01Why Zoho Bookings

Why US teams pick Zoho Bookings over Calendly

Zoho Bookings gives a whole team online scheduling for less per seat than Calendly, and it already talks to the rest of Zoho. Round robin is on the $6 Basic plan. Reminders go out by email on every plan, and by SMS and WhatsApp on Premium. Bookings land in Zoho CRM without a connector. These are the six reasons US owners hear from us most.

One person can run it free, for good

The free plan covers one user with a booking page, email reminders and two-way calendar sync with Zoho, Google and Microsoft 365 or Outlook.com. No card needed.

Calendly Free: one event type

Round robin on the cheapest paid plan

Basic shares appointments across your staff four ways: load balancing, priority, plain round robin or the default rule. Basic is $6 per user a month billed yearly.

Calendly: round robin starts on Teams, $16

Reminders on the channel people read

Email notifications and reminders are on every plan. Premium adds SMS and WhatsApp workflows, so a client gets a text the day before and a nudge an hour out.

Acuity: text reminders from $27

Nobody does time zone math

Your booking page converts times and language based on where the visitor is. A client in Chicago sees Central time, your calendar in Los Angeles stays Pacific.

Every booking shows up in Zoho CRM

Customer and appointment details sync to Zoho CRM on both paid plans. Premium can sync to any standard module, like Deals, or a custom module with your own booking form fields.

Get paid when they book

On Premium, clients pay as they book through Stripe, PayPal or Authorize.Net. Fewer no-shows, and less chasing for deposits at the front desk.

On Zoho One? The Premium plan of Zoho Bookings is already included. And Zoho’s AI (now also called SI, super intelligence) can draft your first event types and staff labels during signup. We then tidy them into the services and schedules you actually run, and connect chats from Zoho SalesIQ so a website visitor can book without leaving the chat.

02One booking, start to finish

What happens after a client books in Zoho Bookings?

A lot, and none of it needs your front desk. Here’s one sample appointment at a physical therapy practice, told as the messages it sets off. The client books on Monday, moves it once, and still shows up on Friday. Each message notes where we set it up in Zoho Bookings.

04Zoho Bookings pricing in the US

Zoho Bookings pricing: $0, $6 or $9 a user

Zoho Bookings is priced per user, meaning each staff member who takes appointments. There’s a free plan for one user. Basic is $6 per user a month billed yearly ($8 monthly) and Premium is $9 ($12 monthly). Premium adds SMS and WhatsApp reminders, online payments, routing forms, group and recurring bookings, white labeling and a custom domain. Tell us how many staff take appointments and which reminders you need, and we’ll suggest a plan.

Already pay for Zoho One? Zoho Bookings Premium is included, so there’s nothing extra to buy.

06Zoho Bookings vs Calendly and the rest

Zoho Bookings vs Calendly, Acuity, Microsoft Bookings and Square

Each of these tools charges in a different way. Calendly and Zoho Bookings charge per seat. Acuity charges per account with a cap on calendars. Microsoft Bookings comes inside Microsoft 365. Square Appointments charges per location and makes its money on card processing. So the right answer depends on how many people take bookings and what else you already pay for.

  • Acuity Scheduling$324
  • Microsoft Bookings$420
  • Zoho Bookings$540
  • Calendly$960

Zoho Bookings costs $420 a year less than Calendly Teams for the same five people. Acuity is cheaper for a single small location, until you pass six calendars or need the bookings in a CRM.

Already on Zoho One? Then Zoho Bookings Premium costs you nothing extra, and the real comparison is $0 against whatever you pay for Calendly or Acuity today.

Why we recommend Zoho Bookings to most US teams

  1. Round robin isn’t a premium feature. It’s on Basic at $6 a user, where Calendly asks for Teams at $16.
  2. Bookings go straight into Zoho CRM or Bigin, so sales sees every demo and every no-show next to the deal.
  3. Workspaces fit multi-location businesses. Premium includes three, one per clinic, salon or department, each with its own services and staff.
  4. Routing forms send each visitor to the right booking page before they pick a time, which matters when you sell several services.
  5. The cost grows by the person. Acuity jumps from $27 to $49 once you pass six calendars, even if you only add one.
  6. Payments, SMS, WhatsApp, white labeling and a custom domain all come together on Premium. Nothing to bolt on.

Where another tool can make sense: if your whole company lives in Microsoft 365 and you only need internal-style booking pages, Microsoft Bookings is already paid for. A salon that takes cards at the chair may be happier in Square Appointments, since bookings and the register share one system. And if your clinic needs a signed HIPAA BAA from its scheduling vendor, confirm that with each vendor before you buy. Acuity offers one on Premium. We’ll say all of this on the first call.

List prices in USD per user or per account per month, billed yearly, before promotions and tax. Microsoft 365 prices are the US rates from July 2026. Square Appointments’ paid plans are priced per location; we confirm the current number for your setup. Calendly and Acuity move features between tiers now and then, so we re-check their rates for your number of staff before you switch.

07Switching tools

Moving from Calendly or Acuity to Zoho Bookings, without a double-booked week

A Zoho Bookings migration is mostly rebuilding: event types, staff hours, intake questions and reminder rules. The tricky part is the cutover. Clients already holding a slot in the old tool still need to show up, and links on your website, emails and Google profile all have to point at the new page on the same day. Pick the scheduler you use today to see where its event types and reminders land.

Your calendars, your video tool, your payment provider and the Zoho apps that already know your customers. These are the Zoho Bookings integrations we set up most for US teams. For anything else, like intake from Zoho Forms or work orders in Zoho FSM, we use Zoho Flow or custom functions. Hover a tile to see which appointments, payments or client details move.

10Before you switch

Zoho Bookings questions we hear on almost every call

Straight answers on Zoho Bookings pricing, Calendly migration, reminders and setup. Something missing? Ask on a discovery call. The first one is free.

What is Zoho Bookings?

Zoho Bookings is Zoho’s online appointment scheduling software. Clients pick a time on your booking page, and it handles staff calendars, round robin, reminders by email, SMS and WhatsApp, payments at booking, group and recurring sessions, and the sync into Zoho CRM.

How much does Zoho Bookings cost in the USA?

Zoho Bookings is priced per user. Billed yearly in USD, Basic is $6 per user a month and Premium is $9. Billed monthly, they are $8 and $12. There is a free plan for one user, and Zoho One customers get Premium included. Setting up your services, staff calendars and reminders is a separate fixed price, written into a signed BRD.

Zoho Bookings vs Calendly: which is better for a US team?

For teams, Zoho Bookings usually costs less. Round robin is on Zoho Bookings Basic at $6 per user a month billed yearly, while Calendly puts it on Teams at $16. Zoho Bookings Premium also adds SMS and WhatsApp reminders and payments at $9. Calendly can still make sense if your sales team is deep in its integrations and you have no plans to use Zoho CRM.

Zoho Bookings vs Acuity Scheduling: which should a clinic or salon pick?

Acuity is priced per account and is often cheaper for one small location with up to six calendars. Zoho Bookings is priced per person, so it scales more evenly, includes three workspaces for locations on Premium, and syncs to Zoho CRM. If you need a signed HIPAA BAA from your scheduling vendor, confirm that with each vendor before you choose.

Does Zoho Bookings have round robin scheduling?

Yes, on both paid plans. You can share appointments across staff with load balancing, priority, plain round robin or the default rule, and collective bookings let several hosts meet one client together.

Can Zoho Bookings send SMS and WhatsApp reminders?

Yes, on the Premium plan. Email notifications and reminders are included on every plan, and Premium adds SMS workflows through a connected SMS provider plus WhatsApp notifications and reminders. The SMS provider bills its own usage.

Can clients pay when they book in Zoho Bookings?

Yes, on Premium. Zoho Bookings connects to payment providers such as Stripe, PayPal and Authorize.Net, so clients can pay or leave a deposit as they book. The payment provider charges its usual fees.

Does Zoho Bookings sync with Zoho CRM?

Yes. Customer and appointment details sync to Zoho CRM on the paid plans. Premium can sync to any standard module, such as Deals or Accounts, or to a custom module with your own booking form fields mapped across. It also syncs with Bigin.

Can you migrate us from Calendly or Acuity to Zoho Bookings?

Yes. We rebuild your event types, staff schedules, intake questions and reminder rules in Zoho Bookings, carry over upcoming appointments, and switch every booking link on the same day so nobody gets double-booked.

How long does Zoho Bookings setup take?

It depends on how many services, staff and locations you have, and which payments and integrations you need. The signed BRD dates every service, staff calendar, location and integration, plus the day all booking links switch over.

Is Zoho Bookings good for a small business?

Yes. A solo owner can start on the free plan, and Zoho Bookings for small business teams starts at $6 per user a month billed yearly with round robin and CRM sync. You only move to Premium when you want text reminders, payments or a second location.

Do you provide Zoho Bookings support and training after go-live?

Yes. After go-live our Zoho Bookings consultants handle new services, staff and locations, adjust reminders and workflows, and train new hires online or on-site in Southern California.

Can Zoho Bookings use our own domain and branding?

Yes, on Premium at $9 per user a month billed yearly. Premium adds white labeling and a custom domain, so clients book on a page that carries your brand.

What is SI?

SI stands for super intelligence. In September 2026 a US executive order asked federal agencies to use “super intelligence” or “SI” in place of “artificial intelligence” in official communications. Most businesses still say AI, so we use both terms.

11How a Zoho Bookings project starts

Before your Zoho Bookings page goes live, it’s on paper

Four steps settle what you get and what it costs, in writing, before we set anything up. A single-location practice is often scoped on the first call. Bigger jobs, like several locations with payments and a CRM sync, may need a paid scoping and BRD phase, and we’ll quote that up front.

Zoho Bookings rollouts run fully online across the US, Canada and Latin America; in Southern California we can come to your front desk to train staff.

  1. Discovery callWho takes bookings, what they book, and the tools you use today
  2. Process mappingHow a client books, gets reminded, reschedules, pays and comes back
  3. Scope & budgetThe plan that fits, what moves over and what to automate, agreed in the open
