Zoho CRM for residential real estate, set up so no portal lead waits for an agent
Buyer and seller leads get a claim clock, a named agent and a first call task within minutes of arriving.
We are Elite Tech Global, a certified Zoho Advanced Partner based in Glendale. For brokerages and agent teams across the US we shape Zoho CRM around residential selling: separate buyer and listing pipelines, a property record for every address you touch, agent profiles that carry license dates and split plans, and rules that hand a lead on when nobody claims it.

01In the residential workflow
Where does Zoho CRM sit in a residential brokerage?
In the middle. Every inquiry, open-house sign-in and booked consultation becomes a CRM lead; the deal record then carries the buyer or seller through showings and offers to closing, and hands paperwork and payouts to the apps that do those jobs. On our residential workflow it owns the first touch, the pipeline and the after-close list.

02Four moments, before and after
What changes for agents on the first Monday?
Mostly the moments that used to depend on someone remembering. Drag across each card to compare how a team usually handles it now with how the same moment runs once Zoho CRM is configured.
A portal lead at 9 pm Sunday
It is offered to the agent on the weekend rota, then passed on automatically if the clock runs out.
It sits in a shared inbox until somebody checks email over Monday coffee.
Taking a new listing
The deal cannot move to Active until the signed listing agreement and disclosures sit on it.
The listing goes live and the broker chases missing forms afterwards.
An agent joins a rival team
An offboarding action locks the login and moves open deals to a named teammate.
Their phone holds the sphere, and the spreadsheet copy is months old.
A buyer goes quiet for six weeks
A stale-lead rule drops them into a slower drip and reminds the agent to call.
Nobody notices until the buyer closes with a different agent.
03Development flow
How we build Zoho CRM for a brokerage, step by step
Seven steps, from the first workshop to the weeks after go-live. Each one ends with something you can check (a document, a sandbox, a test log or a trained team), and the build card below collects them as you scroll.
Zoho CRM for your brokerage
- Lead-source register and split plans
- Two pipelines and three new modules
- Claim timer and Blueprint stage rules
- Forms, chat, Sign and Books connected
- Sandbox test log, signed off
- Each role trained on its own screen
- Routing on, old CRM read-only
Step 1 · Discovery
Map every lead source and team agreement
We sit with the broker of record, a team lead, an ISA if you have one and the transaction coordinator. Out comes a lead-source register, the routing you want by area and lead type, every split plan, and a written answer on who owns a contact when an agent leaves.
Step 2 · Data model
Modules, fields and layouts named the way agents talk
Leads carry a type (buyer, seller, renter, investor) and separate layouts for each. Deals split into two pipelines with their own stages. We add custom modules your office actually needs:
Step 3 · Automations
Claim timers, stage rules and the quiet-lead drip
Assignment rules rotate leads by zip group and type, a scheduled function reopens unclaimed ones, and Blueprint keeps a listing from reaching Active or a buyer deal from reaching Under contract without its documents. Closed deals tag the client for the after-close list; license expiries remind the agent and the broker.
Step 4 · Integrations
Connect the apps on either side
Open-house forms, website chat and consultation bookings write straight into leads. From a deal, agents send packets through Zoho Sign; on Closed the payout figures go to Zoho Books. Texting runs through a phone integration that respects the consent field.
Step 5 · Testing
Run made-up leads and closings through every rule
Our QA team feeds the sandbox sample records: a Sunday-night portal inquiry nobody claims, a seller lead from a yard sign, a listing missing its agreement, a closing for an agent who just hit their cap. You get the test log and sign it off before anything touches live data.
Step 6 · Training
Teach each role on its own screen
Agents learn to claim and log showings from the mobile app. ISAs work the call queue. Team leads practice reassigning and reviewing pipelines; coordinators work the under-contract tasks; the broker gets the speed-to-claim and source dashboards.
Step 7 · Go-live and support
Switch over on a quiet weekday, then stay close
Contacts and open deals move in, your old CRM goes read-only on cutover day, and routing switches on. Afterwards we keep a list of tweaks agents ask for and work through it with you, so small fixes don’t pile up.
The full delivery track, with sign-offs, is on How we work. Moving off another CRM? See the HubSpot or Salesforce route.

05Zoho’s price, not ours
What does Zoho CRM cost for an agent team?
Zoho lists CRM at $14, $23, $40 and $52 per user a month for Standard, Professional, Enterprise and Ultimate, billed yearly in USD. Teams of up to three can start on the free edition. Zoho CRM is also included in Zoho One, at $37 per employee a month billed yearly when the whole payroll is licensed. Slide to the number of people who will log in.
- Standard$210a month · $14 per user
Leads, deals, assignment rules and workflows. Fine for a small team with one pipeline.
- Where most brokerages landProfessional$345a month · $23 per user
Adds Blueprint, so listing and buyer stages can require their documents.
- Enterprise$600a month · $40 per user
For multi-office groups that want territories and finer permission control.
- Ultimate$780a month · $52 per user
Enterprise plus deeper built-in analytics, if reporting needs grow.
Already on Zoho One? Zoho CRM is included, and so are Sign, Forms, Bookings and Campaigns. The same team on Zoho One All Employee: $555 a month.
US list prices before tax. Monthly billing on Zoho CRM is $20, $35, $50 and $65 per user. Agents who only receive email or sign documents don’t need a seat. Our build is quoted separately as one fixed fee in a signed BRD; the first call costs nothing.
06Questions from team leads
Zoho CRM for residential teams: common questions
Pipelines, claim timers, editions and IDX. Bring your team agreement to the call and we will walk it against the build sheet.
Should buyer and listing deals live in separate pipelines?
Usually, yes. A buyer deal moves through consultation, touring and offers, while a listing moves through the appointment, the signed agreement, marketing and pending. Two pipelines keep the stages honest and let the broker report on each side, and a property record links both when one of your agents is on each side of the same sale.
What happens to a lead nobody claims in time?
The claim window is a number you choose. When it runs out, a scheduled function takes the lead back and offers it to the next agent in the rotation for that area. After the passes you set, the team lead gets an alert and can assign it by hand. Each pass is logged on the lead, so you can see where the time went.
Which Zoho CRM edition does a residential team need?
Small teams with one pipeline can run on Standard at $14 per user a month billed yearly. Most brokerages pick Professional at $23, because Blueprint stage rules start there. Groups with several offices and territory rules look at Enterprise at $40. We confirm the edition during discovery, before you buy seats.
Can team leads see their agents' leads without agents seeing each other's?
Yes. The role hierarchy puts each agent under their team lead, and sharing rules keep an agent's book private to them. Team leads see their whole team, the broker sees every office, and only admins can export. Shared pools, such as unclaimed portal leads, stay visible to everyone on the rota.
Does Zoho CRM replace our IDX website?
No, and it doesn't need to. Your IDX provider keeps running property search on your site. Its inquiry forms, saved-search alerts and portal lead emails feed Zoho CRM, so each inquiry arrives with the listing address and source already filled in.
Can Zoho CRM track agent licenses and split plans?
Yes, on an Agent profile module linked to each user. It holds the license number and expiry date, the split plan, the annual cap and team share. The CRM reminds the agent and the broker before a license lapses, and on closing the deal reads the plan so the payout figure in Zoho Books starts from the right split.
