Migrate from QuickBooks to Zoho Books with a US partner

Same ledger, new home. The trial balance has to match to the cent before anyone switches.

We move your running books out of QuickBooks Online or QuickBooks Desktop while your team keeps invoicing, paying bills and closing the month. Lists, opening balances, open items and the history you choose come across first as a test copy you check. Then we cut over on a period end you pick, and your CPA signs off on day one numbers.

01What moves, what changes, what doesn’t

What a QuickBooks to Zoho Books migration carries across

Zoho Books imports your lists, opening balances and open items from QuickBooks exports, and it can take transaction history module by module. Some things arrive in a slightly different shape. A short list has to be rebuilt by hand, and we’d rather you hear that now than at cutover.

Moves across

  • Chart of accountsEvery account and sub-account, parents loaded first so the tree stays intact.
  • Customers and vendorsWith contact persons, addresses and terms.
  • Products and servicesYour item list becomes Zoho Books items, with rates and income accounts.
  • Opening balancesTaken from the QuickBooks trial balance on your migration date.
  • What customers owe and what you oweReceivables and payables by customer and vendor, plus open invoices and unpaid bills.
  • AdvancesCustomer deposits arrive as payments received, vendor prepayments as payments made.
  • Stock on handClosing quantities and values from the inventory valuation report, entered as initial stock.
  • History you choose to keepInvoices, bills, payments, credit notes, quotes, purchase orders, expenses and journals.

Moves, but changes shape

  • Sales tax ratesZoho Books doesn’t import them. We recreate rates, combined groups, exemptions and tax authorities before any invoice loads.
  • Classes and locationsThey become reporting tags and locations in Zoho Books.
  • Odd fieldsResale numbers, customer types and payment methods with no Zoho twin become custom fields.
  • A few account typesInventory Asset lands as a Stock account and Undeposited Funds as a Cash account.
  • Inactive namesThey arrive active with “(Deleted)” added, and we switch them back off.
  • Unnumbered transactionsZoho Books gives them a QB- prefix, like QB-INV-1, so they stay traceable.
  • Foreign-currency balancesConverted to US dollars at an average rate on the migration date.
  • Vendor creditsThey come across, then get applied to bills by hand after the load.

Gets rebuilt, archived or left behind

  • Bank rulesRebuilt in Zoho Books, usually tidier than the originals.
  • Recurring templatesSet up again as recurring invoices, bills and expenses.
  • Bank feed historyLive feeds fetch only the last 90 days, so older activity comes in through the ledger import.
  • Deposits and transfersThe standard import skips them, so we enter them or post them as journals.
  • Payroll historyPay stubs and tax filings stay with your payroll provider. Zoho Books gets summary journals.
  • AttachmentsReceipts and files linked in QuickBooks don’t ride along. We export an archive and re-attach what open items need.
  • Closing date and locksYour QuickBooks closing date doesn’t transfer. Transaction locking is set again in Zoho Books.
  • Delayed chargesQuickBooks Online’s delayed charges skip the import and get re-entered.

Sales tax after the move

Once the rates exist, Zoho Books’ Sales Tax Automation on paid plans works out each new invoice’s rate from the customer’s address and the states you’re registered in. Already paying for Avalara AvaTax? We connect that instead. Sales tax payable comes over as an opening balance, so your next return starts from the right number.

1099s in the year you switch

Your 1099 vendor flags and TINs need re-marking in Zoho Books, and it can only total payments it holds. Switching mid-year? Either we load the year’s vendor payments as history, or you file that year from QuickBooks. A January 1 cutover avoids the question.

Coming from QuickBooks Desktop

There’s no one-click route from a Desktop company file. We export lists and reports from Desktop, reshape them into Zoho’s import files, and load the same way. Customer:Job pairs split into customers and projects, sales tax items turn into rates and groups, and memorized transactions become recurring ones.

02If the switch makes you nervous

Is a QuickBooks to Zoho Books migration safe for a live ledger?

Yes, and you get to prove it to yourself before anything changes. Moving the books is the part of a software switch people dread most, so we built our QuickBooks process around checks your bookkeeper can run without us.

A note from our founders

We have been moving running businesses onto Zoho since 2025, across more than 300 projects, and ledgers get our slowest, most careful hands. A set of books that is off by one cent is simply wrong, so we treat it that way.

While we build, your team keeps posting and closing in QuickBooks as usual. Nothing switches until your numbers match ours line for line and the people who own those numbers have signed. Trust the process, and your team will be fine.

What if something goes wrong?

The Zoho Books trial balance comes out different.
Then we don’t switch. QuickBooks is still your live system, so we find the gap, fix the load and run it again.
Somebody posts a QuickBooks invoice mid-move.
A catch-up pass runs right before cutover and carries over every invoice, bill and payment entered after the full load.
A team lead spots wrong records in the sample.
That is what the sample gate is for. Receivables, payables and inventory each check their own slice, and the full load waits for their signatures.
We hit a problem after go-live.
A rollback window is written into the BRD. QuickBooks sits there read-only the whole time, so any figure can be traced back to its source, and you can return to it if needed.

04Opening balances, entry by entry

How QuickBooks balances become your first Zoho Books entry

Every QuickBooks migration to Zoho Books hinges on one date: the day your old trial balance becomes Zoho’s opening balance. Walk the entries below in the order we post them. The last line is the test. If anything got missed, it shows up there.

05Size your migration

How big is your QuickBooks migration?

Answer a few questions about your QuickBooks file and you’ll see which migration package it usually lands in, and why. Years of history and payroll weigh more than headcount. Estimate only, not a quote.

Quick Move

  • Opening balances and open items only

The real scope and the fixed fee come from the Migration Assessment.

06Migration packages

Three QuickBooks to Zoho Books migration packages

Most QuickBooks files fit one of three sizes. The difference is how much history comes along and how many moving parts sit around the ledger. Each package gets a fixed fee, which we only name after we’ve opened your file.

Quick Move

One QuickBooks Online file, a clean start

  • Chart of accounts, customers, vendors and items
  • Trial balance opening entry on a period end
  • Open invoices, unpaid bills and advances
  • Sales tax rates rebuilt, bank feeds reconnected
  • One test load and a tie-out you approve

One fixed fee, set in the signed BRD before your file is touched

Standard Move

Online or Desktop, with history

  • Everything in Quick Move
  • One to three years of invoices, bills, payments and journals
  • Classes to reporting tags, custom fields mapped
  • Bank rules and recurring templates rebuilt
  • Inventory opening stock, 1099 vendors re-marked
  • A parallel month before cutover

Priced once in the BRD, so extra history never means a surprise invoice

Complex Move

Several entities, payroll, deep history

  • Everything in Standard Move
  • Multiple company files into separate organizations
  • Four years or more of history, multi-currency
  • Payroll summary journals and a Zoho Payroll plan
  • Connected apps re-pointed to Zoho Books
  • Attachment archive and a rollback plan

Quoted as one fixed figure in the BRD, entity by entity

Migration Assessment

Where every move starts

A paid look inside your QuickBooks file before anything moves. The fee is credited in full against your migration.

  • Data audit of lists, open items and history
  • Your field map, filled in
  • Risk list with fixes
  • Cutover plan with the period end
  • The BRD with your fixed fee

Credited in full when you go ahead

07How the move runs

The QuickBooks migration process, from first call to cancelled subscription

Fifteen steps in five phases. Your team keeps working in QuickBooks until cutover, and every phase ends with something a person on your side checks or signs. Steps marked Migration are the ones a fresh Zoho Books setup doesn’t need.

  1. Phase 1Plan around your renewal

    1. 1Discovery call free

Which QuickBooks you run, how many company files, and who touches it: billing, payables, the warehouse, your CPA.

    2. 2Renewal and timeline check Migration

When your QuickBooks subscription renews, any notice period, and what you can still export. Then we set the stopper date, the last safe day to work in QuickBooks.

    3. 3Migration plan

How much history fits the window, which team goes first, what gets rebuilt and which period end you cut over on. The plan comes with a fixed fee.

  2. Phase 2Paper before data

    1. 4Migration BRD Migration

Every list and transaction type per team, the field map, stopper dates, acceptance checks such as record counts and sample invoices, and the cutover and rollback plan. On larger files it is often what the paid Migration Assessment delivers.

    2. 5Team sign-off on the BRD Migration

The head of each team that works in QuickBooks signs for their part, your project owner signs the whole, and we file the record.

    3. 6Kickoff

Roles on both sides, logins, how we report, and the data-freeze rule for cutover week.

    4. 7Delivery schedule

A date for each piece, from tax rates to bank feeds, all counted back from the stopper date.

  3. Phase 3Build, then prove it

    1. 8Zoho Books setup

Sales tax rates, chart of accounts, reporting tags, invoice templates, approvals and bank rules, ready before any data lands. You watch it take shape in review demos.

    2. 9Sample migration Migration

A slice per team moves first: customers with open invoices, vendors with unpaid bills, items with stock on hand.

    3. 10Sample sign-off Migration

Each team lead opens their own records in Zoho Books, confirms they read right, and signs.

  4. Phase 4Move everything

    1. 11Full load and catch-up pass Migration

Everything loads, then the catch-up pass brings over what was posted since. You get a validation report with before and after counts.

    2. 12Testing on real data

Your own people raise invoices, match bank lines and pay bills in Zoho Books before anyone relies on it.

    3. 13Training by team

Billing, payables and the owner each learn on their own records, with manuals and recorded videos to keep.

  5. Phase 5Switch and settle

    1. 14Cutover and go-live

On the agreed period end, ahead of the stopper date. QuickBooks turns read-only and the rollback window opens.

    2. 15Hypercare, then cancel QuickBooks Migration

We stay close through your first close in Zoho Books. The QuickBooks subscription ends only after you tell us you’re done with it.

    09Monday morning after the switch

Your first Monday in Zoho Books after the QuickBooks migration

Nobody walks in to a blank screen. Here is what each person opens on the first working day, and where the things they used to click in QuickBooks now live.

    1. The bookkeeper

Opens Banking. The checking account shows the same book balance it had in QuickBooks on Friday, new feed lines are waiting, and the rebuilt bank rules have already sorted the usual ones.

    2. Whoever sends invoices

Goes to Sales, then Invoices. All 41 open invoices are there under their old numbers, so a customer quoting “INV-1042” on the phone still gets found.

    3. Payables

Opens Bills, sorted by due date. This week’s vendor payments sit at the top, with the same terms they had before.

    4. The owner

Opens the Profit and Loss and the cash position. The year so far starts from the opening balances everyone signed, so the numbers look familiar.

    5. Your CPA

Logs in with their own accountant access and finds the same chart of accounts, now with reporting tags where classes used to be.

    10Before you switch

What can go wrong in a QuickBooks migration, and what speeds it up

Most migration trouble starts in the QuickBooks file itself. Tick through the list below. Each item you can already say yes to takes work off the move.

    Your pre-move checklist

0 of 7 ready. Every unticked item gets a line in your risk list.

    Makes it faster

    • Cutting over on January 1 or a quarter end
    • Bringing balances and open items only
    • One entity, US dollars only
    • A bookkeeper who can answer questions within a day

    Makes it slower

    • Unreconciled months before the migration date
    • Years of history across several company files
    • Payroll and inventory in the same file
    • Apps writing into QuickBooks that need re-pointing

    11Three years of licenses

What three years of QuickBooks Online cost next to Zoho Books

QuickBooks Online prices by user tier, so adding a sixth person can push you up a whole plan. Zoho Books includes users in each plan and charges a few dollars for extras. Set your headcount and plans to see the gap.

    QuickBooks Online plan
    Zoho Books plan
    Zoho Books billing

    QuickBooks Online Plus$5,040
    Zoho Books Professional$1,440

    $1,680
    Zoho Books per year
    $480
    Difference per year
    $1,200
    Difference over 3 years
    $3,600

Moving your books is a separate cost: one fixed migration fee, written into the BRD you sign, so you can set it against these savings before you commit.

License prices only. Taxes, add-ons and discounts vary. QuickBooks Online at Intuit’s standard US monthly price per company, before promotions. Zoho Books at Zoho’s US list price per organization, extra users $2.50 a month billed yearly or $3 monthly. Running QuickBooks Desktop? Its cost depends on edition and seats, so we price that comparison on the call.

    12Why people leave QuickBooks

Why choose Zoho Books instead of QuickBooks?

Mostly the user math. Zoho Books Professional covers five people for $40 a month billed yearly, where QuickBooks Online Plus charges $140 a month for the same five. Bank feeds, sales tax and 1099 e-filing start on Standard at $15. Desktop users have a second reason: Intuit no longer sells new Desktop Pro and Premier subscriptions in the US.

When staying put is fine: if your outside CPA works only in QuickBooks and you need little beyond a ledger they can open, the move may cost more than it saves. We’ll tell you on the first call.

    13QuickBooks migration questions

QuickBooks to Zoho Books migration FAQ

Straight answers on history, downtime, sales tax, 1099s and what the move costs. Bring the rest to a migration call, which costs nothing.

What moves from QuickBooks to Zoho Books?

Your chart of accounts, customers, vendors, products and services, opening balances from the trial balance, receivables and payables with open invoices and unpaid bills, customer and vendor advances, closing stock, and any history you choose: invoices, bills, payments, credit notes, quotes, purchase orders, expenses and journals. Sales tax rates are recreated in Zoho Books first, because they don’t import.

    What doesn’t move from QuickBooks?

Bank rules, recurring templates, delayed charges, the closing date, users and invoice styles get rebuilt in Zoho Books. Payroll detail stays with your payroll provider and arrives as summary journals. Bank feeds reconnect and fetch only the last 90 days, and attached receipts are archived, with the ones open items need re-attached.

Will we have downtime during the migration?

Very little. Your team keeps working in QuickBooks while we build Zoho Books, load a sample and then the full file. On cutover day, QuickBooks goes read-only, a catch-up pass brings over anything posted since the full load, and you start in Zoho Books once the validation report counts match and the trial balance shows a $0.00 difference.

Can we keep years of QuickBooks history?

Yes, if it’s worth it. Zoho Books can import invoices, bills, payments, credit notes and journals module by module, so we can bring one year or several. Many businesses bring balances and open items only and keep QuickBooks read-only for lookups, which is faster and cheaper.

How long does a QuickBooks to Zoho Books migration take?

It depends on how much history moves, how many company files you have, and whether payroll or inventory is involved. We work back from the date your QuickBooks subscription ends: a stopper date goes two weeks before it, cutover lands on a period end ahead of that, and the Migration BRD fixes every date in between. The planner on this page gives you a sample calendar.

How much does a QuickBooks migration cost?

Each move fits one of three packages: Quick Move, Standard Move or Complex Move, and each carries a fixed fee written into a signed BRD. It starts with a paid Migration Assessment, and that fee is credited in full against your migration. The first call is free.

Is migrating from QuickBooks Desktop different from QuickBooks Online?

Yes. There’s no one-click route from a Desktop company file, so we export lists and reports from Desktop and reshape them into Zoho Books import files. Customer:Job pairs become customers and projects, sales tax items become tax rates and groups, and memorized transactions become recurring ones.

What happens to sales tax when we switch?

Your rates, combined groups, exemptions and tax authorities are recreated in Zoho Books before anything loads, and sales tax payable carries over as an opening balance. On paid plans, Sales Tax Automation then works out the rate for each new invoice from the customer’s address, or we connect your Avalara account.

Can we file 1099s from Zoho Books in the year we switch?

Yes, with a plan. You re-mark 1099 vendors and their TINs in Zoho Books, and it totals the payments it holds. If you switch mid-year, we either import that year’s vendor payments or you file that year from QuickBooks. A January 1 cutover keeps it simple.

Do our QuickBooks attachments come across?

Attached receipts and documents don’t ride along with the standard import. We export an archive you keep, and we re-attach files to the open invoices and bills that still need them.

Can we go back to QuickBooks if something goes wrong?

Yes. We never change your QuickBooks file. Before go-live, a failed tie-out simply means you keep working in QuickBooks while we fix the load and run it again. After go-live, a rollback window agreed in the BRD keeps the way back open, with QuickBooks still there in read-only mode.

Who signs off the QuickBooks migration?

The people who own the numbers. Each team that works in QuickBooks names a single point of contact, usually its head, who signs the Migration BRD for their part and later confirms their sample records in Zoho Books. Your overall project owner signs too, and we keep every sign-off on record.

What happens to my QuickBooks account after go-live?

It turns read-only and stays that way through hypercare, so anyone can still look up an old invoice or report. We cancel nothing. You end the QuickBooks subscription yourself, only after you confirm you no longer need it, ideally before its renewal date.

    14How a QuickBooks migration starts

Your QuickBooks file gets read before anything gets moved
