AWS and Zoho integration services that carry records both ways

Zoho runs the business. AWS does the heavy lifting behind it. The bridge between them should be boring, logged and owned by someone.

US teams come to us when Zoho works well and they need more: events that run code in your own cloud, copies of Zoho data in Amazon S3, a data lake, or AI that reads Zoho records inside your AWS account. We design the route, build it, and write the result back to the record that started it.

  • Zoho events into Lambda
  • Backups and a data lake on S3
  • Results back on the record

01Inside Zoho or out to AWS?

When should a Zoho integration run on AWS instead of inside Zoho?

Keep it inside Zoho when two apps swap a few fields and Zoho Flow or a Deluge function can do it. Move the work to AWS when volume is high, the data has to live in your own cloud account, or your developers already run things there. Sort the cards to check.

02Zoho and AWS integration services

What do we build when we connect Zoho to AWS?

Four kinds of crossing, plus the guard rails that keep them safe. Most teams start with one and add another once it runs quietly.

  1. Event hand-offs

A Zoho CRM workflow rule, a Zoho Books payment or a Zoho Desk ticket sends a webhook to Amazon API Gateway. A queue holds it and AWS Lambda does the work.

  2. Backups you can restore

Scheduled exports of the Zoho modules and files you choose land in a versioned, encrypted Amazon S3 bucket, and a restore drill proves they work.

  3. A data lake beside Zoho

Incremental pulls from Zoho APIs build tidy tables in S3, catalogued so Athena can query them next to product, billing or warehouse data. Curated results can feed Zoho Analytics dashboards.

  4. AI that reads Zoho inside your AWS account

Amazon Bedrock models answer questions over Zoho records and documents with read-only API scopes, and anything that would change a record waits for a person to approve it. More on the model side lives on our AI on AWS page.

  5. Guard rails on every route

Least-privilege IAM roles, Zoho OAuth tokens kept in AWS Secrets Manager, CloudWatch alarms that reach a named person and a runbook for replaying a failed record.

03One record, there and back

What happens to a Zoho CRM record on its way through AWS?

It makes seven stops in about a minute: out of Zoho, through a gate and a queue, into code, into storage, and home again with the answer. Scroll and follow the dot along the route line.

  1. Stop 10 s · Zoho CRM

A rep marks the deal Closed Won

Sample deal D-1042 changes stage. A workflow rule on that stage is the only trigger, so edits to notes or phone numbers never start the trip.

    Zoho CRM

  2. Stop 2under 1 s · leaving Zoho

The webhook carries an ID, not the whole record

Zoho sends the record ID, the new stage and a secret header. A thin payload means a leaked request reveals almost nothing.

    Workflow ruleor Zoho Flow

  3. Stop 31 s · the front gate

API Gateway checks the secret and answers at once

Requests without the right header are refused. Valid ones are accepted at once, so Zoho never waits on slow code.

    API Gateway

  4. Stop 41 s · waiting room

The message waits its turn in a queue

Amazon SQS keeps it until a worker is free. If the work fails, the message comes back for another try, and after a few failed attempts it parks in a dead-letter queue where someone gets an alert.

    Amazon SQS

  5. Stop 5a few seconds · the work

Lambda reads the full deal and does the job

The function fetches the deal through the Zoho CRM API with a token from Secrets Manager, checks it hasn’t already handled this version, then sets up the customer in your own platform.

    AWS Lambda

  6. Stop 6same second · the archive

A snapshot of the deal lands in S3

A JSON copy goes into the data lake bucket, filed by date, encrypted and versioned. Reports and auditors read this copy instead of Zoho.

    Amazon S3

  7. Stop 7under a minute · home

The answer is written back on the deal

Lambda updates D-1042 with a status of Provisioned, the new account ID and the S3 file key. CloudWatch keeps the trace for later questions.

          05AWS or Zoho Catalyst

Should the code between Zoho and your systems run on AWS or Zoho Catalyst?

Catalyst wins when the job is close to Zoho data and your team wants one vendor. AWS wins when the work touches your own product, big datasets or AI models. Five jobs, scored as they scroll in.

          1. A webhook handler that only talks to Zoho

Zoho CatalystFunctions sit next to Zoho sign-in and connections, so there is less to wire.

AWSWorks well, but needs its own secrets, roles and alarms for a small job.

          2. Your product already lives on AWS

Zoho CatalystCan call your APIs, from outside your network.

AWSRuns beside your databases and queues, inside your own VPC rules.

          3. Years of history for analytics

Zoho CatalystIts Data Store suits app data, not a reporting archive.

AWSS3 with Athena holds and queries large history at low storage cost.

          4. Private AI models over Zoho data

Zoho CatalystCan call model APIs from functions.

AWSBedrock runs models inside your AWS account with IAM controls you set.

          5. Strict network and access policies

Zoho CatalystAccess is managed through Zoho’s own console and roles.

AWSFine-grained IAM, private networking and audit trails your security team may already require.

Fair warning: plenty of our clients never need AWS for this. If your job is Zoho to Zoho, or Zoho to one SaaS tool, we will point you to Zoho Catalyst or Zoho Flow first.

06AWS + Zoho, app by app

How do the Zoho apps you use reach AWS?

Each Zoho app has its own doors out: webhooks for events, REST APIs for reads and writes, and bulk exports for history. The door decides how fresh the data on the AWS side can be.

          • Zoho CRM

Workflow webhooks for stage changes, the REST API for reading full records, and the Bulk Read API for large nightly pulls into S3.

          • Zoho Books

Webhooks on invoices and payments feed revenue events to AWS; the API lets your platform create invoices when usage is billed.

          • Zoho Desk

Ticket events can trigger Lambda for routing or product lookups, and closed tickets make good source material for a Bedrock knowledge base.

          • Zoho Creator

Deluge can call an API Gateway endpoint straight from a form action, which suits custom apps that need heavy processing elsewhere.

          07Running costs on AWS

What does a Zoho and AWS integration cost each month?

Three meters run: your AWS usage, any extra Zoho services, and our one-time build. AWS charges by use, so we size it from your real volumes before you commit.

Meter 1 · AWS, paid to AWS

          Usage, not seats

          • Lambda: requests and compute time
          • API Gateway and SQS: requests
          • S3: storage held, plus requests
          • Athena: data scanned per query
          • Bedrock: model input and output tokens

We estimate each line from your record counts and set a budget alert.

Meter 2 · Zoho, paid to Zoho

          Usually nothing new

          • API access comes with your Zoho edition
          • Zoho Flow only if a light route uses it
          • Zoho Catalyst only if code runs there

Higher editions allow more API calls per day; compare them on our Zoho CRM pricing section.

          Meter 3 · our build

          One fixed price

          • Routes, buckets and roles listed in a BRD
          • Replay and restore tests included
          • Runbook handed to whoever owns it

You sign the BRD and its price before anything is deployed to your AWS account.

          08Ways to start

Four Zoho and AWS packages, each scoped on its own

Most first projects fit one of these. Each gets its own BRD, so you can start small.

          Backup vault

For teams that want a copy they control

          • Chosen modules and files to S3 on a schedule
          • Versioning, retention and a tested restore

Fixed in a signed BRD, sized by modules and file volume

          Event route

For one Zoho trigger that runs your code

          • Webhook, gateway, queue and Lambda
          • Write-back to the record plus alarms

Fixed in a signed BRD for each trigger listed

          Data lake

For reporting across Zoho and your product

          • Incremental pulls into S3 tables
          • Athena views and a Zoho Analytics feed

Fixed in a signed BRD, priced by sources and tables

          AI on AWS

For a model that answers from Zoho data

          • Bedrock with read-only Zoho scopes
          • Approval step before any write

Fixed in a signed BRD after a scoped pilot

Why this page shows sample data

AWS integrations run inside each client’s own AWS account, so we keep those accounts private and use a sample deal on this page. To see published client work, see our case studies.

          09Zoho and AWS questions

          AWS and Zoho integration questions

Triggers, backups, credentials, Catalyst and AI. For the bigger picture of why a Zoho company adds AWS at all, read our AWS + Zoho guide.

Can Zoho CRM trigger an AWS Lambda function?

Yes. A Zoho CRM workflow rule sends a webhook when a record meets your conditions, usually to Amazon API Gateway, which passes it to a queue and then to Lambda. Lambda can then read the full record through the Zoho CRM API and write a result back to the same record.

Can you back up Zoho data to Amazon S3 automatically?

Yes. A scheduled job pulls the Zoho modules and attachments you choose through the Zoho APIs and stores them in an S3 bucket with versioning and encryption on. We also run a restore test so you know the copy works.

Where are our Zoho API credentials kept on AWS?

In AWS Secrets Manager. The Lambda function reads the Zoho OAuth refresh token from there at run time, gets a short-lived access token and never stores credentials in code. Each function gets an IAM role that can read only the secrets it needs.

Will an AWS integration use up our Zoho API limits?

It can if it is built carelessly. Zoho allows a set number of API calls per day depending on your edition and licenses, so we keep webhooks thin, batch writes, and use the Bulk Read API for large pulls. We check your current usage before the build starts.

Can Amazon Bedrock use our Zoho data without training public models on it?

AWS states that Bedrock does not use your prompts or data to train its base models or share them with model providers. We add read-only Zoho scopes, keep the data in your chosen AWS Region, and require a person to approve any change an AI agent proposes to a Zoho record.

How is a Zoho and AWS integration project priced?

The first call is free. The routes, buckets, roles and tests then go into a signed BRD at a fixed price with a delivery schedule. AWS usage is billed to you by AWS directly. If your data or AWS account needs a paid review before we can scope it, that review is quoted first.

10How a Zoho and AWS project starts

We start with the record, then the cloud

Four steps take you from an idea on a whiteboard to a signed plan. One event route can often be scoped on the first call; a multi-app data lake may need a short paid review, quoted first.
