Zoho Books vs QuickBooks Online: which one fits your books?

Both will run the ledger of a US small business well. The gap shows up in how many people need a login and which features you pay a higher tier to reach.

We implement Zoho Books for US companies, and plenty of our new clients arrive with years of history in QuickBooks. So we compare the two on paper before anyone moves a single invoice. This page is that comparison: features, 2026 US list prices, and the cases where staying on QuickBooks Online is the smarter call.

01If you only read one section

Is Zoho Books better than QuickBooks?

For most US teams of three to fifteen people, Zoho Books gets you the same core accounting for less money, because users and mid-tier features come cheaper. QuickBooks Online is still the easier choice when your CPA lives in it or your payroll already runs there. A few businesses are honestly fine on either.

Extra people cost $2.50 a month each on a yearly plan, and projects, inventory, custom roles and approvals all arrive on the $40 Professional plan.

Owners whose accountant only works in QuickBooks

Two accountant seats come with every paid plan, and a bookkeeper who already knows the screens saves you real hours at tax time.

02Head to head

Zoho Books vs QuickBooks features, round by round

Nine rounds, each scored on what a US business actually pays for or works with every week. Zoho Books takes most of them on price per feature. QuickBooks Online takes the rounds about people and payroll you already have. Your own weighting matters more than our tally.

05When to choose which

When should you stay on QuickBooks, and when should you switch?

Stay when the people around your books are the reason QuickBooks works. Switch when the plan you are paying for is the reason it hurts. Most owners recognize themselves in one column within a minute.

Keep QuickBooks Online if

  • Your outside CPA firm works only in QuickBooks and charges extra to learn anything else.
  • You already run QuickBooks Payroll and your team is happy with it.
  • You rely on a specific third-party app that only connects to QuickBooks.
  • You are a team of one or two, and the yearly difference would not buy a nice dinner.

Selling in Zoho CRM but keeping QuickBooks? Connect QuickBooks to Zoho CRM instead of switching.

Move to Zoho Books if

  • You sit at QuickBooks Plus only because of a sixth user, or eye Advanced just for approvals.
  • You bill time against projects and want retainers and a client portal in the same app.
  • Your sales team already works in Zoho CRM, or you plan to adopt Zoho One.
  • You need multi-currency or stock tracking without paying for a top tier.

06Moving the books

How hard is a QuickBooks to Zoho Books migration?

Lists, open invoices, bills and opening balances move cleanly. Years of transaction history take longer, so we agree how much to bring before the work starts. We pick a month or quarter end as the cutover, test-load a copy first, and keep QuickBooks read-only until your trial balance matches.

07Questions owners ask us

Zoho Books vs QuickBooks questions

Short answers on price, accountants, payroll and moving your file. Have your current QuickBooks plan name handy when we talk.

Is Zoho Books cheaper than QuickBooks Online?

At US list prices, yes, for most team sizes. Zoho Books runs from $15 to $240 per organization a month on a yearly plan, while QuickBooks Online runs from $38 to $340 a month at its standard price. The gap grows when you need more users, budgets, custom roles or approvals.

Which plan of Zoho Books matches QuickBooks Online Plus?

Zoho Books Professional at $40 a month on a yearly plan covers the same core needs as QuickBooks Online Plus at $140: projects, inventory tracking and 5 users. If you also need budgets, Zoho Books Premium at $60 adds them with 10 users.

Can my accountant work in Zoho Books?

Yes. Your accountant gets their own login in Zoho Books, and the Free plan includes one accountant user. Many US CPA firms know QuickBooks better, so we walk your accountant through the reports they use most before you go live.

Does Zoho Books handle US sales tax and 1099s?

Yes. Sales tax tracking, bank feeds and 1099 e-filing are part of Zoho Books Standard at $15 a month on a yearly plan. Even the Free plan lets you track and prepare 1099s.

What do I use for payroll if I leave QuickBooks?

Zoho Payroll is the usual pick. It is a separate Zoho app for US payroll that posts pay runs into Zoho Books. If your current payroll provider is working well, we can also keep it and bring its journals into the ledger.

Can you move my QuickBooks Online or Desktop file to Zoho Books?

Yes. We move customers, vendors, items, the chart of accounts, open invoices and bills, and as much history as you choose. We test-load a copy first, cut over at a month or quarter end, and keep QuickBooks read-only until your balances match.

How long does a switch from QuickBooks take?

It depends on how many years of history you bring and how clean the file is. We agree the scope in a signed BRD that comes with a delivery schedule, so you know the cutover date before any data moves.

Is QuickBooks Online ever the better choice?

Yes. If your CPA works only in QuickBooks, your payroll already runs inside it, or you depend on a third-party app that only connects to QuickBooks, staying is often simpler. A one-person business with basic invoicing may also see too small a saving to bother.

How much does it cost to have you set up Zoho Books?

Our first conversation about your books costs nothing. After that, the setup or migration is a fixed price written into a signed BRD, based on your entities, history and integrations. If your file needs a paid review before we can scope it, we quote that review up front.
