Migrate from Google Workspace to Zoho Mail with a US partner

Every Gmail mailbox, label, contact and calendar, landing in Zoho before anyone notices the switch.

We’re a certified Zoho Advanced Partner whose office sits in Glendale, a few miles from downtown LA. We move your Gmail accounts, calendars, contacts and Drive files into Zoho while people keep sending and receiving mail as usual. The MX change happens on a quiet night, a catch-up pass collects whatever arrived in between, and Google stays switched on until you’ve checked the result.

  • Labels arrive as folders
  • MX, SPF, DKIM and DMARC done for you
  • Google kept live as the fallback

Google Workspace migration: what moves, what changes, what doesn’t

Zoho’s own Google Workspace migration tool copies mail with its label structure, contacts and calendars, and the Zoho Mail admin console imports your users and their aliases straight from the Google directory. Drive files travel separately, through Zoho WorkDrive’s migration. A few things get rebuilt by hand, and a few stay behind for good. Here’s the honest split.

Moves with Zoho’s tools

  • Gmail, every folder you pick. All mail or a date range, with include and exclude lists for folders.
  • Labels, as Zoho Mail folders.Starred and Important mail arrive tagged so nothing loses its flag.
  • Contacts. Each person’s contacts land in Zoho Mail under matching categories.
  • Calendars and events.Zoho recreates each calendar and fills it, as long as the Zoho domain matches the Google one.
  • Users and aliases.Imported from your Google Workspace directory into the Zoho Mail admin console on a paid plan.
  • My Drive and shared drives.Through Zoho WorkDrive’s migration: Docs, Sheets and Slides become Writer, Sheet and Show files.

Moves, but changes shape

  • Messages with several labels. One copy per folder, so a heavily labeled mailbox takes more room. We trim overlaps first.
  • Google Groups.Rebuilt as Zoho Mail groups; members can be loaded by CSV.
  • Gmail filters and signatures.Recreated in Zoho Mail. We start with the people whose day depends on them.
  • Shared drives.Become private WorkDrive team folders, with Google roles swapped for team folder roles.
  • Phones and desktop mail apps.Reconnected to Zoho over the Zoho Mail app, IMAP or ActiveSync.
  • Apps that use “Sign in with Google”.Each one gets reconnected to the person’s new account, one by one.

Stays behind or needs another plan

  • Google Chat history.Zoho Cliq starts fresh. Export anything you must keep.
  • Google Meet links in old invites.Recurring meetings get reissued from Zoho Calendar with Zoho Meeting.
  • Comments and version history on Drive files.Only the current version of each file moves.
  • Google Forms, Sites and Maps.Skipped by the WorkDrive migration, so we plan a replacement or an export.
  • Google Vault holds and exports.Vault data is exported before Google is cancelled.
  • Apps Script and add-ons.Rewritten in Zoho Flow or Zoho Creator if the job still matters.

Zoho’s tool also skips duplicates, messages over your Zoho size limit and malformed messages, and lists every skipped item in its error report. We read that report mailbox by mailbox before switch day.

03For the people who worry about email

Is a Google Workspace migration safe while the whole office keeps emailing?

Yes, when it runs in the right order. Gmail keeps receiving mail until the night the MX records change, nothing in Google is deleted along the way, and each department checks its own mailboxes before the full copy starts. You’ll have a checked report in hand before anyone flips a DNS record.

A note from our founders

Email is the move people lose sleep over

We’ve been moving running businesses onto new systems since 2025, more than 300 projects so far. Of everything we move, the inbox makes people the most nervous, and that makes sense: it’s the first thing your team opens every morning.

So we treat your Gmail as live the whole time, because it is. Nothing gets copied without a plan your departments signed, MX stays on Google until the counts match, and Google gets cancelled only when you tell us. During the move, your team’s main job is to keep working.

What if something goes wrong?

  • A mailbox looks off after the copy

The original is still sitting in Gmail, untouched, because Zoho’s tool only reads from Google. We correct the folder setting and copy that one mailbox again.

  • Mail arrives in Gmail on switch night

DNS takes a while to spread, so a few messages may still land in Google. The catch-up pass next morning copies them over, and Zoho skips anything it already has.

  • A real problem shows up in week one

Inside the rollback window written into your BRD, the MX records can point back to Google. Mail flows to Gmail again while we fix it.

  • One department isn’t happy with its sample

The full copy waits. Each department lead checks their own pilot mailboxes and signs before we move everyone, so a problem gets caught on five inboxes instead of fifty.

Your Google Workspace stays live until you say so.After go-live it stops receiving mail and stays open, read-only, for look-ups. You cancel it once you’ve confirmed.

04Mailbox estimator

How big is your Google Workspace migration?

The size of a Gmail move comes down to mailboxes, gigabytes, the aliases and groups around them, and whether Drive comes along. Enter rough numbers from your Google Admin console. We’ll suggest a package and tell you which answer pushed it there.

Your numbers go into the contact form below so we start the call already knowing them. The real scope comes from the Migration Assessment.

    05Three sizes of move

Google Workspace to Zoho Mail migration packages

Most Gmail-to-Zoho moves fit one of three packages. Each one is a fixed fee, set after we’ve seen your tenant, so the price can’t creep while mailboxes copy. Bigger or messier tenants start with a paid Migration Assessment.

    Quick Move

    A small office, email only

    • Users and aliases imported from Google
    • Mail, labels, contacts and calendars copied
    • MX, SPF, DKIM and DMARC written and verified
    • One catch-up pass after the MX change
    • Phones reconnected and a short team walkthrough

Fixed fee, set in the BRD you sign before any mailbox starts copying.

    Standard Move

Gmail plus Drive and shared drives

    • Everything in Quick Move
    • Pilot mailboxes migrated and checked first
    • Label cleanup so storage stays sensible
    • Google Groups rebuilt as Zoho Mail groups
    • My Drive and shared drives moved to WorkDrive team folders
    • Key filters and signatures recreated
    • Training sessions by team

One fixed fee for mail and files, agreed in a signed BRD before the MX records change.

    Complex Move

    Large tenants, several domains, compliance

    • Everything in Standard Move
    • Mailboxes moved in waves by department or domain
    • Vault exports and a retention setup in Zoho
    • Apps that sign in with Google reconnected
    • Apps Script jobs rebuilt in Zoho Flow or Creator
    • On-site help on switch day in Southern California

Fixed fee covering every wave, signed off in the BRD before wave one begins.

    Migration Assessment

Paid, and credited in full against your move

For tenants with lots of history, shared drives or custom automations, we look before we quote. You keep every deliverable whether or not we do the move, and if we do, the full assessment fee comes off the migration.

    • Data audit: mailbox sizes, label overlap, shared drive count
    • Item-by-item map of your tenant to Zoho
    • Risk list with a fix for each risk
    • Cutover plan with DNS times and the rollback route
    • BRD with the fixed fee for the move

    06The move, start to finish

How the Zoho Mail migration runs, from first call to cancelling Google

Leaving Google takes fifteen steps across five phases. The tagged ones are migration-only: checking your Google renewal, the Migration BRD, two rounds of department sign-off, the sample copy, the full copy with its validation report, and the careful goodbye to Google. The map on the right shows where your incoming mail goes as you read.

Migration steponly happens when you’re leaving another system

    1. Phase 1Plan around your Google renewal

      1. 1
        Discovery call free

Your domains, headcount, departments, and the jobs Gmail, Drive and Google sign-in quietly do for you today.

      2. 2
Renewal and stopper date Migration step

Is your Google subscription on a Flexible or an Annual plan, when does it renew, and what do you need from Takeout or Vault? We pick a stopper date, meaning the final day you can safely rely on Google.

      3. 3
        Migration plan

Which mailboxes and shared drives move in which order, what we rebuild (groups, filters, signatures), and which evening suits the cutover. You get the plan and a fixed fee.

    2. Phase 2Write it down and sign it

      1. 4
        Migration BRD Migration step

Every mailbox, alias, group and shared drive listed by department, the DNS records that change, the rebuild list, stopper dates, acceptance checks (message counts per mailbox, sample threads) and how cutover and rollback will work. Larger Google tenants often receive it from the paid Migration Assessment we run first.

      2. 5
Department sign-off on the BRD Migration step

Each department’s point of contact, usually its head, signs for their own mailboxes and folders, and your project owner signs for the whole. We keep the record.

      3. 6
        Kickoff

Who does what, Google super admin and DNS registrar access, how we’ll keep staff informed, and the freeze rules for copy week: no password changes, no label reshuffles.

      4. 7
        Delivery schedule

Every department’s pilot, copy and training gets its own date, each landing well before the stopper date so Google never renews on you mid-move.

    3. Phase 3Build Zoho and try a sample

      1. 8
        Zoho Mail setup

Domain verified, users and aliases imported from Google, groups, shared mailboxes, signatures and WorkDrive team folders ready before a single message lands. Review demos let you click through it first.

      2. 9
        Sample migration Migration step

A few pilot mailboxes from every department, picked to include the messiest label setups, get copied into Zoho with their contacts and calendars.

      3. 10
Department sign-off on the sample Migration step

Each department lead opens their pilot inboxes in Zoho, checks folders, threads and events, and confirms in writing.

    4. Phase 4Copy everything, then prove it

      1. 11
Full migration and validation report Migration step

Every mailbox, plus Drive if it’s in scope, copied while people keep using Gmail. Then you get a validation report comparing Google and Zoho totals, mailbox by mailbox.

      2. 12
        Testing by your team

People from each department send, reply, search old threads and open files in Zoho, using their real data.

      3. 13
        Training

Department by department, on their own inboxes: folders that used to be labels, group addresses, the phone app and WorkDrive. Each department gets written manuals plus recordings of its sessions.

    5. Phase 5Switch MX, then step back

      1. 14
        Cutover and go-live

Before the stopper date, on a quiet evening. Gmail then goes read-only for look-ups, and the rollback window starts.

        • Last delta copy starts
        • Google MX out, mx.zoho.com, mx2 and mx3 in
        • Catch-up pass collects stragglers
        • DKIM verified, DMARC at p=none
        • Everyone working in Zoho Mail
      2. 15
Hypercare, then goodbye to Google Migration step

We stay close while people settle in. Vault data is exported, Google’s include leaves your SPF record, and nobody cancels Google until you give the word.

      09Week one in Zoho

Monday morning after the Zoho Mail switch

Nobody walks into an empty inbox. Here is what your team opens on the first workday, where their Gmail things went, and a cheat sheet for the buttons they will reach for out of habit.

      1. Open Zoho Mail

In the browser on a laptop, or the Zoho Mail app on the phone where Gmail used to be. Same email address, with the new password set during training.

      2. Find last year’s thread

Labels now sit as folders down the left side, nested the way they were. Old mail is already there, so search works from minute one.

      3. Check today’s meetings

Zoho Calendar holds the events from Google Calendar. Recurring calls that used Meet links were reissued with Zoho Meeting.

      4. Open a shared file

My Drive lives in WorkDrive under My Folders, shared drives became Team Folders, and Docs, Sheets and Slides open in Writer, Sheet and Show.

      10What can go wrong

Google Workspace migration risks, and how we handle each

Most trouble in a Gmail move is predictable. Tick the risks that sound like your company to read how we deal with each. The panel on the right lists what tends to speed a move up or slow it down.

      11The case for switching

Why Zoho Mail instead of Google Workspace?

Mostly price and compliance. Zoho Workplace Standard, with mail, file storage, chat and meetings, lists at $3 per user per month billed yearly, against $14 for Google Workspace Business Standard. Retention and eDiscovery start with Zoho Mail Premium at $4, while Google puts Vault in Business Plus at $22.

Staying on Google is the better call if your team edits Google Docs with clients every day, or if most of your apps depend on Google sign-in and nobody wants to touch them. We’ll say that on the first call if it’s true for you. Plans, prices and the full comparison are on our Zoho Mail page, and file storage is covered on Zoho WorkDrive.

      12Questions before the switch

Google Workspace to Zoho Mail migration FAQ

Downtime, old email, Drive files, cost and the Google admin settings we need. If your tenant has something unusual, like a huge archive mailbox, bring it to the first call.

What moves from Google Workspace to Zoho Mail?

Zoho’s Google Workspace migration tool copies each user’s Gmail with labels turned into folders, their contacts and their calendars with events. Users and aliases are imported from your Google directory in the Zoho Mail admin console. My Drive and shared drives move to Zoho WorkDrive through its own migration, with Google Docs, Sheets and Slides converted to Zoho Writer, Sheet and Show.

      What doesn’t move to Zoho?

Google Chat history, Drive comments and version history, Google Forms, Sites and My Maps, Vault data and Apps Script code stay behind. Gmail filters, signatures and Google Groups are rebuilt by hand in Zoho Mail. Apps that use Sign in with Google have to be reconnected to each person’s Zoho account.

Will our email go down during the switch?

No mail should be lost. People keep using Gmail while everything copies, the MX records change in a quiet evening window, and a catch-up pass afterwards collects anything that reached Gmail while the change spread. Zoho skips messages it has already copied, so nobody sees duplicates.

Do we keep our old email history and attachments?

Yes. You can move all mail or only a date range, and attachments stay on their messages. Messages bigger than your Zoho size limit or with broken headers are skipped and listed in Zoho’s error report, which we review with you before sign-off.

What happens to Gmail labels in Zoho Mail?

Each label becomes a folder. A message with several labels is copied into each matching folder, which uses more storage, so we clean up overlapping labels first. Starred and Important mail can arrive tagged in Zoho.

How do Google Drive and shared drives move?

Through Zoho WorkDrive’s Google Workspace migration, available on WorkDrive team plans. Shared drives become private team folders and can only be taken on the first run, so we agree the list in advance. Comments, version history and trashed files stay in Google.

How long does a Google Workspace to Zoho Mail migration take?

It depends on mailbox count, gigabytes, label clutter, shared drives, how many departments sign off and how many apps sign in with Google. We work backwards from the date your Google subscription renews, set a stopper date before it, and the delivery schedule in your signed BRD dates every step from the sample mailboxes to the MX switch.

      What does the migration cost?

We offer three packages, Quick Move, Standard Move and Complex Move, each at a fixed fee set in a signed BRD. Larger tenants start with a paid Migration Assessment, and its fee is credited in full against the migration. Zoho’s own licenses are separate, from $1 per user per month for Mail Lite billed yearly.

What happens to my Google Workspace account after go-live?

It stays switched on. Once the MX records point to Zoho, Gmail stops receiving new mail and is kept read-only so people can look up an old thread or file, and the MX records can point back to Google during the agreed rollback window. We export Vault data, and you cancel Google only after you confirm everything is in Zoho.

Who signs off the Gmail to Zoho Mail migration?

Each department names a point of contact, usually the department head, who signs the Migration BRD for their mailboxes and later confirms their sample mailboxes in Zoho. Your overall project owner signs as well, and we keep a record of every sign-off before the full copy and the MX switch.

What do you need from our Google Admin console?

A super admin who can create a Google Cloud service account and authorize it under domain-wide delegation with the read-only Gmail, contacts, calendar and directory scopes Zoho lists. Zoho then reads your data without changing anything in Google.

Which DNS records change when we move to Zoho Mail?

A TXT or CNAME record verifies the domain, the Google MX records are replaced with mx.zoho.com, mx2.zoho.com and mx3.zoho.com, your single SPF record gets include:zohomail.com, a Zoho DKIM key is published and verified, and DMARC starts at p=none before tightening.

Starting your Google Workspace migration with us

The first call is free. Smaller Gmail tenants are often scoped right there. Larger ones go through the paid Migration Assessment (its fee is deducted in full from the move), and either way the scope and fee end up in a signed BRD.

We run Google-to-Zoho moves remotely wherever your office is in the US, Canada or Latin America, with someone on-site on switch day in Southern California if you want it. Rather write first? Use our contact page.
