Zoho for contractors: questions we hear most
Pricing, switching tools, service agreements, deposits and permits. If yours is about a specific job type, walk us through it live.
What does Zoho cost for a home service company with 10 techs?
For 4 office staff, 10 techs and 300 appointments a month on service agreements, buying only the apps you need comes to about $286 a month billed yearly in Zoho list prices: Zoho CRM Standard for the office at $56, Zoho FSM Professional at $160, Zoho Books Professional at $40 and Zoho Expense Standard for the crew at $30. Zoho One for all 14 people would be $518 a month. Our setup is a separate fixed fee in a signed BRD.
Can Zoho FSM run HVAC maintenance agreements?
Yes, from the Professional edition. A maintenance plan tied to a customer or a unit creates the tune-up visits on the schedule you choose, and every unit keeps its own service history, so the tech sees the last visit before arriving.
Can Zoho Books handle deposits and progress billing for construction jobs?
Yes. Deposits go out as retainer invoices and are applied against later invoices, and progress bills can be raised at each phase or percentage of a job. If your customers ask for AIA-style pay applications, we scope that format in the BRD and test it against a real pay app before go-live.
Is Zoho a good alternative to ServiceTitan?
For many small and mid-size shops, yes, especially if you also want CRM, accounting and HR on one vendor. Large residential HVAC or plumbing companies that depend on ServiceTitan’s call-booking and marketing reports may be better off staying. We say which camp you are in on the first call.
We use Jobber or Housecall Pro. What moves over to Zoho?
Customers, properties, job history, open estimates and your services list move over, and recurring visits are rebuilt as maintenance plans in Zoho FSM. Open invoices and balances go to Zoho Books. We pick a switch date between jobs and keep the old account readable until you confirm everything arrived.
Can techs collect photos and customer signatures on the job?
Yes. The Zoho FSM app for iPhone and Android shows the day’s appointments, takes notes and photos, and closes each visit with a service report the customer signs on the tech’s phone.
Can we keep QuickBooks and still use Zoho for the field?
Yes. We can connect Zoho FSM or Zoho CRM to QuickBooks so invoices and customers sync, and many contractors run it that way for a while. When you are ready to move the books too, Zoho Books links natively to the field apps and removes the sync.
How do you handle change orders?
The crew lead writes the change order on the job, the customer signs it in Zoho Sign, and the amount is added to the job so it shows up on the next bill. Nothing depends on someone remembering a conversation in the driveway.
Can Zoho track permits, inspections and contractor licenses?
Yes. We add permit numbers, inspection dates and results to each job, with reminders, and store each tech’s licenses and certifications, with renewal reminders where a license expires. The rules for your state and city come from you and your advisors; we make sure each one has a place in the system.
Who bills the Zoho licences?
Zoho bills your licences directly on your own account at Zoho’s prices. Our invoice only covers the setup, migration and training work, which is fixed in the signed BRD before we begin.
How long does a Zoho rollout take for a contractor?
It depends on how many trades, trucks and branches go live and how much history comes across. The signed BRD puts a date on every step, including crew training and go-live, and we try to keep go-live out of your busiest season.
Does Zoho work for companies with several branches or territories?
Yes. Zoho FSM Premium adds territories, skills and shifts so jobs go to qualified crews in the right area, Zoho CRM keeps one customer list across branches, and Zoho Analytics compares branches side by side. Our Multi-Branch Ops package sets each branch live on its own date.
