How to set up US sales tax in Zoho Books

Sales tax is where a new Zoho Books file most often goes wrong, usually because someone typed one flat rate and moved on. Setting it up properly takes an afternoon of decisions and a short checklist. This guide walks through each screen, explains when the built-in Sales Tax Automation is enough and when Avalara earns its fee, and flags the questions that belong to your CPA.

How do you set up sales tax in Zoho Books?

Turn on sales tax under Settings, then Taxes and Compliance. Add your tax authorities, create tax rates and tax groups, set up exemptions, assign rates to customers and items, decide on use tax, and check the sales tax liability report against a few test invoices before going live.

Zoho Books handles the arithmetic well. What it cannot do is decide which states you owe tax to, which of your products are taxable there, or which customers are exempt. Those are tax decisions, and they come first. The software steps below assume you have the answers from your CPA or tax adviser.

Where do you need to collect sales tax?

Wherever your business has nexus, meaning a connection with a state strong enough to create a duty to collect its sales tax. Rules differ by state and change over time, so this is a question for your CPA, not your accounting software.

Nexus can come from a physical presence, such as an office, staff or stored inventory, or from enough sales into a state even with no presence there. Each state sets its own tests. Zoho Books does not decide nexus for you; it applies tax in the states where you tell it you are registered. If you need ongoing monitoring of where you might be crossing a state’s line, that is one of the jobs the Avalara integration covers, as we explain below.

What are the setup steps, screen by screen?

Six steps, all under Settings, then Taxes and Compliance, except the last one, which lives in Reports.

1Enable sales tax

If you skipped it when creating the organization, go to Settings, choose Taxes under Taxes and Compliance, and click Enable Sales Tax. One catch: if you already have recurring invoice profiles or a Stripe connection, Zoho Books asks for a default exemption reason and a default tax authority at this point, so create those first or have the names ready.

2Add your tax authorities

A tax authority is the agency that collects the tax, usually a state department of revenue, sometimes a local body. In Zoho Books each authority has a name and a state. Linking every rate to the right authority is what makes the liability report split cleanly by who you pay.

3Create tax rates and tax groups

A tax rate is a name, a percentage and an authority. A tax group combines several rates, which is how you model a sale where state, county and city taxes all apply. Name them so a bookkeeper can read them at a glance, for example "CA state" and "Los Angeles County district" rather than "Tax 1". If you are moving from another system, rates and groups can be imported from a file instead of typed.

4Set up exemptions

Exemptions cover customers who do not pay sales tax, such as resellers or nonprofits, and items that are not taxable. Each exemption has a reason, a description and a type: customer or item. With Sales Tax Automation turned on, you can also store a customer’s exemption certificates by state, with expiry dates, which saves a scramble if a state ever asks to see them.

5Assign rates to customers, vendors and items

Once a customer or vendor has a tax rate or group, it fills in automatically on every transaction for them. Items can carry their own tax treatment too. This is the step that removes most day-to-day mistakes, because nobody has to remember which rate to pick.

6Test, then read the liability report

Raise three or four test invoices that cover your common cases: an in-state taxable sale, an exempt customer, a non-taxable item and, if relevant, an out-of-state sale. Then open the sales tax liability report and check that each one landed under the right authority. Delete the tests before go-live.

Do you need to turn on use tax?

If you buy taxable goods from out-of-state sellers who do not charge you sales tax, you may owe use tax to your own state. Zoho Books can track it on purchases once you enable it.

Use tax is switched on under Tax Settings with the option to enable it in purchase transactions. After that, you tick a box on a bill to mark it as subject to use tax. Those amounts show in their own column on the sales tax liability report and are tracked in a tax paid expense account, so they do not get mixed up with tax you collected from customers.

Which Zoho Books plan includes sales tax?

Sales tax and use tax tracking start on Standard, which is $15 per organization per month billed yearly, or $20 billed monthly, with 3 users. The free plan does not include them.

Standard$15$203Yes
Professional$40$505Yes
Premium$60$7010Yes

Prices are per organization per month on Zoho’s US list, before tax. Extra users cost $2.50 a month on yearly billing. Higher plans add multi-currency, inventory, approvals and more, which matter more for your choice than tax does. Plan details sit on our Zoho Books page.

Does Zoho Books file your sales tax returns?

Zoho Books calculates, tracks and reports the tax. Filing the return with each state is still done by you or your CPA, unless you add a filing service such as Avalara’s.

The liability report gives you the figure per authority for the period. When you pay a state, record the payment in Zoho Books so the liability clears. The exceptions report is worth a monthly look as well: it lists invoices where tax was entered by hand or where address or exemption details were missing, which are the ones most likely to be wrong.

What are the most common sales tax setup mistakes?

One flat rate for every sale, untested exemptions, and rates nobody owns. All three are cheap to fix on day one and painful to unwind at year end.

  • A single rate for everything. Local rates differ within a state. Use groups, or let automation work it out from the address.
  • Assuming shipping is never taxable. States treat shipping and handling differently. Ask your CPA and set items to match.
  • Certificates in an inbox. Store them against the customer in Zoho Books, with expiry dates.
  • Editing a rate that is already in use. Zoho Books asks whether to update existing transactions. Read that prompt carefully before you click.
  • Migrating without the opening liability. Tax collected but not yet paid in your old system needs to arrive as an opening balance.

How do we help with Zoho Books tax setup?

We configure Zoho Books to match the decisions your CPA makes, test it with real scenarios, and train your team on the monthly routine.

Tax setup sits inside our wider Zoho Books rollout, alongside the chart of accounts, bank feeds and opening balances, and it is written into the BRD with a fixed price before we start. We are happy to have your CPA on the review call. If you are coming from QuickBooks, our QuickBooks to Zoho Books migration page explains how tax history moves, and Zoho Books vs QuickBooks compares the two side by side.

01Built-in or Avalara

Is Zoho Books’ built-in tax automation enough, or do you need Avalara?

For most small businesses selling in one or a few states, the built-in Sales Tax Automation is enough, and on paid plans it costs nothing extra. Avalara AvaTax, connected through the Zoho Marketplace, adds nexus monitoring, return filing and detailed product rules. Tap a situation to see which fits.

02Sales tax questions

Zoho Books sales tax questions

What owners and bookkeepers ask before the first invoice goes out.

Does Zoho Books calculate US sales tax automatically?

Yes. On paid plans, Sales Tax Automation works out the tax on each transaction from the customer’s address, what you sell and the states where you have added registrations. You can still enter tax by hand on a transaction, and a fallback rate covers cases it cannot resolve.

Does Zoho Books integrate with Avalara?

Yes. Avalara AvaTax connects through the Zoho Marketplace. It suits businesses that want nexus monitoring, return filing, registration support or detailed product taxability on top of what Zoho Books does on its own.

Which Zoho Books plan do I need for sales tax?

Standard or higher. Standard is $15 per organization per month billed yearly ($20 monthly) with 3 users and includes sales and use tax tracking. The free plan does not track sales tax.

Does Zoho Books file sales tax returns?

No. It calculates, tracks and reports what you owe per tax authority, and you record payments against it. The return itself is filed by you or your CPA, or through a filing service such as Avalara.

How do I know which states I need to collect sales tax in?

That depends on nexus, which each state defines in its own way through physical presence, sales into the state or both. Your CPA or tax adviser should confirm it. Zoho Books then applies tax in the states you register it for.

Can Zoho Books handle tax-exempt customers?

Yes. You create exemption reasons for customers or items, and with Sales Tax Automation you can store each customer’s exemption certificates by state with expiry dates, so exempt sales are marked without manual overrides.
