01Six folders worth opening

Why US teams move shared files to Zoho WorkDrive

Zoho WorkDrive is Zoho’s file storage and collaboration app for teams. Files live in team folders that belong to the company, not to whoever uploaded them, and each folder has its own roles. Most of our clients pick it for three reasons: tidy permissions, a version history that never runs out, and a price that undercuts Dropbox and Box.

  1. 01 · Team folders

Every team folder gets its own roles

Members of a team folder are an Admin, Organizer, Editor, Commenter or Viewer, and the role applies to that folder only. So the same person can edit proposals and only read the finance folder. You can tighten access further on a subfolder, and groups make adding a whole department one step.

  2. 02 · Versions

    Unlimited versions, even on Starter

Every save is kept, and you can preview an older version and bring it back from the file preview.

Box Business: 50 versions per file

  3. 03 · Storage

One storage pool for the team

Starter gives 3 to 10 users 1 TB to share, plus 100 GB for each user after ten. Team starts at 3 TB, Business at 5 TB.

Google Business Starter: 30 GB per user

  4. 04 · Office & desktop

Docs, sheets and slides built in

Zoho Writer, Sheet and Show come with every plan. The TrueSync desktop app keeps files online-only or offline on your Mac or PC, and there are add-ins for Microsoft Office, Outlook and Gmail.

  5. 05 · Control

Labels that stop a file leaving

On Business, data loss prevention policies and classification labels can block external sharing, downloads, copying and printing of sensitive files, and an exportable admin audit trail records who did what.

  6. 06 · Zia

Zia reads the file for you

Zia, Zoho’s built-in AI (now also called SI, super intelligence), can summarize a long file, transcribe audio and video, and on Business answer questions about what’s inside a document (a beta feature today).

02One proposal, six versions, nothing lost

Follow one file through its Zoho WorkDrive version history

Zoho WorkDrive keeps every saved version of a file, with who made it and when. Here’s a sample remodel proposal at a small Southern California builder, from first draft to signature, including the moment someone saved an old copy over it. Scroll, or pick a version.

03A sharing picker with sample data

Who should see this file? Test Zoho WorkDrive sharing before you roll it out

Sharing is where most file mess starts. In Zoho WorkDrive you decide who gets access (a teammate, a client user, or anyone with a link), what they can do, and what extra locks apply. Pick the options below and the card shows what that person could do with a sample budget file. This is the kind of sharing policy we write down with you before we migrate a single file.

04Moving the files, keeping the order

Where your files land in a Zoho WorkDrive migration

A Zoho WorkDrive migration is two jobs: moving the files, and fixing the folder structure and access rules while you’re at it. WorkDrive has built-in migration for Google Workspace, Dropbox and Microsoft OneDrive. For Box, SharePoint sites or a shared server, we plan and script the route. Pick where you’re coming from to see how it maps.

05Zoho WorkDrive pricing in the US

Which Zoho WorkDrive plan fits your team?

Zoho WorkDrive has three team plans, all priced per user with a 3-user minimum. Billed yearly, Starter is $2.50 per user per month, Team is $4.50 and Business is $9. Monthly billing is $3, $6 and $11. Tell us your headcount, what matters most and how you’d pay, and the picker names a plan.

Over 200 users? Zoho quotes an Enterprise plan. There’s also a free 5 GB plan, but it’s for one person, not a team.

Zoho WorkDrive vs Google Drive, Dropbox, Box and OneDrive

Per user, Zoho WorkDrive costs less than every alternative here. The honest caveat: Google Workspace and Microsoft 365 bundle email, video calls and office apps with their storage, while Dropbox, Box and WorkDrive are file-first. If your company already runs on Zoho, WorkDrive also links straight into your CRM, mail and chat. Prices are per user per month, billed yearly.

For the same 10 people, Zoho WorkDrive Team comes in $1,260 under Dropbox Standard or Box Business for the year.

About the Google and Microsoft bars: they also pay for email and meetings. If you’d replace those too, compare them with Zoho Workplace or Zoho One instead.

Why we put Zoho shops on WorkDrive

    1. Files sit next to the record. A deal in Zoho CRM or a project in Zoho Projects can have its own WorkDrive folder, so nobody asks “which version did we send?”
    2. Team folders belong to the company, so work stays put when people change roles or leave.
    3. Versions never run out. Box caps them per plan; WorkDrive keeps every one.
    4. The storage pool grows with the team instead of being stuck to each seat, which suits offices with a few heavy users.
    5. Zoho One customers already have it, so the license cost is zero.

Where another tool can make sense: if your whole company lives in Outlook and Teams, OneDrive and SharePoint are already paid for and the switch may not be worth it. Creative teams that pass huge video files to outside studios every day sometimes prefer Dropbox for its sharing habits. Tell us where your email and meetings live on the first call, and we’ll be honest about whether WorkDrive is worth the move.

List prices in USD per user per month, billed yearly; monthly billing costs more for most vendors. Google, Microsoft and Dropbox reshuffle their storage tiers often, so we re-check per-user prices and storage for your headcount before you switch.

08Files that show up where people work

Zoho WorkDrive integration with the apps you already use

Zoho WorkDrive connects with more than 25 Zoho apps, plus Microsoft Office, Outlook and Gmail. A good Zoho WorkDrive integration means people attach, sign and discuss the same file instead of emailing copies. Hover a tile to see how files move between WorkDrive and that app. Anything without a ready connector goes through Zoho Flow, webhooks or a custom function.

What people ask us about Zoho WorkDrive

Zoho WorkDrive pricing, permissions, migration and AI / SI, answered briefly. Got a file or folder question we didn’t cover? Bring it to your first discovery call, which is free.

    What is Zoho WorkDrive?

Zoho WorkDrive is Zoho’s cloud file storage and collaboration app for teams. Files live in team folders with their own roles, every saved version is kept, and Zoho Writer, Sheet and Show are built in for documents, spreadsheets and presentations. It runs on the web, on Mac and Windows through the TrueSync app, and on iOS and Android.

How much does Zoho WorkDrive cost in the USA?

Zoho WorkDrive has three team plans priced per user per month with a 3-user minimum. Billed yearly, Starter is $2.50, Team is $4.50 and Business is $9. Billed monthly, they are $3, $6 and $11. Teams over 200 users get an Enterprise quote from Zoho. All figures are US dollars, tax not included. Planning your folders and moving your files with us is its own fixed price, written into a signed BRD.

How much storage does Zoho WorkDrive include?

Storage is pooled for the whole team. Starter gives 3 to 10 users 1 TB, Team gives 3 TB and Business gives 5 TB. After 10 users, each new user adds 100 GB, 300 GB or 500 GB to the pool depending on the plan, up to 20 TB, 60 TB or 100 TB. Extra storage can be bought as an add-on.

How do permissions work in Zoho WorkDrive team folders?

Each team folder has its own members, and each member has a role: Admin, Organizer, Editor, Commenter or Viewer. Roles apply to that folder only, so one person can edit one folder and only view another. You can also restrict access on a subfolder, add whole groups at once, and bring in client users with limited roles.

Does Zoho WorkDrive keep version history?

Yes. Every paid plan keeps unlimited file versions. You can view and manage versions from the file preview and make an older version current again. Admins can set version limits to save storage if they want to.

Zoho WorkDrive vs Google Drive: which is better for a US business?

If your company runs on Zoho, WorkDrive usually fits better. It costs $2.50 to $9 per user per month billed yearly, against $7 to $22 for Google Workspace, and it links into Zoho CRM, Mail and Cliq. Google Workspace also includes Gmail and Meet, so if you depend on those and not on Zoho, Google Drive may be the simpler choice.

Zoho WorkDrive vs Dropbox and Box: how do they compare?

Zoho WorkDrive Team is $4.50 per user per month billed yearly. Dropbox Standard and Box Business are both listed at $15. WorkDrive keeps unlimited versions on every plan, while Box Business keeps 50 per file. Dropbox suits teams who swap very large media files with outside partners all day.

Can you migrate our files from Google Drive, Dropbox, Box or SharePoint?

Yes. WorkDrive has built-in migration for Google Workspace, Dropbox and Microsoft OneDrive, and we plan and script the route for Box, SharePoint sites and on-premise file servers. We audit ownership and access first, agree a new folder map with you, move a pilot team, then the rest, and check file counts and access folder by folder.

How long does a Zoho WorkDrive setup take?

It depends on how many people and files you have, and on how messy today’s folders are. Before a single file moves, the BRD sets out the folder map, the access rules and the migration order, and the delivery schedule dates each team’s move, so you know when everyone switches.

Is Zoho WorkDrive good for a small business?

Yes. Zoho WorkDrive for small business usually starts on Starter: $2.50 per user per month billed yearly, with 1 TB shared by up to 10 users, team folders and unlimited versions. A five-person office pays $150 a year in licenses.

Is Zoho WorkDrive included in Zoho One or Zoho Workplace?

Yes. WorkDrive is part of Zoho One and of Zoho Workplace, so check what you already own before buying it on its own. If you’re on Zoho One, you may already have it at no extra license cost.

Does Zoho WorkDrive have AI features?

Yes. Zia, Zoho’s AI / SI assistant, can summarize files, transcribe audio and video, and on the Business plan answer questions about a file’s contents (a beta feature today). WorkDrive also works with Zoho MCP, so AI agents can act on files with your approval.

Do you provide Zoho WorkDrive support and training after go-live?

Yes. Our Zoho WorkDrive consultants stay on for admin help, new team folders and permissions, sharing policy changes, and Zoho WorkDrive training for new hires, online or on-site in Southern California.

Can clients send us files through Zoho WorkDrive?

Yes. From the Team plan, Collect Files links let clients upload straight into a WorkDrive folder, and access stats show who opened what you shared. You can also add clients as client users with limited roles, or send external links locked with a password and an expiry date.

    What is SI?

SI stands for super intelligence. In September 2026 a US executive order asked federal agencies to use “super intelligence” or “SI” in place of “artificial intelligence” in official communications. Most businesses still say AI, so we use both terms.

    11Before anything moves

The first four steps of a Zoho WorkDrive project

Every Zoho WorkDrive setup we run starts the same way, and it ends with your scope and price in writing. A small office is often scoped on the first call. A big migration with years of shared drives may need a paid scoping and BRD phase, and we’ll quote that up front.

WorkDrive migrations run online for offices across the US, Canada and Latin America, and we can sit with your admins in Southern California when a folder map is easier to plan in person. Prefer to write first? Use our contact page.
