Which is better for a US business, Zoho Workplace or Google Workspace?

Google Workspace is better if your people live in shared Docs with outside clients, need terabytes of storage each, or want Gemini in every app. Zoho Workplace is better if mail, files and meetings simply need to work at a low, predictable price, or if you already run Zoho CRM or Zoho Books. For many small offices the price gap decides it.

Where does each suite lead, job by job?

Across twelve everyday jobs, Google leads five, Zoho leads four and three are a draw. Google wins on collaboration, storage and AI. Zoho wins on price, compliance cost and ties to the rest of a business. The darker cell in each row marks the side that leads, with the count underneath.

Zoho Workplace vs Google Workspace pricing, tier against tier

Zoho Workplace runs from $1 to $6 per user per month on yearly billing, with monthly plans at $4 and $7. Google Workspace Business runs from $7 to $22 per user per month on a one-year commitment. Google’s flexible month-to-month plan costs more; Google says the yearly commitment saves 16%.

05When to choose which

So who should stay on Google, and who should switch?

Stay on Google Workspace if collaboration with outsiders, storage or Gemini drives your day. Move to Zoho Workplace if most seats only read mail, open files and join calls, and the bill has grown faster than your use of it.

Google Workspace is the better buy when

  • Your agency or firm co-edits Docs and Sheets with clients every single day.
  • People store video, design files or raw data and need more than a terabyte each.
  • You want Gemini drafting in Gmail and summing up Meet calls without another tool.
  • Chromebooks and Android phones are already managed through your Google admin console.

Zoho Workplace is the better buy when

  • A 40-seat office pays for Business Standard but only uses mail, a shared drive and calls.
  • Some staff only need an inbox, and a $1 seat beats a $7 one.
  • Legal or HR asks for mail retention and eDiscovery without moving everyone to Business Plus.
  • Zoho CRM, Books or Desk already run the business, and you want one vendor and one login.

Is Zoho Workplace cheaper than Google Workspace?

Yes, on every paired tier. Zoho Workplace Standard lists at $3 per user a month billed yearly, against $7 for Google Workspace Business Starter on a one-year commitment. For 25 people that is $900 a year on Zoho and $2,100 on Google at list price.

How much does Google Workspace cost in the US?

Google lists Business Starter at $7, Business Standard at $14 and Business Plus at $22 per user a month with a one-year commitment. The flexible month-to-month plan costs more, and Enterprise is priced by Google’s sales team. Business plans allow up to 300 users.

How much does Zoho Workplace cost?

Workplace Standard is $3 per user a month billed yearly or $4 monthly, and Workplace Professional is $6 yearly or $7 monthly. Mail-only plans are Mail Lite at $1 (5 GB) or $1.25 (10 GB) and Mail Premium at $4, all yearly only. A free plan covers up to 5 users.

Does Google Workspace give more storage than Zoho Workplace?

Yes, on the middle and upper plans. Google pools 30 GB per user on Starter, 2 TB on Standard and 5 TB on Plus. Zoho gives 30 GB or 100 GB of mail per user plus a WorkDrive team drive of 100 GB or 1 TB for 3 to 10 users, growing with each extra user.

Can Zoho Writer and Zoho Sheet open Word, Excel and Google files?

Yes. Writer, Sheet and Show import and export Microsoft Office formats, and Google Docs, Sheets and Slides are converted into editable files during a move. Very complex spreadsheets with scripts or add-ons need a check, and we test a sample with you first.

Is Gemini better than Zoho’s AI?

For an office suite, Gemini is the deeper assistant today. Google includes it in Gmail on Business Starter and across Docs, Meet and more from Business Standard. Zoho’s Zia appears in parts of Workplace. If AI help in every document matters to your team, that is a fair reason to stay on Google.

Can some of our people use Zoho Mail while others keep Google Workspace?

Yes. One domain can route mail to both, so a client-facing team can stay on Google while back-office staff move to Zoho Mail. We plan the routing and test it before any record changes.

Will we lose email during a move from Google Workspace?

No mail should go missing. We copy mailboxes before the switch, change the mail records on an agreed cutover date, then run a final pass for anything that arrived late. Google stays read-only until your team confirms everything is there.

What is SI?

SI stands for super intelligence. In September 2026 a US executive order asked federal agencies to use “super intelligence” or “SI” in place of “artificial intelligence” in official communications. Most businesses still say AI, so we use both terms.
