Zoho Desk for property management, so no repair request sits in an inbox

Portal requests, maintenance emails and after-hours calls turn into one ticket per unit, tagged with the property and how urgent it is.

Many US property managers still run maintenance from a shared mailbox, a whiteboard and a phone that rings through dinner. We set up Zoho Desk so each request finds its building, sorts itself into emergency or routine, reaches a vendor from your own list, and stops for the owner’s okay before a repair goes past their limit. Tenants hear what’s happening without having to call twice.

01The maintenance loop

Where does Zoho Desk sit in a property management workflow?

Right in the middle of the repair loop. Tenant and owner records feed it, every request becomes a ticket that carries the job to a vendor and back, and the finished work moves on to whoever bills it. It covers the maintenance step of the property management workflow; leasing and rent sit elsewhere.

Mostly the follow-up calls. Five moments property managers describe on first calls, as they happen now and once Desk runs the queue. Turn a card over to see the second half.

03Development flow

How we build Zoho Desk for a property management company

Seven steps, from following real requests through your office to the week the maintenance mailbox points at Desk. Each one ends with something you approve in writing; scroll to read the build as one project thread.

  1. Step 1

    Trace ten recent repair requests

We sit with your maintenance coordinator and one property manager and walk through ten real requests, from the first call to the vendor’s invoice. That gives us your category list, what your team counts as an emergency, each owner’s approval limit and who is on the vendor rota.

You approveThe request map and category list, written into the BRD

  2. Step 2

    Model properties, units and people

Accounts become properties, contacts become tenants and owners, and tickets gain fields for unit, category, priority, permission to enter, pets on site, assigned vendor, quote amount and approval status. Apartment units and commercial suites get separate layouts, so a retail tenant’s rooftop HVAC request asks different questions than a studio’s leaky tap.

You approveField list, layouts and status names

  3. Step 3

Write triage, vendor and approval rules

The category a tenant picks, plus keywords such as no heat, flooding or locked out, set the priority. Assignment rules choose a vendor by trade and building. A Blueprint holds any job whose quote passes the owner’s limit until approval is logged. SLA policies use the targets you choose per priority, on a 24/7 calendar for emergencies and office hours for routine work.

You approveA rules table with your own targets filled in

  4. Step 4

Connect the portal, phones and accounting

Requests from the Zoho Creator tenant portal arrive as tickets with photos attached. Your answering service or phone system opens tickets through a telephony integration. Tenant and owner details sync from Zoho CRM, and approved repair costs pass to Zoho Books or Zoho Billing. Rent and trust ledgers stay in your property management software.

You approveThe integration list and which system owns each field

  5. Step 5

Push sample requests through every rule

Our QA files made-up tickets: a midnight leak at a 24-unit building, a routine blind repair, a quote one dollar over an owner’s limit, a duplicate from two neighbors. Each has to land on the right property, vendor and SLA, and the tenant notes have to sound like your office wrote them.

You approveThe test log, case by case

  6. Step 6

Train each role on its own screen

Coordinators practise the queue, merging and vendor dispatch. Property managers learn approvals and the building dashboard. In-house technicians use the Zoho Desk mobile app on a real unit. Outside vendors get a one-page guide to replying by email, since they never log in.

You approveWho has been trained, and the cheat sheets they keep

  7. Step 7

Switch the mailbox over, then tune

On a quiet weekday the maintenance address and the portal start feeding Desk, and the old mailbox forwards for a while. We review early tickets with your coordinator and adjust any category or rule that misfires. After that, support and changes run on the terms in your BRD.

04Configured for your portfolio

What gets configured, and what each person sees

Six pieces of setup carry the whole maintenance process. Underneath them, each role opens Desk to a different view of the same tickets.

  • Intake

    Three ways in, one ticket

A help center sign-in for tenants, the maintenance email channel and the phone channel. Desk matches the sender to their contact, so the unit and building fill in.

  • Priority

    Emergency, urgent and routine

Category lists written in tenant language, with the after-hours safety message your policy requires on anything flagged as gas, fire or flooding.

  • Vendors

    Rota by trade and building

Plumbers, electricians, locksmiths and handymen listed per property, with an on-call order for nights and weekends and a work order email they answer directly.

  • Owners

    Approval limits per agreement

Each owner’s not-to-exceed amount sits on their record. Quotes above it go out for a yes or no, and the answer is stamped on the ticket with a date.

  • SLAs

Targets you set, clocks Desk keeps

One SLA per priority with its own calendar and escalation contact. The numbers come from your management agreements and policy, never from a template of ours.

  • Reports

    Dashboard by property

Open tickets, overdue jobs, repeat repairs per unit and vendor cost per building, filterable by owner for the monthly review.

A normal Tuesday, by role

  • Maintenance coordinatorThe live queue, sorted by priority and time left on each SLA, filtered to one building in a click.
  • Property managerTheir buildings only: approvals waiting on owners, jobs past target, and repeat calls from the same unit.
  • In-house technicianAssigned jobs on the phone app, with unit, entry permission, pet notes and the tenant’s photos.
  • Outside vendorA work order email with scope and access notes; their reply and invoice thread onto the ticket.
  • TenantTheir own requests in the portal with a plain status, and an email at every step.
  • OwnerA quote to approve when it passes their limit, and a monthly summary of work done on their property.

Repair deadlines, notice before entering a unit and habitability rules differ by state, and some cities add their own. We set targets and entry-notice reminders to whatever you and your counsel decide; Desk records when each step happened. Every tenant uses the same request form and the same triage rules, which keeps the process consistent for fair housing purposes. Treat it as a setup note, not as legal guidance.

05Zoho’s US prices

What does Zoho Desk cost for a property management office?

Zoho Desk is licensed per agent, meaning the coordinators, managers and technicians who work tickets. Tenants, owners and outside vendors need no seat. Billed yearly in USD, editions run from $7 to $40 per agent a month, and a free edition covers up to 3 agents.

  • Express

A single building or two, taking requests by email and web form.

  • Standard

    $14per agent / month, yearly$20 billed monthly

Adds live chat and messaging apps for tenants who would rather text than email.

  • Usual fit for maintenance

    Professional

Phone channel for the after-hours line, plus Blueprint for owner approval holds.

  • Enterprise

Zoho list prices in USD, before sales tax. Setting Desk up for your portfolio is priced by us separately, as one fixed fee in a signed BRD that names every category, rule and integration on this page you choose.

06Questions property managers ask

Zoho Desk for maintenance requests: common questions

Logins, after-hours calls, vendors, owners and editions. Bring a recent month of repair requests and we’ll sort them together.

Do tenants need a Zoho login to submit a maintenance request?

No. Tenants can email the maintenance address, call your line, or use the tenant portal; signing in to the Zoho Desk help center is optional and lets them see their own past requests. Only your staff who work tickets need Zoho Desk licences.

How does Zoho Desk handle emergency maintenance after hours?

Calls to your after-hours line or answering service open a ticket through a phone integration, which needs the Professional edition or higher. Categories such as flooding or no heat set Emergency priority, the on-call vendor is alerted from your rota, and that priority runs on a 24/7 SLA calendar with the targets you choose.

Do outside vendors need a Zoho Desk licence?

Not usually. Vendors get a work order email and reply to it, and the reply threads onto the ticket. In-house technicians who work tickets daily need an agent licence; staff who only follow along can be light agents on the Enterprise edition, which includes up to 50.

How do owner approval limits work in Zoho Desk?

Each owner’s not-to-exceed amount from the management agreement is stored on their record. When a vendor quote is entered above it, a Blueprint holds the ticket at Awaiting owner approval, the owner gets the quote, and their answer is logged on the ticket before work can continue.

Which Zoho Desk edition does a property management company need?

Most maintenance teams land on Professional at $23 per agent a month billed yearly, because it adds the phone channel and Blueprint. A small portfolio taking requests only by email and portal can start on Express at $7 or Standard at $14.

Can Zoho Desk replace our property management software?

No, and it isn’t meant to. Rent collection, trust accounting and owner ledgers stay in your property management software. Zoho Desk takes over the repair requests, vendor dispatch and tenant updates, and we connect it to that software where it allows.
