Shopify Flow automation, built and tested for your store

When this happens, check that, then do the next thing. Every time, at 3 AM too.

Shopify Flow is the free automation app inside your Shopify admin: a trigger (an order arrives, stock drops, a customer signs up), optional conditions, then actions such as tagging, holding or emailing. Our team, led from Glendale, plans the workflows, builds them, tests them on sample orders and sends the right events on to Zoho CRM, Zoho Inventory and Zoho Desk.

  • Workflows mapped before they’re switched on
  • Conditions tested on edge-case orders
  • Events handed to Zoho

01Is Shopify Flow enough?

Where Shopify Flow pays off, and where it runs out of road

Flow is at its best on jobs that live inside Shopify and repeat dozens of times a day. It gets awkward when a job needs long waits on outside systems, heavy data lookups or a person making a judgment call. This is how we sort requests before anything gets built.

Good jobs for Flow

  • Tagging orders and customersVIP, wholesale, first-time buyer, gift order. Tags feed segments, reports and packing slips.
  • Holding risky ordersWhen Shopify scores an order high risk, hold fulfillment and ping the person who reviews them.
  • Stock housekeepingHide a sold-out variant, flag low stock to purchasing, republish when it’s back.
  • Handing events to other systemsA paid order or a new customer posted to Zoho as it happens.

Better handled elsewhere

  • Two-way syncs with conflict rulesKeeping prices or customers matched both ways belongs in an integration with its own logs.
  • Code that calls the internetFlow’s Run code step can’t fetch anything and stops after five seconds.
  • Long approval chainsA refund that needs a manager’s sign-off reads better as a Zoho Desk or Zoho Creator process.

02Shopify Flow services

What we build in Shopify Flow for US merchants

Some stores come to us with forty half-finished workflows; others have never opened the app. Either way the work falls into five kinds of help, and most projects need two or three of them.

Audit

Workflow inventory and cleanup

We list every workflow you run, what triggers it and who relies on it, then retire duplicates and the ones that quietly fight each other over the same tag.

Build

New workflows from a written spec

Each one starts as a sentence your team agrees with (“when X and Y, do Z”), then becomes triggers, conditions and actions, named so the next person understands them.

Extend

Run code, Admin API and HTTP steps

When the built-in actions fall short we add JavaScript in a Run code step, Send Admin API request calls, or Send HTTP request to reach systems outside Shopify.

Connect

Flow events into Zoho

Paid orders, new customers, refunds and risky orders sent to Zoho CRM, Zoho Desk or Zoho Cliq through a webhook, with a retry plan for when Zoho is slow to answer.

Watch

Error alerts and run reviews

A “Workflow error occurred” workflow tells a named person when a run fails, and a monthly look at the run history catches workflows that have stopped firing.

03One order, six links

What does Shopify Flow do with a $1,240 order at 9:14 PM?

Here is one sample workflow we might build for a home goods brand. Nobody is at a desk when the order lands. Scroll down and watch each link of the chain lock into place.

Sample workflow, locations and amounts. Seven seconds from order to CRM task, with nobody touching a keyboard.

04Try it · sample workflow

Snap together a Shopify Flow workflow in three picks

Pick a trigger, a condition and an action. The canvas shows the workflow, a sample run log and anything we’d warn you about before switching it on. Trigger and action names match the ones in the Flow app.

Sample only. A real workflow also gets a name, an owner, test orders that should and shouldn’t match, and a plan for what happens when an action fails.

    05Shopify Flow + Zoho

How does Shopify Flow talk to Zoho?

Shopify Flow can push events out with Send HTTP request, and it reacts to tags that Zoho writes back through the Shopify API. Between the two you get a loop. These are the three patterns we set up most often.

    1. Order paid
    2. Send HTTP request
    3. Zoho Flow webhook
    4. Zoho CRM

Buyers become CRM contacts with context

Paid orders above a threshold create or update the contact in Zoho CRM, with order count and lifetime spend, so reps call the right people.

    1. Order risk analyzed
    2. Hold fulfillment order
    3. Zoho Desk ticket

Risky orders land in a review queue

High-risk orders are held in Shopify and a ticket opens in Zoho Desk with the risk details. The reviewer releases or cancels from there, with a record of who decided.

    1. Deal won in Zoho CRM
    2. Zoho Flow
    3. Customer tags added

Zoho changes what Shopify does next

A won wholesale deal tags the Shopify customer, and the “Customer tags added” trigger takes it from there: a welcome email, a note on the account and, for B2B stores, the right company catalog.

Stock and invoices usually travel through the native Shopify integration in Zoho Inventory, so Flow doesn’t have to carry them. For app-to-app jobs that start outside Shopify, Zoho Flow is the better home. On Shopify Basic, where Send HTTP request isn’t offered, Zoho Flow’s own Shopify connector can usually pick up the event instead.

    06Shopify Flow pricing

    What does Shopify Flow cost?

Nothing extra. Shopify Flow is a free app on the Basic, Grow, Advanced and Plus plans, so the real cost is the Shopify plan you already pay for. A few steps do depend on the plan, and that’s where stores get surprised.

Run code limits. JavaScript only, five seconds per run, 10 MB of memory, no network calls.

HTTP retries. Flow waits up to 30 seconds for an answer and can retry a failed call for up to 24 hours.

Plan prices. See the current US Shopify plan prices on our Shopify page.

Our part is quoted once: the workflows, the Zoho side and the test orders are listed in a BRD, priced as one fixed figure, and signed before the first workflow is switched on. The first call is free, and Shopify bills you for your plan as usual.

    07Shopify Flow questions

Shopify Flow questions from US merchants

Plans, limits, Zapier, Zoho Flow and failed runs. If a workflow is misbehaving today, export it and bring it to the first call.

    What is Shopify Flow?

Shopify Flow is Shopify’s own automation app. Each workflow starts with a trigger such as Order created or Customer created, can check one or more conditions, and then runs actions such as Add order tags, Hold fulfillment order or Send internal email. It runs inside your Shopify admin, so there is nothing extra to host.

Is Shopify Flow free, and which plans include it?

Yes, Shopify Flow is a free app on the Basic, Grow, Advanced and Plus plans. Some steps depend on the plan: Send HTTP request needs Grow, Advanced or Plus, and Flow steps supplied by your own custom app need Plus. How many runs you can push follows your plan’s API rate limits.

Shopify Flow vs Zapier: which should we use?

Use Shopify Flow for automations that start and finish inside Shopify, such as tagging, holds and stock rules, because it is free and reads Shopify data directly. Use Zapier or a similar tool when most steps live in other apps. Many stores use Flow for the Shopify side and hand off to another tool with Send HTTP request.

Shopify Flow or Zoho Flow for connecting Shopify to Zoho?

When the event starts in Shopify and the logic depends on Shopify data, we build it in Shopify Flow and post the result to Zoho. When it starts in Zoho, or touches several Zoho apps at once, Zoho Flow is the better home. On Shopify Basic, which lacks Send HTTP request, Zoho Flow’s Shopify connector usually does the job.

Can Shopify Flow send orders to Zoho CRM?

Yes. On Grow, Advanced or Plus, a workflow can use Send HTTP request to post order or customer details to a Zoho Flow webhook or a small function, which then creates or updates the contact in Zoho CRM. We add a retry rule and an error alert so a slow response does not lose the record.

    What can’t Shopify Flow do?

Flow’s Run code step accepts JavaScript only, stops after five seconds, has 10 MB of memory and cannot make network calls. Flow is also a poor fit for two-way syncs that must resolve conflicts, and for approvals that wait days on a person. Those belong in an integration or a Zoho app.

What happens when a Shopify Flow workflow fails?

Failed runs show in the workflow’s run history with the step that broke. We add a workflow on the Workflow error occurred trigger so a named person gets an alert. For Send HTTP request, Flow waits up to 30 seconds for an answer and can retry for up to 24 hours on error responses.

Can you build custom Shopify Flow triggers and actions?

Yes, through a custom Shopify app that adds its own Flow triggers and actions, for example a trigger when a loyalty tier changes. Stores on Shopify Plus can use Flow tasks from custom partner apps. On other plans we usually reach the same goal with Send HTTP request and Send Admin API request.

Do you fix workflows someone else built?

Often. We start by listing every workflow, what triggers it and which tags it adds or removes, because two workflows editing the same tag is a common cause of odd behavior. Then we fix, merge or retire them, and test each one on sample orders before switching it back on.

How do you price Shopify Flow work?

Talking through your workflows on the first call costs nothing. After that, the agreed workflows, any Zoho connection and the test plan go into a signed BRD at a fixed price with a delivery schedule. Stores with many existing workflows may need a short paid review first, quoted up front.

08How a Shopify Flow project starts

Every workflow starts life as one plain sentence

Four steps get you from “we keep tagging orders by hand” to a signed list of workflows. A handful of automations can often be scoped on the first call; a store with dozens of existing workflows and a Zoho link may need a short paid review first, quoted before it begins.
