Zoho Sign for residential real estate: offer packets that sign in the right order
Purchase agreement, disclosures and addenda leave the deal as one envelope and come back signed, reviewed and filed.
We set up Zoho Sign for US home sale brokerages from our Glendale office near Los Angeles. Your agents press one button on a Zoho CRM deal, the packet fills itself with the buyers, the address and the offer terms, and it travels buyer by buyer to your managing broker before the listing side ever sees it. Which forms go in, and what they say, stays with your brokerage and your state’s rules.

01Its place in the sale
Where does Zoho Sign sit in a residential deal?
Between the moment an offer is written and the moment escrow opens. Zoho CRM hands it the people and the terms; once the last signature lands, it hands the signed file to WorkDrive, the acceptance date to the escrow checklist and, at closing, the broker’s commission instructions to the books. It is step four of the residential workflow.
02Development flow
How we build Zoho Sign for a residential brokerage, in seven steps
We start with the paper, not the software. Every packet your agents send gets listed, mapped to CRM fields and rebuilt as a template with its signers in order. Then we try to break it with messy sample deals before a single real buyer gets an email. Scroll, and each step adds its piece to the offer packet.
1 of 7Discovery
List every packet the office sends
Listing packet, buyer representation, offer and counter, addenda, disclosures, the broker’s commission instructions. For each one we note the form source, who signs, in what order, and whether your managing broker reviews it first.
2 of 7Data model
Fields the templates pull from
On the deal: property address, year built, offer price, deposit amount, closing date, contingency days. A Transaction Parties list holds Buyer 1, Buyer 2, seller and co-agent roles, with separate layouts for buyer-side and listing-side deals.
3 of 7Templates and rules
Signer roles, order and reminders
Each template gets named roles, a fixed signing order and the broker as approver. Reminders run every couple of days, the envelope expires at the offer deadline, and the lead-based paint page only joins homes built before 1978.
4 of 7Integrations
Wired to the deal and the folder
A Send offer packet button sits on the Zoho CRM deal. Status writes back to a packet field, the stage moves when the broker approves, and the signed PDF with its audit trail drops into a WorkDrive folder named by year, office and address.
5 of 7Test
Sample deals that try to break it
Two buyers with one shared email, a trust as the buyer, a cash offer with one signer, three rounds of counters, a declined envelope and an offer that expires overnight. Each must leave the right status on the deal.
6 of 7Training
Each role on its own screen
Agents learn to send, fix a typo in a buyer’s email and void and resend. Transaction coordinators learn to chase and swap a template version. The managing broker learns the review queue and what a returned envelope looks like.
7 of 7Go-live and support
One office first, then the rest
A single office goes live on a quiet weekday while we watch every envelope. After launch we update templates whenever your forms are revised, add new packets and help new agents send their first offer.
Sample packet and deal. Form names here are examples. Which disclosures a sale needs, and who must sign them, is set by your state, your local association and your broker of record. None of this page is legal advice.
03One job at a time
What changes for the office once offers go through Zoho Sign?
Mostly the chasing. Agents stop rebuilding the same packet by hand and stop asking around for who still has to sign. One job stays exactly where it was, and we say which. Step through six of them.
Building the offer packet
The agent downloads blank forms, types the address and buyer names into each one and hopes the spelling matches across all four.
The template reads names, address, price and dates off the deal once, so every page of the packet agrees with the CRM.
Two buyers, two inboxes
Both buyers get the same link at once, one signs on a phone at midnight, the other forgets for two days.
Buyer 1 signs first, Buyer 2 is invited next, and each gets reminders until they finish or the offer deadline passes.
Broker review
The managing broker sees the packet after it already reached the listing agent, if someone remembers to forward it.
The broker is the approver in the route, so a missing initial or a wrong date gets sent back before anyone outside the office sees it.
Where is the counter?
Texts, emails and a phone call to find out whether the sellers have looked at it yet.
The deal shows sent, viewed or signed for each person, and the transaction coordinator filters every open envelope by office.
Filing the signed file
Signed PDFs live in each agent’s email and leave with the agent.
The completed packet and its audit trail land in the brokerage’s WorkDrive folder for that property, under the company account.
Closing documents with escrow
The escrow or title company prepares and collects the deed, loan documents and notarized pages.
Still theirs. Zoho Sign covers the brokerage’s side of the file; recording and notarization stay with escrow, title and the lender.
04Configured, then handed over
What gets configured, and what each person sees on a normal day
A residential Zoho Sign build is mostly templates, roles and the plumbing back to the deal. Here is the checklist we work through, and how the result looks to the four people who touch it most.
- Packet templatesListing, buyer representation, offer, counter, addenda and commission instructions, versioned so last year’s form can’t go out by accident
- Merge fieldsDeal and contact fields mapped to each form field, with required fields that block sending when a value is missing
- Signer roles and orderBuyer 1, Buyer 2, seller, co-seller, agents and the broker as approver, sequential or in parallel per packet
- Reminders and expiryNudges on a schedule you choose and an expiry tied to the offer response deadline field
- Signer attachmentsBuyers upload a pre-approval letter or proof of funds inside the envelope, on Professional and up
- Identity checksA one-time code by email or SMS where your broker wants it; SMS and some checks use credits
- Branding and sender namesYour brokerage logo on the signing page and emails that come from the agent’s name
- Write-back and filingPacket status on the deal, a stage change on approval and a WorkDrive folder per property
Agent
A Send button and a status line
From the deal: pick the packet, check the preview, send. A status line shows who has signed and who is next.
Transaction coordinator
Every open envelope, by office
A view of envelopes waiting more than a day, with the deal, the signer and a resend button side by side.
Managing broker
A review queue, not an inbox
Packets wait for approval in order of the offer deadline. Approve, or return with a note to the agent.
Office admin
Templates and seats
Swaps in a revised form, adds a new agent as a sender and removes one who left, without touching their past files.
05What it costs to license
Zoho Sign pricing for a brokerage: per sender, and included in Zoho One
Only the agents and staff who send need a licence; buyers and sellers sign without one. Billed yearly in USD, Zoho Sign Standard is $10 per user a month with 25 envelopes per user each month, Professional is $16 with no envelope cap, and Enterprise is $22. Monthly billing is $12, $20 and $28. Zoho Sign also comes inside Zoho One, $37 per employee a month billed yearly when every employee is licensed.
Suggested edition
Zoho Sign Standard
$100a month in Zoho Sign licences
Zoho’s US list prices, per user per month, before tax. A single agent can try the Free plan first: 5 envelopes a month for one user. Our setup of templates, roles and CRM links is quoted separately as one fixed fee in a signed BRD, once we have counted your packets.
06Asked by brokers
Zoho Sign questions from residential brokerages
Forms licensing, broker review, two-buyer offers and deposits. Bring one real packet to the call and we’ll map it field by field.
Is a purchase agreement signed in Zoho Sign valid in the US?
Zoho states that documents signed in Zoho Sign meet the federal ESIGN Act and UETA, and every envelope carries an audit trail of views and signatures. Whether a given real estate form may be signed electronically, and who must sign it, is decided by your state and your broker of record, so we build the templates to the rules they give us. Deeds, loan papers and notarized pages are handled by escrow, title and the lender.
Can our state association forms become Zoho Sign templates?
That depends on the licence terms of your forms library. Where your brokerage may load the forms, we rebuild them as templates with merge fields. Where it may not, the agent fills the form in the forms software and uploads the finished PDF, and Zoho Sign still runs the signer order, reminders and filing.
Do buyers and sellers need a Zoho account to sign?
No. They open the email or text link on a phone or computer and sign there. Only the agents and staff who send envelopes need a Zoho Sign licence or a Zoho One seat.
Which Zoho Sign edition does a residential brokerage need?
Standard at $10 per user a month billed yearly works for agents who send up to 25 envelopes a month and need broker approval. Professional at $16 removes the envelope cap and adds signer attachments for pre-approval letters. Enterprise at $22 is for offices that want clients to sign on a tablet in person, bulk sends or conditional fields.
Can our managing broker review an offer before the listing agent sees it?
Yes. The broker sits in the signing route as an approver after the buyers and the buyer agent. The packet only moves on once the broker approves, and a returned packet goes back to the agent with the broker’s note.
Can Zoho Sign collect earnest money?
We don’t set it up that way. Deposits go to escrow or your trust account under your state’s rules, and wiring instructions never sit in a Zoho Sign template. Zoho CRM can record when the deposit receipt arrives so the escrow checklist moves on.
