Real estate · Zoho partner in the USA · Los Angeles

Zoho CRM for real estate teams that want every lead answered while it’s warm

Portal inquiries, open-house sign-ins and sign calls land on one record, with an agent already assigned.

Elite Tech Global, a certified Zoho Advanced Partner, works out of Glendale, a short drive from downtown Los Angeles. For US brokerages, property managers, commercial teams and mortgage offices we set up Zoho so a new inquiry finds the right agent, showings and offers live on the deal, escrow dates can’t slip quietly, and the commission split is worked out before the check clears.

02An agent’s calendar across one sale

From first inquiry to closing day, which Zoho app does what?

Here is a typical buyer-side sale laid out on the days it actually takes, from a Monday morning inquiry to a funded escrow six weeks later. Every stage names the Zoho app doing the work, so you can see where your agents stop retyping and start selling. Hover or tap a stage to light it up on the timeline.

  1. Mon 7:48 am · Inquiry

A couple asks about a 3-bedroom in Altadena

The question comes through the chat on your website. Zoho CRM creates the lead with source, price range and area filled in, assigns the on-duty buyer agent and opens a call task that’s due in minutes.

  2. Tue 6:30 pm · Consultation

Buyer consultation booked off a text link

The agent texts a link to their own calendar. The couple picks Tuesday evening, gets a reminder that afternoon and shows up with a pre-approval letter, which goes straight onto their contact record.

  3. Sat 10:00 am · Showings

Four homes toured, feedback logged from the car

The tour route sits on the buyer’s deal. After each house the agent taps a rating and a note in the Zoho CRM mobile app, and a short email of new matches goes out every morning until they pick one.

  4. Fri 9:15 pm · Offer

Offer written at the kitchen table, signed in order

Purchase agreement and disclosures go out from the deal for e-signature, buyer one then buyer two, with the agent’s broker copied. The signed PDF and its audit trail file themselves back on the deal.

    SignCRM

  5. Wed 8:00 am · Under contract

Escrow opens and every deadline gets an owner

A transaction checklist starts from the acceptance date: deposit, inspection, appraisal, loan approval, final walk-through. The transaction coordinator, the agent and the lender each see their own due dates and nudges.

    CreatorWorkDrive

  6. Thu 2:40 pm · Closed

Recorded, funded, and the split already done

Escrow confirms recording. The deal moves to Closed, the agent’s split and any team or referral share come off the gross commission by the plan on their profile, and the payout lands in Zoho Books as a bill.

  7. Six weeks after the keys · After close

A review request, then a home anniversary list

The past-client tag starts a slow drip: a thank-you, a review request, a property tax reminder, a yearly value update. Referrals they send arrive tagged with their name, so you know who to thank.

      04By size of office

Which Zoho apps does a real estate business actually need?

Fewer than most demos suggest. A small team can run on Zoho CRM plus e-signatures. A growing brokerage adds scheduling, email and the books. Once you have several offices or a property management arm, Zoho One is often the cheaper way to license everyone.

      05Rules that shape the setup

What US real estate rules change how Zoho gets configured?

A handful of them, and none are settled by software alone. Texting consent, email opt-outs, fair housing wording and state record-keeping all show up as fields, templates and permissions in the build. Your broker of record and your attorney still make the calls; we make the system follow them.

      Texting and calling consent

The federal TCPA limits marketing texts and autodialed calls without consent. We add a consent field with date and source to every lead form, and automations skip anyone without it.

      Email opt-outs

CAN-SPAM expects a working unsubscribe and a physical address. Zoho Campaigns adds both to each send, and an opt-out on one list follows the contact into the CRM.

      Fair housing wording

Listing and rental templates are reviewed by your broker before they go live. For rentals, every applicant gets the same application and the same screening steps, written into the workflow.

      Keeping transaction files

States set how long brokers keep deal records; California’s DRE, for one, asks for three years. Files are stored by year and office, and agents can’t delete a closed deal’s documents.

      Wire fraud

Wiring instructions never go out from a CRM template. Bank details stay off every outbound email we build, and the escrow checklist gets a “call the title company to verify” step.

      Earnest money and trust funds

Deposits held in trust stay in your trust accounting system or with escrow. Zoho records that a deposit was received and when, never the trust ledger itself.

None of this is legal advice. Before launch, your broker of record or counsel reviews consent wording, templates and retention settings, and signs off on them.

      06Switching tools

Moving from a real estate CRM, a general CRM or a spreadsheet

Most brokerages we talk to are leaving one of these. Contacts, deal history, notes and tags come over; what we look at hardest is who owns each contact after the move, since agent-owned lists are where brokerages lose people.

      • Follow Up Boss

People, stages, tags, notes and call logs. Action plans get rebuilt as Zoho CRM workflows, step by step.

      • kvCORE / BoldTrail

Contacts, lead sources and smart campaigns. IDX search stays with your website provider and feeds Zoho.

      • Lofty

Leads, transactions and agent assignments. Built-in texting moves to a phone integration we pick together.

      • Salesforce

Accounts, contacts, opportunities and custom objects for properties. See the Salesforce route.

      • HubSpot

Contacts, deals and email history, with sequences redone in Zoho. See the HubSpot route.

      • Spreadsheets and phone contacts

Sphere lists, past clients and open-house sheets, de-duplicated and tagged by agent before import.

Zoho Campaigns is priced by list size, from $3 a month for 500 contacts billed yearly. Brokerages with 1099 agents should ask us how agents are counted before choosing All Employee, since we confirm that with Zoho for your account.

          08Three starting points

          Zoho real estate implementation packages

Start with the package that fixes your most expensive gap. Each covers setup, data moved in and training for agents and staff, and each is scoped on paper first so the number doesn’t move once we start.

          1. Speed to Lead

For teams losing portal and website leads to slow replies

            • Every lead source wired into Zoho CRM
            • Routing rules by type, area and agent availability
            • Text and email first touches with consent tracking
            • Buyer and seller pipelines with showing notes

One fixed fee, set in a signed BRD that lists every lead source we connect.

          2. Where most brokerages begin

            Brokerage Back Office

For brokerages running escrow and commissions on spreadsheets

            • Everything in Speed to Lead
            • Offers and disclosures sent from the deal in Zoho Sign
            • Transaction checklist with dated contingencies
            • Commission plans, caps and payouts into Zoho Books

Fixed in a signed BRD before go-live, with your commission plans written into it.

          3. Multi-Office Platform

For groups with several offices, property management or a mortgage desk

            • Zoho One rolled out office by office
            • Separate pipelines for sales, leasing and lending
            • Tenant and owner requests in Zoho Desk
            • Office-level reports on lead source and cost per closing

A single fixed fee, written into the signed BRD next to each office’s launch date.

Your first call with us costs nothing. Multi-office groups may want a paid scoping round ahead of the BRD; you hear its price before agreeing to it.

          09How we start

Four steps before a single agent logs in

We don’t switch a brokerage over mid-escrow on a guess. These four steps come first, and the full project track that follows is on our How we work page.

          1. Discovery callYour lead sources, team splits, offices and the tools agents use today.
          2. Scope and BRDRouting rules, deal stages, commission plans and a delivery schedule, signed off in writing.

          10Questions brokers ask

Zoho for real estate: questions from US brokers and agents

Portals, 1099 agents, commission caps, rentals and texting rules. If yours is about your own team agreement, bring the agreement along and we’ll go through it line by line.

Can Zoho CRM replace Follow Up Boss or kvCORE for a brokerage?

For most brokerages, yes. Zoho CRM handles lead capture, routing, buyer and seller pipelines, tasks, texts through a phone integration and email drips. What it doesn’t include is an IDX property search, so your listing website keeps its IDX provider and sends inquiries into Zoho. We map your current action plans before the move so nothing your agents rely on disappears.

How do Zillow, Realtor.com and other portal leads get into Zoho?

Most portals deliver leads by email, and some offer a lead feed to connected systems. We parse lead emails into Zoho CRM records with the source, listing and message filled in, or use a portal feed where your account has one. Either way the lead is routed and the source is tagged, so you can compare portal spend against closings.

How much does Zoho cost for a 10-agent brokerage?

With Zoho CRM Professional at $23 per user and Zoho Sign Standard at $10 per user, both billed yearly, ten users come to $330 a month in Zoho licences. Zoho One All Employee for the same ten is $370 a month and adds Bookings, Campaigns, Books and many other apps. Our setup is a separate fixed fee agreed in a signed BRD.

Do 1099 agents each need their own Zoho licence?

Anyone who logs in needs a user licence, whether they’re an employee or an independent contractor. Agents who only receive emails or sign documents don’t. If you’re weighing Zoho One All Employee pricing, we confirm with Zoho how your agents are counted before you buy.

Can Zoho work out commission splits, caps and team shares?

Yes. Each agent gets a commission plan on their profile: split, annual cap, team share, referral fees and desk fees. When a deal closes, the split is calculated from the gross commission and the payout is created in Zoho Books. Unusual plans with tiers or mid-year changes are built as a small Zoho Creator app.

Does Zoho work for property management companies?

For the people side, yes: rental inquiries, showings, applications in Zoho Forms, leases in Zoho Sign and maintenance requests in Zoho Desk. Rent collection and trust accounting usually stay in dedicated property management software, which we connect to Zoho so owners and tenants still have one record.

Can we text leads from Zoho without breaking TCPA rules?

Texts go through a phone or SMS integration, and we only let automations text contacts whose consent is recorded with a date and source. Your broker or counsel approves the consent wording on your forms. Manual one-to-one texts from agents are logged on the contact as well.

Is Zoho a good fit for commercial real estate teams?

It works well for teams tracking properties, owners, tenants, comps and lease expiration dates. We add property and lease records to Zoho CRM, alerts a set number of months before each expiration, and investor lists for new offerings in Zoho Campaigns.

Can a mortgage team use the same Zoho setup as the brokerage?

Yes, as a separate pipeline with its own permissions. Loan officers see pre-approvals and their agent partners, and the agent side sees status without seeing borrower financials. For a full loan pipeline, our lending and fintech page covers it in more depth.

Do you build listing websites that feed Zoho?

We build WordPress sites with lead forms, chat and booking links wired into Zoho CRM. Live MLS search comes from an IDX provider you choose, and its inquiries are sent to Zoho the same way as every other source.

How long does a brokerage rollout take?

It depends on how many lead sources, offices and commission plans are involved and how much history moves. We write every step and its date into the BRD, including the day agents switch over, so you know the schedule before work starts.

Who owns the contacts when an agent leaves?

The brokerage, if you set it up that way. In Zoho CRM contacts belong to the company account, agents see their own book, and when someone leaves we reassign their contacts and open deals in one step instead of exporting a spreadsheet.
