Zoho CRM
Properties, suites, requirements, tenant-rep and listing pipelines, buyer lists and co-broker splits. Every commercial setup we do starts here.
Commercial real estate · Zoho partner in the USA · Los Angeles
Tenant requirements, availabilities, deal rooms and lease dates in one system the whole desk can read.
We’re Elite Tech Global, a certified Zoho Advanced Partner working from Glendale near downtown Los Angeles, and we set up Zoho for US tenant-rep and landlord-rep brokers, investment sales teams and owners who lease their own buildings, so a lease signed today already sits in the next renewal pipeline and every NDA is on file before the offering memorandum goes out.

01The short answer
Yes, for tenant-rep and landlord-rep brokers, investment sales teams and owners leasing their own space who want requirements, properties, deal rooms, lease dates and co-broker commissions tied to the same records. Zoho CRM holds the pipelines, Zoho Creator holds lease abstracts, and WorkDrive with Sign keeps confidential files and signatures in order. Pick something else if you expect a market comps database inside the CRM, or lease accounting and CAM reconciliation; those stay in your data subscription and property accounting system.

02Leasing or investment sales
Leasing lives on requirements, availabilities and expiry dates; investment sales lives on owners, buyers and closing dates. Most setups we do carry both desks around one shared property record.
The leasing desk
Yes. Each client’s requirement carries size, submarket, budget and move-in date, and every lease you place adds its expiry to a renewal pipeline years ahead.
Buildings and suites become records with asking rent, square footage and status, so tours, proposals and LOIs attach to the exact suite they concern.
Yes, with the rent roll kept in property accounting. Zoho follows prospects, renewals, options and tenant requests across the portfolio.
The investment sales desk
Owners, properties and buyers get their own records, and a listing moves from pitch through marketing, call for offers, PSA and closing on one pipeline.
Buyers sign the confidentiality agreement in Zoho Sign before a WorkDrive deal-room link reaches them, and the deal shows who was given access and when.
Their buy box (product type, markets, price band, exchange deadlines) sits on the contact, so a new listing produces a short list of who to call first.
03Where deals leak
Five gaps that come up on nearly every first call with a commercial team, and what changes once the records are set up around how the desk works.
TodayLease expiries live in one broker’s spreadsheet
With ZohoEach placed lease writes its expiry, options and notice dates to the tenant record, and renewal tasks open 24, 18 and 12 months out.
TodayA suite comes free and nobody remembers who needed one
With ZohoOpen requirements are matched on size, submarket and move-in window, so the new availability reaches the right brokers that day.
TodayOffering memorandums go out before the NDA comes back
With ZohoThe deal-room link is only sent once the NDA is signed, and each buyer’s access date is logged on the listing.
TodayInstallment commissions get forgotten after the lease is signed
With ZohoPayments due on execution and on occupancy, plus outside broker shares, become dated invoices and bills, so the second check is chased on time.
TodayThe same building is entered four times, four ways
With ZohoOne property record per address, with suites, owners, comps and past deals hanging off it, and a duplicate check on entry.
04One tenant-rep lease, step by step
Seven steps on a tenant-rep lease for a sample 40-person engineering firm needing about 12,000 square feet in the San Fernando Valley. Scroll and the deal card moves one stage right, picking up a detail at each step.
SampleRenewal clock
Engineering firm, 40 people
Tenant rep · about 12,000 sq ft
Step 1Requirement
11,000 to 13,000 square feet, Burbank or Glendale, move-in by next September. Zoho CRM uses the expiry of the firm’s current lease as the date everything counts back from.
Step 2Survey
Matching suites come from your availability records; the broker shortlists eight, books the tour day and logs each note on its suite.
Step 3LOI
Landlord proposals drop into the deal’s folder and get compared side by side. The letter of intent goes out for e-signature, client first, then the landlord’s side.
Step 4Lease drafts
Redlines stay in one versioned folder, the tenant’s attorney works from a guest link, and a Cliq channel keeps team chatter out of email.
Step 5Executed
The signed lease files itself back on the deal with its audit trail, the stage moves to Won and the commission schedule opens.
Step 6Commission
Half is invoiced to the landlord on execution, half on occupancy, and the outside broker’s share is recorded as a bill. Zoho Books sends the reminder when the second invoice falls due.
Step 7Renewal clock
A coordinator records commencement, expiry, options and the notice window in a Creator form, and the expiry starts this tenant’s renewal clock.
Sample firm, sizes and dates. Commission terms, signing order and notice windows follow your listing agreements and each lease.
05Lease-expiry radar
Set roughly how many leases you follow, the usual term and how early renewal talks open. The radar spreads those leases over three years and shows what your renewal pipeline would hold today. Sample math; your lease abstracts give the real dates.

06The commercial stack
Up to fifteen, rarely all at once. Zoho CRM and Zoho Creator carry the most weight and each has its own build plan; the rest are short notes.
Properties, suites, requirements, tenant-rep and listing pipelines, buyer lists and co-broker splits. Every commercial setup we do starts here.
Lease abstracts, option and notice dates, a rent roll view by building, and approval steps a CRM shouldn’t have to carry.
07Named deliverables
Six pieces we set up for commercial desks. Each one goes into the BRD with your own stages, date rules and split terms written out before we build it.
Expiry, renewal option and notice deadlines from each abstract open broker tasks at the intervals you pick, and the tenant slides into a renewal stage on its own.
When a suite is added or freed up, the open requirements that fit its size, submarket and timing are listed for the brokers who own them.
A signed confidentiality agreement in Zoho Sign unlocks the buyer’s WorkDrive folder. When a buyer drops out, removing access takes one action.
Execution and occupancy payments, co-broker splits and outside broker shares turn into dated invoices and bills in Zoho Books.
A Zoho Creator form for key dates, escalations and options, rolled up by building for owners and asset managers.
Buildings, suites, owners and comps kept once per address, with a duplicate check before anyone can add another record.
08Duties that shape the setup
Fewer consumer rules than residential, far more confidentiality. Each duty becomes permissions, templates or logs; your managing broker and counsel set the policy.
Offering memorandums, rent rolls and tenant financials go only to buyers with a signed NDA. Folder permissions are set per buyer, and access can be withdrawn without chasing copies.
State licensing rules decide who can be paid a commission. Outside broker records carry a license number and state, and a payout can’t be created while either is blank.
Business-to-business blasts still fall under CAN-SPAM, so each campaign carries an unsubscribe link and your office address, and opt-outs sync back to the CRM.
States set retention periods for broker transaction records. Closed deal folders are locked against deletion and sorted by year, so the period your counsel picks is easy to apply.
This isn’t legal advice. Your managing broker or attorney approves NDA wording, access rules and retention settings before launch.
09Switching tools
Contacts, properties, requirements and deal history all come across. What we check twice is that every lease date ends up on the right tenant and the right suite.

11Three ways in
Pick the desk that hurts most today. Each package covers setup, imported data and training, and is priced only once the scope is on paper.
For tenant-rep teams whose renewals depend on someone remembering
A single fixed fee in a signed BRD that names every tracker we import.
The usual first step for brokerages
For firms running leasing and investment sales side by side
Fixed before work starts, in a signed BRD that spells out each pipeline’s stages.
For owner-operators and groups with several offices
One fixed fee agreed in the signed BRD, with a go-live date for each group of buildings.
The first call is free. Larger portfolios sometimes begin with a paid scoping round, and you agree its price before it starts.

Nothing goes live halfway through a lease negotiation. These four come first; the complete track sits on our How we work page.
14Questions commercial brokers ask
Lease dates, deal rooms, co-broker splits and market data. Bring a sample lease abstract and we’ll show where each field would live.
Yes. Commencement, expiry, renewal options and the notice deadline sit on the tenant’s deal or in a linked Zoho Creator lease abstract, and workflow rules open renewal tasks at the intervals you choose.
For the CRM side, usually yes: properties, suites, requirements, listing and tenant-rep pipelines, buyer lists and commissions all fit Zoho CRM. Polished marketing flyers and listing syndication are where dedicated commercial tools differ, so on the discovery call we list what moves and what you might keep.
Each listing gets a Zoho WorkDrive deal room. A buyer receives the link only after their NDA is signed in Zoho Sign, permissions are set per buyer, and access can be withdrawn in one step.
Total fee, installments, internal splits and the outside broker’s share sit on the deal. At each milestone Zoho Books raises the invoice to the landlord or seller and the bill for the outside broker.
No. Zoho doesn’t supply market data. Your own comps and the deals you closed can be stored on property records, and any data subscription you already pay for stays in place; we import only what your licence lets you keep.
Zoho CRM Professional, WorkDrive Team, Sign Professional for three senders and Analytics Standard come to $426 a month billed yearly. Zoho One All Employee for all 12 is $444 and adds Creator, Books and Desk. Setting it up is our own fixed fee, written into the BRD you sign.
Yes. Zoho Desk takes requests by email, web form or portal, groups them by building and gives each a due time, with the tenant’s renewal date shown beside the ticket.
It depends on desks, buildings, data sources and how much deal history moves. Every milestone and the switch-over date go into the BRD before the build begins.
