Zoho reporting and dashboards for US teams that want one set of numbers

Sales says one figure, finance says another. Both pulled it from Zoho.

Zoho reporting is the work of deciding which numbers matter, defining each one once, and building the Zoho CRM dashboards and Zoho Analytics reports that show them without a spreadsheet in between. Our team, led from Glendale, starts with your questions and ends with dashboards that refresh themselves.

01The short answer

What is Zoho reporting?

It is turning the data already sitting in Zoho CRM, Books, Desk and your other tools into a small set of reports and dashboards people trust. Each number gets one definition, one owner and one place to look.

Zoho gives you two levels. Zoho CRM has its own reports and dashboards, which are live and quick to build. Zoho Analytics sits on top, pulls data from several apps and outside sources, and answers questions no single app can. Part of our job is telling you which level each question needs.

  • The Monday spreadsheetSomeone exports from three apps every week and pastes them into one workbook. The numbers are a week old by the time anyone reads them.
  • Two versions of revenueThe CRM counts won deals, the books count invoices. Nobody wrote down which one the board sees.
  • Dashboards nobody opensTwenty charts built at go-live, half of them broken by later field changes, none tied to a decision.
  • A new owner or investorSomeone now wants monthly numbers in a set format, and the current setup cannot produce them without hand work.

02Deliverables

What does a Zoho reporting project include?

Six pieces, from a written list of metrics to dashboards your leaders get by email. The first piece matters most, because every chart after it depends on it.

  1. A metric dictionary

Each KPI written once: what it counts, which records, which date, who owns it. Sales and finance sign the same page.

  2. Zoho CRM reports and dashboards

Rep, manager and team views built inside Zoho CRM, live as records change, with home page components for daily use.

  3. A Zoho Analytics data model

When questions cross apps: CRM, Books, Desk and outside sources joined on clean keys, with sync schedules you can see.

  4. Scheduled packs

Dashboards emailed to the right people on the right day, so the monthly review starts from the same screen.

  5. Alerts on the numbers that matter

A short list of thresholds, such as overdue invoices or thin pipeline, that email an owner when crossed.

  6. Handover and permissions

Who can see which dashboard, a walkthrough for the people who will edit reports, and a note on how to add a metric safely.

03A sample month, after go-live

What does a reporting month look like once it runs on Zoho?

Seven moments in a sample month for a sales and finance team. Your own days come from your close calendar. Scroll and the month fills in, day by day.

  1. Day 1Month closes

    Last month stops moving

Deals won and invoices dated last month are final. Every dashboard’s “last month” filter rolls over by itself; nobody edits a date range.

  2. Day 2Overnight refresh

Zoho Analytics pulls the fresh data

Scheduled syncs bring in CRM, Books and Desk. Your admin glances at the sync status; a failed import shows up before anyone reads a wrong chart.

  3. Day 3Pack in inboxes

    Leaders get the same dashboard

A scheduled email sends the leadership dashboard to the owner, sales lead and finance lead. One link, one version, opened on a phone if need be.

  4. Day 5Monthly review

The meeting runs on the live screen

Instead of slides, the team opens the dashboard and drills from a region into the deals behind it. Questions get answered in the room.

  5. Day 12Mid-month alert

    A number crosses its line

Next month’s pipeline drops under the target you set, and the sales lead gets an email that day, not at the next review.

  6. Day 20A new question

Someone asks for a new metric

It goes into the metric dictionary first, with a definition and an owner, and only then onto a dashboard. The report count stays small on purpose.

  7. Day 28Forecast check

    Next month is already visible

Forecast against target, renewals due and invoices still open. By the time the month closes, the next pack is mostly written by the data.

04Pick the right level

Zoho CRM reports or Zoho Analytics: which answers which question?

Short answer: questions about sales activity stay in Zoho CRM; questions that mix apps or need long history go to Zoho Analytics. Tap a cell for the reason behind it.

Pipeline by stage for one sales team Works, but adds a sync delay for a question the CRM answers live.Built in minutes and live as reps update deals.
A rep’s own targets on their home page Possible through embedding, more setup than it needs.Home page components and target meters sit where reps already work.
Won deals next to invoices paid Joins CRM and Books data so revenue booked and cash collected sit side by side.Sees deals, not what finance actually billed or collected.
Ad spend against closed revenue Imports ad platform data and ties it to won deals by source.Holds lead source, but not what each channel cost.
Support load by account value Blends Desk tickets with CRM accounts in one view.Limited to what the CRM itself holds about tickets.
Year-over-year trends Stronger for long history and period comparisons across apps.Fine for CRM-only trends when the history lives in the CRM.
Data from a database or spreadsheet outside Zoho Connects to databases, files and many cloud apps on a schedule.Only after the data is imported into CRM modules.

06Your priorities decide

Keep the monthly spreadsheet, or move to live dashboards?

A spreadsheet pack still has its place. Slide each line to show how much it matters to you; the bars follow your answers and nothing else.

  • Numbers anyone can check on any day of the month
  • Definitions nobody can change by accident
  • A one-off board deck with written commentary
  • Ad hoc pivots by a finance analyst
  • An email when a number crosses a line
  • Nothing new to set up this quarter

What is the difference between Zoho CRM reports and Zoho Analytics?

Zoho CRM reports and dashboards work on CRM data and update live as records change, which suits sales activity and pipeline views. Zoho Analytics is a separate business intelligence app that imports data from several Zoho apps, databases, files and other cloud tools on a schedule, so it can answer questions that cross systems or need long history.

Do we need Zoho Analytics, or are CRM dashboards enough?

If every number you need lives in Zoho CRM, its own dashboards are usually enough. Once a question mixes CRM with Books, Desk, ad platforms or a database, Zoho Analytics is the better home. Many teams use both: CRM dashboards for reps and managers, Analytics for leadership.

Can you build one dashboard with data from Zoho CRM, Books and Desk?

Yes, in Zoho Analytics. We set up the sync from each app, join the data on keys like the account or customer, and build the dashboard on top. The metric dictionary decides details such as whether revenue means won deals or paid invoices.

Why do our sales and finance numbers never match?

Usually because they count different things: won deals versus invoices, close date versus invoice date, or different handling of refunds and credits. We write each definition down, agree it with both teams, and make the dashboards use only those definitions.

How often does Zoho Analytics refresh data from other apps?

Each data source syncs on a schedule you choose within what your plan allows, and some Zoho apps sync more often than outside sources. We set the schedule around when people read the dashboards, and add a check so a failed sync is noticed.

Can dashboards be emailed to leaders automatically?

Yes. Both Zoho CRM and Zoho Analytics can email reports or dashboards on a schedule. We set up who receives what and when, usually a leadership pack a few days after month end and team views weekly.

Can you fix reports someone else built?

Yes. We list the existing reports and dashboards, check which still work after past field changes, and mark each one keep, rebuild or retire. Retired reports are archived rather than deleted until the people who used them agree.

How much does Zoho reporting work cost?

The first call is free. The metric dictionary, dashboards and alerts are priced together as a fixed fee in a signed BRD. Zoho CRM includes reports and dashboards; Zoho Analytics, if needed, is a separate subscription paid to Zoho, starting at $24 a month for 2 users billed yearly.

10How reporting work starts

Four steps from “which number is right?” to a signed plan

A CRM-only dashboard set can be scoped from the first call. When several apps and outside data are involved, we sample the data first so the quote reflects the cleanup it needs.

Reporting work runs over screen share with whoever owns the numbers today, for teams across the US. In the Los Angeles area we can run the metric workshop at your office.
