Zoho Creator for property management: a tenant portal and an owner portal on one set of records

Applicants apply, tenants sign and report repairs, owners open their month. Your staff work from the same units underneath.

Our Glendale crew, minutes from downtown LA, builds Zoho Creator apps for US property managers tired of answering “where is my application?” by phone. Rental applications, leases, repair requests, owner statements and the documents behind them sit in one app, and each person who logs in sees their own slice of it.

01Its place in the stack

Where does Zoho Creator sit in a property management workflow?

In the middle, facing outward. Zoho CRM and Zoho Billing feed it owner, unit and balance data; Creator is the screen tenants and owners log in to; repairs leave it as Zoho Desk tickets and come back with a status. It covers the leasing and resident stretch of the property management workflow.

02Six moments, before and after

What changes for the office once the portal is live?

Mostly the phone gets quieter. Step through six moments every property manager knows, and compare how they run today with how they run from the portal.

An applicant asks where their application stands

They call. Someone searches the shared inbox to see whether the pay stubs ever arrived.

They log in and see the checklist: ID received, proof of income missing, co-applicant invited.

A lease is coming up for renewal

The end date lives in a spreadsheet column, and nobody looks until the notice window is nearly gone.

A renewal task opens on the day you choose for that state, and the offer goes out for signature from the lease itself.

A tenant finds water under the sink at 11 pm

A voicemail, then a text to the manager’s cell, with the photos lost somewhere in the thread.

The tenant picks a category, adds photos and entry permission; urgent categories land in the on-call queue in Zoho Desk.

An owner questions a line on last month’s statement

An emailed PDF, a reply asking what the $185 was for, and twenty minutes of digging.

The owner taps the line and sees the ticket, the vendor invoice and the after photo without writing in.

Someone needs the signed pet addendum

A drive folder named after the tenant holds three versions, and none says which one was signed.

The signed copy hangs off the lease record, visible to the tenant and staff, and to the owner only if you allow it.

Rent comes in on the first

Your payment processor or property management software collects it.

It still does. The portal shows the balance from your billing system and a button to the payment page you already use.

03How the portal gets built

How we build a Zoho Creator tenant and owner portal, in seven steps

Discovery, data model, automations, integrations, testing, training and launch. Scroll and the tenant portal puts itself together on the phone, one piece per step, with the forms, fields and people involved written beside it.

  1. Step 1Discovery

Discovery: walk one move-in and one repair

We follow a real unit from inquiry to keys, and a real leak from call to vendor invoice. We map how owners, properties and units relate, which states you manage in, and who outside the office needs a login: applicants, tenants, co-signers, owners.

  2. Step 2Data model

Data model: forms named after your portfolio

Owners, Properties, Units, Applications, Leases, Repair Requests, Statements and Documents become Creator forms linked by lookups. Units carry bedrooms, market rent and status; leases carry dates, deposit recorded, pets and parking; requests carry category, photos and a preferred entry window.

  3. Step 3Automations

    Automations written in Deluge

An application moves to review only when every required document is in, and every applicant goes through the same steps. Renewal notices start on the lead time you set per state. Move-out opens an inspection checklist that the field team fills in on the Creator mobile app.

  4. Step 4Integrations

    Integrations with the sibling apps

A submitted repair creates a Zoho Desk ticket with the unit, tenant, photos and access notes, and the ticket status flows back to the portal. Leases go out through Zoho Sign. Balances come from Zoho Billing, and finished repair costs post to Zoho Books against the owner’s property.

  5. Step 5Testing

    Testing with a sample portfolio

We load two sample owners, three buildings and a dozen units, then log in as each role. Can the tenant in 4B see anything about 4A? Can one owner open another’s statement? Does a 2 am report of no heat reach the on-call queue? Every answer gets written down.

  6. Step 6Training

    Training by role

Property managers, leasing staff, the maintenance coordinator and your bookkeeper each learn their own screens. Tenants and owners never sit through training: we write a one-page guide for each, in your company’s name.

  7. Step 7Go-live

    Go-live, then support

Owners get invites first, since they are fewer and quick to give feedback. Tenants follow building by building, or at renewal. After launch we stay on for fixes and new requests, each one priced before we touch it.

Sample unit, owner and screens. The forms, roles and which apps connect are agreed with you in discovery, so your portal will look like your portfolio, not this drawing.

04Parts list and permissions

Which parts get built, and who sees which screen?

Eight working parts, then one rule over all of them: a login shows only the records tied to that person. Pick a role to see their screen.

  • Rental applicationCo-applicant subform, document uploads, consent checkbox, status your applicant can read
  • Lease recordTerm, rent, deposit recorded, addenda, renewal date and the Zoho Sign envelope
  • Repair requestCategory, urgency, photos, pets on site, permission to enter and the Desk ticket link
  • Owner statement pageMonth picker, income and expense lines, drill-down from each repair to its proof
  • Document vaultFiles per lease and per property, with a visibility setting on each file
  • Inspection checklistRoom-by-room move-in and move-out items with photos, filled in from a phone
  • Portal rolesApplicant, tenant and owner profiles, each filtered to their own units
  • Staff rolesManager, leasing, maintenance and accounting permission sets inside the office

Opens toTheir unit: lease dates, balance due, open repairs

Can

  • Report a repair with photos and track it
  • Download their signed lease and addenda
  • Sign a renewal offer
  • Update emergency contacts and vehicles

  • Other units or neighbors’ requests
  • The owner’s name or statement
  • Internal notes on their file

Deposits, screening and fair housing are set by your policies and your state. Creator records the amount held, the reason for each move-out deduction and the steps each applicant went through; your attorney or broker decides the rules we encode.

05What Zoho charges

What does a Zoho Creator portal cost for a property manager?

Staff licences start at $8 per user a month on Zoho Creator Standard, billed yearly. Tenants and owners don’t take staff licences; they log in as portal users, which Zoho sells as an add-on by headcount. Creator also comes inside Zoho One if you’d rather license the whole office once.

We bill the portal build as one fixed fee, agreed in a BRD you sign, naming each form, role and integration. Your first call costs nothing.

  • StandardOne app · $12 billed monthly$8
  • ProfessionalUnlimited apps · $30 billed monthly$20
  • EnterpriseYour own domain, branded mobile app, SAML SSO · $37 billed monthly$25
  • Zoho OneCreator plus Desk, Sign, Books and the rest, All Employee pricing$37

Prices are per staff user each month, in US dollars, before tax; the large figure is the yearly-billing rate. Zoho One All Employee means licensing everyone on payroll. Portal user packs are priced separately, and we confirm the edition and portal count your units need with Zoho before you buy.

06Questions from property managers

Zoho Creator portals for property management: common questions

Rent, screening, deposits and the software you already run. Bring a sample owner statement to the call and we’ll sketch its portal version with you.

Can tenants pay rent inside a Zoho Creator portal?

Creator can connect to a payment provider, but most property managers keep rent where it is collected today, in their property management software or processor. The portal then shows the balance from your billing system and links to that payment page, so tenants have one login without you moving money to a new system.

Does a repair request stay in Creator or go to Zoho Desk?

It starts in Creator, where the tenant fills in the form, and becomes a Zoho Desk ticket the moment it is submitted. Your maintenance team works the ticket in Desk with due times and vendor notes, and each status change shows up on the tenant’s request in the portal.

Can one owner with several properties see everything in a single login?

Yes. An owner profile is linked to every property that owner holds, so one login shows all of them, with a statement per month and the option to filter by building. Joint owners or an owner’s accountant can get their own logins with the same or narrower access.

Is tenant screening done inside the Creator app?

No. Screening reports come from your screening provider. Creator holds the application, the documents, the decision and the date of each step, and applies the same checklist to every applicant. Your screening criteria and adverse action wording come from your counsel.

How are security deposits handled in the portal?

Creator records the deposit amount, where it is held and each move-out deduction with photos from the inspection checklist. The money itself stays in your trust account. Return deadlines and allowed deductions vary by state, so the reminder dates follow the rules your attorney gives us.

Do we have to leave our current property management software?

Not at all. Many managers keep their accounting system and add the Creator portal on top, syncing units, leases and balances. If you later want to move more into Zoho, the forms already exist and the portal logins stay the same.
