.

Licence cost for a small team

Zoho CRM

Every Zoho CRM edition is priced well below Dynamics 365 Sales per user. The prices further down this page show the range.

Dynamics 365 Sales

A higher per-user price, and extras such as more storage or add-on apps are billed separately.

Excel and Power BI reporting

Zoho CRM

Built-in reports and dashboards, plus Zoho Analytics. Excel exports work; live Power BI needs a connector.

Dynamics 365 Sales

Data sits on Dataverse, which Excel and Power BI read natively. Finance teams that live in Power BI notice this.

The rest of the business

Zoho CRM

Grows into Zoho One, which adds finance, help desk, HR and project apps under one licence.

Dynamics 365 Sales

Customer service, field service and finance are separate Dynamics 365 products, each licensed on its own.

What do we configure in each Microsoft 365 app?

Five groups, laid out like the ribbon your team already knows. Each ends with the decision that most often goes wrong when setup is rushed.

Outlook add-in

Rolled out to every rep from the Microsoft 365 admin center, with leads, contacts, notes and activities created from the side panel.

We decide with youWhich emails reps link to records, and whether leads or contacts come first.

Mail

Calendar, contacts, tasks

Meetings, contacts and tasks sync between Zoho CRM and each person’s Microsoft 365 account, with fields mapped by hand where the defaults don’t fit.

We decide with youOne-way or two-way per calendar, and what a delete on one side should do.

Sync

Teams app

Alerts for chosen CRM events in the right channels, records shared into chats, lookup commands, and dashboards pinned as channel tabs.

We decide with youWhich events are worth a ping, so the channel isn’t muted in a week.

Chat

OneDrive and SharePoint

Proposals and price sheets linked on the deal. Where a SharePoint folder per account is wanted, we create it with a function on Microsoft Graph.

We decide with youWhere the file lives, so CRM holds a link and never a stale copy.

Files

Users and access

Team members invited into Zoho CRM from Microsoft 365 with the right role and profile, and requests to join routed to your admin.

We decide with youWho approves new CRM users, and how leavers lose access.

03One deal, Monday to Friday

What does a week on one deal look like with Zoho CRM in Microsoft 365?

A sample laptop refresh for a credit union branch, from the first Outlook email to the Friday pipeline review in Teams. Scroll to turn the dial through the week.

  1. Mon 8:40 amOutlook add-in

A buyer’s email becomes a contact in two clicks

Jordan, the ops lead at a credit union, asks about 40 laptops for a new branch. The rep opens the Zoho CRM panel in Outlook, adds Jordan as a contact under the account and opens a deal from the same panel.

    OutlookZoho CRM

  2. Mon 11:15 amOutlook add-in

The quote questions stay with the deal

Jordan replies with screen sizes and a budget ceiling. The rep links the reply to the deal and adds a note, so the inside sales colleague quoting tomorrow reads it without forwarding.

    OutlookZoho CRM

  3. Tue 2:00 pmCalendar sync

A Teams meeting is booked from the deal

The rep schedules a call from Zoho CRM with Microsoft Teams as the online venue. The meeting lands in the rep’s Outlook calendar through sync, and Jordan gets a normal Teams invite.

  4. Wed 10:00 amTeams

After the call, the team sees the deal in their channel

Jordan wants a docking station in every bundle. The rep shares the deal card into the Sales West channel so the product specialist can weigh in on the right record, not a screenshot.

  5. Thu 9:30 amOneDrive

The pricing sheet is linked, not attached twice

The specialist updates the bundle price sheet in the team’s SharePoint library. The deal carries a link to that file, so everyone opens the same version.

    OneDriveZoho CRM

  6. Thu 4:10 pmTeams alert

The stage moves and the channel hears it

Jordan accepts the proposal in principle. The rep moves the deal to Negotiation, and the Zoho CRM app posts the change in the channel, so the sales manager doesn’t have to ask.

  7. Fri 3:00 pmTeams tab

Friday review runs off a dashboard tab

The weekly pipeline call happens in Teams, with the Zoho CRM dashboard pinned as a channel tab. The credit union deal sits in Negotiation with its emails, meeting and price sheet one click away.

Teams or Outlook first: where should the rollout start?

        05Microsoft 365 + Zoho

How much can Zoho’s built-in Microsoft 365 integration do on its own?

More than most people expect: the Outlook add-in, calendar, contact and task sync, and the Teams app are all ready-made. Custom work starts with files, approvals and channel automation. Rate what matters to you and see where your list leans.

        • Reps log emails and add contacts from Outlook
        • Meetings and contacts stay in step with Outlook
        • Deal alerts and a dashboard tab in Teams
        • A SharePoint folder created for every new account
        • Discount approvals answered with a button in Teams
        • A Teams channel opened for each large deal
        • Teams meetings booked straight from a CRM record

        • Zoho Flow has Microsoft connectors for light jobs, like a won deal adding a row to a shared Excel file.
        • Zoho Catalyst hosts heavier Graph work, such as folder creation with permissions, behind a proper listener.
        • Rethinking the whole suite? Zoho Mail and Zoho One replace parts of Microsoft 365 for some teams.

        06Licences and our fee

What do Microsoft 365 and Zoho CRM cost together?

You pay Microsoft for Microsoft 365 and Zoho for Zoho CRM. Zoho does not charge extra for its Microsoft 365 integration, and its Teams app needs Zoho CRM Standard or higher.

        Microsoft 365 for business

        • Business Basic$7.00
        • Business Standard$23.50
        • Business Premium$32.00

Per user per month, paid yearly, US list price. Standard and Premium are currently sold with Copilot included. Microsoft also sells plans without Teams; on those, the Teams pieces of this page need a separate Teams licence.

        Zoho CRM

        • Standard$14 yearly · $20 monthly
        • Professional$23 · $35
        • Enterprise$40 · $50
        • Ultimate$52 · $65

Per user per month, US price. See what each edition adds on our Zoho CRM page.

Our fee is not a meter running per mailbox. The road you pick, the sync rules, the Teams events and any Graph functions are written into a BRD, and that BRD carries one fixed price you sign before we touch your tenant. The first call costs nothing.

Zoho CRM and Microsoft 365 questions

Outlook, calendar direction, Teams, SharePoint files and the Dynamics question. Invite whoever manages your Microsoft 365 tenant to the call.

Does Zoho CRM integrate with Microsoft 365?

Yes. Zoho CRM has a Microsoft 365 integration that syncs contacts, tasks and calendar events with each user’s Microsoft account, with automatic or custom field mapping. There is also an Outlook add-in and a Zoho CRM app for Microsoft Teams. An admin enables them from the Microsoft section of the Zoho CRM Marketplace.

How does the Zoho CRM add-in for Outlook work?

It opens in Outlook’s side panel. Reps can add leads or contacts from an email, add notes, create activities, convert leads and link emails to Zoho CRM records. It installs through Get Add-ins in Outlook, and an admin can roll it out to everyone from the Microsoft 365 admin center.

Does Zoho CRM sync with the Outlook calendar both ways?

You choose. Each user links an Office 365 calendar and picks one-way or two-way sync. Only meetings that user owns in Zoho CRM are synced. Busy time in selected Outlook calendars can also block that person’s availability inside the CRM.

What does the Zoho CRM app for Microsoft Teams do?

It posts notifications for CRM events you pick into Teams, lets people share lead, contact, account and deal records into chats and channels, fetches records with commands, and pins Zoho CRM dashboards as channel tabs. It is available on Zoho CRM Standard and higher.

Can we hold Microsoft Teams meetings from Zoho CRM?

Yes. Microsoft Teams is available as an online meeting provider in the Zoho CRM Meetings module. An admin enables it in the module’s preferences, and each user authorizes their Microsoft account the first time they pick it.

Can Zoho CRM store files in OneDrive or SharePoint?

The usual pattern keeps the file in OneDrive or SharePoint and puts a link on the deal or account, so there is one current version. If you want a folder created automatically for each account or deal, we build that with a function on Microsoft Graph.

What happens when someone deletes a contact in Outlook?

That depends on a setting. The integration can remove the matching contact on the other side when one is deleted, or leave it alone. We decide this with you before the first sync, because the safe answer differs between a sales team and a support team.

We already use Microsoft 365. Shouldn’t we buy Dynamics 365 Sales?

Not automatically. Dynamics ties into Teams and Power BI more deeply, which matters to some companies. Zoho CRM costs less per user, is quicker for an admin to change, and still works inside Outlook and Teams. We walk through both on the call, using your team size and your reporting needs.

How do you price a Microsoft 365 integration?

The first call is free. After that, the rollout road, sync rules, Teams events and any custom Graph functions go into a signed BRD at a fixed price with a delivery schedule. If your tenant needs a paid review first, for example strict app consent policies, we quote that review before it starts.

        08How a Microsoft 365 integration starts

First we pick the road, then the rules

Four steps take you from “nobody updates the CRM” to a signed plan. An Outlook and calendar rollout can often be scoped on the first call; Graph functions or a tenant with strict app policies may need a short paid review, quoted up front.

Microsoft 365 work runs over Teams calls with your IT admin and sales lead, wherever you are in the US, Canada or Latin America. Teams near Los Angeles can have us on site for the rep training day.
