Zoho for property management companies that want every repair traced from tenant to owner
The request, the vendor’s visit and the line on the owner’s statement stay on one ticket.
We are a certified Zoho Advanced Partner based in Glendale, in the Los Angeles area. For US property managers looking after single-family rentals, apartment buildings, retail centers or community associations, we set up Zoho so tenants report problems in one place, vendors get a clear work order with a spending limit, leases are signed online and owners can see what happened to their building without calling the office.

01The honest answer
Is Zoho a good fit for property management?
For the work around the rent, yes. Zoho suits third-party managers and owner-operators who want maintenance tickets, vendor work orders, leasing, renewals and owner updates tracked per unit, with portals for tenants, owners and vendors. It’s a poor fit if you want one boxed suite that also holds trust accounting, owner disbursements and deposit ledgers. In that case Zoho sits next to your property accounting software and the two share data.
Zoho takes
Requests, vendors, applications, leases, inspections, renewals, owner reports, staff tasks
Your accounting system keeps
Trust ledgers, owner payouts, security deposit accounts, year-end owner tax forms
02Four kinds of portfolio
Which kind of property manager are you?
A manager with ninety scattered houses and one with three apartment towers both say “property management”, yet their busiest screens are different. Here is where Zoho starts for each.
-
Can Zoho run a single-family rental portfolio?
Yes. Each house is a property record with its owner, tenant, lease dates and vendor history, which matters when your homes are spread across several towns.
Zoho CRM · Desk · Forms · Sign -
Does Zoho work for multifamily buildings with on-site staff?
It does. Leasing agents, the community manager and maintenance techs each get a view by building, and unit turns run as a board from notice to move-in ready.
Zoho Desk · Creator · FSM · Campaigns -
Can Zoho handle commercial property management?
For tenant requests, lease critical dates, insurance certificates and CAM statements, yes, with recurring charges invoiced through Zoho Billing when that fits.
Zoho CRM · Billing · WorkDrive · Desk -
What about HOA and community association management?
Homeowner requests, architectural review applications, board approvals and violation letters fit well; dues accounting usually stays in the association’s ledger.

03What managers tell us
Five headaches property managers bring to a first call
None of these needs a bigger team. Each needs a record that knows the unit, the owner and the next deadline. Tap a card to see what changes.
04One door, start to renewal
How does a managed unit run in Zoho, from new owner to renewal?
Six steps that repeat for every door you take on. Scroll and the ring closes one stop at a time; each stop names the Zoho apps doing that part of the job.
Step 1New owner
A new owner signs the management agreement
The agreement goes out from Zoho Sign. Once it’s signed, Zoho CRM holds the owner, the property, its units, the fee, the repair approval limit and the keys and codes checklist.
Step 2Vacancy
The vacancy fills from inquiry to showing
Listing inquiries become prospects on the unit. Prospects pick a showing slot themselves and get a reminder; the leasing agent sees the day’s tours by property.
Step 3Lease and move-in
Application, lease and move-in photos
The applicant fills one online form, your screening provider runs its checks, and the approved lease goes out for signature. A move-in inspection on a phone stores dated photos room by room.
Step 4Maintenance
A repair request reaches the right vendor
The tenant reports it in the portal. Zoho Desk tags the trade and urgency, the work order goes to a vendor on your list, and anything above the owner’s limit waits for their approval.
Step 5Month end
Month end: the owner sees the month
Rent and charges come across from your accounting system or Zoho Billing. The owner report shows income, fees, repairs with their photos, and what is still open.
Step 6Renewal or move-out
Renewal, or a clean move-out
The renewal offer goes out on schedule. If the tenant gives notice instead, a move-out inspection compares against the move-in photos and the deposit deadline for that state lands on the calendar.
Sample flow. Notice periods, inspection rules and deposit deadlines follow your state and your management agreements.
05Portfolio planner
Which portals and Zoho apps does your portfolio need?
Set how many units you manage and how much of it is commercial. The planner sketches the portals, the apps and where to start. It’s a sample plan; ours comes after a call about your owners, vendors and accounting setup.

06The property management stack
Which Zoho apps do property managers use, and for what?
Twelve apps cover the work, though few managers need all twelve on day one. Three of them carry most of the load and have their own build plans for property management.
Zoho Desk
The maintenance desk: tenant requests by portal, email or phone, sorted by building, trade and urgency, with due times your coordinators can see.
Full Zoho Desk build plan →Zoho Creator
The portals: a resident portal on the phone, an owner portal on the desktop, a vendor portal for work orders, plus inspection and unit-turn apps.
Full Zoho Creator build plan →Zoho Billing
Recurring rent and charge invoices with reminders and late fees, used most often for commercial tenants and managers without trust-accounting needs.
Full Zoho Billing build plan →Zoho CRM

07Work orders for our team
What we build for property managers
Six builds we set up again and again, each written into the BRD with your own limits, vendors and states before anyone touches the configuration.
Build 01
Emergency triage after hours
Words like gas, flood or no heat page the on-call person, while a dripping tap waits for the morning queue.
Build 02
Vendor work orders with a spending cap
Each owner’s approval limit sits on the property. Quotes above it go to the owner for a one-tap yes or no.
Build 03
Owner portal with statements and photos
Owners see only their own doors: open tickets, finished repairs with pictures, lease end dates and each monthly report.
Build 04
Lease renewal clock
Reminders at the points you choose, a renewal offer for signature and a turn checklist if the tenant decides to leave.
Build 05
Move-out and deposit deadline tracker
Move-out photos sit next to move-in photos, and the itemized deposit letter is due by the date your state sets.
Build 06
Unit turn board
Notice, inspection, paint, clean, keys, listing photos: every vacant unit moves across the board with a target ready date.
08Rules that vary by state
Which landlord-tenant rules shape a Zoho property management setup?
Several, and most change at the state line. Zoho can hold the dates, templates and steps; you and your attorney decide what they say.
Security deposits
Limits, where deposits are held and how fast they come back after move-out differ by state and sometimes by city. Each property carries its state, and the return deadline you confirm with counsel drives the move-out task. The money itself stays in your trust account.
Fair housing
The federal Fair Housing Act and state laws cover advertising, screening and accommodation requests. We build one application path per property, log reasonable accommodation requests as their own ticket type, and your team reviews listing templates before use.
Notice to enter and repair timing
States set how much notice a landlord gives before entering a unit and expect urgent repairs handled promptly. Entry notices go out from a template, and urgent tickets carry shorter due times.
Screening reports
Background and credit reports stay with your screening provider, which has its own duties under federal credit reporting law. Zoho records the decision, the date and whether the required notice went out.
This is general information, not legal advice. Your attorney or compliance lead approves deadlines, notices and templates before go-live.
09Where you are today
Coming from a property management suite, a shared inbox or spreadsheets?
Some managers move everything except trust accounting into Zoho. Others keep their suite for rent and ledgers and move maintenance, leasing and owner contact across. We map which side each record lives on before importing a row.
AppFolio
Work orders, vendors and owner contacts move; accounting can stay put.
Buildium
Tenant and owner records, lease dates and open tasks come across.
Yardi Breeze
Property and unit lists, residents and service requests.
Rent Manager
Prospects, residents and vendor lists, cleaned before import.
Spreadsheets
Rent rolls, vendor lists and owner details, de-duplicated by address.
A shared maintenance inbox
Open requests become tickets; old threads are kept for reference.

Tenants and vendors notice a messy switch first, so these four happen before anyone outside your office sees a new screen.
- Discovery callYour doors, owners, vendor list, accounting software and where requests arrive today.
- Scope and BRDPortals, ticket rules, approval limits and the delivery schedule, agreed and signed.
- Build and loadProperties, units, leases and vendors imported, then tested with sample tickets.
- Launch and coachStaff first, then owners and tenants get their portal invitations, with coaching for your team.
14Questions managers ask
Zoho for property management: common questions
Portals, licences, deposits and how Zoho sits beside your accounting software. Bring a sample owner report and a recent work order to the call.
Can Zoho replace AppFolio or Buildium?
For maintenance, vendors, leasing, renewals, owner communication and portals, it can. Trust accounting, owner disbursements and security deposit ledgers are where those suites are strongest, so many managers keep them for the money side and connect them to Zoho. On the discovery call we work out which side each job belongs on for you.
How do tenants send maintenance requests into Zoho?
Through a request page or resident portal on their phone, by email to your maintenance address, or by phone with a coordinator logging it. Every route opens a Zoho Desk ticket tied to the unit, with photos attached and a due time set by urgency.
Can owners log in and see their own properties?
Yes. An owner portal built in Zoho Creator shows each owner only their own properties: open and closed tickets, repair photos, lease end dates, monthly reports and any repair waiting for their approval.
What do Zoho licences cost for a property manager with 10 office staff?
Zoho CRM Professional, Zoho Desk Professional and Zoho Creator Professional at $23, $23 and $20 per user, plus Zoho Sign Standard at $10, come to $760 a month for ten users billed yearly. Zoho One All Employee for ten employees is $370 a month billed yearly, but every employee on payroll must be licensed. Our implementation is a separate fixed fee in a signed BRD.
Do vendors and tenants need their own Zoho licences?
Not staff licences. Tenants using a Zoho Desk help center and vendors replying to an emailed work order need none. Portal logins built in Zoho Creator are licensed as portal users, apart from staff, and we size that count with you before you buy.
Can Zoho track security deposit return deadlines by state?
It can hold them. Each property carries its state, the return deadline you confirm with your attorney is stored once, and every move-out starts a task due on that date with the move-in and move-out photos attached. The deposit funds stay in your trust account, not in Zoho.
How are emergency repairs handled after office hours?
Tickets that mention words you choose, such as gas, flooding or no heat, skip the normal queue and alert the on-call person by text and in the Zoho Desk app. Everything else waits for the morning with its due time already set.
How long does it take to set up Zoho for a property management company?
It depends on door count, how many portals you want and whether we connect your accounting software. The BRD lists each phase with a date, including when owners and tenants receive portal invitations, so the schedule is agreed before the build begins.
