Zoho Mail setup and migration for US businesses

Email on your own domain, with no ads in the inbox and a price per user that’s hard to argue with.

We’re certified Zoho consultants, led from Glendale just outside Los Angeles. We set up Zoho Mail on your domain, write the DNS records so your mail lands in inboxes instead of spam folders, and move every mailbox over from Google Workspace, Microsoft 365 or your old host on a weekend. Monday morning, the same email, calendar and contacts are waiting in Zoho.

  • No ads, and Zoho doesn’t sell your data
  • Retention & eDiscovery from $4 a user

01Six reasons, read like an inbox

Why US businesses move their email to Zoho Mail

Zoho Mail gives you professional email on your own domain for a fraction of what Google Workspace or Microsoft 365 charge, without ads and with compliance tools in plans most companies can afford. These are the six things owners and office managers bring up most when they ask us about switching. Each one checks out on Zoho’s own US plan pages.

  1. Pricing · per user, billed yearly

Your own domain from $1 a user

Mail Lite puts maria@yourcompany.com on Zoho’s servers for $1 per user per month with 5 GB, or $1.25 with 10 GB. A 25-person office pays $300 a year for email.

Zoho Mail Lite: $1Google Workspace Business Starter: $7

  2. Privacy · Zoho’s own promise

No ads, and your data isn’t for sale

Zoho states it will never serve you ads or sell your data to third-party vendors. Zoho makes its money from subscriptions, so your inbox isn’t a marketing channel for anyone else.

    Every plan, including the cheapest

  3. Compliance · Mail Premium and Workplace Professional

Retention and eDiscovery without the top-tier price

Set how long mail is kept even after someone deletes it, search across mailboxes for an investigation, and put a legal hold on the results. Mail Premium includes it at $4 a user with 50 GB plus 50 GB of retention storage.

Zoho Mail Premium: $4Google Vault comes with Business Plus: $22

  4. Teamwork · inside the mailbox

Talk about an email without forwarding it

Streams lets you share an email with a group, then like, comment and @mention teammates under it. The “who’s handling this?” chain stays out of the customer thread.

    Built into Zoho Mail

  5. Licensing · one organization

Mix plans, so nobody pays for what they don’t use

Zoho lets one organization combine Mail-only and Workplace plans. The warehouse crew can sit on Mail Lite while the office gets Workplace Standard with file storage, chat and meetings.

Mail-only and Workplace in one admin console

  6. Migration · built-in tool

Google Workspace and Microsoft 365 move over in one pass

Zoho’s migration tool moves email, calendars and contacts from Google Workspace and Microsoft 365, and email with its folders from almost any other host over IMAP. Old PST files come along too.

02The checklist we run on every switch

The Zoho Mail switch weekend, one checkbox at a time

Moving email is mostly about order: verify the domain, copy the mail, flip the MX records, then catch what arrived in between. This is the Zoho Mail migration checklist we work through with US clients. Pick where you’re coming from, then scroll, and watch the boxes tick and your incoming mail change address.

New mail is landing in

Sample checklist

Week beforeGet Zoho ready

  1. Add and verify your domain

One TXT or CNAME record at your DNS host proves you own the domain. Nothing else changes yet, so mail keeps flowing to the old provider.

  2. Create users, aliases and groups

Every Gmail user gets a Zoho mailbox. Google Groups like sales@ become Zoho group addresses, and extra addresses become aliases.

  3. Lower the DNS TTL

Zoho recommends the lowest TTL your registrar allows, so the record change takes effect quickly on the weekend.

  4. Run a sample migration

Two or three mailboxes go first, so we see the speed and any limits before the real move.

Friday nightMove and flip

  1. Migrate every mailbox

Zoho’s one-click Google Workspace migration copies email, calendars and contacts for everyone.

  2. Point MX records to Zoho

mx.zoho.com, mx2.zoho.com and mx3.zoho.com go in, and the old provider’s MX records come out. From here, new mail lands in Zoho.

  3. Rewrite the SPF record

One SPF record per domain. While Gmail may still send for a few days, it keeps both includes: Zoho’s and Google’s.

SaturdaySign and catch up

  1. Publish DKIM, then verify it

Zoho generates the key in the admin console. We add it as a TXT record, click Verify, and outgoing mail is signed.

  2. Start DMARC at “none”

Monitoring only, with reports coming back to you. Zoho recommends a phased rollout, so we tighten it once the reports look clean.

  3. Run the catch-up migration

Mail that reached the old mailboxes before the MX change gets copied over. Zoho skips the duplicates.

MondayBack to work

  1. Phones and laptops connected

The Zoho Mail app goes on phones, and anyone attached to a desktop mail client keeps using it with the new settings.

  2. A short team walkthrough

Signatures, shared folders, Streams and where their old Gmail labels went. Thirty minutes, on their own inbox.

We keep the old Google licenses until you’ve checked everything arrived, then you cancel them.

03Try it with your own domain

Which DNS records does Zoho Mail need for your domain?

Zoho Mail needs four kinds of DNS records: MX to receive mail, SPF and DKIM to prove your mail is really from you, and DMARC to tell other servers what to do when it isn’t. Type your domain, tell us what else sends email for you, and this helper builds the list. Tick each record off as it goes in at your registrar.

Values shown are Zoho’s published records for accounts on its US data center. Your verification code and DKIM key are unique and come from your Zoho Mail admin console. Got a different setup, like a website form or billing tool that sends as your domain? That sender goes into the same SPF record, and we sort it out during setup.

04What moves, and where it lands

Leaving Google Workspace or Microsoft 365? Here’s where it all lands in Zoho Mail

A Zoho Mail migration keeps your history: email with its folders, calendars and contacts. Pick what you use today and see where each piece ends up. Files and chat move to Zoho WorkDrive and Zoho Cliq when you choose a Workplace plan, and we plan that part of the move with you.

05Zoho Mail pricing in the US

Zoho Mail pricing: which plan fits your team?

Zoho Mail costs from $1 per user per month (Mail Lite, billed yearly) to $6 (Workplace Professional). The Mail-only plans, Mail Lite and Mail Premium, are sold on yearly billing only. Workplace plans add file storage, chat and meetings, and can be paid monthly. Answer three questions and we’ll point you at a plan, with Zoho’s US price.

Zoho also lists a Forever Free plan for up to 5 users on one domain, in select data centers only and without IMAP, POP or ActiveSync. We’ll tell you on a call whether it fits.

Zoho Mail vs Google Workspace, Microsoft 365 and Proton

Zoho Mail is the cheapest of the four at every level, and the gap is widest on compliance. Here’s what US businesses pay per user each month on yearly billing. The middle column is the plan most offices end up on: email plus files, chat and video calls.

Same 25 people, same year: Zoho Workplace Standard comes in $3,300 under Google Workspace or Microsoft 365 Business Standard.

Email only? Mail Lite for the same 25 people is $300 a year. Google Workspace Business Starter is $2,100.

Why we keep recommending it for email

    1. Compliance costs $4, not $22. Retention and eDiscovery come with Mail Premium. On Google Workspace, Vault arrives with Business Plus.
    2. The inbox is ad-free on every plan, and Zoho says it doesn’t sell your data to third parties.
    3. You can mix plans in one organization. Pay $1 for the people who only need email and $3 or $6 for everyone else.
    4. Streams keeps internal chatter about a customer email next to the email, with comments and @mentions.
    5. Zoho Mail sits next to Zoho CRM and the rest of Zoho, so your inbox and your customer records come from the same company.

Where another tool can make sense: if your team lives in desktop Excel, Word and Teams all day, Microsoft 365 Business Standard bundles those apps. If you collaborate in Google Docs with clients every day, staying on Google Workspace can be simpler. If end-to-end encryption is a hard requirement, Proton is built around it. Tell us how your team uses Office, Docs and shared mailboxes on the first call, and we’ll be straight about which suite fits.

Per-mailbox list prices in USD, billed yearly. Microsoft prices are the annual-commitment prices that took effect July 1, 2026. Google and Microsoft reprice their suites now and then, so we re-check the per-seat cost for your mailbox count before you switch.

09What a project with us looks like

Four ways a Zoho Mail setup usually goes

Every Zoho Mail implementation gets its own scope and a fixed price in a signed BRD. Whether you run one domain or several, the move usually matches one of these four. Already on Zoho Mail but fighting spam folders or a messy admin console? We often start by fixing the DNS records and cleaning up aliases and groups. Once the MX records point to Zoho, we keep handling new mailboxes, aliases and deliverability questions as your team changes.

Will we lose any email? And other Zoho Mail questions

Zoho Mail pricing, migration, DNS, privacy and compliance, answered in a few sentences each. Worried about something specific, like a shared mailbox or an old archive? Raise it on your first call.

    What is Zoho Mail?

Zoho Mail is Zoho’s business email service. It hosts email on your own domain, with calendars, contacts, aliases, group addresses, Streams for team discussion, an admin console, mobile apps and a built-in migration tool. Higher plans add retention, eDiscovery and S/MIME.

How much does Zoho Mail cost in the USA?

Zoho Mail Lite costs $1 per user per month with 5 GB, or $1.25 with 10 GB, and Mail Premium costs $4, all billed yearly only. Zoho Workplace Standard costs $3 per user per month billed yearly or $4 monthly, and Workplace Professional costs $6 yearly or $7 monthly, in USD before tax. Moving your mailboxes and DNS with us is its own fixed price, written into a signed BRD before we change a record.

    Is Zoho Mail really ad-free?

Yes. Zoho states that it will never serve you ads or sell your data to third-party vendors, and that applies to every plan. Zoho earns its money from subscriptions.

Zoho Mail vs Google Workspace: which is better for a US business?

For most small and mid-size US businesses that mainly need email, Zoho Mail costs far less. Zoho Workplace Standard is $3 per user per month billed yearly, and Google Workspace Business Standard is $14. Retention and eDiscovery start at $4 with Zoho Mail Premium, while Google Vault comes with Business Plus at $22. If your team collaborates in Google Docs with clients all day, staying on Google can still make sense, and we’ll point that out when we look at your setup.

Zoho Mail vs Microsoft 365: which should we choose?

Choose Zoho Mail if you want reliable email on your domain at a low price, with optional file storage, chat and meetings in Zoho Workplace from $3 per user per month billed yearly. Microsoft 365 Business Basic is $7 and Business Standard is $14. Microsoft 365 makes sense if your team depends on desktop Office apps and Teams every day.

Can you migrate us from Google Workspace or Microsoft 365 without losing email?

Yes. Zoho’s migration tool moves email, calendars and contacts from Google Workspace and Microsoft 365. We run a sample migration first, move everyone, switch the MX records on a quiet weekend, then run a catch-up pass so mail that reached the old mailboxes before the switch comes over too. Zoho skips duplicates.

What DNS records does Zoho Mail need?

A TXT or CNAME record to verify your domain, three MX records (mx.zoho.com, mx2.zoho.com and mx3.zoho.com for Zoho’s US data center), one SPF TXT record that includes zohomail.com, a DKIM TXT record with the key from your admin console, and a DMARC TXT record at _dmarc. We set all of them up during your Zoho Mail setup.

Does Zoho Mail include eDiscovery and email retention?

Yes, on Mail Premium and Zoho Workplace Professional. You can keep email for a set period even after users delete it, search across mailboxes in an investigation, and place a legal hold on the results. Mail Premium includes 50 GB of mail and 50 GB of retention storage per user.

Is Zoho Mail good for a small business?

Yes. Zoho Mail for small business starts at $1 per user per month billed yearly with Mail Lite, so a 10-person office pays $120 a year for email on its own domain. You can add Workplace plans later for the people who need files, chat and meetings.

Can we keep using Outlook with Zoho Mail?

Yes, on paid plans. Zoho Mail supports IMAP, POP and Exchange ActiveSync, so Outlook and other desktop or phone mail apps can connect. The Forever Free plan doesn’t include IMAP, POP or ActiveSync.

How long does a Zoho Mail setup take?

It depends on your mailbox count, how much mail you have, your DNS host and any extras like WorkDrive or retention rules. The signed BRD dates each step, from the sample migration to the MX switch weekend and the catch-up pass, so you know exactly when mail starts arriving in Zoho.

Do you provide Zoho Mail support and training after go-live?

Yes. After go-live our Zoho Mail consultants handle admin changes, new users, aliases, DNS and deliverability questions, and Zoho Mail training for new hires, online or on-site in Southern California.

Can we mix Zoho Mail plans in one organization?

Yes. You can put people who only need email on Mail Lite at $1 per user per month and give everyone else Workplace Standard at $3 or Workplace Professional at $6, all billed yearly, inside the same Zoho Mail organization.

    What is SI?

SI stands for super intelligence. In September 2026 a US executive order asked federal agencies to use “super intelligence” or “SI” in place of “artificial intelligence” in official communications. Most businesses still say AI, so we use both terms.

11How a Zoho Mail project starts with us

Your Zoho Mail plan, in writing before anyone touches DNS

Every Zoho Mail setup we do starts with the same four steps, and they end with your scope and price on paper. A small office moving to its own domain is often scoped on the first call. Bigger moves, like a large Microsoft 365 migration with retention rules, may need a paid scoping and BRD phase, and we’ll quote that up front.

Zoho Mail moves run fully online for offices across the US, Canada and Latin America. In Southern California we can also come in on switch day to connect phones and laptops. Prefer to write first? Use our contact page.
