Zoho for professional services firms, from signed engagement to paid invoice

Law offices, CPA practices, immigration teams and consultancies sell hours and judgment. The paperwork around that should run itself.

Our team, led from Glendale just outside Los Angeles, is a certified Zoho Advanced Partner. For US firms we connect the pieces that usually live in five different tools: the intake form, the conflict search, the engagement letter, the matter or project, every logged hour, the client folder and the invoice. One signature starts the work, and the work already knows how it will be billed.

Stage 1 of 3: the client signs the engagement letter, and its three scope lines are on record.

02One client file, seven tabs

How does a matter move through Zoho, from first call to closed file?

Think of the old paper client file with its labeled dividers. Each tab below is one divider, and each one names the Zoho apps that hold that part of the matter. Open them in order and you can see where the handoffs happen, and which ones your team still does by email today.

A prospective client asks for help

The request comes from your website, a referral partner or a phone call. A Zoho Forms questionnaire collects the facts you always ask for, the prospect picks a consult slot in Zoho Bookings, and both land on one Zoho CRM record with the source attached, so you know which referrers keep sending good work.

Hourly, fixed fee or retainer: what has to be set up?

How you bill decides more of the Zoho build than anything else. Choose your main billing model and the extras your firm needs, and you get the setup checklist we would start from, the chain from letter to invoice, and a sample invoice line built the way your clients would see it.

        04Recommended Zoho stack

Which Zoho apps does a professional services firm need at each size?

Fewer than you might fear. A solo practice can run well on four apps. As the headcount grows, timesheets and reporting earn their place, and once you have several offices or practice groups, Zoho One usually costs less than adding apps one at a time.

        05Confidentiality and US rules

Can a law or CPA firm keep client data confidential in Zoho?

Zoho gives you the controls; your firm keeps the professional duty. US attorneys answer to their state bar’s confidentiality rules, and tax preparers fall under the FTC Safeguards Rule and the IRS expectation of a written security plan. We set the access, sharing and logging so they match the policy your firm writes, and your own compliance lead or counsel signs off on it.

        What we configure in Zoho

        • Roles and profiles so staff see only the clients and matters they work on
        • Two-factor sign-in for every user, enforced by the admin
        • Matter folders shared by invitation, with external links that expire
        • Audit history of who opened, changed or shared a record or file
        • Accounts hosted in Zoho’s US data centers, confirmed during setup
        • Export rights limited to the people your policy names

        What stays with your firm

        • Your written information security plan and who owns it
        • Conflict decisions, which a person always makes
        • Trust account rules for client money under your state bar
        • Record retention periods by practice area
        • Client consent for e-signature and electronic delivery
        • Staff training and the yearly review of who has access

We do not hold any security certification ourselves and we do not give legal or tax advice. What we do is show your compliance lead exactly how each setting is configured, in writing, before the system goes live.

        06Leaving your current tools

Moving to Zoho from Clio, QuickBooks, Karbon or a pile of spreadsheets

Most firms we talk to run a practice tool, an accounting file, a document store and an e-signature app that never talk to each other. Pick the one you use now to see what moves, where it lands in Zoho, and the snag we plan around.

        Where it lands

        What we plan around

What does Zoho cost for a professional services firm?

For most small and mid-size US firms, the apps-only route is cheaper: everyone gets Zoho Projects and WorkDrive, and only the client-facing people get CRM and Sign seats. Zoho One flips that math once you want help desk, HR or analytics too, because it licenses every employee for the whole suite at $37 a month on yearly billing.

        Only the apps you need

          $0a month

          Lower licence cost

          Zoho One, all employees

            $0a month

            Lower licence cost

Zoho’s US list prices in dollars, before sales tax. Apps route: Zoho CRM Professional $23 a user ($35 monthly), Zoho Sign Standard $10 ($12), Zoho Projects Premium $4 ($5), Zoho WorkDrive Team $4.50 ($6) and Zoho Books Professional $40 per organization with 5 users ($50). Zoho One is $37 per employee when every employee is licensed ($45 monthly), or $90 per user for a flexible headcount ($105). Since a firm’s seat mix rarely matches a template, we re-run these lines with your real staff list before anything is ordered.

            08Three ways to start

Zoho implementation packages for professional services firms

Each package ends at a moment your partners will notice: the first consult booked online, the first invoice built from logged hours, or every office on one system. Scope, data and dates are written down and agreed before we configure anything.

            1. Intake Desk

For small firms still booking consults by email

              • Zoho Forms intake and Zoho Bookings consult slots
              • Zoho CRM with referral sources and a conflict search
              • Engagement letter templates in Zoho Sign
              • Contacts imported from your current list

Our fee is one fixed amount, set in the BRD you sign before the first intake form goes live.

            2. Where most firms start

              Matter to Invoice

For firms where several people bill the same client

              • Everything in Intake Desk
              • Matters, timesheets and approvals in Zoho Projects
              • Your billing models set up in Zoho Books
              • WorkDrive folders and history moved from your old tools

Fixed in a signed BRD, which also dates the first invoice that leaves Zoho Books.

            3. Firm-wide on Zoho One

For multi-office firms and several practice groups

              • Everything in Matter to Invoice
              • A client portal in Zoho Creator
              • Firm dashboards in Zoho Analytics
              • Roles mapped office by office, plus staff training

A fixed fee per office, agreed in one signed BRD with a go-live date for each.

The first call is free. When a firm has years of matters in an old practice tool, we may suggest a paid scoping session first and tell you what it costs before it is booked.

            09Four steps to go-live

How a Zoho rollout starts at a firm like yours

We schedule around your busy season. CPA firms usually start in the summer, and law firms tend to switch at a month end so that one billing cycle closes in the old tool and the next opens in Zoho.

            1. Discovery callYour practice areas, billing models and the tools you use today. Free.
            2. Scope and BRDMatters, roles, templates and data to move, written down and signed.
            3. Build and importApps configured to your process, then clients and matters brought over.
            4. First billing cycleWe stay with you until the first Zoho invoices go out and get paid.

            10Questions firms ask

Zoho for professional services: questions from US firms

Practice software, trust money, client uploads, cost and timing. If your question is about one of your own matters or your billing rules, bring it to the call.

Can Zoho replace Clio or another legal practice management tool?

For many small and mid-size firms, yes. Zoho is not built only for lawyers, so we configure Zoho CRM, Zoho Projects, Zoho WorkDrive and Zoho Books as your matter system. If you depend on court-rules calendaring or a dedicated trust ledger, we will say so on the first call, and some firms keep that one tool and connect it to Zoho.

How does Zoho handle hourly, fixed-fee and retainer billing?

Zoho Books Professional bills a project by project hours, by task hours, by staff hours or as a fixed cost. Retainers go out as retainer invoices, and monthly arrangements as recurring invoices. We set the method on each matter to match the engagement letter, so billing staff never choose it by hand.

Does Zoho work for law firm trust accounting and IOLTA?

Zoho Books can record advance deposits as a liability and track them per client, but it is not a dedicated trust-accounting product. Your state bar sets the rules for client funds, so your bookkeeper or accountant decides whether that setup is enough or whether you keep a separate trust tool alongside Zoho.

Can clients send us documents without email attachments?

Yes. Zoho WorkDrive on the Team plan can create upload request links, so a client drops files straight into their matter folder. Zoho Projects can also invite clients as client users to see the tasks and files you choose to share with them.

What do Zoho licences cost for a 12-person firm?

With all 12 people on Zoho Projects Premium and Zoho WorkDrive Team, four partners or intake staff on Zoho CRM Professional and Zoho Sign Standard, and Zoho Books Professional, the list price is $274 a month on yearly billing, or $3,288 a year. Zoho One for all 12 employees would be $444 a month. Zoho bills licences to your own account; our setup fee is fixed in a signed BRD.

Can Zoho CRM run a conflict of interest check?

Not out of the box. We build a conflict search in Zoho CRM that looks across clients, contacts, related companies and adverse parties, flags close name matches, and saves the result with the name of the person who cleared it. A person always makes the final call.

Is Zoho a good fit for a CPA firm during tax season?

It helps most with the work around the return: yearly engagement letters through Zoho Sign, document requests through WorkDrive links, a return queue with due dates in Zoho Projects, and invoices in Zoho Books. Tax preparation itself stays in your tax software, and we can link status between the two where the software allows it.

Can an immigration practice track cases and deadlines in Zoho?

Yes. We set up case records by visa or petition type with receipt numbers, priority dates and document checklists per applicant, and reminders fire before each deadline you track. Zoho does not file anything with USCIS; your team still prepares and submits the forms.

Where is our client data stored?

US firms that sign up on zoho.com are placed in Zoho’s US data centers. We confirm which data center your account sits in during setup, turn on two-factor sign-in for every user, and limit who can export client records.

How long does it take to set up Zoho for a firm?

It depends on how many practice areas, billing models and years of matters you bring. Before we start, the signed BRD gives every step a date, including the cutover day and your first billing cycle in Zoho.

Do we need Zoho One, or just a few apps?

Small firms usually save with separate apps. Zoho One starts to make sense when most people need four or more apps, or when you want help desk, HR or firm-wide analytics as well. The calculator on this page shows both totals for your headcount.

            What is SI?

SI stands for super intelligence. In September 2026 a US executive order asked federal agencies to use “super intelligence” or “SI” in place of “artificial intelligence” in official communications. Most businesses still say AI, so we use both terms.
