Zoho partner for Austin · led from Glendale, CA

Austin’s fast-growing teams, with renewals, hiring and contracts on one Zoho setup

Made for software startups, state agency vendors, chip suppliers and the people who run Austin’s festivals.

Plenty of Austin companies outgrow their tools within a year: a free CRM tier from the seed round, renewals in a shared sheet, offer letters sent from an inbox. We move that onto Zoho, set up for Texas tax on software, and our LA team keeps it running with you afterwards.

01Straight answer first

Does Zoho suit Austin businesses?

Usually, yes, especially between the first sales hire and the hundredth employee, a stage many Austin companies are in. Zoho lets a young company add billing, recruiting and HR without a separate platform for each.

The capital mixes four very different buyers. Startups downtown and around the Domain need recurring billing and clean renewal data before the next raise. Firms selling to state agencies live by procurement rules and audit trails. Chip suppliers in Taylor and northeast Austin track lots and certifications. Event companies peak for SXSW in March and ACL in October.

Sometimes the honest advice is to wait: a five-person team with one product may be fine on a simple CRM for another year.

02Where Austin earns its living

03Texas rules, startup edition

Which Texas rules does an Austin startup need in Zoho?

Six that come up early, mostly about software sales tax, the franchise tax report and hiring people who live outside Texas. Each ends up as Zoho configuration we build in.

  • 1 of 6

    Software counts as data processing

Texas generally taxes SaaS and hosted software as a data processing service, with part of each charge exempt.

Our setupPlan items in Zoho Billing and Zoho Books carry the taxable share your CPA approves, so every renewal invoice gets it right without manual edits.

  • 2 of 6

    Local rates on top

Inside the city, the City of Austin and Capital Metro each add a local rate to the state rate, and customers elsewhere in Texas bring their own.

Our setupLocal tax groups in Zoho Books for the areas your CPA says apply, or the single local use rate if you sell into Texas as a remote seller.

  • 3 of 6

    The franchise tax report

Even a company that owes no franchise tax usually still files an information report with the Comptroller every year.

Our setupA yearly task in Zoho Books with owner and officer details kept on the company record, and revenue mapped so the filing figures come out in one report.

  • 4 of 6

    The Texas privacy law (TDPSA)

Product sign-ups and marketing lists mean personal data, and the law gives Texans rights to see, delete and opt out of its sale or use for targeted ads.

Our setupA consent record on every contact, opt-out flags that pull people from Zoho Campaigns, and a log of access and deletion requests, each with its due date.

  • 5 of 6

No wage tax, many home states

Texas takes no income tax from paychecks, yet a remote engineer in Colorado or a seller in California still owes tax where they live.

Our setupEach employee record in Zoho People gets a work state and a home state, handed to Zoho Payroll or whichever payroll service you run.

  • 6 of 6

    Texas Workforce Commission account

Hiring your first Texas employee means registering with the TWC for unemployment tax and filing a new-hire report with the state.

Our setupAn onboarding checklist in Zoho People that includes the state report, so a quick hiring month never skips it.

Read this as setup guidance, nothing more. Your CPA and lawyer make the legal and tax calls, and we build their decisions into Zoho so it follows them every time.

05Glendale team, Austin hours

How do we run a project with an Austin company?

Remotely for most of it. Our Los Angeles team meets Austin companies on video during your working day and comes out for on-site sessions when the project calls for it. Your first call is with our senior people, and they stay on the build.

We have no Austin address, and it is better you hear that now. It rarely matters: product teams here already work with remote staff, and a founder can review a renewal workflow on a shared screen between meetings.

  • Short loops for product peopleStartups think in sprints, so we show working pieces every week or two, not one big reveal.
  • A first workshop, Austin styleFor a 30-person SaaS company, the opening session follows one customer from trial sign-up to first renewal, and where data gets retyped along the way.
  • Plan around festival seasonIf your business swells in March or October, go-live lands well clear of those weeks.
  • Visits only when they earn itTraining a large team at once can be worth a trip, and the BRD records it; we never promise a set visit calendar. Our support desk covers US Pacific hours and CET.

07What you pay, and to whom

How much does Zoho cost an Austin startup?

Picture a 30-person software company with eight people in sales and success. CRM, subscription billing, three recruiter seats and HR for everyone add up to around $428 every month on yearly plans, all of it paid to Zoho.

Per user per month on yearly terms, Zoho CRM Standard is $14, Professional $23, Enterprise $40 and Ultimate $52; paying monthly takes them from $20 up to $65. When most staff need several apps, Zoho One’s all-employee plan ($37 per employee) can beat buying them one by one, and we lay out both totals.

What we charge is fixed and set down in the BRD you sign ahead of any build, and nothing is charged for the discovery call. Bigger jobs, such as a HubSpot move plus billing and HR at once, can open with a paid scoping step that you approve first.

08Four steps to day one

How does an Austin Zoho project get going?

Start with one actual renewal, hire or event booking rather than a wish list, and we trace it with you.

  1. Discovery callA video chat at a time that suits you: the tools you use now, where they break, and what the next funding round or hiring plan will demand.
  2. Process traceOn video with the people involved, we follow that one record from first touch to cash or day one.
  3. BRD you signApps, Texas tax decisions, data to bring over, phases with dates and our fixed price, all in one document.
  4. Build, import, trainWe build in phases, load your live customers or candidates, and train each team before the old tool goes read-only.

09Asked by Austin founders

Austin questions, answered

Software tax, gateways, state bids, travel and cost are covered here. Ask the rest live.

Will you come to Austin for meetings?

When the project needs it. Mostly we meet by video during your Central Time day, as our team works from Glendale. We fly in for a kickoff workshop or go-live training when that helps, and any trip is written into the BRD up front.

When can an Austin team reach you?

You are always two hours ahead of us, because Texas and California switch to daylight saving time together. An 11 am meeting for you is 9 am in Glendale, so calls sit comfortably inside your working day. Our support desk works CET hours too.

Will our SaaS invoices get Texas sales tax right in Zoho?

Yes. Subscription plans carry the taxable share your CPA confirms for data processing services, plus the state and local rates they pick; customers in other states follow their own state’s rules. Your CPA signs off before the first live invoice.

Does Zoho Billing work with the payment gateway we already use?

Zoho Billing connects to common gateways such as Stripe, so cards on file can keep working after the move. We confirm your gateway on the discovery call and plan how saved cards come across.

Can Zoho help us bid on Texas state agency contracts?

Zoho does not submit bids for you, but it keeps the work organised. We build a record for each solicitation with its deadline, required forms, HUB subcontracting plan notes and pricing sheets, so the team sees what is missing before the due date.

What does the Texas privacy law mean for our sign-up forms in Zoho?

Each form stores when and where a person agreed, opt-out requests flag the contact so campaigns skip them, and access or deletion requests land in a list with deadlines. Your lawyer decides which parts of the law apply to your company.

What will Zoho cost our Austin startup?

Zoho bills its licences directly at US list prices; the 30-person software company in our sample pays about $428 monthly on yearly plans. Our own fee is one fixed amount agreed in the BRD before work starts, and nothing is charged for the first call.
