Solar distributor software on Zoho, from dealer order to loaded truck

Each dealer sees its own price list, each order passes a credit check, and each inverter leaves the dock with its serial on file.

We set up Zoho for US companies that buy panels, inverters, batteries and racking by the container and sell them to installers. Led from Glendale, we connect dealer accounts, warehouse stock and receivables so your counter staff, reps and credit desk stop working from three different screens.

01The short answer

What does Zoho do for a solar distributor?

It gives a wholesaler one record per dealer, with that dealer’s price list, credit terms, open invoices and order history, tied to live stock in every warehouse you run. Installers who buy from you get faster answers; your credit desk gets a rule that holds a risky order before it is picked, instead of after it ships. The solar hub walks through an installer’s job from roof lead to PTO; this page is about the business that supplies them.

02Heard at the sales counter

Where do solar wholesale orders go wrong today?

Mostly in the hand-offs: a rep quotes the wrong tier, the credit desk hears about an order after it is on the truck, or two branches promise the same inverters. Drag each card to compare the email-and-spreadsheet way with a Zoho setup.

Quoting a dealer its price

With Zoho

The dealer’s tier price list sits on its account, so quotes and orders open at the right price.

Email and spreadsheets

A rep checks a pricing tab last updated before the latest module price change.

An overdue dealer orders again

With Zoho

The order meets the dealer’s credit limit and warns or stops, by your rule. The credit manager decides.

Email and spreadsheets

Accounting notices at month end, after another pallet left on open terms.

Scarce inverters, two warehouses

With Zoho

Each warehouse shows on hand, committed and available. A short branch gets a transfer order.

Email and spreadsheets

Both branch managers promise the same inverters, and an installer’s install day slides.

A warranty return, years later

With Zoho

A serial search finds the dealer, order and invoice before any credit is issued.

Email and spreadsheets

Someone digs through old packing slips to prove you sold the unit.

03One dealer order, dock to invoice

How does one dealer order move through Zoho?

Seven moves, from the purchase order a dealer sends to the invoice on its terms, with the trailer filling one pallet at a time. Scroll to load the trailer, or jump to a step.

  1. 1 of 7Order in

The dealer’s PO becomes a sales order

Whether it arrives by email, from a rep’s phone or through a dealer portal, the order is keyed once in Zoho Inventory. The dealer’s tier price list and payment terms fill in on their own.

    Zoho InventoryZoho CRM

  2. 2 of 7Credit check

Credit is checked before anyone picks

The order total plus the dealer’s open balance is compared with its credit limit. Inside the limit, it is released to the warehouse; over it, the credit manager approves or holds it.

    Zoho Books

  3. 3 of 7Pallet one

Modules are allocated from the nearest stock

The order draws from the warehouse that ships to the dealer. If that branch is short, a transfer order from another warehouse is raised and the line waits as a backorder, visible to the rep.

  4. 4 of 7Pallet two

Inverters and batteries are scanned by serial

Power electronics and storage are serial-tracked items. Each barcode is scanned onto the package, so the dealer’s account later shows exactly which units it received.

  5. 5 of 7Pallet three

Racking and BOS ship as counted kits

Rails, clamps, wire and breakers move by quantity. Bundles you always sell together can be one kit item, and bulky steel can be drop-shipped from the manufacturer to the dealer.

  6. 6 of 7Sealed

Loaded, sealed, bill of lading attached

The shipment records the carrier, the pallet count and the bill of lading. Small-box orders can print parcel labels through a connected carrier; freight stays booked with your carrier as it is today.

  7. 7 of 7Invoiced

The invoice goes out on the dealer’s terms

Shipping triggers the invoice with net terms and the serial numbers listed. Proof of delivery is attached, and payment reminders follow the schedule your credit desk sets.

Pick a dealer tier, set its credit limit, open balance and overdue status, then size the order. The simulator applies a sample price list and your hold rule, and shows what Zoho would do with the order. Every number here is sample data you control.

    06An honest fit check

Is Zoho enough for a solar distributor, or do you need an ERP?

For most regional wholesalers, Zoho covers it: orders, stock, credit and dealers. A full ERP earns its cost when you run landed-cost accounting across several legal entities, manufacture or assemble at scale, or trade on EDI with big-box retailers every day. Tap the lines that sound like your company.

    07Paperwork, not judgement

Which records does Zoho keep for a distributor, and which decisions stay with you?

Zoho keeps the documents and dates: resale certificates, serial numbers, spec sheets, carrier paperwork and warranty returns. Whether a sale is tax exempt, whether a product qualifies for any incentive program, and how a hazardous shipment must be packed stay with your team, your carriers and your advisers.

    Sales tax on dealer sales

You decideWhich states you collect in and whether a sale qualifies as exempt, with your tax adviser.

Zoho tracksSpec sheets, manufacturer documents and serial lists attached to the item and the invoice, ready to resend.

You decideNothing about an installer’s credits or rebates; that stays with the installer and its advisers.

    Battery shipments

Zoho tracksWhich shipments carried batteries, the carrier, the bill of lading and the documents attached to it.

You decidePacking, labeling and carrier rules for lithium batteries, with your carrier and safety lead.

    Warranty and RMA

Zoho tracksThe serial, the original order, the dealer’s claim and the replacement or credit issued.

You decideWhether a claim is covered, under each manufacturer’s terms and your own return policy.

These are records, not legal or tax advice. Rules differ by state and program, so check them with the agency or your adviser.

    09Three ways to start

    Zoho packages for solar distributors

Choose by how many warehouses ship to dealers today. Each package keeps the catalog and price lists from the one before, so moving up adds rather than rebuilds.

    1. One warehouse

      Order Desk

      • Item catalog for modules, inverters, storage and BOS
      • Dealer tier price lists and net terms
      • Credit limits with warn or block rules
      • Sales orders, shipments and invoices in one flow

Fixed in a signed BRD, sized by your SKU count and number of price tiers.

    2. Several warehouses

      Channel Core

      • Everything in Order Desk
      • Warehouses, transfer orders and serial scanning
      • Dealer accounts, territories and rep visits in Zoho CRM
      • Dealer portal for invoices, statements and payments

One price agreed in the BRD, with each warehouse’s go-live date written in.

    3. Regional network

      Network Build

      • Everything in Channel Core
      • RMA and warranty desk tied to serials
      • Rebate and incentive tracking in Zoho Creator
      • 3PL or EDI links and Analytics dashboards

Phased, with a fixed price per phase approved before that phase starts.

The first call is free. A distributor moving off an older ERP may want a paid scoping stage first; you see and approve its price before it begins.

Have you built this for a distributor before?

We have 300+ projects behind us, and we only name clients who agreed to a published story. No solar distributor is among them yet.

Dealer lists and price tiers are commercially sensitive, so they stay private. On the call we can show how we scope and test a credit-rule build with dummy dealers.

    11Distributors ask

Solar distributor software on Zoho: common questions

Price tiers, credit holds, serials, returns and whether you need an ERP. Bring a recent order and your price sheet to the call.

What software do solar distributors use to manage dealers and stock?

Many start with spreadsheets and an accounting package, then add an ERP or a set of connected apps. On Zoho, Zoho Inventory holds warehouses, serials and orders, Zoho Books holds credit limits and receivables, and Zoho CRM holds dealer accounts and reps, all sharing one customer record.

Can Zoho Inventory give each dealer tier its own prices?

Yes. Each tier becomes a price list, either a percentage off list or a set price per item, and the price list is attached to the dealer’s account. Quotes, sales orders and invoices for that dealer open at its tier price, and a rep can still request a one-off override that is logged.

Can Zoho stop an order when a dealer is over its credit limit?

Yes. Each dealer gets a credit limit, and an order that would push the open balance past it can either show a warning or be blocked. We usually add an approval step so the credit manager decides, and the warehouse sees the order as held until then.

Does Zoho track inverter and battery serial numbers across warehouses?

From the Zoho Inventory Premium plan up, yes. Serial numbers are recorded when stock is received, follow transfers between warehouses, are scanned when a package is packed, and stay on the dealer’s order and invoice.

Can our dealers order and pay online?

Dealers can log in to a customer portal to see invoices and statements and pay online. For full self-service ordering with live stock and tier prices, we build a dealer portal on Zoho Creator connected to Zoho Inventory.

How do warranty returns work for a distributor on Zoho?

A dealer’s claim opens a ticket in Zoho Desk with the serial number, which finds the original order and invoice. Once the claim is approved, a sales return brings the unit back into stock or into a defective bin, and a credit note or replacement order follows.
