Years of tickets, your help center and every agent, carried across in one planned move.

We’re certified Zoho Desk consultants, led from our Glendale office near Los Angeles. Your agents keep answering in Zendesk while we copy the history over, test it with you, rebuild the rules that run your queue, and switch one channel at a time. The day customers start writing to Zoho Desk, their past conversations are already sitting there.

01What moves, what changes, what doesn’t

What a Zendesk migration to Zoho Desk carries across

Zoho Desk has its own importer for Zendesk, and it handles the heavy data: tickets with their comments and attachments, end users, organizations, agents, custom fields and help-center articles. Your rules and settings are a different story. Triggers, macros, views and channel setup get rebuilt by hand in Zoho Desk terms, and a few things the importer skips need a plan of their own.

Moves with Zoho’s importer

Your data, as it is today

  • Tickets with comments as threads, plus file attachments
  • End users become Zoho Desk contacts
  • Organizations become accounts, linked to their contacts
  • Agents, matched by email, who sign in with that same address
  • Custom ticket fields and their values, created for you when missing
  • Help-center articles with categories, sections and translations
  • Old ticket numbers, saved in a Zendesk-ID field you can search

Changes shape, rebuilt by us

The way your queue runs

  • Triggers and automations become workflow rules, assignment rules, SLAs and, where a process needs gates, Blueprint
  • Macros become Zoho Desk macros and reply templates
  • Views become custom views per department
  • Groups and brands become departments and teams
  • SLA policies become SLAs with escalation levels
  • Chat, messaging and Talk get set up again as Zoho Desk channels
  • Marketplace apps become Zoho integrations or small custom builds

Stays behind unless we plan for it

Gaps we flag on day one

  • Tags, which Zoho’s importer leaves out; we carry the ones you report on into a field or re-tag by script
  • CCs and collaborators on old tickets
  • Inline images inside comments, which stop loading once Zendesk is closed
  • Article attachments, re-uploaded separately
  • Nested custom fields, flattened into dependent fields
  • Reply direction: imported replies all arrive marked incoming
  • Satisfaction scores, side conversations and call recordings, archived for reference

03Your queue is in safe hands

A Zendesk to Zoho Desk migration your agents barely feel

Moving a help desk sounds scary because customers are writing in the whole time. It doesn’t have to be. Here is who is running your move, what happens if a step misbehaves, and the report you see before a single channel switches.

Your Zendesk stays live until you say so

A note from the two of us

We have been moving working businesses onto Zoho since 2025, more than 300 projects so far, and support desks are the ones we treat most carefully. Customers notice the minute a reply goes missing, so we plan around that minute.

Your agents keep answering in Zendesk while we build and fill Zoho Desk next to it. Nothing switches until your support lead has opened real tickets on the new side and signed for them. If you feel nervous halfway through, call us. That’s what the plan is for.

What if something goes wrong mid-move?

  • Zendesk is still there. It stays switched on through the move, then turns read-only after go-live. Old tickets, macros and reports remain one click away.
  • Every channel has a way back.We agree a rollback window in the BRD. Email forwarding, the chat snippet and phone routing can each be pointed back at Zendesk inside it.
  • The sample comes first.A slice of each department’s tickets lands in Zoho Desk before the bulk import. If your team lead spots a wrong requester or a missing file, we fix the mapping, and only then move the rest.
  • Late tickets get picked up.Anything customers send while the bulk import runs follows in a catch-up pass, so the queue in Zoho Desk is complete on switch day.

05Three packages and an assessment

Zendesk to Zoho Desk migration packages

Most Zendesk accounts we see fit one of three packages. Which one depends on how much history you keep, how many rules run the queue and how many channels have to switch. Each one is priced as a fixed fee, written into a BRD you sign before we export a single ticket.

Quick Move

One brand, mostly email, a light rule set

  • Tickets, contacts, organizations and agents imported
  • Help-center articles with their sections
  • Key triggers and macros rebuilt as workflow rules and templates
  • Support address forwarding switched over
  • A short training session for agents on their own queue

Fixed fee, settled in a signed BRD before the first export

Standard Move

Several groups, SLAs, chat and a busy help center

  • Everything in Quick Move, plus a test migration you sign off
  • Groups mapped to departments and teams
  • SLA policies rebuilt with escalation levels
  • Chat and messaging moved to Zoho Desk channels
  • Tags your reports depend on carried into fields
  • Parallel run, then a channel-by-channel cutover

One fixed fee for the whole move, set in the BRD you approve

Complex Move

Multiple brands, phone, custom apps, large archives

  • Everything in Standard Move, run in batches for big exports
  • Brands split into departments or multi-brand help centers
  • Zendesk Talk replaced with Zoho Desk telephony
  • Marketplace apps and webhooks rebuilt as integrations or functions
  • Blueprint for processes your triggers used to police
  • Delta import of the tickets created during cutover

Fixed fee per the signed BRD, with each brand and channel dated

06Fifteen steps, five phases

How we run a Zendesk migration without a dark day

Every Zendesk move we run follows the same fifteen steps, grouped here into five phases. Seven of them exist only because you are migrating, marked Migration step. Pick a phase, or scroll and the timeline follows you.

Before anything is exported, we learn your Zendesk, fix a stopper date and get every department to sign the plan.

  1. 1Discovery call freeYour Zendesk plan, brands, channels, departments and how many agents answer each queue.
  2. 2Timeline & renewal checkWhen your Zendesk subscription ends, its notice period and export options. We set a stopper date: the last safe day on Zendesk.
  3. 3Migration planWhich department moves first, which triggers get rebuilt, and how each channel cuts over. The plan comes with one fixed fee attached.
  4. 4Migration BRDEvery Zendesk object and field per department, the rebuild list, ticket-count checks and the rollback plan. On larger moves it is often what the paid assessment delivers.
  5. 5Department sign-offEach department’s SPOC, usually its head, and your project owner sign the BRD. We keep the record.

07Work back from your renewal

When should your Zendesk migration start?

Enter the day your Zendesk contract ends. We count back from it: a stopper date a few weeks earlier, go-live before that, and every step lined up behind it. Bigger teams get longer bars.

    Zendesk: live

    1. Maria signs in to Zoho Desk with the same work email she used in Zendesk. There’s no invitation to accept.

    2. Her queue opens on “Unassigned, urgent”, the view she lived in before, now a custom view in the Support department.

    3. A caller quotes ticket #48213 from last spring. She searches the Zendesk-ID field and the full thread, files included, is right there.

    4. Refund request. She applies the Refund approved macro, and the reply template fills in the customer’s name.

    5. She needs billing to check an invoice, so she leaves a private comment on the ticket. That’s her old internal note.

    6. A report from two years back? Zendesk is still open, read-only, until your project owner confirms it can be cancelled.

Zendesk migration risks, and what speeds a move up

Most Zendesk to Zoho Desk moves go wrong in the same few places. Tick the ones that sound like your account and you’ll see what we do about each.

    Tick any that apply.

    Faster

    • One brand and one email address
    • History trimmed to the years you really search
    • Agents still using the same email as in Zendesk
    • A named person on your side who can approve the test run

    Slower

    • Several brands with their own forms and SLAs
    • Large attachment archives that need batching
    • Zendesk Talk with complex IVR menus
    • Marketplace apps with no Zoho equivalent

    11The honest case

Why teams leave Zendesk for Zoho Desk

Mostly price, then everything that comes along with it. The same process control that sits in Zendesk Suite Professional costs a fraction as much per agent in Zoho Desk, and it shares customers with the rest of Zoho. Full edition details are on our Zoho Desk page.

Per agent, per month, yearlyZendesk SuiteZoho Desk
    Small-team plan$55 Team$14 Standard
SLAs, escalations, process rules$115 Professional$23 Professional
    Top published planQuote$40 Enterprise
    • Zia, Zoho’s built-in AI (now also called SI, super intelligence), answers customers from your migrated articles, starting in Standard. Zendesk sells its agent copilot as an add-on.
    • Blueprint turns the steps your triggers tried to enforce into required stages, from Professional up.
    • Agents see deals and owners from Zoho CRM beside the ticket, and website chats can come in through Zoho SalesIQ.

When staying makes sense: a very large team built around a stack of Zendesk marketplace apps may spend more replacing them than it saves on seats. The assessment will show that before you commit.

    12Questions before the switch

Zendesk to Zoho Desk migration FAQ

What moves, what breaks, how long it takes and how it’s priced. If your question is about your own account, bring a recent Zendesk export summary to the call.

What doesn’t move from Zendesk to Zoho Desk?

Zoho’s importer leaves out tags, groups, CCs and collaborators, nested custom fields, inline images inside comments and attachments on help-center articles. Triggers, automations, macros, views, SLA policies, apps and channel settings are configuration, so we rebuild them in Zoho Desk by hand. Anything your team still needs from that list gets a plan in the assessment.

Will our support go down while we migrate from Zendesk?

No. Agents keep working in Zendesk while Zoho Desk is built, the sample is signed off and the history is imported. Each channel then switches on its own date before your stopper date, usually at a quiet hour, and a catch-up pass brings over the tickets that arrived in the meantime.

Do old tickets keep their full history and attachments?

Yes. Tickets come across with their comments as threads and their file attachments, linked to the right contact and account. The original Zendesk ticket number is saved in a Zendesk-ID field. Two catches: imported replies are all marked incoming, and images pasted inline into comments stop loading once Zendesk is closed.

How long does a Zendesk to Zoho Desk migration take?

It depends on ticket volume, attachment size, the number of brands and channels, and how many rules need rebuilding. Zoho runs its import in a queue and gives timing once it has looked at the data. We count back from your stopper date, the last safe day on Zendesk, and the Migration BRD fixes the dates for the sample, each channel switch and training before work begins.

How much does a Zendesk to Zoho Desk migration cost?

We offer three packages, Quick Move, Standard Move and Complex Move, each at a fixed fee written into a signed BRD. Most moves start with a paid Migration Assessment, and that fee is credited in full against the migration. The first call is free.

What happens to our Zendesk triggers, automations and macros?

We rebuild them. Triggers usually become workflow and assignment rules, time-based automations become time-based rules or SLA escalations, and macros become Zoho Desk macros and reply templates. Where a trigger was really enforcing a process, Blueprint in Professional or Enterprise often does the job better.

Can agents still find a ticket by its Zendesk number?

Yes. The importer stores each Zendesk ticket ID in a custom field called Zendesk-ID, and we make it searchable so agents can look up an old case by the number a customer quotes.

Do our agents need new logins in Zoho Desk?

Agents are matched by email address. Once imported, they sign in with that same email without accepting an invitation. Department access is set afterwards, and tickets owned by agents who no longer exist are assigned to the admin who ran the import unless we plan for them.

Can we move only some brands or groups from Zendesk?

Yes. The importer can filter tickets by Zendesk group and brand, so you can leave behind a retired brand or an old internal queue. We agree the filter in the BRD so everyone knows what stays in the archive.

Will our help-center links keep working after the move?

Articles keep their categories, sections and translations, but their URLs change. We list every old article link, map it to the new one and set redirects where your domain setup allows, then check the most visited links on switch day.

Who signs off the Zendesk migration?

On your side, each department that uses Zendesk names a SPOC, usually the department head, and your overall project owner signs with them. They sign the Migration BRD before work starts and the sample tickets before the full import, and we keep a record of both.

What happens to my Zendesk account after go-live?

It stays on, switched to read-only, so agents can still look up old tickets and reports during the agreed rollback window. The subscription is cancelled only after you confirm the move is complete.

    What is SI?

SI stands for super intelligence. In September 2026 a US executive order asked federal agencies to use “super intelligence” or “SI” in place of “artificial intelligence” in official communications. Most businesses still say AI, so we use both terms.

    13How a Zendesk move starts

From first call to a signed Zoho Desk migration plan

The first call costs nothing. After it, the paid Migration Assessment reads your Zendesk and ends in a BRD with the package, the fee and a date for every channel. That assessment fee is credited back in full against the migration.

We run Zendesk moves remotely for help desks across the US, Canada and Latin America, and can sit with your agents in Southern California on switch day. Prefer email? Our contact page works too.
