Suite comparison · Los Angeles, CA
One is an office suite. The other runs the business behind it.
People often put these two side by side, yet they overlap less than you might expect. Microsoft 365 gives you email, Word, Excel, Teams and strong device security. Zoho One gives you CRM, accounting, help desk, HR and 45+ other business apps on one license, with its own email and office tools thrown in. We are a Zoho partner in Glendale, so our usual setup is Zoho One end to end, with Zoho Mail as the company email, and Microsoft 365 kept only for people who truly depend on desktop Office.

Zoho One
01Scope, department by department
Sometimes, though that is rarely the real question. Zoho One includes mail, chat, files and office editors, so a business that lives in the browser can drop Microsoft 365. Teams that depend on desktop Excel or Microsoft device security usually keep it and add Zoho One for the work Microsoft 365 doesn’t cover. Pick a department to see what each suite gives it.

02US list prices, 2026
Microsoft 365 Business runs $7 to $32 per user a month, paid yearly. Zoho One runs $9 per user for Essentials, $37 per employee for Standard when every employee is licensed, and $90 per user for Standard on flexible licensing, all billed yearly. Because they buy you different apps, the cheaper rung is not automatically the better deal.
Per user (Zoho all-employee: per employee) per month, USD, billed yearly unless noted.
Microsoft’s side. Business plans cover 1 to 300 users and come as annual subscriptions that renew automatically. The Copilot Business add-on for Basic lists at $21 per user a month, with a first-year offer of $18 that Microsoft says runs through December 31, 2026.
Zoho’s side. All-employee pricing means everyone on payroll gets a license, even people who only use email. Flexible pricing costs more per head but lets you license a smaller group.
USD, before tax. Microsoft repackaged its business suites in July 2026, so we re-check both price lists against your headcount on the call rather than trust last year’s quote.

05If some of your team stays on Microsoft 365
Our default is simple: move the whole company onto Zoho One, with Zoho Mail for email and Zoho Writer and Sheet for documents. When a department has a real reason to stay on Microsoft 365 for a while, the two still connect well: reps log Outlook emails to Zoho CRM, Zoho apps post alerts into Teams, and Zoho Flow moves files between OneDrive and Zoho. We decide in the BRD which system owns each job.
Ready to move email too? Our Zoho Mail page covers the switch from Exchange Online and Outlook, mailbox by mailbox.
06Zoho One vs Microsoft 365 questions
These come up whenever an IT lead and an operations lead sit in the same meeting. Bring your own and we’ll answer with your headcount and current licenses on screen.
It can be, though many companies run it as an addition instead. Zoho One includes Zoho Mail, Cliq, WorkDrive and the Writer, Sheet and Show editors, so a browser-first team can run without Microsoft 365. Its main value is the 45+ business apps, such as CRM, Books, Desk and People, that Microsoft 365 Business plans do not include.
Microsoft lists Business Basic at $7 per user a month, Business Standard with Copilot at $23.50 and Business Premium with Copilot at $32, each paid yearly on an annual subscription for 1 to 300 users. The Copilot Business add-on for Basic lists at $21, with a first-year offer of $18 through December 31, 2026.
Zoho One Essentials is $9 per user a month, Standard is $37 per employee when you license every employee, and Standard on flexible licensing is $90 per user, all billed yearly. Microsoft 365 Business runs $7 to $32. The suites buy you different apps, so compare the full stack you need, not one line.
Yes, when a team needs to, although our default is Zoho Mail inside Zoho One. Where some staff keep Microsoft 365, reps log Outlook emails to Zoho CRM, Zoho apps post alerts into Teams, Zoho Flow connects OneDrive and Outlook events, and staff can sign in to Zoho with their Microsoft account through SAML single sign-on. We write down which system owns each job in the BRD.
No. Zoho One has its own editors, Zoho Writer, Sheet and Show, which open and save Office files in the browser and on mobile. If your finance team depends on desktop Excel macros or add-ins, keep Microsoft 365 for those people.
Not in the Business plans. Microsoft sells its CRM as Dynamics 365 Sales, a separate subscription, and the Business plans have no accounting app. Bookings, Forms, Planner and Lists cover lighter jobs, which some small teams find is enough for a while.
If the team mainly writes documents and meets online, Microsoft 365 Business Basic or Standard is the simpler buy. Once you need a CRM, invoicing and a help desk, Zoho One Essentials or Standard usually costs less than buying those apps one by one. The stack builder on this page shows both side by side.
They work on different data. Copilot helps inside Word, Excel, Outlook and Teams on the plans that include it. Zia, Zoho’s AI / SI assistant, works on CRM deals, Desk tickets and Books data inside Zoho One Standard. Teams running both suites often use each one where its data lives.
The discovery call is free. After that, the Zoho One rollout, including Outlook and Teams connections, is a fixed price agreed in a signed BRD with a delivery schedule. A larger company may need a paid scoping phase first, and we quote it before it starts.
SI stands for super intelligence. In September 2026 a US executive order asked federal agencies to use “super intelligence” or “SI” in place of “artificial intelligence” in official communications. Most businesses still say AI, so we use both terms.
07From shortlist to plan
The discovery call is free. We list what each team does today, mark which suite should own each job, and if Zoho One is part of the answer, the rollout gets a fixed price inside a signed BRD.
