Zoho CRM for mortgage teams working beside a real estate brokerage
Each loan file shows which agent sent the buyer, which conditions are still open and when processing took it over.
We’re a certified Zoho Advanced Partner in Glendale, near downtown Los Angeles. For in-house and affiliated mortgage desks we build Zoho CRM as the referral and relationship layer: loan officers run a staged pipeline, agents get milestone updates without chasing, and the loan origination system keeps underwriting, disclosures and borrower financials where they already live.

01Its place in the mortgage workflow
Where does Zoho CRM sit on a brokerage mortgage desk?
Between the agent who meets the buyer and the processor who builds the loan. Zoho CRM takes the referral, carries the file through pre-approval and contract, then passes a clean package to processing and keeps everyone informed until funding. It covers step three onward of the mortgage workflow.
Hands data in
Buyer agent’s dealThe brokerage side of Zoho CRM sends a buyer over with the agent, office and price range already filled in.
Signed offerWhen the purchase agreement completes in Zoho Sign, the loan file picks up the contract date and the escrow close date.
Pre-qualification formA short Zoho Forms page on the brokerage site, with the borrower’s contact consent captured on submit.

02Development flow
How we build Zoho CRM for a mortgage desk, step by step
Seven steps, from the first workshop with your loan officers to the week after launch. The order matters: we settle what the lender’s compliance team wants recorded before a single field is created. Scroll to watch a sample loan file fill up.
Step 1 of 7
Discovery with loan officers, processors and compliance
We map who refers buyers to the desk (in-house agents, affiliated offices, outside partners), the loan programs you offer, the origination system processing works in, and the consent and logging rules the lender’s compliance team sets for you.
Step 2 of 7
Data model shaped around the loan file
A Loan Files module with Purchase and Refinance layouts, a Referral Partners module linked to agent records, a Conditions subform, a Consent Log, and fields for property address, program, contract date, target close and the loan officer’s NMLS ID.
Step 3 of 7
Stages and automations that keep files moving
Blueprint holds the order: Referred, Application started, Pre-approved, Under contract, In processing, Clear to close, Funded. Conditions get owners and due dates, stale files alert the desk manager, and the referring agent hears about each milestone.
Step 4 of 7
Connections to the brokerage and the lender
The buyer agent’s deal and the signed offer feed the loan file, the pre-qualification form opens it, and a hand-off sends the reference and checklist to the origination system. Status from processing writes back to the CRM stage.
Step 5 of 7
Testing on made-up borrowers
We push sample files through every path: a referral from each kind of partner, a contract that falls through, a borrower who withdraws texting consent, a condition that stays open past its date. Nothing goes live until each one lands right.
Step 6 of 7
Training by role
Loan officers learn the pipeline and callbacks, processors the hand-off screen, the desk manager the referral reports, and agents the updates they will receive. Short sessions, on their own records.
Step 7 of 7
Go-live and support after launch
Open files move over first, then history. For the first weeks we watch hand-offs and agent updates with you, fix anything that misfires and add the small changes loan officers ask for.
03Sort your own desk
Which of these sounds like your mortgage desk today?
Seven situations we hear from brokerage loan teams. Tap “Matters to us” on the ones that apply, or swipe. Two of them are honest wins for the tools you already have.
Nobody can say which agents actually send us buyers
The referring agent becomes a required lookup on the loan file, reportable by office and month.
Agents text the loan officer for updates several times a week
Each stage change sends the agent a short note, with no borrower financials in it.
Open conditions live in a spreadsheet only one processor reads
Every condition sits on the file with an owner, a due date and a reminder.
Underwriting and disclosures already run well in our origination system
Keep them there. A CRM shouldn’t replace the system the lender is examined on.
We can’t show when a borrower agreed to be texted
The consent log stores channel, date, source form and the wording version they saw.
Hand-off to processing is an email with attachments
One button sends the file reference and checklist, and the stage changes for everyone.
Our pricing engine handles rate quotes and locks
Leave it alone. The CRM only notes that a quote went out and when.

05Consent and privacy
What does the CRM record about consent and borrower privacy?
It records what happened and who did it; it doesn’t decide what is allowed. Questions about RESPA referral rules, GLBA privacy notices or licensing go to the lender’s compliance team, and we build the logging they approve.
Contact consent, per channel
Calls, texts and email each carry their own yes or no, the date, and the form or call it came from. Automations check the matching flag before sending anything.
Permission to update the agent
A separate checkbox decides whether the referring agent gets milestone notes. Without it, the agent hears only that the file was received.
Less borrower data in the CRM
Social Security numbers, income figures and credit results are never given CRM fields. Those stay in the origination system, so fewer people can reach them.
Referral attribution, not payouts
The referring agent is recorded for reporting and service. We don’t build any payment to agents for mortgage referrals; partner arrangements are the lender’s decision.
This is not legal advice. Before launch, the lender’s compliance officer reviews consent wording, agent update templates and who can see each field, and signs off.
06Licence cost
What does Zoho CRM cost for a mortgage desk?
Zoho CRM is $14, $23, $40 or $52 per user a month for Standard, Professional, Enterprise and Ultimate, billed yearly in USD. Only staff who log in need a seat: loan officers, processors and the desk manager. Agents who just receive updates don’t, and if your brokerage already runs Zoho CRM, the desk becomes another pipeline in the same account.

Professional

$35 billed monthlyBlueprint stages and approval stepsEnterprise
$40/user/month yearly

These are Zoho’s US list rates for a loan team, with sales tax on top. Zoho CRM is also included in Zoho One, $37 per employee a month billed yearly when every employee is licensed, or $90 per user on the flexible plan. Our build is a separate fixed fee, agreed in a signed BRD that lists every stage, partner type and hand-off.
07Questions from loan teams
Zoho CRM for brokerage mortgage teams: common questions
Origination systems, agent visibility, licensing and what moves over. Bring your current stage list and we’ll mark it up together.
Does Zoho CRM replace our loan origination system?
No, and we wouldn’t suggest it. The origination system keeps applications, disclosures, underwriting and borrower documents. Zoho CRM handles the part around it: referrals, follow-ups, stages, conditions owners and agent updates, linked to the LOS file by its number.
Can referring agents see the status of their buyer’s loan?
They see milestones, not the file. When a borrower agrees to share status, the agent gets a short note at application, pre-approval, clear to close and funding. Income, credit and documents never appear in those notes, and agents don’t need a CRM login for them.
Our brokerage already uses Zoho CRM. Do we need a second account for the mortgage desk?
Usually not. The desk becomes its own pipeline and modules in the same account, with roles and field permissions so agents can’t open loan files and loan staff see only what they need. Your lender’s compliance team may still ask for separation, and we follow their call.
How are borrower conditions tracked?
Each loan file carries a conditions subform that starts from a template per program, such as conventional, FHA, VA or jumbo. Every condition has an owner, a due date and a cleared date, and overdue ones remind the person who owes them.
Can you move our files from a spreadsheet or another CRM?
Yes. Open files come over first with their stage, referring agent and open conditions, then closed history. We check partner records for duplicates so one agent doesn’t appear under three spellings. Our Zoho migration page explains how a move runs.
Which Zoho CRM edition does a mortgage desk need?
Most start on Professional for Blueprint stages and approval steps. Desks spread across several offices, or with stricter rules on who sees which field, often move to Enterprise. We settle it on the first call once we’ve heard how your files and partners are organized.
