Zoho CRM for commercial real estate brokers who never miss a lease coming due

Tenant-rep searches, listing assignments and investment sales on one system, with every suite, requirement and comp linked to the deal it belongs to.

We design Zoho CRM around how an office, industrial or retail brokerage really works: a requirement gets matched to available space, a tour becomes a proposal, an LOI becomes a lease, and that lease quietly starts counting down to its next renewal. Our team works out of Glendale and builds for leasing and sales groups across the US.

01Its place in the commercial workflow

Where does Zoho CRM sit in a commercial brokerage?

At the center. Inquiries, tour requests and availability updates flow into it; signed paperwork, lease abstracts, deal rooms and fee invoices flow out of it. It owns the relationships, the space and the pipeline, while the apps around it do the paperwork. On the commercial workflow it covers the steps from first requirement to lease execution, and again when renewal season arrives.

02How we build it

How do we build Zoho CRM for a commercial real estate team?

In seven steps, from a working session with your brokers to a supported go-live. Each one is written into the BRD with the module names, rules and dates your team agreed; scroll the sample project thread to watch them get set up.

  1. Step 1Discovery

    Map how deals really move

We sit with a tenant-rep broker, a listing broker and whoever runs research. We collect the stage names you already use, your fee schedules, the comp fields people trust and the spreadsheet that tracks expirations today.

  2. Step 2Data model

    Properties, suites and requirements

Buildings become a Properties module with class, submarket and owner; each one holds Suites with RSF, asking rate and availability date. Tenant needs get their own Requirements module, plus Leases and Comps. Deals get three layouts: tenant rep, landlord rep and investment sale.

  3. Step 3Automations

    Rules that do the remembering

A signed lease writes its expiration and notice dates, then opens renewal tasks at 24, 18 and 12 months. A new suite runs a match against open requirements. Moving a deal to LOI asks for the term, rate and concessions before it saves.

  4. Step 4Integrations

    Connect the apps around it

LOIs and listing agreements go out through Zoho Sign; executed leases pass to a Zoho Creator abstract. WorkDrive opens a deal room per assignment, and an executed deal raises the fee invoice in Zoho Books.

    SignCreatorWorkDriveBooks

  5. Step 5Testing

Run sample deals end to end

Using made-up buildings and tenants, we push a sublease, a renewal, a new office lease and a sale through every rule. Your brokers check that matches make sense and that confidential comps stay hidden from people outside the group.

  6. Step 6Training

Train each role on its own view

Brokers learn the mobile app for tour notes and stage moves. Research staff learn the comp entry screen and imports. Managing directors learn the pipeline and expiry reports. Each session uses your real deal records, not a demo account.

  7. Step 7Go-live

    Switch over, then stay close

Open deals, leases and comps are imported, the old tracker goes read-only, and we stay on hand through the first weeks for fixes and the small changes a busy desk always asks for.

Sample thread, written as roles only. Commercial teams that run lease administration as well should read the Zoho Creator plan for commercial real estate, which picks up where step 4 hands the lease over.

03Six jobs, before and after

What changes for a leasing and sales desk?

Mostly the jobs that depend on someone’s memory. Pick one to compare how it tends to run on spreadsheets and inboxes with how it runs once the CRM is set up. One of them stays where it is, and we say so.

Lease expiry follow-up

With Zoho CRM

Every lease you touched carries its expiration, notice deadline and options. Renewal tasks open years ahead for the broker who owns the relationship, and a report shows the next 36 months of expirations by submarket.

Today

An expirations spreadsheet gets sorted when someone has a slow afternoon. The tenant hears from a competing broker first.

Matching space to requirements

With Zoho CRM

A requirement stores its size range, submarkets, use and move-in date. When a suite comes available, the match runs both ways and lists the fits on the requirement and on the suite.

Today

The fit depends on which broker happens to remember the client who wanted 10,000 feet near the freeway.

Lease and sale comps

With Zoho CRM

A closed deal prompts a comp: rate, term, free rent, TI allowance, or price, cap rate and price per foot for a sale. Filter by submarket and date; confidential comps are visible only to the group that earned them.

Today

Comps sit in personal folders and get retyped into every proposal, with nobody sure which version is current.

Investment sales buyer outreach

With Zoho CRM

Buyers sit on the list with their criteria: product type, size, markets. The confidentiality agreement goes out through Zoho Sign, and only signed buyers receive the deal-room link. Every OM download, call and offer is logged on the listing.

Today

The offering memorandum goes out from a personal inbox, and checking who signed the CA means searching attachments.

Fees and co-brokers

With Zoho CRM

The fee schedule, the co-broker and their share sit on the deal. Execution triggers the invoice in Zoho Books, and the pipeline report shows expected fees by quarter.

Today

Fees are calculated after the fact from the lease, and outside-broker shares live in an email thread.

Underwriting and valuation

With Zoho CRM

The CRM stores the final model file in the deal room, plus the key outputs as fields: price, cap rate, NOI. The model itself stays in your spreadsheet or valuation software.

Today

Cash-flow models live in Excel or dedicated software, and that is fine. We don’t rebuild them inside a CRM.

04The finished setup

What exactly gets configured in Zoho CRM?

Seven linked modules, three deal layouts and a handful of views per role. The names below are where we start; we rename them to match the words your office already uses.

  • Properties

Building class, submarket, total RSF, year built, owner and property manager.

  • Suites

Floor, RSF, asking rate, rate basis (full service, NNN, modified gross), availability date and status.

  • Requirements

Size range, use type, submarkets, budget, parking ratio, move-in date and the current lease it replaces.

  • Deals

Tenant-rep, landlord-rep and investment-sale layouts, each with its own stages and required fields.

  • Leases

Commencement, expiration, notice date, renewal and expansion options, rent steps and the tenant contact.

  • Comps

Lease and sale comps from your own closings, with a confidential flag and the group allowed to see them.

  • Accounts and contacts

Owners, occupiers, co-brokers, lenders and buyers, each tagged with the roles they play across deals.

What each person sees when they open Zoho CRM

  • Tenant-rep brokerOpen requirements with matched suites, this week’s tours, and clients whose leases enter their notice window next.
  • Listing brokerVacant suites by building, inquiry and tour counts per suite, and proposals waiting on the landlord’s reply.
  • Investment sales brokerBuyer list by criteria, CA status per buyer, offers received and the call-for-offers date.
  • Research coordinatorComps waiting to be completed after a closing, plus the latest availability import and anything it flagged.
  • Managing directorExpected fees by quarter, expirations by submarket and which brokers hold which landlord relationships.

05Zoho’s US list prices

What does the Zoho CRM licence cost a commercial team?

Between $14 and $52 per user a month billed yearly, depending on the edition. Only people who log in need a seat; landlords, buyers and co-brokers who just sign or receive email do not. If you also want Creator, Sign and WorkDrive for everyone, Zoho One costs $37 a month for each employee on annual billing, provided your whole staff is on it.

  • Standard

    $14per user / month

A small leasing team with one pipeline and simple reminders.

  • Where most commercial desks start

    Professional

    $23per user / month

Blueprint steps for LOI and lease stages, plus the automation that drives expiry tasks.

  • Enterprise

    $40per user / month

Several offices or product groups, territory rules and a sandbox to try changes first.

  • Ultimate

    $52per user / month

Large data volumes and the built-in advanced analytics option.

US prices in USD before tax. A free edition covers up to 3 users. Licensing only some staff on Zoho One instead runs $90 a seat monthly on an annual plan, or $105 paid month to month. Our build is a separate figure: a single fixed price that goes into the BRD you sign once modules, layouts and integrations are agreed.

06Commercial brokers ask

Zoho CRM for commercial real estate: common questions

Conflicts, expirations, comps, confidentiality and cost. Bring a sample deal and your current expiry list to the call.

Can one brokerage run tenant-rep and landlord-rep deals on the same building in Zoho CRM?

Yes. Both deal layouts link to the same Property and Suite records, so a conflict shows up the moment a tenant-rep requirement matches space your own team is marketing. Deal visibility follows roles and groups, so each side sees only its own negotiation notes, and your managing broker decides how disclosure is handled.

How does Zoho CRM remind brokers about lease expirations years ahead?

Each lease record stores its expiration and notice dates. A workflow opens renewal tasks for the broker who holds the relationship at intervals you choose, often 24, 18 and 12 months out, and a report lists upcoming expirations by submarket so the desk can plan outreach for the year.

Can we keep our own lease and sale comps in Zoho CRM?

Yes, in a custom Comps module filled in when a deal closes. Lease comps hold rate, term, free rent and TI; sale comps hold price, cap rate and price per square foot. Comps marked confidential are visible only to the group you name.

How are confidentiality agreements and offering memorandums handled on investment sales?

The buyer receives the CA through Zoho Sign from the listing record. Once it is signed, the CRM sends a link to the WorkDrive deal room, and every download, call and offer is logged against that buyer, so you can see who has engaged before the call for offers.

Does Zoho CRM replace our listing service or underwriting model?

No. Market data subscriptions and cash-flow models stay where they are. We import availability and comp exports you are licensed to use, and keep the final model file and its key outputs on the deal, so the CRM remains the record of relationships and pipeline.

What would Zoho CRM cost a 15-person commercial team?

Fifteen users on Zoho CRM Professional at $23 per user a month billed yearly come to $345 a month in Zoho licences. Zoho One for the same fifteen, with every employee licensed, is $555 a month and adds Creator, Sign, WorkDrive and Books. Our implementation is a fixed fee agreed in a signed BRD.
