01The honest inventory

Pipedrive to Zoho CRM migration: what moves, what changes, what doesn’t

Zoho CRM has a migration wizard built for Pipedrive. It connects with your Pipedrive API token and pulls organizations, persons, deals, activities, products, users and files. Notes and custom fields come across in a second pass through Zoho CRM’s import tool. Automations, forms and the LeadBooster add-on stay behind, so we rebuild those.

Moves across

Your records and their history

  • Organizations become Accounts, with billing address and headcount
  • Persons become Contacts, photos included, still linked to their account
  • Deals keep title, value, expected close date, person and organization
  • Pipelines and stages land in the matching Zoho CRM pipeline and stage
  • Activities split by type into Tasks, Calls and Events, done or open
  • Notes attach to the same account, contact or deal
  • Products with code, unit price, tax and currency
  • Files arrive as attachments on their records
  • Custom fields mapped one by one, new Zoho fields created where needed
  • Owners and dates: record owner, created and modified times

Moves, but lands differently

Same data, new shape

  • Meetings, lunches, deadlines and custom activity types all become Events, with the old type kept in a field
  • Calls come in as outbound by default, so we correct inbound calls where your data shows it
  • Leads Inbox items go to the Zoho CRM Leads module through a separate import
  • Deal labels turn into tags or a pick list, your call during mapping
  • A full organization address string lands in a custom field next to the split billing fields
  • Rotting days become a workflow alert on deals that sit too long

Rebuilt in Zoho

Logic we set up again

  • Workflow automations rebuilt as Zoho CRM workflow rules or Blueprint
  • Web forms replaced with Zoho CRM webforms or Zoho Forms
  • LeadBooster chatbot, live chat and web visitors move to Zoho SalesIQ
  • Email sync: each rep reconnects Gmail or Outlook inside Zoho CRM
  • Campaigns rebuilt in Zoho Campaigns
  • Smart Docs templates redone as Zoho CRM templates or with Zoho Sign
  • Insights reports and dashboards rebuilt as Zoho CRM reports
  • Marketplace apps and webhooks reconnected through Zoho Flow or the API

Email threads synced into Pipedrive aren’t part of Zoho’s wizard. They stay in your mailbox, and new mail starts logging on Zoho CRM records once each inbox is connected.

02Pipeline by pipeline

Each Pipedrive pipeline, before and after the Zoho CRM migration

Zoho’s wizard drops each deal’s Pipedrive stage into the Zoho CRM stage field. So before any data moves, we create every pipeline in Zoho CRM with the stages your reps already know. Pick a sample pipeline to see how one looks on both sides.

In Pipedrive

  1. Qualifiedrots after 7 days
  2. Contact made
  3. Demo scheduled
  4. Proposal made
  5. Negotiations started
  6. Won / Lost

In Zoho CRM

  1. Qualifiedworkflow alert at day 7
  2. Contact madeprobability set per stage
  3. Demo scheduledmeeting logged as an Event
  4. Proposal madequote built from Products
  5. Negotiations startedBlueprint asks for a discount reason
  6. Closed Won / Closed Lostlost reason required

What changes for reps: stage names stay the same. Managers get stage probabilities and forecast categories that Pipedrive kept in a separate setting.

Sample pipelines. Yours get mapped from your own Pipedrive settings in the assessment.

04Your sales team will be fine

A Pipedrive to Zoho CRM migration with a safety net under every step

Leaving Pipedrive feels risky because the board is where your reps live all day. The process below is built so nobody loses a deal, a note or a follow-up date, and so you can stop at any gate if something looks off.

A note from our founders

Since 2025 we have moved running businesses onto Zoho, and across more than 300 projects we have learned that a migration goes well when nobody has to be a hero. Sales keeps selling in Pipedrive while we build. Each team checks its own sample deals before the full move. We only flip the switch when the counts match and your people say yes.

If you are nervous about losing pipeline history, good. So are we, and that is why the old account stays open until you tell us to close it.

Ikramul Karim & Khris KakosimidiCo-Founder & CEO · Co-Founder & CFO

What if something goes wrong?

A deal or stage looks wrong after the move

Pipedrive is still there, read-only, so we compare the record side by side and fix it in Zoho CRM. Zoho’s migration tool can also undo an import and run it again, up to three times.

A team spots a problem in the sample

Nothing moves in full until every department lead has signed off on their sample deals. A failed check means we adjust the field map and run the sample again.

Reps add deals during the switch week

A catch-up pass picks up every deal, activity and note changed in Pipedrive after the full move, so late edits land in Zoho CRM too.

Go-live day goes badly

We agree a rollback window in the BRD. Inside it, your team can go back to working in Pipedrive while we sort out what failed.

Your Pipedrive stays live until you say so

When should your Pipedrive migration start?

Pipedrive bills by the seat on a monthly or yearly cycle, and the date that cycle renews is the real deadline. Pick it below. We set a stopper date two weeks earlier, the last safe day to rely on Pipedrive, and count every step back from there.

    07Three ways to move

Pipedrive migration packages for Zoho CRM

Most Pipedrive accounts fit one of three moves. The size of your data matters less than the number of pipelines, automations and connected apps, because those are what we rebuild by hand. Each package is quoted for your account once the assessment is done.

    Quick Move

One or two pipelines, light automation

    • Pipelines and stages created in Zoho CRM
    • Organizations, persons, deals and activities moved with the wizard
    • Notes and a handful of custom fields in a second pass
    • Email reconnected for every rep
    • One online training session

Fixed fee for the whole move, written into a signed BRD first

    Standard Move

    Several pipelines, real automation

    • Everything in Quick Move
    • Full custom-field map, labels and Leads Inbox
    • Pipedrive automations rebuilt as workflow rules
    • Web forms and LeadBooster chat replaced
    • Products, files and the reports managers use weekly
    • A sample move each team signs before the full run

One fixed fee, agreed in a signed BRD before any Pipedrive data moves

    Complex Move

Big history, custom code, many apps

    • Everything in Standard Move
    • Webhooks and API scripts rebuilt in Deluge or Zoho Flow
    • Marketplace apps replaced or reconnected
    • Roles, profiles and territories
    • Blueprint for stages that need rules
    • Staged cutover by team or region

Priced as one fixed fee in the signed BRD, so the total is known up front

    Start here

    Migration Assessment

A paid review of your Pipedrive account before we commit to a fee. What you pay for it is credited in full against your migration.

    • Data audit: pipelines, record counts, duplicates, file volume
    • Field map for every standard and custom field
    • Risk list with what each risk means for cutover
    • Cutover plan with a rollback point
    • BRD with scope, schedule and the fixed fee

    08The move, step by step

How we move you from Pipedrive to Zoho CRM while deals keep closing

Fifteen steps in five phases. Seven of them exist only because this is a migration, marked below; the rest are how we run any Zoho CRM project. Reps stay on their Pipedrive board until cutover day.

Migration only steps you won’t see on a fresh Zoho CRM build

    2. Phase 2Agree

      1. 4

        Migration BRD Migration only

Every Pipedrive field per team, the rebuild list, acceptance checks and a rollback plan. On larger accounts it’s often the output of the paid Migration Assessment.

      2. 5

        Department sign-off Migration only

Each team’s lead and your project owner sign the BRD.

    3. Phase 3Build & prove

      1. 8

      3. 10

Each team lead checks their own deals and confirms in writing.

    4. Phase 4Move & test

      1. 11

Full migration + catch-up Migration only

Everything moves, then a second pass for late edits. Your validation report lines up Pipedrive and Zoho CRM counts per pipeline.

      2. 12

        Testing

Reps work real deals in Zoho CRM and log what feels off.

      3. 13

    5. Phase 5Switch

      1. 14

        Cutover & go-live

Done ahead of the stopper date. Pipedrive goes read-only and the rollback window starts.

      2. 15

        Hypercare & decommission Migration only

We stay close after go-live. Pipedrive is cancelled only after you confirm.

09The first morning on Zoho CRM

Your first Monday in Zoho CRM after leaving Pipedrive

Most reps worry about one thing: where their board went. Here is what a Pipedrive user sees on the first morning, and a cheat sheet for every button they used to reach for.

    1. 8:55

      Log in, land on Deals

Home opens on the Deals module in Kanban view, same pipeline, same stage names. Every card a rep owned in Pipedrive is still theirs.

    2. 9:05

      Today’s follow-ups

Open activities from Pipedrive show up as Tasks, Calls and Events with their original due dates, so nothing that was overdue on Friday is quietly lost.

    3. 9:20

      Open a deal

Contact, account, notes, files and past activities sit in related lists on the right of the record, instead of the Pipedrive timeline.

    4. 10:00

      Send the first email

Gmail or Outlook is already connected, and the reply lands on the deal without a BCC address.

    5. 11:30

      Ask in the team channel

Questions go to us during hypercare. Pipedrive is still open read-only if someone wants to double-check an old deal.

    12Worth the move?

Why Zoho CRM instead of Pipedrive?

Pipedrive has one of the cleanest deal boards around, and reps like it for good reason. Teams usually leave when they need approvals, quotes, territories or deeper reporting, and find those cost more on Pipedrive’s upper plans and add-ons.

    • Per-user price. Zoho CRM runs $14, $23, $40 or $52 per user per month on yearly billing. Pipedrive’s plans run $14, $24, $49 and $69, with Growth at $24.
    • Twenty users, one year, on the plan with automation and approvals: about $5,520 on Zoho CRM Professional against $5,760 on Pipedrive Growth.
    • Blueprint enforces what has to happen at each stage, which Pipedrive’s board leaves to habit.
    • Lead capture, chat, campaigns and e-signature come from the same vendor, so records stay in one place.

    13Before you switch

Pipedrive to Zoho CRM migration questions

What sales leads and owners ask us most before leaving Pipedrive. Have an odd automation or a big file library? Walk us through it on a migration call.

What doesn’t move from Pipedrive to Zoho CRM?

Logic and connections stay behind. Workflow automations, web forms, LeadBooster chat and web visitors, Campaigns, Smart Docs templates, Insights reports, email sync and Marketplace apps all need to be set up again in Zoho CRM or the matching Zoho app. We list each one in the assessment and rebuild the ones you still use.

Is there any downtime when we switch from Pipedrive?

Very little. Reps keep working in Pipedrive until the cutover window, which we schedule after hours or over a weekend. A catch-up pass brings across anything edited since the full move, and the team starts the next morning in Zoho CRM with Pipedrive still open read-only.

Do deal history, notes and attachments come across?

Yes. Activities move with their done or open status and dates, files arrive as attachments on the same records, and notes are imported in a second pass and linked to their accounts, contacts or deals. Created and modified times carry over too.

Can we keep several Pipedrive pipelines in Zoho CRM?

Yes. Zoho CRM supports multiple deal pipelines, each with its own stages. We create them before the import so every deal lands in the right pipeline and stage.

What happens to our Pipedrive automations?

Zoho’s migration tool skips them, so we write each one down during the assessment and rebuild the ones still in use as Zoho CRM workflow rules, or as Blueprint where a stage needs rules. It’s a good moment to drop the automations nobody remembers adding.

What replaces LeadBooster and Pipedrive web forms?

Zoho SalesIQ covers the chatbot, live chat and website visitor tracking, and Zoho CRM webforms or Zoho Forms replace your lead forms. New leads then land straight in Zoho CRM with their source attached.

What about emails synced into Pipedrive?

Zoho’s Pipedrive migration tool doesn’t carry synced email threads, and they remain in each rep’s mailbox. Once reps connect Gmail or Outlook to Zoho CRM, new emails log on the matching records.

How long does a Pipedrive to Zoho CRM migration take?

It depends on how many pipelines, custom fields, automations and connected apps you have, more than on record count. Your Migration BRD carries a dated schedule for the sample move, the full move and cutover, all set back from a stopper date before your Pipedrive renewal, so you know the go-live date before we start.

How much does a Pipedrive migration cost?

Each move is priced as a fixed fee under one of three packages: Quick, Standard or Complex Move. The first call is free. Larger Pipedrive accounts often start with a paid Migration Assessment, and that payment is credited in full against your migration. The fee is set in a signed BRD before work begins.

Should a very small team pick Bigin instead of Zoho CRM?

Sometimes. Bigin is Zoho’s simpler CRM for small teams that live in one or two pipelines, and it costs less than Zoho CRM. If you need approvals, quotes, territories or heavy automation, Zoho CRM is the better landing spot. We migrate Pipedrive into either one.

What happens to my Pipedrive account after go-live?

It stays open in read-only mode through the agreed rollback window, so anyone can look up an old deal. We keep a full export as well. You cancel Pipedrive only after you confirm the team is settled in Zoho CRM, ideally before the next renewal.

Who signs off the Pipedrive migration?

Each team that works in Pipedrive names a point of contact, usually its head, and that person signs the Migration BRD and later their sample of migrated deals. Your overall project owner signs too, and every sign-off is recorded.

    14How a Pipedrive migration starts

From first call to a signed Pipedrive migration plan

The first call costs nothing. After that, a paid Migration Assessment produces the field map, risk list and BRD, and its cost is credited in full when you go ahead with the move.
