QuickBooks and Zoho CRM integration, with one owner for every record

Sales lives in Zoho CRM. The books live in QuickBooks. Nobody should be typing the same invoice twice.

Plenty of US companies keep QuickBooks Online for accounting because their CPA works there, and run sales in Zoho CRM. We connect the two so customers and products match, invoices land in QuickBooks without retyping, and reps see in Zoho CRM when a customer has paid. Our team, led from Glendale, decides which system owns each record before a single field is mapped.

  • Customers and products matched
  • Invoices posted to QuickBooks
  • Payment status back in CRM

01Should you connect them?

When a QuickBooks and Zoho CRM sync earns its keep

The link pays off when two teams each have a good reason to stay in their own tool and keep asking each other for numbers. It is wasted effort when one of those tools is about to go. Here is the ledger we draw up on the first call.

DrWorth connecting

  • Your CPA lives in QuickBooks OnlineFinance stays put, and sales gets what it needs from Zoho CRM without extra QuickBooks seats.
  • Reps keep asking “has this customer paid?”Open balances and paid dates show on the account, so the question stops reaching the bookkeeper.
  • Quotes start in CRM, invoices finish in QuickBooksThe deal carries the lines across, so the price a rep promised is the price that gets billed.
  • One product list for both teamsItems, SKUs and prices maintained once, on the side your team picks.

CrThink twice

  • You’re on QuickBooks FreeIntuit doesn’t offer third-party integrations on that plan, so there is nothing to connect yet.
  • You’re on QuickBooks DesktopZoho’s own extension speaks to QuickBooks Online only. Desktop needs the Web Connector or a custom bridge, and the effort grows.
  • You’re already leaning toward leavingIf finance would happily switch, moving to Zoho Books beats building a bridge you’ll tear down next year.

BalanceIf the left side is longer, a sync is worth scoping.

What we do to connect QuickBooks and Zoho CRM for US teams

Most of the hard work happens before the first record moves: agreeing who owns what, and cleaning up two lists that have drifted apart for years. The build itself is the smaller part.

  1. Entry 01

An ownership map, object by object

Customers, items, vendors, quotes, invoices and payments each get one home system and a direction. Finance and sales both sign it, so later arguments have something to point at.

  2. Entry 02

Duplicate cleanup before the first sync

“Ridgeline Supply”, “Ridgeline Supply Co.” and “RIDGELINE SUPPLY CO” become one record on each side, matched by stored ID, so the first run doesn’t double your customer list.

  3. Entry 03

Zoho’s QuickBooks extension, set up properly

Installed from the Zoho CRM Marketplace, with field maps, custom views that limit what syncs, matching home currencies and a decision on Contacts or Accounts, which can’t be changed later.

  4. Entry 04

    Invoices sent from Zoho CRM

When sales has to start the invoice, we build that leg on the QuickBooks Online API: a button or a won deal posts it, and the QuickBooks invoice ID is stored on the deal.

  5. Entry 05

Paid status, errors and a weekly tie-out

QuickBooks webhooks bring payments back to Zoho CRM. Failed records land in an error list with a named owner, and a weekly check compares open balances on both sides.

03One invoice, out and back

How does an invoice made in Zoho CRM end up marked Paid there?

Think of it as a round-trip ticket. The outbound leg carries the sale into QuickBooks; the return leg carries the money back to the rep who closed it. This sample follows one wholesale order through both legs.

Outbound Zoho CRM to QuickBooks

  1. The deal closes in Zoho CRM

Ridgeline’s order for pallet wrap and corner boards moves to Closed Won. The rep presses “Invoice in QuickBooks” on the deal instead of emailing the bookkeeper.

  2. The customer is found, never cloned

Our function looks for the QuickBooks customer ID saved on the account first, then the billing email. It only creates a customer when both come up empty.

  3. Invoice 1047 posts in QuickBooks

Lines, quantities, terms and the ship-to address arrive intact. QuickBooks numbers the invoice, and its ID is written back to the deal for later lookups.

Return QuickBooks to Zoho CRM

  1. The ACH payment is applied

The bookkeeper matches Ridgeline’s deposit to invoice 1047 in QuickBooks, exactly as they always have. Nothing about their routine changes.

  2. A webhook taps us on the shoulder

QuickBooks reports that a payment changed. Our listener reads the payment, follows it to the invoice ID, and finds the deal that carries that ID.

  3. Zoho CRM says Paid

The deal shows Paid, the paid date and a $0.00 balance. The account owner gets a task to ask about the next order while the customer is happy.

Sample company, dates and amounts. The outbound leg is a custom build; Zoho’s standard extension only carries invoices from QuickBooks into CRM.

04Try it · direction per object (sample)

Which way should each record flow between Zoho CRM and QuickBooks?

Set a direction for each object. The plan on the right shows what Zoho’s QuickBooks extension handles on its own, what needs a custom build, and the traps we’d flag before go-live.

      05QuickBooks + Zoho

Four ways to wire QuickBooks into Zoho, and when we pick each

There is no single “QuickBooks connector” answer. The right route depends on which system starts the invoice and how much logging finance wants when something fails.

      Marketplace extension

      Zoho’s QuickBooks extension

Two-way sync for Contacts or Accounts, Vendors and Products; QuickBooks quotes, invoices and purchase orders copied into Zoho CRM as read-only records. Needs Zoho CRM Professional or higher and QuickBooks Online.

Pick it when finance creates every invoice.

Zoho Flow with the QuickBooks Online connector

Small, single-direction jobs without code: a new QuickBooks customer opens an account in CRM, or a won deal drafts an invoice. Zoho Flow keeps a run history for each one.

Pick it for two or three light automations.

      QuickBooks Online API + webhooks

A custom round trip on Deluge or Catalyst

Invoices from CRM, payments back, matching by stored IDs, retries and an error list. Logic sits in Deluge functions or on Zoho Catalyst when it needs a proper webhook listener.

Pick it when sales starts invoices or volumes are high.

      06QuickBooks integration costs

What a QuickBooks and Zoho CRM sync costs to run

You pay Intuit for QuickBooks Online and Zoho for Zoho CRM, as you do today. Every paid QuickBooks Online plan can connect; the Free plan can’t. On the Zoho side, the standard extension needs Zoho CRM Professional or above.

      07QuickBooks sync questions

QuickBooks and Zoho CRM integration questions

Desktop vs Online, invoice direction, duplicates and the Zoho Books question. Bring a QuickBooks customer export to the call if duplicates worry you.

Does Zoho CRM integrate with QuickBooks?

Yes. Zoho offers a QuickBooks extension in the Zoho CRM Marketplace for Zoho CRM Professional and higher editions. It syncs Contacts or Accounts, Vendors and Products both ways with QuickBooks Online, and copies QuickBooks quotes, invoices and purchase orders into Zoho CRM. A super admin installs it and picks the QuickBooks company to connect.

Can I create an invoice in Zoho CRM and send it to QuickBooks?

Not with the standard extension, which only brings invoices from QuickBooks into Zoho CRM and locks the CRM Invoices module once it is on. We build that direction separately on the QuickBooks Online API, usually triggered by a button or a won deal, and store the QuickBooks invoice ID on the deal.

Does the Zoho CRM integration work with QuickBooks Desktop?

Zoho’s extension connects to QuickBooks Online only. QuickBooks Desktop can be reached through Intuit’s Web Connector or a third-party bridge, which takes more effort and a machine that stays on. Many Desktop users take the chance to move to QuickBooks Online or to Zoho Books instead.

Which records sync both ways between Zoho CRM and QuickBooks?

With the standard extension, Contacts or Accounts (you choose one, and it cannot be changed later), Vendors and Products sync both ways. Products must be inventory-type items in QuickBooks. Quotes, invoices and purchase orders move one way only, from QuickBooks into Zoho CRM.

Will my sales team see when a customer has paid?

Yes, if we add a payment leg. QuickBooks webhooks tell our listener when a payment changes, and we write the paid status, paid date and remaining balance onto the deal or account in Zoho CRM. Reps see it without a QuickBooks login.

How do you stop duplicate customers when the sync starts?

We clean both lists first and agree one matching key, usually a stored QuickBooks ID with the billing email as a fallback. The extension also asks what to do with duplicates: skip, overwrite from the side you choose, or clone. We never let the first run loose on unmatched data.

Do Zoho CRM and QuickBooks need the same currency?

Yes. The home currency must be identical in both before the extension will connect. If Zoho CRM uses multiple currencies, QuickBooks needs multicurrency turned on too, and exchange rates for currencies the integration adds start at 1 until someone updates them.

Can QuickBooks Free connect to Zoho CRM?

No. Intuit does not offer third-party integrations on QuickBooks Free, so an upgrade to Simple Start or above comes first. Simple Start is $38 a month at the standard US list price, for one user.

Should we switch to Zoho Books instead of syncing with QuickBooks?

If your CPA is happy in QuickBooks and finance does not want to move, keep it and sync. If finance is frustrated anyway, Zoho Books shares records with Zoho CRM natively and removes the bridge you would otherwise maintain. We lay out both routes with real numbers on the first call.

How do you price a QuickBooks integration project?

The first call is free. After that, the ownership map, data cleanup, the routes we build and the tie-out tests go into a signed BRD at a fixed price with a delivery schedule. If your data needs a paid review before we can scope it, we quote that review up front.

      08How a QuickBooks integration starts

First we agree who owns each record

Four steps take you from “sales keeps emailing finance” to a signed sync plan. A plain extension setup can often be scoped on the first call; a custom invoice round trip with years of messy customer data may need a short paid review, quoted before it starts.

Your bookkeeper and sales lead join the same video calls from anywhere in the US, Canada or Latin America, and we can sit with both teams in person around Los Angeles.
