Twilio SMS and Zoho CRM integration, with every reply on the record
Customers answer texts faster than email. Your CRM should see those answers, and respect the word STOP the moment it arrives.
We connect Twilio to Zoho CRM so reps and automations send texts from the contact, replies land on the right timeline, and opt-outs reach every sequence at once. Consent is stored with its wording and time, so you can show who agreed to what. Our team, led from Glendale, builds the routing and the records; your counsel decides the texting rules.

01Simple route or full build?
Do you need a Twilio build, or will a lighter setup do?
If you send a few one-way reminders, a no-code connection is plenty. Once replies, several teams and opt-outs across many automations come in, a proper build on Twilio pays for itself in fewer mistakes.
A lighter setup is enough when
- You only send reminders and nobody needs to read the replies in CRM
- One team texts, from one number, a few times a week
- A single Zoho Flow can send the text and note it on the record
- You are still testing whether customers want texts at all
A Twilio build pays off when
- Customers text back and the reply must reach the person who owns them
- Sales, service and billing each send from their own number or workflow
- A STOP has to silence every sequence, campaign and rep at once
- You need consent records you can pull up when someone asks

What we build between Twilio and Zoho CRM
Five parts. The consent model comes first, because every later piece reads from it.
- Consent
Consent fields and their history
SMS opt-in, opt-out, the wording the person agreed to, where and when. Every change is kept as a dated entry, never overwritten.
- Sending
Texts from records and workflows
A Send SMS button on leads, contacts and deals, plus workflow texts for reminders, with merge fields and a check against the opt-out flag before each send.
- Replies
Inbound texts on the right timeline
Twilio posts each reply to a listener that matches the phone number to a contact, logs the message and alerts the owner. Unknown numbers become a lead or a task.
- Keywords
STOP, HELP and START handled together
Twilio’s opt-out handling stays on, and the same keyword updates Zoho CRM, so the carrier, Twilio and your CRM all agree on who can be texted.
- Setup
Numbers, registration and delivery status
We help you prepare the A2P 10DLC brand and campaign registration or toll-free verification, and write delivery status back so failed texts are visible.
03One customer, seven texts
How does consent travel through a real text conversation?
From the first checkbox to an opt-out and a later return, every step leaves a note on the record. Scroll and the next texts arrive, with yellow notes for what Zoho and Twilio did.
- Step 1 · Opt-in on the website
Zoho CRM Unticked box ticked on the booking form; wording, page, time and number saved as an opt-in entry
- Step 2 · Welcome text
- BusinessThanks for joining Your business texts. Message frequency varies. Reply HELP for help, STOP to opt out.
Twilio Sent from the registered number; delivered status written back to the timeline
- Step 3 · Visit reminder
- BusinessYour AC visit is Thursday, 10 AM to 12 PM. Reply C to confirm.
- CustomerC
Zoho CRM Reply matched by phone number; visit set to Confirmed
- Step 4 · A question comes back
- CustomerCan the tech look at the furnace too?
Zoho CRM Free-text reply, so a task goes to the contact owner with the message attached
- BusinessYes, we’ve added a furnace check to Thursday’s visit.
- Step 5 · Late-evening send held
Zoho CRM A tune-up offer queued at 9:40 PM waits for the send window you set, in the customer’s time zone
- BusinessFall furnace tune-ups are open. Book online any time. Reply STOP to opt out.
- Step 6 · The customer opts out
- CustomerSTOP
Twilio Opt-out keyword caught; confirmation sent; further texts to this number blocked
Zoho CRM SMS Opt Out set to Yes, opt-out entry logged, every text sequence paused
- Step 7 · Back, months later
- CustomerSTART
Zoho CRM Opt-in entry added with the keyword and time; the earlier opt-out stays in the history
-
Step 1Opt-in
Consent starts as a record
Consent noteWe store the exact checkbox text, the page, the time and the number, not just a “yes”. If the wording on your site changes later, older entries keep the version people actually saw.
-
Step 2Welcome
The first text says how to leave
Consent noteThe welcome message names your business, explains HELP and STOP, and goes out from the number registered for this campaign. Its delivery status lands on the contact.
-
Step 3Reminder
A one-letter reply updates the visit
Consent noteService reminders and promotions are tagged as different message types, so you and your counsel can apply different rules to each.
-
Step 4A question
Real replies reach a real person
Consent noteAnything that isn’t a keyword becomes a task for the contact owner. The rep answers from the record, and the answer is logged like every other text.
-
Step 5Quiet hours
Late sends wait until morning
Consent noteA send window you choose is checked against each contact’s time zone before anything leaves. Your counsel sets the hours; the CRM enforces them.
-
Step 6STOP
One word silences every sender
Consent noteTwilio blocks the number for that sender, and our listener sets the opt-out in Zoho CRM, so workflows, campaigns and reps all see the same answer.
-
Step 7START
A return is logged, not assumed
Consent noteTexts resume only after the customer sends a resubscribe keyword or opts in again, and the history shows both the exit and the return.

05Twilio + Zoho, two routes
Zoho Flow or a custom build: which handles each texting job better?
Zoho Flow has a Twilio connector that sends texts and reacts to incoming ones, with no code. A custom build on Twilio’s API with Deluge or Zoho Catalyst takes longer but handles replies, keywords and consent across the whole CRM.
First text live this week
Custom buildNeeds the consent model and a listener before the first send.
Zoho FlowA trigger in Zoho CRM and a Send SMS action, configured in an afternoon.
Replies on the right contact
Custom buildMatches the number against leads and contacts, handles duplicates and creates a lead for strangers.
Zoho FlowCan catch an incoming text, but matching and edge cases get fiddly fast.
One opt-out for every sender
Custom buildOne flag checked before every send, from workflows, blueprints and the rep’s button.
Zoho FlowEach flow has to check the flag itself, and a new flow can forget.
Consent history you can show
Custom buildA dated list of opt-ins and opt-outs per contact, with wording and source.
Zoho FlowUsually a single checkbox that the latest change overwrites.
Changes without a developer
Custom buildMessage templates are editable; logic changes go through us or your admin.
Zoho FlowYour admin edits the flow on a visual canvas.
Delivery status on the record
Custom buildStatus callbacks update each logged text.
Zoho FlowWorkable with a second flow on Twilio’s events.
Website forms are usually where texting consent starts. See how we connect them in WordPress and Zoho CRM, or browse webhooks for how the reply listener works.
06What texting costs
What does texting through Twilio from Zoho CRM cost?
You pay Twilio per message segment and per number each month, plus carrier fees per message. Zoho CRM stays on your current edition; Zoho Flow is only needed for the no-code route.
| Item | Price |
|---|---|
| Outbound SMS, per segment | $0.0083 |
| Inbound SMS, per segment | $0.0083 |
| Local number, per month | $1.15 |
| Toll-free number, per month | $2.15 |
| Carrier fees, per message | Added by each carrier |
| A2P 10DLC registration | Onboarding fees apply |
- What a segment isUp to 160 plain characters. An emoji or accented letter drops that to 70, so one friendly text can bill as two or three.
- Zoho Flow, if you use itStandard is $25 a month billed yearly ($29 monthly) for 5,000 tasks; Professional starts at $41 yearly ($49 monthly) for 10,000.
- Zoho CRMEdition prices are on our Zoho CRM page.
Our work is priced separately and only once. The consent model, keyword handling, reply routing and test plan are written into a BRD with a fixed price, signed before we send a single text from your account. The first call costs nothing.
07Twilio SMS questions
Twilio SMS and Zoho CRM integration questions
Registration, opt-outs, replies and cost. Bring a sample of the texts you send today to the first call.
Can Zoho CRM send and receive text messages through Twilio?
Yes. Zoho Flow has a Twilio connector that sends texts and reacts to incoming ones, which suits simple reminders. For two-way conversations on the contact record, shared opt-outs and consent history, we build the link on Twilio’s messaging API with Deluge functions or Zoho Catalyst.
How are STOP replies handled between Twilio and Zoho CRM?
Twilio’s opt-out handling stays switched on, so keywords such as STOP, UNSUBSCRIBE, END, QUIT, STOPALL, REVOKE, OPTOUT and CANCEL block further texts from that sender. Our listener also sets the SMS opt-out in Zoho CRM and logs it, so every workflow and rep sees the same status.
Do I need A2P 10DLC registration to text customers from Zoho?
If you send business texts from a US 10-digit local number, carriers expect the brand and campaign to be registered, and unregistered traffic is filtered or blocked. Toll-free numbers go through a separate verification instead. We help you prepare the details; Twilio and the carriers run the review.
Will customer replies show up in Zoho CRM?
Yes, with a reply listener. Twilio posts each incoming text to it, the number is matched to a lead or contact, and the message appears on that record’s timeline. Free-text replies create a task for the owner; texts from unknown numbers become a new lead or go to a shared queue.
Does this integration make our texting TCPA compliant?
No software can promise that. We build the records and controls your counsel asks for: consent entries with wording and time, opt-out handling, message types and send windows. Your attorney decides what the TCPA, state laws and carrier rules require of your business.
How much does Twilio SMS cost for a US business?
At Twilio’s US pay-as-you-go list prices, each outbound or inbound SMS segment is $0.0083, carrier fees are added per message, a local number is $1.15 a month and a toll-free number is $2.15 a month. 10DLC registration carries onboarding fees set by Twilio.
Can different teams text from different numbers?
Yes. Sales, service and billing can each have a number, and the CRM records which number sent each text. Replies route back to the team that owns that number, and one opt-out still covers the rules you decide on with your counsel.
How is a Twilio and Zoho CRM project priced?
The first call is free. After it, the consent model, sending rules, reply routing and tests go into a signed BRD at a fixed price with a delivery schedule. Twilio and Zoho subscriptions are billed to you directly by each vendor.
08How a Twilio integration starts
First, how people say yes and how they say stop
Four steps take you from texts sent by hand to a signed plan. A reminder-only setup can often be scoped on the call; several senders with old consent data may need a short paid review, priced before it begins.
Calls run online for teams across the US, Canada and Latin America, and we meet in person around Los Angeles when your sales and service leads want to sit together.
