Solar O&M software that turns monitoring alerts into booked truck rolls

An inverter goes quiet at 11:20 am. By lunch a ticket holds the site, serial and contract, and a van is booked for Tuesday.

Our certified Zoho Advanced Partner team, led from Glendale, configures Zoho Desk, Zoho FSM and the apps beside them for US solar service teams, so alerts, visits, warranty claims and renewals hang off one record per site.

01At a glance

What does solar O&M software on Zoho actually do?

It runs service after switch-on: it hears about faults, sends the right technician with the right part, proves the visit, chases warranty claims and renews the contract. Your monitoring portal keeps watching production; Zoho takes over once someone has to act.

Built for
Installers with a growing service book, O&M companies, and commercial owners running their own roofs and carports.
One record per site
Each inverter, battery and meter serial, with install date, warranty start, photos and visit history.
Main apps
Zoho Desk for alerts and calls, Zoho FSM for visits and maintenance plans, plus Inventory, Billing and Analytics where they help.
What we deliver
Alert rules, contract and asset records, visit plans, mobile checklists, warranty steps and renewal reminders.

Service after PTO only. Sales and installs are on our solar software overview; dispatch features are on the Zoho FSM page.

02Heard from service managers

Where do solar service teams lose time, and contracts?

In the gaps between tools: the alert sits in a portal, the contract in a folder, the serial in a photo on someone’s phone. Flip a card for the fix.

03Twelve months, one contract

What does one year of a solar service contract look like in Zoho?

Seven moments, from the January asset walk to the December renewal. Scroll to move through the year, or pick a month.

  1. Moment 1 of 7January, contract start

The contract starts with an asset walk

A technician logs every inverter, battery and meter serial, with label photos. Warranty dates go on each asset; visits a year, inclusions and the response window sit on the account.

  2. Moment 2 of 7Late January

The first alert of the year

The portal emails “inverter offline”. Desk matches the serial to the site and plan and opens a ticket. A short call walks the owner through a breaker reset, and it closes without a truck.

  3. Moment 3 of 7March

    The spring inspection books itself

The maintenance plan created this work order weeks ago. On the map it sits near two open callouts, so one van does all three, working through a photo checklist.

  4. Moment 4 of 7May

Panel cleaning before the long days

Cleaning visits run before summer, dusty sites first, with before and after photos.

  5. Moment 5 of 7July

    An inverter fails under warranty

The tech logs the error code, and the ticket becomes a claim with the serial, install date and photos a manufacturer asks for. The replacement’s serial then goes on the asset.

    Zoho Inventory for solar

  6. Moment 6 of 7October

Fall inspection and the owner’s report

After the second visit, the year’s alerts, visits and fixes roll into one report per owner.

    Zoho Analytics

  7. Moment 7 of 7December

Renewal, with the year as evidence

A renewal task arrived with the lead time you chose. The quote carries the year’s visits and closed tickets, and the fee is invoiced from Zoho Billing or Zoho Books.

Months and sites are samples; your visit rhythm and response windows come from your contracts.

04Monitoring software, honestly

Isn’t the inverter portal already our solar monitoring software?

For watching production, yes, and we keep it. It can’t decide who goes, carry the part, prove the visit or renew the contract. Pick a job to compare.

Spotting a fault

Portal plus Zoho

Detection stays in the portal; Zoho turns the alert into work.

Portal alone

Good at this: it flags offline devices and sends the alert.

Knowing which contract applies

Portal plus Zoho

The serial finds the site, plan and warranty status automatically.

Portal alone

It knows the device, not the plan, so someone looks it up.

Deciding who goes and when

Portal plus Zoho

FSM maps open work against each tech’s day, so callouts join nearby visits.

Portal alone

No dispatch: scheduling happens in a separate calendar.

Getting the right part on the van

Portal plus Zoho

The asset model and van stock are known, so the part rides along.

Portal alone

It can’t see your shelves or your trucks.

Proving the visit happened

Portal plus Zoho

Checklist, photos, time on site and signature stay on the work order.

Portal alone

Production recovers, but nothing records what the tech did.

Renewing the service contract

Portal plus Zoho

End dates trigger renewal tasks with the year’s work attached.

Portal alone

Contracts are outside its scope.

Production graphs and string data

Portal plus Zoho

We don’t copy every reading; tickets link back to the portal.

Portal alone

The right home for interval data, string curves and diagnostics.

05The service loop

Which Zoho apps does a solar O&M team need?

Two carry the load: Zoho Desk hears about problems and Zoho FSM sends people to fix them. The rest join where your team loses the most time.

  1. 1Hear about it

    Zoho Desk

Alert emails, owner calls and web forms become tickets on the right site, prioritized by plan.

    Zoho Flow

Passes alerts from monitoring platforms that offer an API.

  2. 2Send someone

    Zoho FSM

Work orders, the dispatch map, recurring maintenance plans and the technician app.

  3. 3Fix it

    Zoho Inventory

Spare parts by warehouse and van, with serials for replacements and returns.

  4. 4Bill for it

    Zoho Billing

Contract fees invoiced on schedule, extra repairs billed from the work order.

    Zoho CRM

Accounts, contracts, renewal quotes, and battery or expansion leads.

  5. 5Learn from it

    Zoho Analytics

Repeat faults by model, contract revenue against service cost, owner reports.

    Zoho Creator

A portal for multi-site owners or subcontracted techs.

06Sketch your service book

How many visits will your contracts create, and which ticket rules fit?

Set your sites, visit rhythm and alert sources. The builder counts planned visits and drafts sample ticket rules, which we write properly with you during scoping.

Ticket rules we’d start from

  • Alert emails open a ticket on the site whose serial they mention; unmatched alerts go to a review queue.
  • A warranty claim ticket opens from any failed part still inside its warranty dates.

07Paperwork and decisions

Warranties, guarantees and incentive paperwork: what does Zoho keep, and what stays with you?

Zoho keeps the evidence and the dates. The manufacturer approves warranty claims, your contracts define any performance promise, and incentive or tax questions go to your adviser.

The site record keeps

  • Asset serials, models, install dates and warranty start dates
  • Every visit report with checklist answers, photos and signatures
  • The alert history and how each ticket was closed
  • Interconnection, PTO, NEM and SGIP documents filed on the site

Stays with you and your advisers

  • Whether a manufacturer accepts a warranty claim
  • Terms of any production guarantee in your contracts
  • Eligibility for NEM, SGIP or federal tax credits, and any filing
  • Electrical work rules and licensing for the people on the roof

We track the paperwork only; incentive wording in customer messages is checked by your own adviser.

08What Zoho charges

What do Zoho Desk and Zoho FSM cost for a solar service team?

Desk is priced per support agent, FSM by appointments a month with technicians included. Zoho’s public US rates, per month, billed yearly unless noted.

Zoho Desk per agent

  • Freeup to 3 agents
  • $7Express · $9 monthly
  • $14Standard · $20 monthly
  • $23Professional · $35 monthly
  • $40Enterprise · $50 monthly

Only people who answer tickets need an agent seat. Technicians work in FSM, not Desk.

Zoho FSM per org, at 60 appointments a month

  • Freeup to 30 appointments a month, 20 users
  • $25Standard
  • $35Professional
  • $40Premium

More appointments move you to a higher band. Adding a technician adds no seat fee.

Zoho One includes both at $37 an employee a month, yearly, all employees. Our setup is one fixed fee in a signed BRD, set once we’ve seen your contract types, alert sources and asset lists.

09Three ways to start

Which O&M setup package fits your service book?

Pick by where it hurts most: missed alerts, messy dispatch, or contracts and owner reporting. Each builds on the one before.

  1. Missed alerts

    Alert Desk

    • Alert emails parsed into tickets
    • Site and asset records with serials
    • Priorities taken from each service plan
    • Owner calls and forms on the same queue

One fee in the BRD for the sources and sites it lists.

  2. Messy dispatch

    Service Fleet

    • Everything in Alert Desk
    • Zoho FSM maintenance plans per site
    • Technician checklists with photos
    • Van stock and spare parts in Inventory

Each checklist and van named in the BRD, at a fixed price.

  3. Contracts and owners

    Portfolio O&M

    • Everything in Service Fleet
    • Contract records with renewal tasks
    • Recurring contract billing
    • Owner reports and a monitoring API link

Fixed in the BRD, with the API link dated as its own phase.

How we start, in four steps

  1. Discovery callThirty minutes on your sites, portals and who answers alerts today.
  2. Service mapWe trace one real alert to a closed ticket and note every handoff.
  3. Scope and BRDRules, imports and dates, signed by you. Big portfolios may need a paid scoping stage, quoted first.
  4. Build, import, trainSerials imported, rules tested on last month’s alerts, desk and techs trained.

Proof we can show, and what we keep private

No solar service client is named here, because we only publish a client story with permission. Your site lists and alert history would be kept just as quiet.

10Service managers ask

Solar O&M and monitoring software: questions we get

Alerts, visits, warranties, pricing and taking over other installers’ systems. Bring one recent alert email to the call and we’ll show where it would land.

Does Zoho replace our inverter monitoring portal?

No. The portal keeps watching production and sending alerts. Zoho takes over once someone has to act: the alert becomes a Zoho Desk ticket on the right site, and Zoho FSM books the visit if one is needed.

How do monitoring alerts become tickets in Zoho Desk?

Most portals can email alerts, and Desk turns those emails into tickets. Rules read the serial or site ID, attach the ticket to that site and set the priority from its plan. Platforms with an API can pass alerts through Zoho Flow instead; we check yours in scoping.

Can Zoho FSM schedule recurring inspections and panel cleanings?

Yes. A maintenance plan on each site creates the year’s work orders at the contract’s rhythm, and each visit’s history stays on the asset.

How is Zoho FSM priced for a solar O&M team?

By appointments booked each month, with technicians included. The free edition handles 30 appointments a month for as many as 20 users. In the 60-appointment band, yearly billing puts Standard at $25, Professional at $35 and Premium at $40 a month; busier months mean a higher band.

Can we track inverter and panel warranty claims in Zoho?

Yes. Each asset carries its serial, model, install date and warranty start, so a failed part becomes a claim ticket with photos and error codes. Replacement serials go into Zoho Inventory; approval stays the manufacturer’s call.

Can we take over service for systems another installer put in?

Yes. The first visit to an inherited site is an asset walk: the technician records each serial and label photo, building the site record before contract work starts.

Does the software handle NEM, SGIP or tax credit paperwork?

Zoho tracks that paperwork and nothing more. Interconnection, PTO, NEM and SGIP documents can be filed on the site record with their dates. Eligibility, credit amounts and filings are questions for your tax or legal adviser.
