01Why Zoho Writer

Why US businesses choose Zoho Writer for contracts, offers and forms

Because it is a free word processor that also builds documents from your data: one template pulls fields from Zoho CRM, applies your rules, collects signatures and files the result.

One template, many sources

Merge from Zoho CRM, Bigin, Books, Creator, Forms or Sheet, or from a CSV, Excel file or Google Sheet.

Rules live inside the document

Show or hide a paragraph based on a field value, and drop empty lines so nothing leaves a gap. Grouped blocks repeat per item and total underneath.

Signatures without a second app

Set the signing order, deadlines and reminders, ask signers to verify their identity, or sign face to face.

Built into Writer

Forms clients can actually fill

Lookup, formula and file upload fields, prefilled from your data and shared through a link with a password and expiry.

Word files in, Word files out

Import DOCX, DOC and ODT, export DOCX and PDF, with track changes and locked sections. Zia, Zoho’s AI / SI assistant, checks grammar and style.

You pay for automation, not for typing

Writing and co-editing cost nothing. Merges, forms and signatures use automation credits, with 200 to 1,000 free each month per organization.

Word for business: a paid Microsoft 365 seat

Writer sits beside Zoho Sign for heavy signing volume and Zoho WorkDrive for the folders, and it comes with Zoho One.

02One document, start to finish

How one Zoho Writer template becomes a signed PDF

We build a renewal agreement in seven moves: import, fields, rules, line items, signers, testing and filing. Scroll, and each step adds its piece to the document.

  1. Step 1Import the file you already use

The old Word agreement comes in as it is

We import your current DOCX with its letterhead and clauses. Legal keeps the wording; only the blanks change.

  2. Step 2Merge fields

Blanks become fields from the Zoho CRM deal

Account, contact, amount and term map to the deal. A field with no home in the CRM gets added there first.

  3. Step 3Rules

The right clause shows up on its own

Arizona accounts get the Arizona governing-law line, multi-site clients get the site schedule. Your counsel approves each rule once.

  4. Step 4Line items

A price table that grows with the order

A repeating block lists every product on the deal, with the total underneath. Three items or thirty, the layout holds.

  5. Step 5Signers

Two signature blocks, in a fixed order

The client signs first and your sales director countersigns, with reminders and a deadline set.

  6. Step 6Test merge

We try to break it with awkward records

A long company name, a missing contact, one line item or twenty. Each preview is checked before reps see the button.

  7. Step 7Signed and filed

The signed PDF lands back on the deal

A post-sign action files the PDF on the CRM deal, saves a copy in WorkDrive and emails everyone the final version.

Sample company, amounts and clause. Your counsel decides the clauses and signers.

04Honest fit check

Should your team keep Google Docs or Word, or move to Zoho Writer?

Keep Docs or Word if documents are written by hand for outsiders. Move to Zoho Writer when the same documents get filled from business data again and again.

Docs or Word fits when

  • Your company already pays for Google Workspace or Microsoft 365 and nobody generates documents from data.
  • Clients, lawyers and lenders send you Word files with heavy formatting and expect them back the same way.
  • Someone relies on Word macros or desktop add-ins that have no Writer equivalent.

Zoho Writer fits when

  • Reps copy names and prices from Zoho CRM into a contract every week.
  • HR sends the same offer letter with a different salary, title and start date each time.
  • You are moving to Zoho Workplace or Zoho One and want documents in the same login.

11Zoho Writer questions

What US teams ask before moving documents to Zoho Writer

Short answers on Zoho Writer pricing, credits, CRM merges and signatures. There’s no fee for the first call.

What is Zoho Writer?

Zoho Writer is Zoho’s online word processor. Besides writing, co-editing and track changes, it builds documents from data: merge templates fill from Zoho CRM, Bigin, Books, Creator, Forms or a spreadsheet, and the same editor handles fillable forms and signatures.

Is Zoho Writer free?

Yes. The editor is free for individuals and organizations, with no limit on documents. You pay only for automation: merges, fillable forms and signature requests beyond the free monthly credits.

How much does Zoho Writer cost for a business in the USA?

The business edition comes with a paid Zoho WorkDrive plan: Starter $2.50, Team $4.50 or Business $9 per user a month billed yearly ($3, $6 and $11 monthly). Writer is also part of Zoho Workplace and Zoho One. Our setup is a separate fixed price in a signed BRD that lists every template.

What are Zoho Writer automation credits?

Credits pay for document automation. The free edition includes 200 a month per organization, the business edition 1,000, and Zoho One 50 per user up to 1,000 per organization. Extra credits cost $0.05 each up to 4,000, $0.02 to 9,000 and $0.01 to 200,000.

Can Zoho Writer create documents from Zoho CRM records?

Yes. Fields from leads, deals and accounts fill a Writer template. We usually add a button on the record, set rules for state clauses and line items, and file the finished PDF back on the deal.

Can Zoho Writer collect e-signatures?

Yes. Writer sends documents for signature with a signing order, deadlines, reminders and optional identity checks, and supports in-person signing. Afterwards it can store the file, email it to everyone or run a function.

Zoho Writer or Zoho Sign: which do we need?

Writer is enough when signing is the last step of a document you generate. Zoho Sign suits teams that mostly sign PDFs from elsewhere or send in high volume. Many clients use both: Writer generates, Sign handles the signing.

Zoho Writer vs Microsoft Word: can Writer replace Word?

For most business documents, yes. Writer imports and exports DOCX and PDF and covers track changes and comments. Keep Word for people who rely on macros, desktop add-ins or very complex layouts.

How long does a Zoho Writer setup take?

It depends on how many templates you have, how many rules each needs and which apps feed them. The signed BRD dates every template, so the go-live order is clear before we start.

What is SI?

SI stands for super intelligence. In September 2026 a US executive order asked federal agencies to use “super intelligence” or “SI” in place of “artificial intelligence” in official communications. Most businesses still say AI, so we use both terms.
