01Why Zoho Workplace

What is Zoho Workplace, and why do US offices switch to it?

Zoho’s office suite: email on your own domain, calendar, WorkDrive, Writer, Sheet and Show, Cliq, Zoho Meeting and a password vault under one account, from $3 per user a month. Six reasons owners pick it:

  1. Not every seat has to be a full seat

Field and seasonal staff can sit on Mail Lite at $1, next to your Workplace users.

Google Workspace: Starter at $7 is the lowest seat
  2. Team storage grows with the team

Standard shares 100 GB across 3 to 10 users, plus 10 GB per extra person. Professional starts at 1 TB.

  3. Retention without buying the top tier

Retention and eDiscovery come with Mail Premium at $4 and Workplace Professional at $6.

Google Workspace: eDiscovery from Business Plus, $22
  4. No ads, and your data isn’t for sale

Zoho promises no ads in Workplace and no selling of customer data to third parties.

  5. Email that knows your customers

The eWidget in Zoho Mail opens the matching Zoho CRM record beside a message.

  6. One login, MFA and a shared vault

Directory handles sign-in and MFA, and Vault keeps shared passwords out of email. Zia, Zoho’s AI / SI assistant, is included.

      03A new hire’s first day

What does day one look like for a new hire on Zoho Workplace?

Her workspace is ready before she sits down, because one admin console creates it. A sample Monday for a new coordinator. Scroll and her workspace assembles one app at a time.

      1. Step 17:45 am · Account

Her account and mailbox already exist

The office manager added her in the admin console on Friday: address, front-desk alias and MFA all ready.

Team folders appear with the right access

Her groups bring the Operations and Front desk team folders to her laptop. HR stays locked, and nobody shared a file by hand.

A channel welcome instead of reply-all

Cliq puts her in #front-desk and #announcements. The team says hello in the channel, and the courier schedule sits pinned at the top.

      4. Step 49:15 am · Docs

The onboarding checklist is one shared doc

It lives in Zoho Writer, copied from the office template. She ticks items off and her manager sees the same file update.

Usually not. Mail-only plans start at $1 a user and can sit beside Workplace seats in one organization. Sort six cards to see which way your team leans.

      07Zoho Workplace vs Google Workspace

08Access across mail, files and chat

Who can open which mailbox, folder and channel?

Access follows groups, not favors. This is the map we begin with on Workplace rollouts: staff get their own inbox plus the team spaces their groups belong to, managers see their team’s shared spaces, and only admins touch domain and security settings. Choose a role to see its reach.

What Zoho Workplace plugs into, and what we move you off

Workplace rarely stands alone. These three links come up on almost every rollout, and the tabs below show what comes across from the suite or host you use today. You approve a sample mailbox before the full copy runs.

      • Zoho CRM

The eWidget in Zoho Mail opens the matching CRM record beside a message, and customer emails can be logged on the contact for the sales team.

      • Sign-in and MFA

Zoho Directory runs one login with MFA for every Workplace app, single sign-on for other tools, and Vault keeps shared passwords out of email.

      • Outlook, desktop and phones

Paid plans connect to Outlook and phone mail apps over IMAP, POP or ActiveSync, next to Zoho’s own desktop and mobile apps. The free plan is webmail and apps only.

      13Zoho Workplace questions

What do offices ask before moving to Zoho Workplace?

Plain answers on Zoho Workplace pricing, access, migration and setup.

      What is Zoho Workplace?

Zoho Workplace is Zoho’s office suite for business: Zoho Mail and Calendar on your own domain, WorkDrive file storage, Writer, Sheet and Show, Cliq team chat and Zoho Meeting, plus Vault for passwords and Directory for sign-in and MFA, under one account and one admin console.

How much does Zoho Workplace cost in the USA?

Billed yearly in USD, Workplace Standard is $3 per user a month and Workplace Professional is $6, or $4 and $7 billed monthly. Mail Lite costs $1 (5 GB) or $1.25 (10 GB) and Mail Premium $4, yearly only, and the plans can be mixed in one organization. Our setup work is a separate fixed fee in a signed BRD.

Zoho Workplace vs Google Workspace: which costs less?

Zoho Workplace, on every matching tier: $3 for Standard against $7 for Google Business Starter, and $6 for Professional against $14 for Business Standard, per user a month on yearly terms. Google gives far more storage per person, so heavy file users may still prefer it.

Can you migrate us from Google Workspace or Microsoft 365 to Zoho Workplace?

Yes. Mailboxes, aliases, calendars and contacts move into Zoho Mail, and Google Drive, OneDrive or SharePoint files move into WorkDrive team folders. You check a sample mailbox first, then the full copy runs and mail records switch on an agreed date.

Will our email stop working while we switch?

It shouldn’t. Mail is copied while your old system keeps running, the MX records change on the date you approve, and a final sync picks up late arrivals. The old system stays read-only until your team confirms nothing is missing.

Is there a free Zoho Workplace plan for a small business?

Zoho has a forever-free plan for up to five users on one domain, with 5 GB of mail each, but no IMAP, POP or ActiveSync. Small businesses that want Outlook, shared files or meetings usually start on Workplace Standard at $3.

Does Zoho Workplace include video meetings?

Yes. Zoho Meeting comes with both Workplace plans: up to 100 participants on Standard and 250 on Professional, with screen sharing and 5 GB of cloud recordings per host.

Does Zoho Workplace include email retention and eDiscovery?

Yes, on Workplace Professional and on the mail-only Mail Premium plan, along with S/MIME. Workplace Standard and Mail Lite don’t include them.

How long does a Zoho Workplace setup take?

It depends on your mailboxes, domains, shared drives and how much history moves. The signed BRD dates every mailbox batch, team folder and training session, so the cutover day is known before work starts.

What does Elite Tech Global charge for a Zoho Workplace rollout?

We don’t charge for the first conversation. Your rollout then gets one fixed price in a signed BRD listing every mailbox, domain and team folder. Larger tenants may start with a paid scoping phase, quoted up front, and support after go-live is agreed in writing.

Who can open shared folders and group inboxes in Zoho Workplace?

Whoever belongs to the group behind them. We build access from groups, so staff see their own inbox plus the team folders, group inboxes and Cliq channels their groups use, managers see their team’s spaces, and only admins change domains, MFA and retention. Guests see only files or recordings someone shares with them.

Can we move from Slack to Zoho Cliq in the same project?

Yes. A Slack admin exports the workspace, and the channels you pick come into Cliq with their message history. Bots and integrations do not travel in the export, so we list them in the BRD and rebuild the ones you still need.

      What is SI?

SI stands for super intelligence. In September 2026 a US executive order asked federal agencies to use “super intelligence” or “SI” in place of “artificial intelligence” in official communications. Most businesses still say AI, so we use both terms.
