Zoho CRM and Google Workspace integration, with mail, meetings and files on each deal
Your team already lives in Gmail and Google Calendar. The CRM should fill itself from there.
We connect Google Workspace to Zoho CRM for US companies that want to keep Google for email and documents. Customer emails file onto the right contact, meetings booked in Google Calendar show on the account, and proposals saved in Google Drive sit on the deal.

01Is it worth connecting?
Who should connect Google Workspace to Zoho CRM?
Any team that sells by email and books meetings in Google Calendar. If reps copy and paste between Gmail and the CRM, the link pays for itself in saved typing and in history nobody loses when a rep leaves.
Good signs
- Customer conversations happen in Gmail. Threads should sit on the contact, not in one rep’s inbox.
- Managers ask “when did we last talk to them?” Synced meetings and emails answer that from the account page.
- Proposals and contracts live in shared drives. A link on the deal beats a search through folders named “Final v3”.
- New hires get a Google account on day one. The same identity can open Zoho CRM, so nobody juggles another password.
Think it through first
- You plan to leave Google anyway. Then moving mail to Zoho is the project, and sync work would be thrown away.
- Every rep books with a personal Gmail address. Sync needs company accounts, so that cleanup comes first.
02Google Workspace integration services
What do we set up between Google Workspace and Zoho CRM?
Six pieces, each switched on only if your team will use it. Swipe or use the arrows; the order is roughly how we tackle them.
- 1 of 6
Users and Google sign-in
Your team is added to Zoho CRM from the Google Workspace directory and signs in with the Google account they already use. Leavers lose access when IT closes their Google account.
- 2 of 6
The Gmail add-on
Reps see the CRM contact beside an open email, add a lead with notes and a task, and never switch tabs to do it.
- 3 of 6
Email sync with rules
Messages to and from CRM leads and contacts file onto those records. We agree whose mail syncs and who can read it on the record.
- 4 of 6
Calendar sync per rep
Zoho CRM meetings and Google Calendar stay in step on a schedule. We choose the calendars and test what happens when someone moves a meeting.
- 5 of 6
Contacts, with one owner
Google Contacts and CRM contacts sync on a schedule, with a direction picked on purpose so phones don’t fill with duplicates.
- 6 of 6
Drive files and folders
Docs, Sheets and PDFs from Google Drive attach to deals. When you want a folder per deal created for you, we add that with a small function on the Drive API.
03Google or Zoho CRM?
Which system should own each job?
Neither tool should do everything. Writing stays in Google, the customer record stays in Zoho CRM, and the sync carries a copy or a link between them. Tap a cell for the detail.
04One customer record, built from Google
How does a Zoho CRM record fill itself from Gmail, Calendar and Drive?
Follow one sample deal for a dental group opening a second office. Nobody types the record in; each Google app adds its piece. Scroll and the record builds one piece at a time.
-
Step 1Mon 8:52 am · Gmail
An email arrives and becomes a lead
Dana asks about fitting out a second office. The rep opens the Zoho CRM panel in Gmail, sees no match, and adds her as a lead with the source and a call task in one go.

Step 2Mon to Wed · Email sync
The back and forth files itself
Three replies about dates and chair counts land on Dana’s record automatically, because her address now matches a CRM lead. The rep’s other mail stays out of it.

Step 3Thu 10:00 am · Calendar
The site walk-through shows on the deal
The rep books it in Google Calendar with a Meet link, as usual. The next sync run puts the meeting on the CRM timeline, so the manager sees it without asking.

Step 4Fri 3:15 pm · Drive
The proposal sits on the deal, not in a folder hunt
The estimator saves the proposal in the sales shared drive. The rep attaches it to the deal from Drive, so the link opens the current version and Drive keeps the sharing rules.

Step 5Next week · Contacts
Her office number reaches the rep’s phone
The lead converts to a contact with the new Pasadena number. Contact sync, set to run from CRM to Google, copies it across, so the phone shows her name when she calls.

Step 6Dec 12 · Won
Closed won, and the kickoff is already on a list
The deal moves to Closed Won. A kickoff task created in Zoho CRM is exported to the project lead’s Google Tasks, and the full history stays on the record for whoever picks the account up next.

05Try it · your Google apps
What do you use in Google, and how does each one connect?
Tap the Google apps your team uses. Each one drops into the lane we’d normally use for it: Zoho’s built-in integration, Zoho Flow, a small custom build, or “leave it in Google”.

06Google Workspace + Zoho
Three ways to connect Google Workspace and Zoho, plus one way out
Most companies need only the first route. The others come in when a job falls outside what Zoho ships, or when you would rather stop paying for two suites.
-
Route 1
Zoho CRM’s own Google integration
Set up from the Google section of the Zoho CRM Marketplace: user import, the Gmail add-on, email sync, Calendar, Contacts, Tasks and Drive attachments. This is where most of the work on Zoho CRM starts.
-
Route 2
Zoho Flow for Sheets and Forms
When a Google Form response should become a lead, or won deals should land as rows in a shared Sheet, Zoho Flow does it without code and keeps a history of every run.
-
Route 3
Deluge or Catalyst on Google’s APIs
A Drive folder per deal with the right sharing, deal alerts in a Google Chat space, or a shared sales@ inbox logged properly. We write these as Deluge functions, or on Zoho Catalyst when they need their own listener.
-
Or
Move to Zoho Mail and WorkDrive
Some teams decide one suite is enough. Compare Zoho Workplace and Google Workspace, or see how a Google Workspace to Zoho Mail move runs.
07What it costs
What does a Google Workspace and Zoho CRM setup cost?
You keep paying Google and Zoho for the seats you have. The built-in integration has no extra licence; Zoho Flow is only needed if you take route 2.
| Plan | Price |
|---|---|
| Business Starter | $7 |
| Business Standard | $14 |
| Business Plus | $22 |
| Edition | Billed yearly | Billed monthly |
|---|---|---|
| Standard | $14 | $20 |
| Professional | $23 | $35 |
| Enterprise | $40 | $50 |
| Ultimate | $52 | $65 |
Our part is one fixed number. Which Google apps connect, the sync directions, the mailbox rules and any Drive or Chat functions go into a BRD, and the price is set when you sign it, before a single rep’s calendar is touched. The first call to talk it through is free.
08Google Workspace sync questions
Zoho CRM and Google Workspace questions
Gmail, Calendar direction, duplicate contacts and private email. Bring your Google admin to the call if sign-in is on the list.
Does Zoho CRM integrate with Google Workspace?
Yes. Zoho CRM has its own Google Workspace integration, set up from the Google section of the Zoho CRM Marketplace. It covers adding users from your Google directory, signing in with Google, the Gmail add-on and email sync, Google Calendar and Google Contacts sync, exporting tasks to Google Tasks and attaching Google Drive files to records.
Can I use Zoho CRM inside Gmail?
Yes. With the Gmail add-on, a panel beside the open email shows the matching lead or contact. From there reps can add a new lead or contact, notes, tasks and deals without opening Zoho CRM in another tab.
Does Zoho CRM sync with Google Calendar both ways?
Zoho CRM can export events to Google Calendar and run a scheduled sync between CRM meetings and Google Calendar. We pick which calendars take part and the direction per team, then test moved and cancelled meetings before every rep is switched on.
Will Google Contacts sync create duplicate contacts?
It can if both sides already hold the same people under slightly different names. We clean the lists first and choose a direction on purpose. Many teams sync from Zoho CRM to Google only, so the CRM stays the master copy and phones simply show the caller.
Do all my emails show up in Zoho CRM?
No. Email sync files messages whose addresses match a lead or contact in Zoho CRM. Mail with people who are not in the CRM stays out. We still agree with you whose mailboxes sync and who can read synced mail on a record.
Can Zoho CRM attach files from Google Drive?
Yes. Documents, spreadsheets, presentations and PDFs in Google Drive can be attached to Zoho CRM records, and the file stays in Drive with its sharing settings. If you want a Drive folder created for every new deal, we add that with a function on the Google Drive API.
Can we connect a shared sales@ address to Zoho CRM?
Usually yes, with some planning. A Google group address has no mailbox of its own to sync, so we either route it into one licensed mailbox that syncs, or log those emails into Zoho CRM another way. We decide which during the mailbox check.
Should we move off Google Workspace to Zoho instead?
Only if your team is ready to change email and documents. If Gmail and Drive work well, keep them and connect them. If you are also unhappy with the Google bill, compare Zoho Workplace first, and we can scope both options on the same call.
How do you price a Google Workspace integration?
The first call is free. Then the apps we connect, the sync directions, mailbox rules and any custom functions go into a signed BRD at a fixed price with a delivery schedule. If shared inboxes or messy contacts need a paid review first, we quote it before starting.
09How a Google Workspace integration starts
We start with your Google admin console
Four steps take you from “emails live in inboxes” to a signed plan. A standard Gmail and Calendar setup can usually be scoped on the first call; shared inboxes or Drive automation may need a short paid review, quoted before it starts.
Google projects run over video calls with your admin and a sales lead, anywhere in the US, Canada or Latin America. Around Los Angeles we can also train the sales floor in person.
