Zoho consulting for US businesses that want a plan before more apps

Most Zoho accounts we open grew one app at a time. Nobody drew the whole picture first.

Zoho consulting is the planning work that decides which Zoho apps each department uses, how they hand data to each other and what gets built first. Our certified consultants, led from Glendale near Los Angeles, sit with your teams, draw that map and turn it into a scope and a dated roadmap you can sign.

01The short answer

What is Zoho consulting?

It is advice you can act on: a written view of how your business should run on Zoho, which apps it needs and in what order to build them. Setup and development can follow with us or with your own admin.

We start away from the software: how a lead becomes a customer, how an order becomes an invoice, where people retype things. Sometimes the answer is fewer apps than you already pay for.

  • You bought Zoho One45+ apps in the bundle, and the team lives in two of them. You want to know which of the rest are worth turning on.
  • Zoho grew without a planEach department set up its own corner. Now sales and accounts keep separate customer lists, and reports disagree.
  • You are choosing a platformSpreadsheets or an older tool are running out of road, and you want an honest view of whether Zoho fits before you commit.
  • A big change is comingA new location, a new product line or a second company to bring in. The current setup was never designed for it.

02What lands on your desk

What does a Zoho consulting engagement include?

Six documents, each one written for the people who will use it. Nothing in them is generic: every page names your departments, your records and your current tools.

  1. Map

    A process map per department

How work moves today in your team’s own words, with the stalls and the spreadsheet patches circled.

  2. Fit

    An app map

Which Zoho app takes each job, which tools stay, and the handoffs between them drawn on one page.

  3. Scope

    A scope summary

Modules, integrations, data to import and Zoho license costs at Zoho’s own US list prices, so the running cost is clear.

  4. BRD

    A business requirements document

Fields, automations, reports and the checks that prove each one works. Department heads sign their part.

  5. Dates

    A delivery schedule

The roadmap itself: every module and integration with a date, checked against your busy seasons.

  6. Fee

One fixed fee for the build

Written into the BRD. If you add something later, it is quoted as a change you approve first.

03Discovery call to signed roadmap

How does Zoho consulting run, from the first call to a dated roadmap?

Six stops taken straight from the first half of our new project track. The order never changes; how long each stop takes is set in your schedule. Scroll and the ring closes one stop at a time.

  1. Stop 1Free · Discovery call

Half an hour with a founder

You tell Ikramul or Khris what is broken, which software you pay for and whether a contract or season is pushing you. We send back a short written recap with the step we would take next.

  2. Stop 2Workflow mapping

    A session with each department

Our consultant traces who enters what, where a job waits and which spreadsheet fills the hole. Department heads and one or two hands-on users join. You get a process map per team.

  3. Stop 3Scope & budget

The maps turn into a scope

Apps, modules, integrations and license costs at Zoho’s list price, with our fixed fee for the work. A larger business may need a paid scoping phase first; we price that before it starts.

  4. Stop 4You sign · BRD

    Every requirement written down

The BRD lists fields, automations, reports, imports and how each will be tested. Each department head approves their section and the project owner signs the whole, fee included.

  5. Stop 5Kickoff

Names, access and who approves what

One meeting settles the people on both sides, the approvals, system access and how we stay in touch. You leave with a contact sheet and a communication plan.

  6. Stop 6Before any build · Roadmap

    The roadmap gets its dates

Our project lead puts a date on each module and integration; your heads check it against holidays and staff time. This schedule is the roadmap, and it stays current as work moves.

The rest of the track (sprints, build, demos, testing, training, go-live) is on how we work.

04Try it · pick one

Where are you stuck right now?

Pick the line that sounds most like this week at your company. You will see where we would usually begin, what happens first and who we need from your side.

Start with

An app audit and a bundle roadmap

We list who uses which app, what each one could replace, and which two or three are worth switching on next.

  • Mapping sessions with every department
  • An app map of what to keep, add or drop
  • A dated plan for the next apps

05An honest call

Should you patch your Zoho setup or redesign it?

Often a patch is the right answer, and we will say so. A redesign earns its cost when the same problem keeps coming back in different places. Step through five common cases.

One workflow rule fires at the wrong time

Fix the rule, test it on a few records and move on. A small change like this rarely needs a plan.

A redesign would be overkill unless several rules are tangled together.

A go-live date is next month

Ship the smallest working fix now and log the bigger questions for after launch.

Redesigning under a hard deadline usually means skipping the mapping that makes it worth doing.

Sales and accounts keep two customer lists

Merging the lists once helps for a while, until the next new customer is entered twice.

Decide which app owns the customer record and how the other reads it. The doubles stop at the source.

Leadership no longer trusts the dashboards

Fixing a filter corrects one chart, while the other charts keep their own definitions.

Agree what each number means first, then rebuild the reports on those definitions.

A new department is moving onto Zoho

Copying another team’s layout gets them in fast, with fields that never quite fit their work.

Map the new team’s work and its handoffs to the others before a single field is added.

06Your priorities, your answer

Do you need a Zoho admin on staff, or a consulting partner?

Many businesses end up with both: an admin for daily care and a partner for design work and big changes. Move each slider to show how much a job matters to you; the bars follow only your answers.

  • Answering user questions the same day
  • Small changes to fields and views every week
  • Designing how several Zoho apps share data
  • A rebuild or a move off another system
  • Deluge functions and links to outside software
  • Someone who knows your business by heart

07What you pay for

What does Zoho consulting cost?

The first call is free. After it, every piece of our work has a price you see in writing before it starts, and Zoho licenses are billed by Zoho, not marked up by us.

Free

The discovery call

Thirty minutes with a founder and a written recap. You owe nothing for it.

Fixed

Mapping, scope and roadmap

For most teams the scope and our build fee are fixed in the signed BRD. A larger company may need a paid scoping phase first, quoted before it begins.

Zoho

Zoho licenses

Paid to Zoho at its US list price. The scope summary lists each license, so you know the running cost on top of our fee.

09Consulting questions

Zoho consulting questions from US business owners

Who does the work, what it costs and what you get. Bring a list of the tools you pay for to the call; it speeds up the first map.

What does a Zoho consultant do?

A Zoho consultant maps how your departments work, decides which Zoho apps should take on each job and how they share data, and writes that into a scope, a requirements document and a dated roadmap. With us, the same certified consultants can then build it, or hand the plan to your own admin.

How do I choose a Zoho consulting partner in the US?

Check the partner level on Zoho’s partner directory, ask who will actually do the work, and ask to see a sample requirements document. We are a Zoho Advanced Partner with a 40+ person team led from Glendale, and our founders take the first call themselves.

How much does Zoho consulting cost?

The first call is free. Mapping, scope and the build are priced as one fixed fee inside a signed BRD; larger companies may need a paid scoping phase first, quoted before it starts. Zoho licenses are paid to Zoho at its US list price and listed in your scope summary.

Can you work with our existing Zoho setup instead of starting over?

Yes, and most engagements do. We review what is already built, keep what works, and plan changes around it. Starting over is only on the table when the current setup costs more to fix than to rebuild, and we show you why.

Do you only recommend Zoho apps?

No. If a tool you already use does the job well, the app map keeps it and plans the link to Zoho. We also work with AWS, Shopify and WordPress, so the roadmap can include them where they fit better than a Zoho app.

Do we have to build with you after the roadmap?

No. The process maps, app map and requirements belong to you. Many clients build with us because the same team already knows the plan, but your own admin or another partner can work from it.

What is SI?

SI stands for super intelligence. In September 2026 a US executive order asked federal agencies to use “super intelligence” or “SI” in place of “artificial intelligence” in official communications. Most businesses still say AI, so we use both terms.

10How consulting starts

Four steps from “we need a plan” to a signed one

Smaller teams often go from the call to the BRD in one short run. Multi-company or multi-site businesses may start with a paid scoping phase, priced before anything begins.

Mapping sessions run over video for teams across the US, Canada and Latin America. Around Los Angeles, we can hold the whiteboard session in your office.
