01Why Zoho Expense

Why US finance teams pick Zoho Expense over Expensify and Concur

Zoho Expense does the boring parts for you: it reads receipts, pulls card swipes from the bank you already use, logs miles, applies GSA per diem and checks every line against your policy before a manager looks. Zia, Zoho’s built-in AI (now also called SI, super intelligence), audits for duplicates, fraud and alcohol. And it costs $3 a user on Standard, with a free plan for up to 3 users.

Snap, forward or import. Autoscan does the typing.

Autoscan reads receipts in 38+ languages and turns them into categorized expenses. Forward email receipts to your own receipt address, or pull them from Google Drive, OneDrive, Dropbox or Box.

Scans per user a month: 20 Free · 200 Standard · 1,000 Premium

Keep your bank and your cards

Standard brings real-time Visa and Mastercard corporate card feeds, Amex arrives through a direct feed, and receipts match to swipes whenever they show up.

Ramp & Brex $0 plans: their own card

Miles log themselves. Per diem looks itself up.

Drives are detected in the background, or tracked by GPS, map or odometer, at IRS or custom rates per department or vehicle. Premium adds automated, GSA-compliant per diem.

Policy breaks get caught before a manager sees them

Cap each category, then warn or block reports that break a rule. Duplicates are flagged by date, amount and currency, and Zia’s AI audit checks for fraud and alcohol on Standard.

Approvals that follow your org chart

Multi-level approvals, escalations, delegates and parallel review flows, plus out-of-office approvers. You set them up in settings, no developer needed.

Paid by ACH, then booked in your ledger

US teams reimburse employees by ACH through CSG Forte, settled in 3 to 5 business days. Approved expenses sync to Zoho Books, QuickBooks Online or Desktop, Xero or Sage.

06Zoho Expense vs the alternatives

Zoho Expense vs Expensify, SAP Concur, Ramp, Brex and Navan on price

Zoho Expense is the cheapest paid option in this group, at $3 per user per month. Ramp, Brex and Navan offer $0 plans, but those are paid for by moving your spend onto their card or travel booking. SAP Concur doesn’t publish prices at all. The middle column is the plan most finance teams need: several policies, approval rules and card feeds.

One year, 25 people who submit expenseson the plan with policies and approvals, billed yearly where offered: users × monthly price × 12
  • Zoho Expense$900
  • Brex Premium$3,600
  • Ramp Plus$3,600 + fee
  • Navan (20 paid)$3,600
  • Expensify Control$5,400

Same 25 people, same year: Zoho Expense Standard costs about $2,700 less than Brex Premium, and $4,500 less than Expensify Control without the card discount.

What about the $0 plans? Ramp, Brex and Navan earn on the card swipes and travel bookings that run through them. That can be a fine trade. But you move company spending to their card, follow their credit terms, and some features stay behind their paid tier. Zoho Expense charges a small license instead and reads card feeds from the bank you already use.

Why we usually recommend Zoho Expense to US teams

  1. You keep your bank. Visa and Mastercard transactions come in live from the cards you have today, and Amex connects through a direct feed. No new credit line to apply for.
  2. The price is published and low. A 25-person team on Standard pays $900 a year, with no platform fee on top.
  3. It’s already part of Zoho. Expenses post straight into Zoho Books, client costs sit next to Zoho CRM deals, and employee data comes from Zoho People.
  4. Zia’s AI / SI audit is included on Standard: fraud and alcohol detection, duplicate receipts and policy flags.
  5. Road warriors actually use it. Mileage logs itself and a receipt photo takes seconds, which is where most lost receipts start.
  6. If you outgrow Standard, Premium adds travel booking and GSA per diem for $2 more per user, so you don’t need a second travel tool.

Where another tool can make sense: if you want to move to a new corporate card anyway and like the rewards, Ramp or Brex can cost nothing in software. If business travel is most of your spend, Navan is built around booking. If you’re a large company running SAP across several countries, Concur may fit your ERP better. If one of those matches how your team spends, we’ll say it before you count a single submitter.

List prices in USD per user per month, billed yearly where offered. Ramp, Brex and Navan $0 plans depend on their own card or travel booking. SAP Concur sells by quote. Expensify and the card-based tools change their plans and per-user fees often, so we re-check them against your number of submitters before you choose.

11Questions we get asked a lot

What people ask us about Zoho Expense before they sign

Short answers on Zoho Expense pricing, autoscan, card feeds, per diem, migration and setup. Want to know how your own policy would score? Bring last month’s expense report to a discovery call.

What is Zoho Expense?

Zoho Expense is Zoho’s expense reporting and business travel app. It scans receipts, pulls in corporate card transactions, tracks mileage and per diem, checks every expense against your policies, routes reports for approval, pays reimbursements and syncs everything to Zoho Books or QuickBooks.

How much does Zoho Expense cost in the USA?

Zoho Expense costs $3 per user per month for Standard and $5 for Premium, billed yearly in USD before tax. Monthly billing is $4 and $6. There is a free plan for up to 3 users, and Zoho quotes a custom Enterprise plan for large organizations. You pay for people who submit expenses. Setting up Zoho Expense with us is its own fixed price, written into a signed BRD before we configure your first policy.

Does Zoho Expense scan receipts automatically?

Yes. Autoscan reads receipts in 38+ languages and turns them into categorized expenses. You can photograph a receipt in the mobile app, forward email receipts to your own receipt address, or import them from Google Drive, OneDrive, Dropbox or Box. The free plan includes 20 scans per user a month, Standard 200 and Premium 1,000.

Which corporate cards work with Zoho Expense?

Standard and Premium bring in Visa and Mastercard corporate card transactions in real time, American Express connects through a direct feed, and other cards connect through a standard sync. You keep the bank and card program you already have, and receipts are matched to card transactions whenever they are added.

Does Zoho Expense handle mileage and GSA per diem?

Yes. Mileage can be detected in the background, tracked by GPS in the mobile app, calculated from a map or entered from odometer readings, at IRS rates or custom rates per department or vehicle. Premium adds automated, GSA-compliant per diem for business travel.

How does Zoho Expense pay reimbursements in the US?

US organizations can reimburse employees by ACH transfer through CSG Forte, straight to their bank accounts, with settlement in 3 to 5 business days. ACH reimbursements are included from the Standard plan. Reimbursements can also be exported or synced to your accounting or payroll system.

Zoho Expense vs Expensify: which is better?

For most US teams Zoho Expense costs less. Standard is $3 per user per month billed yearly, while Expensify Control is about $18 per member, dropping toward $9 only if most of your spend runs on the Expensify Card. Zoho Expense also syncs natively with Zoho Books, Zoho People and Zoho Payroll. Expensify is a good fit if you want its card and are happy to move spending onto it.

Zoho Expense vs SAP Concur: which should we choose?

SAP Concur suits large companies running SAP across several countries, and it is sold by quote with annual contracts and implementation fees. Zoho Expense has published prices from $3 per user per month, covers policies, approvals, cards, travel booking and per diem, and is quicker to set up for small and mid-size US companies.

Ramp and Brex are free. Why pay for Zoho Expense?

Ramp and Brex offer $0 plans because they earn on their own corporate card, so you move company spending to their card and credit terms, and advanced features sit on paid tiers. Zoho Expense charges a small license instead and works with the cards and bank you already use. If you want a new card with rewards anyway, the free tools can be a good fit, and we will tell you so.

Can you migrate us from Expensify or SAP Concur to Zoho Expense?

Yes. Our Zoho Expense migration rebuilds your categories, policies and approval flows, moves users, approvers and card connections, runs a test month you check, and switches over on an agreed cut-off date. We also move teams off paper, spreadsheets, Ramp and Brex.

How long does Zoho Expense setup take?

It depends on your users, policies, card accounts, migration and integrations. The signed BRD gives every policy, approval flow, card feed and accounting sync its own date, so you know which month employees start submitting in Zoho Expense before work starts.

Does Zoho Expense integrate with Zoho Books, QuickBooks and Zoho Payroll?

Yes. Approved expenses sync to Zoho Books, QuickBooks Online or QuickBooks Desktop on the right accounts, and Xero and Sage Accounting are supported too. Employee data can come from Zoho People, and reimbursements can be paid through Zoho Payroll. We set up and test these Zoho Expense integrations as part of the project. If your HR team is moving to Zoho at the same time, all four apps can go through our Zoho HR & Payroll bundle as one rollout.

Is Zoho Expense good for a small business?

Yes. Zoho Expense for small business starts with a free plan for up to 3 users, and Standard costs $3 per user per month billed yearly. Small teams get receipt scanning, mileage, policies and accounting sync, and can move up to Premium when travel booking or per diem matter.

Do you provide Zoho Expense support and training after go-live?

Yes. After go-live our Zoho Expense consultants provide ongoing support, policy and approval changes, new integrations and Zoho Expense training for new hires and travelers, online or on-site in Southern California.

Can Zoho Expense catch duplicate or fraudulent receipts?

Yes. Zia’s AI / SI audit is included on Standard at $3 per user per month billed yearly. It checks for fraud and alcohol, flags duplicate receipts and marks lines that break your policy, so a manager sees the problem before approving the report.

What is SI?

SI stands for super intelligence. In September 2026 a US executive order asked federal agencies to use “super intelligence” or “SI” in place of “artificial intelligence” in official communications. Most businesses still say AI, so we use both terms.

12How a Zoho Expense project starts

Before we touch your Zoho Expense setup, we write it all down

Four steps put what you’re getting and what it costs in writing before anyone configures a policy. A small team moving off paper can often be scoped on the first call. Bigger jobs, like a multi-entity Concur migration, may need a paid scoping and BRD phase, and we’ll quote that up front. Prefer email? Use our contact page.

Zoho Expense rollouts run online for finance teams across the US, Canada and Latin America, and we can train approvers and travelers on-site in Southern California.
