Data sync between Zoho and your other systems, without the tug of war

Two systems, one customer, two different phone numbers. Which one is right?

Data sync keeps the same records matching in two places: Zoho CRM and your SQL database, Zoho Inventory and a warehouse system, Zoho Books and an ERP. Our Glendale-led team decides which side owns each field, picks how changes get noticed, writes the rule for when both sides edit at once, and builds the sync so you can see every record it touched.

  • Direction per field

01Sync, or something simpler?

When is an ongoing data sync the right call?

A sync is worth building when two systems both stay in daily use and people in each one need the other’s data. If one of the systems is on its way out, or nobody edits the copy, there is usually a cheaper answer. We sort it out on the first call.

  • Build a sync

Sales and operations live in different tools

Reps work in Zoho CRM, the orders and credit terms sit in an ERP or an in-house database, and both teams keep phoning each other to check details.

  • Build a sync

A product catalog edited in one place, sold in three

SKUs, prices and stock maintained in one master system and pushed to Zoho Inventory, a storefront and a quoting tool on a schedule everyone knows.

  • Build a sync

A custom app that must stay in step with Zoho

A customer portal, a dispatch app or a field tool your developers built, which reads and writes the same accounts your Zoho users do.

  • Try instead

You are leaving the old system for good

That is a one-time move, planned record by record and switched over on a date. See our Zoho migration routes instead of paying to keep two systems matched.

  • Try instead

You only want the numbers in one dashboard

Reporting needs a read-only copy. Zoho Analytics can import from your databases on a schedule, and nothing ever writes back.

02Data sync services

What our data sync work covers, start to finish

Most broken syncs we inherit were coded before anyone agreed what the data meant. So the first half of the work is decisions on paper, and the second half is plumbing with good logs.

  1. An ownership sheet for every field

One row per field: which system owns it, which way it travels, and what the other side is allowed to do with it. Sales, finance and IT sign the same sheet.

  2. Matching keys and duplicate cleanup

We pick the key that ties a Zoho record to its twin, usually a stored external ID rather than an email that people change, and merge the doubles before the first run.

  3. Change capture on both sides

Zoho workflow webhooks or the CRM notification API on one end; database triggers, a changes table or modified-time queries on the other. Whatever notices an edit fastest without missing one.

  4. Conflict and delete rules, in code

Field ownership, last write, or a review queue for the touchy fields. Deletes get their own rule, because a mirrored delete is the fastest way to lose a customer by accident.

  5. The first backfill, then a tie-out

Historical records loaded once in bulk, counts compared on both sides, and a sample of records checked by the people who know them before live sync goes on.

  6. Drift reports and a replay button

A scheduled comparison that lists records which no longer match, an alert to a named owner when errors stack up, and a way to resend one record without rerunning everything.

03Same morning, two endings

What happens when sales and billing edit the same customer two minutes apart?

The edits are identical in both versions below. Only the conflict rule differs. On the left the sync trusts whichever record was saved last; on the right each field has an owner. Sample customer, sample numbers.

Zoho CRM

A rep fixes the phone number after a call

The buyer at a Fresno equipment dealer has a new direct line. The rep changes it in Zoho CRM from (310) 555-0148 to (213) 555-0192.

Orders database

Billing raises the credit limit

A clerk opens the same customer in the in-house billing screen, which loaded at 9:50 with the old phone, and saves a credit limit of $25,000 instead of $15,000. The save rewrites every column, phone included.

Sync run

The newer record takes everything

The database row is stamped 10:04, the CRM contact 10:02. The whole database version copies over, so the credit limit arrives and the phone flips back to the old number.

Each field comes from its owner

Phone belongs to Zoho CRM, credit limit to billing. The sync takes the new limit from the database, keeps the new phone from CRM, and writes both back to both sides.

Result

Wrong number back

The rep dials a line that no longer rings

Nothing errored, so nothing alerted. The fix only happens when someone notices, and the same thing will repeat the next time billing saves that screen.

Both edits kept

The log shows one ignored phone change

The morning drift report lists the database’s attempt to change a CRM-owned field, so IT can stop the billing screen from saving columns it never edited.

Last write wins is not always wrong. It is fine for fields only one team ever touches. The trouble starts when it is the only rule for the whole record.

Pick your sync rules and watch one record go through

Choose a direction, a conflict rule, what deletes do and how fast changes travel. The panel replays the 10:02 and 10:04 edits from above, plus a duplicate contact someone deleted in Zoho CRM, and shows where each value ends up.

Our take

Sample only. A real sync sheet sets these choices per field and per object, so contacts can sync both ways while invoices only ever travel one way.

05Data sync + Zoho

Four sync setups we build around Zoho most often

Zoho gives a sync plenty to work with: modified times on every record, an upsert call that checks for duplicates, a list of deleted records, webhooks from workflow rules and bulk APIs for big loads. Where the sync code lives depends on volume and how much logic it carries.

Zoho CRM and your SQL database

Accounts, contacts and custom modules kept in step with MySQL, PostgreSQL or SQL Server. The sync runs as functions and cron jobs on Zoho Catalyst, or on AWS Lambda when the database already sits in your AWS account.

An ERP feeding Zoho Inventory and Books

Items, price lists and stock come out of the ERP that runs the warehouse; sales orders and invoices made in Zoho Inventory go back. Money fields travel one way only, so accounting never gets two versions of a total.

Light syncs on Zoho Flow

For a few hundred changes a day with a connector on both ends, Zoho Flow is often enough. We add a lookup step before every create, so a retried run updates the twin instead of making a second one.

A customer portal that writes back

Customers update their details in your portal, and the change lands on the right Zoho CRM record within seconds. Fields the portal must never touch, like the account owner, are left out of the map entirely.

06What a sync costs

What decides the cost of a data sync?

There is no single list price for a sync, because it is built from parts you may already pay for. Three of them belong to vendors; the fourth is our build. We size each one on the first call so the running cost is known before anyone writes code.

Zoho API allowance

Zoho CRM gives each account a daily pool of API credits that grows with your edition and how many user licenses you hold. A busy two-way sync can need a higher edition or add-on credits, so we count calls before choosing a design.

Where the sync runs

Zoho Flow is billed by plan and task volume; Zoho Catalyst and AWS Lambda are billed by use. A modest sync often fits inside included allowances. We estimate it against your record counts, not a guess.

The other system’s API

Some ERPs and industry platforms charge for API access or cap it by tier. We check your contract with the vendor early, since a polling design can be cheap on one side and costly on the other.

Our build is one figure. The field ownership sheet, conflict and delete rules, backfill and drift report are written into a BRD and priced as a fixed sum you sign before the first record moves. The opening call costs nothing; if your systems need a deeper look first, that review is quoted up front.

07Data sync questions

Data sync questions from US operations and IT teams

Directions, conflicts, deletes, duplicates and Zoho API limits. If records already disagree between your systems, bring three examples to the call.

What is data sync between two business systems?

Data sync keeps the same records matching in two systems that both stay in use, for example customers in Zoho CRM and in your SQL database. When a record changes on one side, the change is picked up and applied to its twin on the other side, following rules about direction, conflicts and deletes that you agree in advance.

One-way or two-way sync: which do we need?

Choose one-way when only one system is ever edited and the other just needs a copy. Choose two-way when people in both systems edit the same records. Most real projects mix the two: contacts sync both ways, while prices or invoice totals travel in one direction only, set field by field.

How do you handle conflicts when a record changes in both systems?

We agree a rule per field before building. Usually each field gets an owner system whose value wins; fields only one team touches can use last write wins; sensitive fields can wait in a review queue for a person. Every conflict is logged, so you can see what was kept and what was set aside.

How do you stop a sync from creating duplicate records?

Each record carries a matching key, normally an external ID stored on both sides rather than an email or a name. In Zoho CRM we write with the upsert call and duplicate check fields, so a retry updates the existing record. Existing duplicates are merged before the first run.

Can Zoho CRM sync with our MySQL, PostgreSQL or SQL Server database?

Yes. We run the sync as functions on Zoho Catalyst or AWS Lambda that read changes from both sides. On the Zoho side we use webhooks or modified times; on the database side, triggers, a changes table or modified-time queries. Your database credentials stay in a secrets store, never inside Zoho.

Should the sync run in real time or on a schedule?

Run it on each change when people act on the data within minutes, such as a portal update a rep needs now. Poll every few minutes when the other system has no webhooks. A nightly batch suits catalogs and reporting fields. Shorter gaps also mean fewer conflicts, since both sides have less time to drift.

What happens to deleted records in a data sync?

That gets its own rule. We usually mark the twin inactive instead of deleting it, so a mistaken delete can be undone and history stays intact. Mirrored deletes are possible but risky. Zoho CRM keeps a list of deleted records, which lets a sync notice deletes it would otherwise miss.

What is the difference between data sync and data migration?

A migration moves records once and the old system is switched off afterwards. A sync keeps two live systems matched for as long as both are used. If you plan to retire a system, a migration is usually cheaper than maintaining a sync, and we will tell you so on the first call.

Will a sync use up our Zoho API limits?

It can. Zoho CRM API credits are counted per day and depend on your edition and number of user licenses. We estimate calls from your record counts and change volume, use bulk APIs for large loads and batch updates where possible, and pick a design that stays inside your allowance.

How do you price a data sync project?

The first call is free. After that, the ownership sheet, conflict and delete rules, backfill and drift report go into a signed BRD at a fixed price with a delivery schedule. When records already disagree in many places, a short paid data review comes first, quoted before it begins.

08How a data sync project starts

We count the disagreements before we connect anything

Four steps take you from “our systems never match” to a signed sync sheet. When both systems already share a clean key, the first call is usually enough to scope it; when the records already disagree in thousands of places, a short paid data review comes first, priced before it starts.

Sync projects run over screen share with your IT lead, for teams across the US, Canada and Latin America. For teams around Los Angeles we can sit with the record owners in person while the ownership sheet is agreed.

  1. Discovery callWhich systems, which records, who edits what, and a few examples of records that already disagree
  2. Mismatch sampleAn export from both sides compared, so we know the size of the cleanup before quoting it
  3. Ownership sheetEvery field with an owner, a direction, a conflict rule and a delete rule, checked by the people who use it
