01Six reasons, all on Zoho’s own price list
Zoho Payroll is full-service US payroll at a published price: $29 a month plus $5 per employee on the yearly Standard plan. It runs payroll in all 50 states, pays and files your federal, state and local taxes, and posts every pay run to Zoho Books. If you already pay for Zoho One, the Standard plan is in your license.
Standard is $29 a month plus $5 per employee billed yearly ($39 + $6 monthly). You can work out next year’s payroll bill before you talk to anyone, us included.
Standard runs single-state payroll in any state. Professional adds multi-state payroll for $49 + $7, so a remote hire in Texas doesn’t mean a new provider.
Gusto: multi-state starts on Plus, $80 + $12Federal, state and local payroll taxes are calculated, withheld, paid and filed. Forms 940, 941 and 944 are generated for you, and W-2s reach employees in their portal.
Approved expense claims are paid with salaries, and a journal entry lands in Zoho Books after every run. No CSV export on Friday night.
A web and mobile portal gives staff their pay stubs, benefits, time off and year-end W-2s. New hires fill in their W-4 there too, so HR stops chasing forms.
Every plan can run off-cycle pay for a new hire or a missed check. Professional adds separate bonus pay runs, multiple pay rates and pay run approvals, so nothing is paid until your approver looks at it. Health, retirement and garnishment deductions are part of every plan.

02Three days to payday
A Zoho Payroll pay run has four checkpoints: hours are locked, the run is reviewed and approved, direct deposit is sent, and on payday the taxes and the books follow. Here’s a sample semi-monthly run for a 24-person company in California, counted down to Friday.
Timesheets, overtime and approved time off come in from Zoho People or your time clock, connected during setup. Once they’re locked, nobody edits a timesheet halfway through the run.
Zoho Payroll drafts gross pay, withholding, 401(k) and benefits for every person. On Professional, the run waits for your approver. We can add an AI (now also called SI, super intelligence) check that compares it with the last run and explains each change in plain words.
The money leaves your business account and heads to 24 bank accounts. Need a late fix? An off-cycle run handles a missed check without touching everyone else’s pay.
Pay lands, stubs appear in the employee app, federal and California taxes are paid and filed, and the journal entry posts to Zoho Books. Your accountant sees it without an email.
03Try it: build a sample paycheck
Pick a pay rate, a schedule and a state, and see how gross pay turns into net pay. Social Security (6.2%) and Medicare (1.45%) use the real employee rates. Federal and state income tax use a simple flat sample rate, so treat the result as an illustration. Zoho Payroll calculates the real withholding from each W-4 and current tax tables.
Sample result: $2,240.00 gross becomes about $1,637.44 net pay per bi-weekly check in California.
Illustrative only, and not tax advice. The federal and state rates here are simplified samples (Texas and Florida have no state income tax). It ignores the yearly Social Security wage cap, local taxes and benefits. Zoho Payroll calculates the real withholding.
Set this up for your team04Zoho Payroll pricing in the US
Zoho Payroll has two US plans, and both charge a base fee per company plus a fee per employee. Standard is $29 a month plus $5 per employee, billed yearly. Professional is $49 plus $7, and it adds multi-state payroll and pay run approvals. Professional is the only one with bonus pay runs and approvals. Tell us your headcount, states and billing preference below to see which plan fits your payroll.
05Run your own numbers
Move the slider to your number of employees and pick a plan. The big number is the per-employee part. The base fee is fixed per company, shown underneath, so add it once. Both the base fee and the per-employee rate come from Zoho’s published US payroll pricing, in USD before tax.
Per-employee fees per year$1,200$100 per month · $5 per employee
Add the base fee once per company: $29 a month on Standard or $49 on Professional when billed yearly ($348 or $588 a year). Billed monthly, it’s $39 or $59.
Get a fixed-price setup quoteZoho also charges for a few optional services, such as next-day processing ($3 per employee), mailing paper W-2s ($3 per employee) and amended tax returns ($150 per filing). We point these out before you sign up.
06Same 20 people, four price tags
Every US payroll service charges the same way: a monthly base fee plus a fee per employee. Here’s each one’s list price. ADP RUN and Paychex Flex don’t publish theirs, so you only get a number after a sales call. The middle column is the plan most growing companies need once they have staff in more than one state.

|---|---|---|---|---|
| $29 + $5Standard, billed yearly | $49 + $7Professional | $49 + $7Professional is the top plan | Optional services like next-day processing. Billed monthly: $39 + $6 and $59 + $8.50 | |
| Gusto | $49 + $6Simple, single state | $80 + $12Plus | $180 + $22Premium | Monthly billing. Advanced HR and priority support sit on Premium |
| QuickBooks Payroll | $50 + $6.50Core | $88 + $10Premium | $134 + $12Elite | Usually sold with QuickBooks Online. Intro discounts end after a few months |
| ADP RUN | Quote | Quote | Quote | Priced by a sales rep for your headcount. Ask for setup and year-end fees in writing |
| Paychex Flex | Quote | Quote | Quote | Priced by quote. Year-end forms and accounting sync can cost extra on lower tiers |
Same 20 people, same year: Zoho Payroll Professional costs about $1,570 less than Gusto Plus.
Why no bars for ADP and Paychex? They sell by quote, so there’s no public number to chart. If you have a quote from either, bring it to the discovery call and we’ll put it next to Zoho line by line.
Where another payroll service can make sense: if you pay a lot of 1099 contractors through payroll, Gusto handles that natively, while with Zoho we route contractor payments and 1099 filing through Zoho Books. If you want a dedicated HR advisor on call or a PEO, ADP and Paychex sell that and Zoho doesn’t. And if your books live in QuickBooks Online and you have no plans to move, QuickBooks Payroll keeps everything in one login. If your contractor mix or HR needs point that way, we’ll say so before you sign anything.
List prices in USD per month: base fee per company plus a fee per employee. Zoho shown billed yearly unless noted; Gusto and QuickBooks Payroll billed monthly, without promotions. ADP RUN and Paychex Flex are quote-based. Vendors change prices, so we confirm current numbers for your headcount before you buy.
07Switching mid-year is fine
The hard part of a payroll migration is the history. Your W-2s at year end have to include everything paid before the switch, so we load year-to-date wages, taxes and deductions and check them against your old reports. Pick your current provider to see what moves where. When we can, we switch at the start of a quarter, because it keeps the tax filings cleaner.

09Connects to what you use
Payroll touches HR on one side and accounting on the other. Zoho Books (journal entries after every pay run) and Zoho Expense (reimbursements paid with salaries) connect out of the box. As part of each Zoho Payroll integration project we also connect Zoho People for employee records, hours and time off, and the deal side in Zoho CRM when commissions are involved. Hover a tile to see which hours, deductions or journal entries move with each pay run.
10What a project with us looks like
Every Zoho Payroll implementation is scoped on its own, at a fixed price in a signed BRD, and most payroll projects we take on start from one of these four. Already on Zoho Payroll? We often start by fixing earnings and deduction setups, then connect People and Books properly. After go-live we stay on for Zoho Payroll support and training, including the first year-end.

Zoho Payroll is Zoho’s full-service payroll app for US employers in all 50 states. It calculates pay, withholds, pays and files federal, state and local payroll taxes, pays employees by direct deposit, handles benefits, 401(k) and garnishment deductions, and gives employees a web and mobile portal for pay stubs and W-2s. It connects with Zoho Books and Zoho Expense, and we connect Zoho People during setup.
Zoho Payroll Standard costs $29 per company per month plus $5 per employee, billed yearly, or $39 plus $6 billed monthly. Professional costs $49 plus $7 per employee yearly, or $59 plus $8.50 monthly. All of these are USD amounts before tax, and a few optional services cost extra. Setting up Zoho Payroll with us is its own fixed price, written into a signed BRD before we load a single pay rate.
Zoho Payroll is now available in all 50 states. Standard covers payroll in one state, and Professional adds multi-state payroll for teams with employees in more than one state, including reciprocity between states. Local taxes vary by city and county, so tell us where your people work and we’ll confirm your setup before you switch.
For a 20-person team that needs multi-state payroll, Zoho Payroll Professional costs about $2,268 a year billed yearly, against about $3,840 for Gusto Plus at list price. Zoho also fits better if you already use Zoho People or Zoho Books. Gusto is the stronger choice if you pay many 1099 contractors through payroll or want built-in HR advice.
Yes. We load your year-to-date wages, taxes and deductions so W-2s come out right, run one payroll in parallel with your old provider to compare every line, and then switch. When possible we switch at the start of a quarter, which keeps quarterly filings simpler.
It depends on your headcount, number of states, benefits, history to migrate and integrations. The signed BRD dates every step, from loading year-to-date totals to the parallel run, and names the date of your first live pay run.
Yes. Zoho Payroll posts a journal entry to Zoho Books after every pay run, and approved Zoho Expense reimbursements can be paid in the same run as salaries. During setup we also connect Zoho People so employee records, hours and approved leave feed each pay run. Employers who also hire through Zoho Recruit often take the whole chain as our Zoho HR & Payroll bundle, scoped in a single BRD.
Yes. Zoho Payroll calculates, withholds, pays and files federal, state and local payroll taxes on both plans. It generates forms 940, 941 and 944, and employees get their W-2s in the self-service portal. Postal delivery of paper W-2s is an optional add-on at $3 per employee.
Yes. Zoho One includes the Zoho Payroll Standard plan, with the same features as the standalone single-state plan. If you need multi-state payroll, bonus pay runs or pay run approvals, those sit on the Professional plan. We check which setup fits your Zoho One license on the discovery call.
Yes. Both plans support off-cycle pay runs for new hires, salary adjustments and missed checks. Separate bonus pay runs, multiple pay rates and pay run approvals come with the Professional plan.
Yes. Both plans include benefits management for healthcare, retirement and garnishments, with prebuilt benefit types such as medical, dental, vision and 401(k) plans that deduct automatically each pay run. We set up your plans and deduction rules during implementation.
Zoho Payroll in the US is built around W-2 employees. For contractors, we usually set up payments as bills in Zoho Books, which can e-file 1099-NEC forms. If contractors are a big part of your workforce, we’ll talk through whether that setup suits you on the discovery call.
Yes. Zoho Payroll for small business starts at $29 a month plus $5 per employee on yearly billing, with tax filing, direct deposit and an employee portal included. A 10-person company on Standard pays about $79 a month, and you can move to Professional when you hire in another state.
Yes. After go-live our Zoho Payroll consultants stay on for support, setup changes, new states and benefits, and training for new payroll admins. We also help with your first year-end, online or on-site in Southern California.
Yes, on the Professional plan. Standard covers payroll in a single state, while Professional adds multi-state payroll for teams with employees in more than one state, including reciprocity between states. It costs $49 per company per month plus $7 per employee, billed yearly.
SI stands for super intelligence. In September 2026 a US executive order asked federal agencies to use “super intelligence” or “SI” in place of “artificial intelligence” in official communications. Most businesses still say AI, so we use both terms.
12Payday has a deadline, so we plan backwards
Payroll has deadlines that don’t move, so we pin down the scope, the cost and the switch date in writing first. A single-state switch is often scoped on the first call. Bigger jobs, like a multi-state move off ADP, may need a paid scoping and BRD phase, and we’ll quote that up front.
Payroll switches run online for employers across the US, Canada and Latin America; we come on-site in Southern California when your admins want hands-on training before the first live run.
