Can Zoho run an in-house mortgage desk?
Yes. Loan officers and processors log in to the same Zoho account as the agents, in a pipeline of their own, so a referral is one click from a buyer’s deal.
Zoho CRM · Bookings · Sign · CampaignsMortgage · Real estate · Zoho partner in the USA · Los Angeles
The agent refers, the loan officer picks it up, and both can see where the loan stands without a single “any news?” text.
From Glendale, near Los Angeles, Elite Tech Global (a certified Zoho Advanced Partner) sets up Zoho for the mortgage side of a brokerage: an in-house desk, an affiliated lender or the outside lenders your agents send buyers to. Referrals get logged, milestones flow back to the agent, and borrower financials stay behind the loan team’s permissions.

01Straight answer first
Yes, when the job is the relationship around the loan: referrals from agents, status updates back to them, partner lenders, and past clients who will buy again. Zoho runs that layer well and keeps borrower details fenced off from agents. It is not your loan origination system. Pricing, disclosures, underwriting and closing documents stay in the LOS. If you are a lender first and want Zoho running the whole loan, our lending and fintech page covers that build.

Your LOS keeps
02Four shapes of mortgage team
The setup depends on one question more than any other: is the loan officer on your payroll, at a company you part-own, or at a lender down the street? Each answer changes who logs in and what agents are allowed to see.
Yes. Loan officers and processors log in to the same Zoho account as the agents, in a pipeline of their own, so a referral is one click from a buyer’s deal.
Zoho CRM · Bookings · Sign · CampaignsIt works with a firmer wall: the lender gets its own profile and records, agents see milestones only, and the affiliated business disclosure is signed before the referral goes through.
Zoho CRM · Sign · Flow · AnalyticsYes, without giving them a login. Each partner lender is a record, referrals are logged against it, and the lender posts status changes through a short form or an email we parse.
Zoho CRM · Forms · CampaignsOften the simplest case. One loan officer licence, a shared view of the team’s buyers, and a weekly list of pre-approvals close to expiring.
Zoho CRM · Bookings · CliqTap Matters to us or Skip on each, or swipe on a phone. The verdict says which setup we’d sketch first.
Same company, same payroll, often the same floor.
Affiliated or not, it has its own licences and its own systems.
One contact record, one past-client list, one set of reports.
We only need the status of each referred buyer.
Pre-approved, appraisal back, clear to close: they want it on the deal.
Buyers get a choice, and we track every partner the same way.
Purchase anniversary and loan review sent by the same team.
03Where the loan goes quiet
Mostly the gaps between two teams who both think the other one is updating the buyer. Here are five messages brokers tell us get sent every week, and what replaces each one.
Agent to loan officer, 4:12 pm“Did you ever call the Nguyens? I sent them Tuesday.”
With ZohoThe referral carries a time stamp and a callback timer. If the loan officer hasn’t logged a call by your cut-off, the desk manager hears, not the buyer.
Agent to loan officer, Saturday“Can I get a new letter at $615k? We’re writing tonight.”
With ZohoA letter request from the deal, with the offer amount filled in. The loan officer issues the letter from the lender’s system and the request shows who answered and when.
Transaction coordinator, Monday“Is the appraisal back? Escrow is asking.”
With ZohoAppraisal ordered, appraisal received, conditions cleared and clear to close sit on the buyer’s deal as milestones, so the coordinator reads them instead of asking.
Broker of record, end of quarter“Which agents actually send us loans?”
With ZohoEvery referral is tied to the agent who sent it and the lender who got it, so referrals, funded loans and fall-outs report by agent, office and partner.
Loan officer, two years later“Who sold them that house? Rates dropped.”
With ZohoThe closed home and the funded loan stay on one past-client record, with the agent and loan officer both named, so a rate review or a move-up sale starts from the same history.
04One buyer, six hand-offs
In six steps, each owned by one person. The chip on every card shows who has the ball. Zoho records the referral and the milestones while the loan itself is built and decided in the lender’s own system. Scroll down and each hand-off sets one more piece on the closing table.
Step 1Agent
From the buyer’s deal in Zoho CRM, the agent taps Refer, picks the loan officer or partner lender and notes that the buyer agreed to be contacted. If the lender is affiliated, the disclosure goes out in Zoho Sign first.
On the table: the referral folder
Step 2Loan officer
The referral lands in the mortgage pipeline with a callback due time. The loan officer calls, or sends a Zoho Bookings link for a consult, and the agent sees “contacted” on the deal.
On the table: the booked consult
Step 3Loan officer
The application and credit pull happen in the lender’s LOS. Zoho keeps only what the agent needs to write offers: approved up to, letter date and expiry, with a reminder ten days before it lapses.
On the table: pay stubs under the pre-approval letter
CRMYour LOS
Step 4Agent
The agent moves the deal to Under contract. The signed purchase agreement and the closing date pass to the loan side, and the lender’s team starts processing from there.
On the table: the signed purchase agreement and the close date
Step 5Processor
As the processor moves the loan in the LOS, Zoho Flow or an API connection updates four milestone fields on the deal. Agent and coordinator get a note when a milestone changes or the closing date moves.
On the table: the appraisal report and the conditions note
Step 6Both teams
Clear to close notifies agent, coordinator and escrow on the same day. After funding, the buyer becomes a past client of both teams, with a purchase anniversary and a yearly loan review on the calendar.
On the table: the closing disclosure, a pen and the keys
Sample flow and sample documents. Which milestones you share, and when, is set with the lender’s compliance team during scoping.

06The mortgage side’s app list
Nine at most, and a small desk starts with two or three. Zoho CRM is the center, so it has its own full build plan; the rest are short notes on the job each one does for the loan team.
Referral pipeline, partner lender records, milestone fields on the buyer’s deal and the permission profiles that hide borrower financials.
Agents keep their own buyer pipeline; this one belongs to the loan team, linked to the buyer’s deal by a lookup so neither side retypes a name.

Six pieces, each written into the BRD with your lender structure, your milestone names and your compliance team’s rules before anything is configured.
WO-01
One action on the buyer’s deal picks the loan officer, records the buyer’s OK and starts the callback timer. No referral leaves without the consent field filled in.
WO-02
Four or five milestone fields on the deal, fed from the loan system by API, scheduled export or the loan officer’s own update, with a note to the agent on each change.
WO-03
Agents ask for a fresh letter at a stated amount from the deal; the loan officer sees a queue sorted by offer deadline and marks each one sent.
WO-04
Each outside lender gets a record with referrals sent, loans funded and fall-outs, deliberately without any fee-per-referral field.
WO-05
When the lender’s expected closing date shifts, the deal, the escrow checklist and the coordinator’s task list all move with it, and the agent hears first.
WO-06
Every funded buyer gets a purchase anniversary from the agent and a yearly loan review from the loan officer, both paused for anyone who opts out.
08Rules that shape the build
Three come up on every brokerage mortgage project: NMLS licensing, RESPA’s referral rules and GLBA privacy. Zoho can record and restrict; it can’t decide what’s allowed. That call belongs to the lender’s compliance team and your counsel.
Drag across each card to compare what an agent sees with what the loan team sees on the same buyer.
Held in the LOS. Zoho shows the loan team a link to the file, not copies.
Nothing. The fields aren’t on the agent’s layout at all.
Letter amount, date, expiry and any notes on conditions.
Approved up to, and the date it runs out. Enough to write an offer.
The open items by name, who owes each one and the due date.
A count, “2 of 4 cleared”, without the details behind it.
The same date, set from the lender’s expected close.
The date on the deal, plus a heads-up the moment it changes.
Mortgage loan originators are licensed or registered through NMLS, and states set where an NMLS ID must appear. We keep each loan officer’s ID and licensed states on their Zoho profile, so co-branded emails and flyers pull the right number automatically.
Section 8 of RESPA bars giving or taking anything of value for referring settlement business. Referral records have no fee field, partner reports count referrals and loans only, and co-marketing costs are logged separately for counsel to review. Affiliated lenders get the disclosure signed at referral.
Borrower income, credit and account details are nonpublic personal information under the Gramm-Leach-Bliley Act. Agents get a profile that can’t open those fields, loan documents stay in the lender’s system, and every view and edit of the loan record is logged.
We’re a Zoho partner, not a law firm or a compliance consultant. Before launch, the lender’s compliance officer reviews every permission, template and shared field, and signs the BRD section that lists them.
09What mortgage teams run today
Most desks we meet track referrals in a shared sheet, a general CRM or a mortgage marketing tool. Referral history, partner lists and past clients come across; the loan files themselves never move.
One row per buyer, merged by email and phone, with the referring agent kept as a lookup.
Referral and partner objects mapped to Zoho modules. The Salesforce route.
Contacts, lists and email history, with deal stages rebuilt as milestones. The HubSpot route.
Past-client lists, opt-outs and campaign history; co-branded templates rebuilt in Zoho Campaigns.
Partner lender contacts and open referrals pulled together once, then tracked properly.
Stays where it is. We connect to it for milestones; we don’t migrate or replace it.
10Licence rate sheet
Only the people who log in need one. A desk of four loan officers and two processors on Zoho CRM Professional ($23) plus Zoho Sign Standard ($10) comes to $198 a month in Zoho licences, billed yearly. Agents already on the brokerage’s Zoho don’t need a second licence to see milestones.
Brokerage licensing everyone? Zoho One is $37 per employee a month billed yearly when every employee is on it ($45 monthly), or $90 per user on the flexible plan ($105 monthly).

11Three ways in
Pick by how close the lender sits to the brokerage. All three include setup, the data move and training on each role’s screen.
For brokerages sending buyers to outside partner lenders
Priced once, as a fixed fee in a signed BRD that names each partner lender we set up.
Most in-house desks start here
For in-house or affiliated loan officers working beside the agents
A fixed fee agreed in the BRD, with the shared and hidden fields listed for your compliance team.
For groups running sales, mortgage and past clients as one business
One fee, fixed in a signed BRD that also dates the launch for each team.
There’s no charge for the first call. Where an LOS connection needs testing before we can promise it, we may suggest a paid scoping step and give you its price up front.

14Questions from mortgage desks
LOS connections, what agents can see, partner lenders and RESPA. Bring your lender structure to the call and we’ll sketch the setup with you.
No, and we wouldn’t suggest it for a brokerage mortgage team. Applications, credit, disclosures, underwriting and closing documents stay in your LOS. Zoho handles the work around the loan: referrals, milestones agents can see, partner lenders and past clients. Lenders who want Zoho running more of the loan itself should read our lending and fintech page.
Yes. Agents get a permission profile and a deal layout with milestone fields only: contacted, pre-approved up to, appraisal, conditions count, clear to close and funded. Income, credit and asset details are never on their screen, and the loan team decides which milestones are shared.
Where the LOS has an API or a scheduled export, Zoho Flow or a small integration updates the milestone fields on the deal. Where it doesn’t, the loan officer changes a milestone picklist in Zoho, which takes seconds. We test which route your LOS supports during scoping and write it into the BRD.
No. A partner lender is a record in your Zoho CRM, not a user. They post status changes through a short Zoho Forms page or a status email we parse, and the referral ledger counts what they received and funded.
For six people on Zoho CRM Professional at $23 and Zoho Sign Standard at $10 per user a month, billed yearly, the Zoho licences come to $198 a month. If the whole brokerage moves to Zoho One All Employee at $37 per employee a month, the mortgage desk is included. Our setup is a separate fixed fee written into a signed BRD.
It can’t judge that, but it can avoid making things worse and keep a clear record. We leave fee-per-referral fields out, log co-marketing costs on their own, and send the affiliated business disclosure your counsel writes through Zoho Sign at referral time. Your counsel decides whether an arrangement is allowed.
If both companies agree, yes. The funded buyer stays one contact with the agent and the loan officer named on it, and each team runs its own follow-up from that record. Opt-outs apply to both, so nobody gets an email they asked to stop.
Whoever your agreement says. We set it up the way the two companies decide: shared contact, separate lender records, or a lender that only sees referrals sent to it. The data-sharing terms between the companies are for your attorneys; the BRD records the setup that follows from them.
