Migrate from Asana to Zoho Projects with a US partner

Your sections become task lists. Your “blocked by” links become a real schedule.

We move your live Asana workspace into Zoho Projects one project at a time, while your team keeps checking off tasks. Open work, owners, due dates, subtasks, custom fields and the files people still need come across first. Old, closed projects follow on a slower lane, and nobody has to stop for a “migration weekend”.

01Scope of the move

What moves in an Asana to Zoho Projects migration, what changes, what doesn’t

An Asana to Zoho Projects migration moves the work itself: projects, sections, tasks, subtasks, owners, dates, tags, custom fields, dependencies and logged time. Comments and attachments come across too, through the Zoho Projects API, with a small change in how they look. Rules, forms, portfolios, goals and app integrations have to be rebuilt in Zoho, and we price that rebuild in the same BRD.

Moves across

  • ProjectsEach Asana project becomes its own Zoho Projects project, created first so its tasks have a home.
  • SectionsEvery section turns into a task list with the same name and order.
  • Tasks and subtasksImported together, with each subtask still sitting under its parent.
  • AssigneesMatched to the people you’ve invited to the Zoho portal in the import’s owner step. Anyone left over stays unassigned until you pick an owner.
  • Start and due datesCarried over with the date format set on import.
  • Completed or openAsana’s done flag maps to your Zoho open and closed statuses.
  • Tags and custom fieldsText, number and dropdown fields land in task custom fields. Long text over 255 characters gets trimmed, so we check those first.
  • Dependencies“Blocked by” links become finish-to-start predecessors on the Gantt.
  • Logged timeAsana time entries come in as Zoho Projects time logs, matched to the user and the task.

Moves, but looks different

  • CommentsPosted to the right task through the API by a migration user, with the original author and date written at the top of each one.
  • AttachmentsRe-uploaded to the task they came from. Very large libraries can live in Zoho WorkDrive with a link on the task.
  • MilestonesIn Asana a milestone is a task. In Zoho Projects it’s its own object, now called a phase, so we create phases and hang the right tasks under them.
  • Approval tasksBecome a Blueprint step with an approve and reject path.
  • Tasks in several projectsZoho keeps a task in one project. We pick its home project and note the others on the task.
  • Recurring tasksThe next open copy moves. We set the repeat schedule again in Zoho.

Rebuilt, or left behind

  • RulesRebuilt as Zoho Projects workflow rules, or Blueprints where order matters.
  • FormsRebuilt in Zoho Forms, which can create a task in the right project.
  • Portfolios and goalsNo export path. We rebuild them as project groups, the portfolio dashboard and milestone reports.
  • Integrations and appsSlack, Google Drive and other connections get set up again from the Zoho side.
  • Project templatesRecreated as Zoho Projects templates once the first projects are live.
  • Followers, likes, inbox historyThese stay in Asana. We hand you a full export file to keep for records.

Zoho Projects imports up to 5,000 tasks per file, so a big workspace goes in batches. We confirm every field against your own Asana export during the assessment.

03Your safety net

Nervous about your Asana migration? That’s normal, and it’s planned for

Your projects keep running while they move. Asana stays open until Zoho Projects has proven itself on your own tasks, your department heads check a sample before anything big moves, and you decide the day Asana gets cancelled.

Your Asana stays live until you say so

A note from our founders

We have been moving running businesses from one system to another since 2025, across more than 300 projects. Asana workspaces have their own quirks: tasks that live in three projects, rules nobody remembers writing, guests who need a login on day one. None of that surprises us anymore.

What we ask of you is simple. Tell us how your teams really use Asana, sign the plan when it reads right, and check the sample when we show it to you. We carry the rest, one department at a time, and we stay close until your project leads stop asking where things went.

What if something goes wrong?

A wave imports badly
Asana is still there, untouched and read-only. That team keeps working from it while we fix the import file and run the wave again.
We find a problem after go-live
A rollback window is agreed in the Migration BRD. Inside it, going back to Asana is a planned move with known steps.
The sample looks wrong to a department
Nothing else moves. The full migration only starts once each department head has checked their sample projects and signed.
People kept updating Asana during the move
A catch-up pass picks up every task, comment and date changed since the first load, right before the switch.

The rollback window

From go-live until you confirm, Asana sits in read-only mode with every project intact. If Zoho Projects isn’t right inside that window, your team goes back to Asana while we fix it. Sample timeline; your window length is written into the Migration BRD.

04Workspace estimator

How big is your Asana to Zoho Projects migration?

Tell us roughly what’s in your Asana workspace. The estimator suggests which of our three migration packages fits and why, and how many import batches your tasks need. Then send those details straight to us in the contact form below.

Asana rules, forms or approvals in use?

Not sure? Asana shows a task count per project in its export, or we count it for you during the assessment.

    05Migration packages

Three ways to run your Zoho Projects migration

Each package is a fixed fee set in a signed BRD, sized by how much of your Asana workspace has to move and how much has to be rebuilt. Bigger workspaces start with a paid Migration Assessment, and what you pay for it comes off the migration in full.

    06The move, phase by phase

How we run an Asana to Zoho Projects migration without stopping work

Fifteen steps, grouped into five phases. Seven of them exist only because this is a migration, and they are marked below. Projects still cross in waves, a pilot first, so your team learns Zoho Projects on low-stakes work before client projects switch. Pick a phase to see where it lands on this sample calendar.

    Talk and plan

We learn how your teams use Asana and when the subscription ends, then plan the move around that date.

Sample calendar for illustration. Wave count and real dates depend on your workspace and go into your Migration BRD. See the full process →

      07Work back from your renewal

When does Asana renew? Plan your Zoho Projects migration backwards from that day

Asana bills per seat on a yearly or monthly cycle, so the end of your current term is the natural deadline. Pick that date and we set a stopper date two weeks earlier, the last safe day your team works in Asana. Every step of the move is then scheduled back from it, so go-live lands before you would pay for another term.

      09The first Monday

Monday morning after your Asana migration

The weekend switch is behind you. Here is what a project lead at a sample agency opens on the first morning, and where each familiar Asana habit now lives.

      1. Her tasks, already waitingShe opens Zoho Projects and lists every task she owns across projects, due dates intact. The Asana tab is still there, read-only, in case she wants to check an old thread.
      2. The launch plan on a GanttThe website relaunch now shows bars and arrows. Last week’s “blocked by” links are dependencies, so a slipped design task pushes the build dates on its own.
      3. Comments where she left themEach old comment sits on its task, with the original author and date at the top. She @mentions a designer, the same way she did in Asana.
      4. Hours logged for billingBefore leaving she logs time on two tasks. Her manager approves the timesheet later, and the billable hours can go to Zoho Books.

      10Before you switch

What can trip up an Asana migration?

Most Asana moves go wrong in the same few places: tasks living in two projects, guests with no Zoho login, rules nobody wrote down. Tick what’s true for your workspace and see which ones we’ll plan for.

      11Is it worth it?

Is an Asana to Zoho Projects migration worth it?

Usually it’s scheduling and cost. Zoho Projects Premium is $4 per user a month billed yearly ($5 monthly), Enterprise is $9 and Ultimate $14, and up to 5 users can start free. Asana Starter is $10.99 and Advanced, where time tracking and workload live, is $24.99. Read the full rundown on our Zoho Projects page.

      12Asana migration questions

Asana to Zoho Projects migration FAQ

What US teams ask us before they leave Asana: what survives the move, how long the switch takes and how the fee works. Bring your own question to the first call, which costs nothing.

Can Asana be imported into Zoho Projects?

Yes. Zoho Projects imports tasks from CSV, XLS and JSON files, which is what Asana exports. Projects, sections as task lists, tasks, subtasks, owners, dates, statuses, tags, custom fields and dependencies come in that way, up to 5,000 tasks per file. Comments and attachments go across through the Zoho Projects API.

What doesn’t move from Asana to Zoho Projects?

Rules, forms, portfolios, goals, project templates and app integrations have no import path, so we rebuild them in Zoho Projects, Zoho Forms or dashboards. Followers, likes and inbox history stay in Asana, and we give you the full export file to keep.

Do comments and attachments come across?

Yes. We post each comment to its task through the API with the original author and date at the top, because the migration user is the one posting it. Attachments are uploaded to the same task, or to a Zoho WorkDrive folder linked to the project when the files are large.

Will my team have downtime during the switch?

Not much. Projects move in waves, a pilot first. Each wave switches at a set cutover window, usually at the end of a work week, right after a catch-up pass, and Asana goes read-only for those projects so nobody updates the wrong tool.

Do Asana dependencies keep working in Zoho Projects?

Yes. Asana’s blocked-by links become finish-to-start predecessors, so the Zoho Projects Gantt draws them and moves dependent tasks when one slips. Zoho also supports start-to-start, finish-to-finish and start-to-finish if you want to refine the plan later.

How long does an Asana to Zoho Projects migration take?

It depends on how many projects, tasks, files and rules you have, and on when your Asana term ends. We set a stopper date ahead of that renewal and schedule every step back from it. The Migration BRD holds the real dates per department and wave, so you know before we start when each team switches.

How much does it cost to migrate from Asana to Zoho Projects?

We sell three packages, Quick Move, Standard Move and Complex Move, each at a fixed fee set in a signed BRD. Larger workspaces start with a paid Migration Assessment, credited in full against the migration. Zoho Projects licenses are separate, from $4 per user a month on Premium billed yearly.

What happens to tasks that live in more than one Asana project?

Zoho Projects keeps each task in one project. During the assessment we pick a home project for every shared task and add a note listing the other projects it belonged to, so nothing gets copied twice.

Can we keep using Asana while you migrate?

Yes. Teams keep working in Asana until their wave switches. Anything changed there in the meantime is picked up by a catch-up pass just before cutover, and the validation report compares counts after it.

Who signs off the Asana migration?

Each department that uses Asana names one point of contact, usually the department head. That person signs the Migration BRD for their team, then checks and signs their sample projects in Zoho Projects. Your overall project owner signs as well, and every sign-off is recorded.

What happens to my Asana account after go-live?

It stays live in read-only mode, so every old project and comment is still there to look up. We only cancel or downgrade Asana once you confirm that Zoho Projects is working for every team, after the rollback window and hypercare.

Can our logged time in Asana move to Zoho Projects?

Yes. Asana time entries can be imported as Zoho Projects time logs, matched to the person and the task, with the billable flag kept. From there, approved hours can be invoiced through Zoho Books.

      13How a migration starts

Four steps before your Asana migration starts

A two-team workspace with a few live projects is often scoped on the first call. A larger one, with years of closed projects and a pile of rules, starts with the paid Migration Assessment, which is credited back in full.

We run Asana moves online for teams across the US, Canada and Latin America, and train in person in Southern California when your leads prefer it.
