WordPress and Zoho CRM integration, so every form arrives as a lead
Your website brings in the enquiry. Zoho CRM should know who sent it, from which page, and who calls back.
Most WordPress sites send form entries to a shared inbox, where they wait, get forwarded and lose the ad that paid for them. We connect your existing forms to Zoho CRM, so each submission becomes a lead with its landing page, campaign and an owner attached. Your designers keep the forms they built; your sales team gets records instead of emails.

01Embed or connect?
Should you embed a Zoho form or connect the WordPress one you have?
Both routes end with a lead in Zoho CRM. Embedding a Zoho form is quicker when you are starting fresh; connecting your current plugin wins when the form already looks right and feeds several teams. Sort the cards below and see where your answers lean.
We are building the form from scratch anyway
A Zoho CRM web form or Zoho Forms page drops into WordPress with an embed code and needs no plugin.
Our site already runs Gravity Forms, WPForms or Contact Form 7
Rebuilding working forms is wasted effort. We hook the plugin you have into Zoho CRM.
Our designer cares how every field looks
A form styled by your theme keeps matching the site, down to the button colour and the error messages.
Marketing wants to add fields without calling a developer
The Zoho Forms builder lets them change a question and its CRM field in the same screen.
Different forms should reach different teams
Quote requests to sales, warranty claims to service, job applications elsewhere: one relay routes them all.
We need file uploads, payments or multi-page logic
Zoho Forms handles uploads, conditional pages and payment fields without stacking more WordPress add-ons.
Every lead must carry its page and ad campaign
Either route can do it with hidden fields. What matters is that someone sets them up on every form.
02WordPress integration services
What we set up between your WordPress site and Zoho
Six pieces, in this order. The first two happen on paper, before anyone touches the live site.
- Before the build
A list of every form on the site
Contact, quote, newsletter, careers, the pop-up nobody remembers adding. Each one gets a destination in Zoho or a decision to retire it.
- Before the build
A field map both teams sign
Every WordPress field paired with a Zoho CRM field, picklist values matched, and custom fields named for page, campaign and click ID.
- Build
A server-side relay for your entries
Submissions go from WordPress to Zoho on the server, so API credentials never sit in page code a visitor can read.
- Build
Source and UTM capture on landing
The first page a visitor saw, their UTM tags and any ad click ID are stored when they arrive and sent with whatever form they fill in later.
- Build
Routing and the first reply
Assignment rules pick the owner by service, ZIP code or round robin, and a workflow sets the callback task and the confirmation email.
- After go-live
Spam, duplicates and failed sends
Duplicate checks on email and phone, spam filtering before the CRM, and a retry queue so an outage on either side doesn’t drop a lead.
03One website lead, start to finish
What happens after someone presses Send on your WordPress form?
Seven stages, followed on one sample service request to a home-comfort company in Pasadena. Scroll and the lead card moves one column right, picking up a detail each time.

Dana Ruiz
AC repair · Pasadena 91104
- Form: Request a service visit
- Source: Website, /ac-repair/, summer-tuneup
- Owner: Valley team by ZIP code
- Call logged, visit booked Thursday
- Converted: contact + deal created
- Quote for a new condenser sent
- Closed won, campaign credited
-
Stage 1Submitted
The visitor sends the form on your site
Nothing changes for them: same page, same thank-you message. Behind it, the plugin hands the entry and the stored landing details to our relay instead of only emailing it.
-
Stage 2Lead created
A lead appears with its source filled in
The relay checks for an existing lead or contact by email first. New people become a lead with Lead Source set to Website, plus the page and the campaign that brought them.
-
Stage 3Assigned
The right person owns it
An assignment rule reads the ZIP code and service, gives the lead to the Valley team’s next rep, and sets a callback task due today.
-
Stage 4Contacted
The call happens and gets logged
The rep calls from the lead record, notes the symptoms and books a visit. A confirmation email goes out from Zoho with the technician’s window.
-
Stage 5Qualified
A real job, so the lead converts
The technician finds a failing condenser. Converting the lead creates the contact and a deal, and the source fields travel with them.
-
Stage 6Quote sent
The quote goes out from the deal
Line items come from your product list, the quote is emailed for signature, and the deal stage moves without anyone updating a spreadsheet.
-
Stage 7Won
Won, and the campaign gets the credit
Because the campaign stayed on the record from the first click, a report can show which ads and pages produced paying jobs, not only form fills.
Sample company, person and job. Your stages, routing rules and quote steps come from your own sales process.

05WordPress + Zoho, five routes
Which connection method fits your site?
Five ways in, from a pasted embed code to a relay on your own server. Most sites end up with one main route and maybe a second for chat or the store.
Running a store as well? Orders are a different job from leads: see WooCommerce and Zoho. Building forms in Elementor? Our Elementor page covers its form webhook.
06What it costs
How much does a WordPress and Zoho CRM integration cost?
WordPress itself is free software, so the running costs sit with Zoho and with any premium form plugin you already pay for. Only the Zoho Flow route adds a Zoho subscription of its own.
| Plan | Billed yearly | Billed monthly | Tasks a month |
|---|---|---|---|
| Standard | $25 / month | $29 / month | 5,000 |
| Professional | $41 / month | $49 / month | 10,000 |
- Zoho CRMWeb forms and the API come with your CRM edition. Edition prices are on our Zoho CRM page.
- Zoho FormsOnly if you take that route; plans are on our Zoho Forms page.
- Form pluginsKeep the licence you have. We don’t ask you to buy a different form plugin.
Our side is quoted once. The form inventory, field map, relay and routing rules are written into a BRD, and you sign it at a fixed price before we change a single form on your live site. Talking it through on the first call is free.
07WordPress + Zoho questions
WordPress and Zoho CRM integration questions
Plugins, spam, tracking and the WooCommerce question. A list of the forms on your site makes the first call twice as useful.
Does Zoho CRM integrate with WordPress?
Yes, in several ways. Zoho CRM can generate a web form you embed on a WordPress page, Zoho Forms connects to Zoho CRM directly, and Zoho’s own Zoho Flow plugin for WordPress connects form plugins such as Contact Form 7, WPForms, Gravity Forms and Elementor Pro to Zoho CRM. For many forms or strict tracking we build a server-side relay on the Zoho CRM API.
Can I keep Contact Form 7 or Gravity Forms and still send leads to Zoho CRM?
Yes. You keep the form, its design and its thank-you message. The entry is passed to Zoho CRM either through the Zoho Flow plugin or through a relay we build, and the email notification can stay on as a backup if you like.
How do I track which page and ad a WordPress lead came from?
We store the landing page, UTM tags and ad click IDs when the visitor first arrives, then add them as hidden fields to whichever form they submit. In Zoho CRM they land in custom fields next to Lead Source, so reports can group leads and won deals by campaign.
Is it safe to put Zoho CRM API keys in WordPress?
Not in page code. Anything in the browser can be read by a visitor. We keep credentials on the server, inside a small plugin or endpoint, so the form posts to your own site and your site talks to Zoho.
How do you stop spam and duplicate leads?
Spam is filtered before anything reaches the CRM, using the protection your form plugin already supports plus server checks. Duplicates are caught by searching for the email and phone first, then updating the existing lead or contact instead of creating a second one.
What happens if Zoho CRM is unreachable when someone submits a form?
With a relay, the entry is kept and retried, and a failed send raises an alert to a named person. With the simpler routes, we keep the plugin’s email notification on so nothing is lost while the connection recovers.
Can WooCommerce orders go to Zoho as well?
Yes, but orders are a separate job from leads: customers, products, refunds and stock all need rules. Our WooCommerce page covers that integration; this page is about forms and enquiries.
How is a WordPress and Zoho CRM integration priced?
The first call costs nothing. Then the forms in scope, the field map, the route and the tests go into a signed BRD at a fixed price with a delivery schedule. If your site needs a paid review before we can scope it, that is quoted up front.
08How a WordPress integration starts
We start with the forms you already have
Four steps from “leads live in an inbox” to a signed plan. A single contact form can usually be scoped on the call; a site with many forms and tracking gaps may need a short paid review, priced before it begins.
Your web person and your sales lead can join from anywhere in the US, Canada or Latin America; around Los Angeles we’re happy to sit down with both.
