Zoho Creator for commercial real estate, built around the lease instead of a spreadsheet

Abstract a lease once. The rent roll, the escalation steps and every notice deadline follow from it.

For US landlords, asset managers and commercial brokerages, the app holds a lease abstract form, a live rent roll by building and suite, a critical-dates calendar for options and expirations, an underwriting input sheet for acquisitions, and the approvals that sit between them. Our Glendale team, right next door to Los Angeles, holds Zoho Creator Registered Partner status on top of Zoho Advanced Partner certification.

01Position in the stack

Where does a Creator app fit in a commercial real estate workflow?

Right after signature. Zoho CRM carries the deal while it’s being negotiated; once the lease is executed, the Creator app becomes the record of what the landlord and tenant actually agreed, and everything with a date or a dollar figure is read from there.

Rent billing and lease accounting usually stay in your property accounting system or Zoho Books; the app sends them the rent schedule rather than replacing them. See the full commercial Zoho stack.

02Four jobs, two ways

What changes for a lease team once the app is live?

Mostly the hunting. Four jobs commercial teams describe first, in workbooks and shared folders versus a Creator app.

Catching an option notice date

With Zoho Creator

The notice window is a dated record with an owner, and reminders go out at the intervals you set.

Today

Someone rereads the lease PDF, or a calendar entry made years ago still has to be there.

Closing the month’s rent roll

With Zoho Creator

Rent steps, free-rent months and expirations already sit in the schedule, so the roll is a report, not a rebuild.

Today

An analyst copies last month’s tab and edits each suite that stepped up, renewed or moved out.

Starting an acquisition model

With Zoho Creator

In-place rents and expiries come straight off the abstracts, and each assumption set is saved with who changed it.

Today

The seller’s rent roll gets retyped into a model, and old versions pile up with dates in the file name.

Getting a sign-off

With Zoho Creator

Abstracts and deals move through named approval steps, and the record shows who approved what and when.

Today

An email thread with three attachments and a “looks fine” reply nobody can find later.

03Development flow

How a commercial portfolio app gets built in Zoho Creator, step by step

Seven steps, from reading your own leases to the week after launch. Every step closes on a deliverable you can review, and the dates for all seven go into the BRD before any form is built. Scroll and the app puts itself together, one screen per step.

  1. Step 1 of 7The form gets its outline

    Discovery with your lease administrator

We read a handful of your own leases (redacted is fine), list the clauses you really track, and map where today’s rent roll comes from and who signs off on what.

You get: clause list and approval map

  2. Step 2 of 7The fields fill in

Data model shaped like a lease

Forms for Properties, Suites, Tenants, Leases, Amendments, Rent steps, Critical dates and Deals. The abstract follows lease order, with RSF, USF, load factor and NNN, modified gross or base-year fields.

You get: field list signed off

  3. Step 3 of 7The rent schedule writes itself

    Automations in Deluge

Escalation clauses (fixed percent, dollar steps, CPI with floor and cap) generate the rent schedule; option clauses generate notice windows; reviews and approvals run as named workflow steps.

You get: rules list with sample outputs

  4. Step 4 of 7Dates connect to the other apps

    Integrations with the sibling apps

A won leasing deal in Zoho CRM opens a draft abstract, the signed lease files into WorkDrive, and an expiry 18 months out (or your number) opens a renewal deal back in CRM.

    You get: a data-flow diagram

    Zoho CRMWorkDrive

  5. Step 5 of 7Every date gets checked

    Testing with sample leases

We load awkward sample leases on purpose (a capped CPI step, six months of free rent, a termination right with a fee) and check every generated date against a schedule your lease admin works out by hand.

You get: a signed test sheet

  6. Step 6 of 7The people arrive

    Training by role

Abstractors, asset managers, leasing brokers and accounting each get a short session on their own screens, loaded with your data, not a generic demo.

You get: recorded sessions per role

  7. Step 7 of 7The badge turns green

    Go-live and support

Active leases go in first, expired ones later for history. Once it’s live we handle fixes and questions; a new form or report gets quoted first and built only on your yes.

You get: launch checklist and support window

Sample screens, suite and rent figures. The forms, rules and reminder dates in your app come from your own leases and the signed BRD.

04Inside the app

The parts we configure, and the screen each role starts the week on

Five working parts, each tied to the lease record. Your portfolio may need only three of them at first; the BRD lists the ones we build and nothing more.

Lease abstracts

One form per lease, every field with a page number

Premises, term, rent, expense stop or base year, pro-rata share, deposit or letter of credit, guarantor and assignment rights. Amendments stack on the original, and estoppel requests are answered from the abstract.

Rent roll

A rent roll you filter instead of rebuild

By property, floor or suite: tenant, RSF, current rent per RSF, next step, expiry, options and status. Vacant suites show asking rent. Export it monthly in the layout your lender or accounting team already expects.

Critical dates

Options, expirations and escalations on one calendar

Renewal, expansion, termination and right-of-first-offer windows, rent steps, CPI review months and insurance certificate expiries. Each date has an owner and reminders at the lead times you choose.

Underwriting inputs

The inputs your analysts type, kept in one place

Purchase price, in-place rents from the abstracts, market rent by suite, downtime and TI on rollover, capex reserve and loan terms. The app holds your inputs and your formulas; it doesn’t value a building or say whether to buy one.

Approvals

Named steps with a time stamp on each

Abstract review by the lease admin, amendment changes, TI disbursement requests and deal packages going to the investment committee. Underwriting stays visible only to the investment team, so deal-room details don’t reach leasing.

What each role opens on a Monday

  • Lease administratorAbstracts waiting for review and the dates due in the next 90 days.
  • Asset managerOccupancy, expiries by year and any approval sitting with them.
  • Leasing brokerSuite availability and tenants coming up for renewal, without rent detail they don’t need.
  • AnalystThe current assumption set for each deal and its saved earlier versions.
  • ControllerNext month’s rent schedule changes, ready to send to accounting.

05Zoho’s price

What does Zoho Creator cost a commercial real estate office?

Standard costs $8 a seat per month, Professional $20 and Enterprise $25, all on yearly billing in USD ($12, $30 and $37 if you pay month to month). Standard covers a single app, so a team that wants abstracts and underwriting as separate apps usually lands on Professional. Creator also comes inside Zoho One: $37 per employee monthly on an annual plan, provided your whole staff is licensed.

Count only the people who log in; tenants using a portal are licensed separately. What we charge to build the app is separate: one agreed number, set down in the BRD you sign off.

  • Standard1 app$48$576 a year
  • ProfessionalUnlimited apps$120$1,440 a year
  • EnterpriseOwn domain, branded apps, SSO$150$1,800 a year

06Lease team questions

Zoho Creator for commercial real estate: questions we hear

About dedicated lease software, CPI steps, tenant portals and underwriting. Bring a lease you find hard to abstract and we’ll walk through how the app would hold it.

Can Zoho Creator stand in for dedicated lease administration software?

For abstracts, critical dates, the rent roll and approvals, often yes. Lease accounting entries and tenant billing usually stay in your property accounting system, which receives the rent schedule from the app. If you need lease accounting inside one product, raise it early and we’ll name a tool that suits it better.

How does the app handle CPI escalations with a floor and a cap?

The clause is stored with its index, review month, floor and cap. When the index figure for that month is entered, a Deluge rule works out the new rent within the limits and adds the step to the schedule, and the lease admin approves it before it reaches the rent roll.

Can tenants or outside brokers log in?

Through a Zoho Creator portal, yes. A tenant can upload insurance certificates or answer an estoppel request and see only their own suite. Portal logins are bought as a headcount add-on rather than a full user seat each.

Will the app tell us whether a deal is worth doing?

No. It stores the inputs your analysts enter, runs the formulas your team gives us and keeps each version with a name and date. Valuation and the decision to buy stay with your analysts and investment committee; nothing in the app is investment advice.

Which Zoho Creator plan does a commercial team usually need?

Professional, at $20 a seat monthly when paid annually, because it allows more than one app. Six users come to $120 a month. Enterprise at $25 adds your own domain, branded mobile apps and single sign-on. Already on Zoho One? Creator comes with it.

How long does a lease admin build take?

That turns on how many leases need abstracting and which apps we connect. Each step is dated in the BRD, spreadsheet cut-over included, before anyone starts.
