Migrate from HubSpot to Zoho CRM with a US partner

Every contact, company and deal lands in the right Zoho CRM module, with its notes and files still attached.

We move your live HubSpot portal into Zoho CRM while your reps keep selling in HubSpot. You sign off a sample move first, we rebuild the workflows and sequences that are worth keeping, and the switch lands before the stopper date we set from your HubSpot renewal.

  • Contacts, companies & deals
  • Notes, tasks, calls & files
  • Workflows rebuilt in Zoho

01Carried over, reshaped or rebuilt

What a HubSpot to Zoho CRM migration really carries over

Zoho CRM has its own HubSpot migration tool. It connects to your portal with a read-only private app token and pulls records across by API. Attachments and custom fields travel through Zoho’s file-based data migration. Your automation and marketing assets don’t travel at all, so we rebuild the ones your team still uses.

Moves with Zoho’s migration tools

  • Contacts into Contacts, with owner and create date
  • Companies into Accounts
  • Deals into Deals, linked to their contact and account
  • Deal line items onto the deal’s products list
  • Notes, tasks and calls on the same records
  • Meetings into Events, with start and end times
  • Owners as Zoho CRM users
  • Products, quotes and quoted items
  • Tags, the first ten per record
  • Attachments, through Zoho’s data migration zip import
  • Custom properties, as custom fields created during import

Moves, but lands differently

  • Early-stage contacts can go to the Leads module instead, by splitting the file on lifecycle stage
  • Logged emails come across as dated notes on the record. Zoho’s HubSpot tool skips them, so we export and load them ourselves
  • Custom objects go into Zoho custom modules by file import, since the API migration doesn’t cover custom modules
  • Tickets go to Zoho Desk, or to a custom module if support stays in the CRM
  • Pipelines and stages get set up in Zoho first, then deal stages map onto them
  • Lifecycle stage and lead status become picklist fields with matched values

Rebuilt in Zoho, by hand

  • Workflows become workflow rules, or Blueprint where a deal must follow steps
  • Sequences become Zoho CRM Cadences
  • Active and static lists become custom views and tags
  • Forms become web-to-lead forms or Zoho Forms
  • Reports and dashboards get rebuilt, the ones people open
  • Marketing emails move to Zoho Campaigns as new templates
  • Lead scoring, snippets and meeting links are set up again
  • Open and click history stays in HubSpot; we keep an export for your records

03Breathe out, your deals are safe

What keeps a HubSpot to Zoho CRM migration safe?

Three things: HubSpot stays switched on the whole time, nothing moves in bulk until your own people approve a sample, and we count every object on both sides before anyone changes how they work.

What if something goes wrong?

A deal looks wrong after the load?
Every Zoho record keeps its HubSpot record ID, so we trace it back in seconds. Import History lets us undo a whole batch and load it again.
Go-live week goes badly?
We agree a rollback window in the Migration BRD. Until it closes, your portal is sitting there intact, read-only, and your team can be pointed back to it.
The sample records look off?
Then the full move waits. Each department head checks their own sample in Zoho CRM and signs before we load the rest.
Reps keep working during the move?
Good, they should. A catch-up pass picks up every contact, deal and note created or edited after the full load.

04Portal estimator

How big is your HubSpot migration?

Rough numbers are fine. Your HubSpot settings page shows record counts, and the workflow and sequence tools show how many are switched on. We’ll suggest which of our three packages your HubSpot portal most likely fits.

    05Three ways to move

HubSpot to Zoho CRM migration packages

Each package below is written for a HubSpot portal, with the pieces it usually involves. The price is fixed once we’ve seen your portal, and the scope sits in a signed BRD. Bigger or messier portals start with a Migration Assessment.

    Quick Move

    One pipeline, a clean portal

    • Contacts, companies and deals through Zoho’s HubSpot connector
    • Notes, tasks, calls and meetings on the right records
    • Owners set up as Zoho CRM users before the load
    • Tags and the custom properties you still fill in
    • One sample move you sign off, then the full load and cutover
    • A training session on your own migrated deals

One fixed fee for the whole HubSpot move, set in a signed BRD before any record is touched

    Standard Move

A working sales team with automation

    • Everything in Quick Move
    • Several pipelines, products, quotes and line items

    • Lists turned into custom views, forms and key reports rebuilt
    • A sample move per team, a full load and a catch-up pass at cutover

One fixed fee for the whole HubSpot move, set in a signed BRD before any record is touched

    Complex Move

Custom objects, tickets and many integrations

    • Everything in Standard Move
    • Custom objects rebuilt as custom modules and loaded by file
    • Tickets moved to Zoho Desk or a custom module

0615 steps, five phases, both systems

Your HubSpot migration, step by step, on both sides

A HubSpot move follows the same 15 steps we use for every migration, grouped here into five phases. Read across each phase to see what happens in your portal and what appears in Zoho CRM at the same time. Steps marked Migration only are the extra checks a move needs on top of a new build.

    1. 1Plan around your renewal

      1. 1Discovery call
      2. 2Timeline and renewal check Migration only
      3. 3Migration plan and fixed fee

In HubSpot: We note your seat count, renewal date and notice period, check which exports your plan allows, and set a stopper date: the last safe day to still be working in HubSpot.

In Zoho CRM: Nothing is built yet. The plan lists which pipelines, teams and automations move first and which get rebuilt.

    2. 2Write and sign the Migration BRD

      1. 4Migration BRD Migration only
      2. 5Department sign-off Migration only
      3. 6Kickoff
      4. 7Delivery schedule

In HubSpot: A read-only private app lets us list every object, property, workflow and sequence. Sales, marketing and service each confirm what is theirs to keep.

In Zoho CRM: The field map, rebuild list and acceptance checks are signed by each department’s lead and your project owner. Every date in the schedule sits before the stopper date.

    3. 3Build, then prove it on a sample

      1. 8Zoho setup and development
      2. 9Sample migration Migration only
      3. 10Sample sign-off Migration only

In HubSpot: Still the system your reps live in. Sequences keep sending and nobody changes a habit yet.

In Zoho CRM: Users, pipelines, fields, workflow rules and Cadences go in first. Then a slice of each team’s contacts and deals lands, and each department head checks theirs.

    4. 4Move everything, test, train

      1. 11Full migration and catch-up Migration only
      2. 12Testing by your users
      3. 13Training by department

In HubSpot: Data freeze rules from kickoff kick in, so late edits are logged and carried over by the catch-up pass.

In Zoho CRM: The full load, the validation report with before and after counts, then reps test on real deals and learn on their own records. Every rep keeps the Zoho CRM manuals and recorded videos.

    5. 5Go live, then let HubSpot go

      1. 14Cutover and go-live
      2. 15Hypercare and decommission Migration only

In HubSpot: Sequences and workflows pause so nobody gets mail twice, and the portal turns read-only. You cancel it only after you confirm, and we keep an export of tracking history.

In Zoho CRM: Automations and integrations switch on before the stopper date. We stay close through hypercare while the rollback window is open.

When does your HubSpot contract end? Plan the migration backwards from it

Pick the date your HubSpot subscription renews. We set a stopper date a little before it, then count the 15 steps backwards so the move finishes with room to spare. Every week below is colored by phase.

This fills in the contact form below with your dates. Durations are illustrative ranges; your Migration BRD sets the real ones.

      08Monday morning after the switch

The first Monday in Zoho CRM after a HubSpot migration

Your reps already know their deals. The only new thing is where to click. Here’s what a sales rep sees on the first morning, and a cheat sheet for every “where did that go?” moment.

      1. 8:05

Signs in to Zoho CRM on the web or the mobile app with the account we set up. HubSpot still opens, read-only, for any quick look back.

      2. 8:12

Home shows open deals, today’s tasks and meetings. The Deals tab opens as a Kanban board with the same stage names the team used in HubSpot.

      3. 9:30

Opens a contact before a call. Notes, past calls, meetings, files and logged emails from HubSpot sit in the related lists, with their original dates.

      4. 11:00

Follow-ups come from Cadences now. The sequences that were worth keeping were rebuilt and tested on sample records before go-live.

      09Before cutover day

Is your HubSpot portal ready for a Zoho CRM migration?

Tick what’s already true for your portal. Each unticked line is something we sort out during the move, and the list tells you where the effort will go.

      0 of 10 ready

      What speeds a move up

      • One pipeline and tidy deal stages
      • Owners who still work at the company
      • A short list of workflows people actually rely on
      • Someone on your side who can answer field questions fast

      What slows it down

      • Contacts linked to several companies at once
      • Custom objects and ticket history
      • Hundreds of properties nobody fills in
      • Sequences still mid-flight on cutover day

      10Three years of seats

What three years of HubSpot Sales Hub seats cost next to Zoho CRM

Slide to your seat count and pick the plan you’re on and the Zoho CRM edition you’d move to. Both sides use US list prices per user a month, billed yearly.

      Your HubSpot Sales Hub plan
      Zoho CRM edition
      HubSpot Sales Hub, 3 years$0
      Zoho CRM, 3 years$0

Licenses you’d keep in the budget$0

The HubSpot migration itself is one fixed fee, written into your signed Migration BRD, so it can’t creep up halfway through.

License prices only. Taxes, add-ons and discounts vary.

      11Why teams make the switch

Why move to Zoho CRM instead of staying on HubSpot?

Mostly cost, and how far each plan goes before you have to upgrade. HubSpot Sales Hub Professional is $90 per user a month on yearly billing, plus a one-time $1,500 onboarding fee. Zoho CRM Professional is $23, with no onboarding fee, and Enterprise at $40 adds Zia, Zoho’s AI (now also called SI, super intelligence).

      • Blueprint keeps deals on a set path, a job HubSpot teams often hand to workflows and manual checks.
      • Zoho CRM shares one customer record with Books, Desk, Sign and Campaigns if you add them later.
      • Custom modules, fields and Deluge scripts cover a lot without a paid add-on.

When staying makes sense: if your marketing team runs most of its work in HubSpot Marketing Hub and sales is a small part of the portal, the move is really a marketing migration. We’ll talk through that on the first call before you commit to anything.

Compare Zoho CRM editions and setup options →
20 users, one yearProfessional plans on yearly billing, with HubSpot’s onboarding fee included
      HubSpot Sales Hub Professional$23,10020 × $90 × 12 + $1,500
      Zoho CRM Professional$5,52020 × $23 × 12

Same team, same year: about $17,580 stays in your budget. HubSpot reprices Sales Hub seats and onboarding now and then, so we re-check both numbers against your seat count before you decide.

      12HubSpot migration questions

HubSpot to Zoho CRM migration FAQ

What moves, what gets rebuilt, how long it takes and how the fee works. If your portal has something odd in it, bring it to the migration call.

What moves from HubSpot to Zoho CRM?

Zoho’s HubSpot migration tool moves contacts, companies (as accounts), deals, deal line items, notes, tasks, calls, meetings (as events), owners (as users), products, quotes and quoted items, plus up to ten tags per record. Attachments and custom properties come across through Zoho’s file-based data migration, with custom fields created during the import.

      What doesn’t move from HubSpot?

Workflows, sequences, active and static lists, forms, reports, dashboards, marketing emails, lead scoring and meeting links have to be rebuilt in Zoho. Email open and click tracking stays in HubSpot, and we keep an export of it for your records. Custom objects and tickets need a file import or Zoho Desk, because Zoho’s API migration doesn’t cover custom modules.

Will our sales team have downtime during the move?

Your reps keep working in HubSpot through the build, the sample migration and the full load. The only pause is a short cutover window: HubSpot sequences and workflows stop, a catch-up pass brings over the latest changes, and Zoho CRM automations switch on. We pick that window with you, often at the end of a week, and always before the stopper date.

Do email history and attachments come across?

Attachments do, through Zoho’s data migration zip import, where each file is linked to its parent record. Logged emails aren’t part of Zoho’s HubSpot tool, so we export them and load them as dated notes with sender and subject on the right contact or deal.

How long does a HubSpot to Zoho CRM migration take?

It depends on record counts, years of history, attachments, custom objects, how many departments are moving and how many workflows and sequences need rebuilding. We work backwards from your HubSpot renewal: the Migration BRD sets a stopper date and dates the sample migration, the full load, training and cutover ahead of it.

How much does a HubSpot to Zoho CRM migration cost?

We offer three packages, Quick Move, Standard Move and Complex Move, each at a fixed fee agreed in a signed BRD. Larger portals start with a paid Migration Assessment, and that fee is credited in full against your migration. Zoho CRM licenses are separate and paid to Zoho.

What happens to our HubSpot sequences and workflows?

We list every active one, drop the ones nobody relies on, and rebuild the rest. Sequences become Zoho CRM Cadences. Workflows become workflow rules, or Blueprint when a deal has to follow fixed steps. They run against test records during the parallel run before going live.

Can HubSpot contacts become Zoho CRM leads?

Yes. Zoho’s HubSpot tool sends contacts to the Contacts module, but we can split your export on lifecycle stage so early-stage people go to Leads and convert to a contact, account and deal later. We agree that rule with you in the field map.

What happens to my HubSpot account after go-live?

It turns read-only on cutover day, so nobody edits two systems, and it stays that way through the rollback window. You cancel HubSpot only after you confirm everything is in Zoho CRM. Before then we take a final export of email tracking and marketing history for your files.

      Who signs off the migration?

Each department moving out of HubSpot names a SPOC, usually the department head. That person signs the Migration BRD for their team and later checks and signs their sample records in Zoho CRM. Your overall project owner signs both as well, and we keep a record of every sign-off.

What about HubSpot marketing emails and lists?

Marketing emails and templates are rebuilt in Zoho Campaigns, and lists become custom views or tags in Zoho CRM. Unsubscribes come across as Email Opt Out so nobody who opted out gets mail again.

      What is SI?

SI stands for super intelligence. In September 2026 a US executive order asked federal agencies to use “super intelligence” or “SI” in place of “artificial intelligence” in official communications. Most businesses still say AI, so we use both terms.

      13How a HubSpot migration starts

From first call to a signed HubSpot migration plan

The first call costs nothing. A small, clean portal can often be scoped from that call alone. Larger portals go through the paid Migration Assessment, and its fee comes off your migration in full.

We run HubSpot moves over video for teams across the US, Canada and Latin America, and meet in person around Los Angeles when a cutover day calls for it.
