Gemini and Zoho integration for Google Workspace teams
Gemini already sits in Gmail, Docs and Meet. Zoho holds your customers, deals and tickets. We get the two passing work back and forth.
We connect Google’s Gemini models to Zoho CRM, Zoho Desk, Zoho Creator and the other Zoho apps you use, for US companies on Google Workspace. Our Glendale-led team decides which records Gemini may read, where its output lands, which steps a person approves and how each call is logged. The Google account and keys stay in your name.

01The short answer
How does Gemini work with Zoho?
Gemini in Workspace is built around Google data: mail, files and meetings. Zoho records reach it over one of three bridges we set up: Zia using your Google key, Zoho calling the Gemini API, or Zoho data kept current in a Sheet or Drive file. Workspace teams usually start with the second, because Gemini’s output then lands straight on the Zoho record.
-
Bridge 1Zia, on your Google key
A Zoho admin adds a Google API key and Zia’s writing features run on Gemini inside Zoho screens, where the app supports it. Fast to switch on, little say over prompts. See Zoho Zia.

Bridge 2Zoho calls Gemini when something happens
A Deluge function, a Zoho Catalyst service or a Zoho Flow step sends selected fields to Gemini and writes the answer back as a note, a draft or a field. Most control, most build.

-
Bridge 3Zoho data kept fresh inside Workspace
Zoho Flow keeps a price list or account sheet current in Google, so people asking Gemini in Sheets or Docs see today’s numbers. Read only, lightest build.

When no model is needed: Gmail, Calendar and Drive on Zoho CRM records is a plain integration, covered on Google Workspace and Zoho CRM. How Gemini stacks up against other vendors lives on LLM models.
02Gemini for Zoho services
What do we build between Gemini and Zoho?
Seven building blocks, chosen per project. A first project usually takes three or four, starting with the Google app your team opens most.
- 1 of 7
Thread summaries on the deal
The Zoho CRM add-on in Gmail finds the record, and a Gemini summary of the thread is offered as a note the rep can keep.
- 2 of 7
Meeting notes into follow-ups
Notes saved after a Meet call are read by Gemini, and action items arrive in Zoho CRM or Zoho Projects as draft tasks.
- 3 of 7
Sheet checks before an import
Gemini flags duplicate rows, mixed date formats and empty columns, then maps columns to Zoho fields. Only approved rows are imported.
- 4 of 7
Drive documents read into fields
Order forms, signed quotes and insurance certificates become Zoho field values linked to the file. Unclear values wait for review.
- 5 of 7
Desk replies drafted from history
Zoho Desk passes the thread and the customer’s past cases to Gemini. The draft waits in the agent’s reply box until a person sends it.
- 6 of 7
End-of-day digests in Gmail
A scheduled job collects the day’s pipeline and ticket changes, and Gemini writes a short plain-English email for each manager.
- 7 of 7
Keys, logs and budget alerts
A Google Cloud project you own, the credential kept server side in Zoho Catalyst, each call logged against a Zoho user, and billing alerts.

04Do you even need us?
Is Gemini in Workspace enough, or should it be connected to Zoho?
For writing and searching inside Google files, Gemini in Workspace already does the job. Once the work depends on a deal stage, a ticket history or an approval, the connected setup pulls ahead.
Polishing a general email
The writing help built into Gmail handles tone and length well, with nothing to set up.
Adds nothing here, unless the email has to quote deal or order details.
Replying with the customer’s order history
Someone copies the details out of Zoho by hand, or the reply stays vague.
The record travels with the request, so the draft names the right order, dates and open issue.
Turning meeting notes into CRM follow-ups
Notes sit in Drive and a person retypes the tasks into Zoho later, if they remember.
Action items arrive as draft tasks on the right deal, each with an owner and a due date.
Asking which accounts went quiet this month
Gemini has no view of Zoho activity unless a connection gives it one, so it cannot answer.
A scheduled job reads CRM activity and Gemini explains the short list, account by account.

06Three bills, three scopes
What does a Gemini and Zoho project cost?
Three companies bill for three things. Google bills Gemini usage and your Workspace plan, Zoho bills your licences, and our build is one fixed price in a signed BRD. Google adjusts Gemini rates often, so we price your real volumes against its current list during scoping.
Google
Gemini calls and your Workspace plan
When Zoho calls Gemini, Google bills your Cloud project by the text and files processed. Gemini features in Gmail, Docs and Meet depend on your Workspace edition.
Zoho
The licences you already hold
A custom connection adds no Zoho seats. Zia features vary by edition, and Zoho Catalyst, if the build runs there, has its own usage billing that we size with you.

Sources, bridges, approval points and tests are listed in a BRD you sign, next to one figure for our work. Heavier Gemini usage raises Google’s bill, never ours.

07What it sits on
Why does the Zoho setup matter before Gemini joins?
Gemini can only summarize, draft or check what Zoho holds. Tidy records, sensible roles and connected apps set the ceiling on every answer; building that base is the work behind our 300+ projects.
We keep client AI work private, and every screen on this page uses sample data.
08Gemini and Zoho questions
Questions Workspace teams ask about Gemini and Zoho
Training, the Gemini API versus Vertex AI, Zia, keys and what Gemini may change on its own. Bring one habit you would like to hand over.
Can Gemini read our Zoho CRM data?
Not by itself. Gemini in Google Workspace works with Google data such as Gmail, Drive and Meet. To use Zoho CRM records it needs a bridge: Zia running on your Google key inside Zoho, a Zoho function that sends selected fields to the Gemini API, or Zoho data kept current in a Sheet or Drive file. We pass only the fields each task needs.
Does Google train Gemini on our emails or Zoho records?
Google states that Workspace content used with Gemini, and data sent through its paid Gemini API and Vertex AI, is not used to train its models without permission. Free and consumer tiers can work differently, so we confirm the current terms for your exact plan during scoping and run every connection on paid business accounts you own.
Should we use the Gemini API or Vertex AI?
Both reach Gemini models. The Gemini API through Google AI Studio is the quickest way to run a small pilot. Vertex AI runs inside a Google Cloud project with your own access rules, region settings and billing, which most companies prefer once customer records are involved.
Do we need a Gemini add-on for Google Workspace?
Not for the connections that run from Zoho, which call Gemini through a Google Cloud project billed by usage. Gemini features inside Gmail, Docs and Meet depend on your Workspace edition and admin settings, so we check yours before any plan relies on them, for example Gemini notes in Meet.
Can Zia in Zoho use Gemini instead of its own model?
In many Zoho apps, yes. Besides Zia LLM, Zoho lets an admin connect Google’s models with your own API key, and Google then bills you for that usage. The Zia features that accept a Google key differ from app to app, so we test each one in your Zoho account before you plan around it.
Will Gemini change Zoho records or email customers on its own?
Our default is read and suggest. Gemini output lands as a note, a draft reply or a proposed field value. Stage moves, customer emails and anything involving money wait for a named person, and who approves what is written into your BRD.
Where do the Google credentials and the logs live?
In a Google Cloud project your company owns, with a service account limited to the Gemini models the project uses. The credential sits server side in Zoho Catalyst or Zoho’s connection settings, never in browser code or a shared sheet, and every call is logged with the Zoho user who triggered it.
Can Gemini read PDFs and scans stored in Google Drive?
Gemini models accept PDFs and images as input, which is how order forms, quotes and certificates in Drive become Zoho fields. Poor scans lower accuracy, so each project gets a test set of your own documents, and uncertain values go to a person first.
What is SI?
Short for super intelligence. In September 2026 a US executive order asked federal agencies to use “super intelligence” in place of “artificial intelligence” in official communications. Most businesses still say AI, and so do we.
09How a Gemini project starts
Four steps from one Workspace habit to a signed plan
Pick one habit your team repeats daily, such as retyping meeting notes into Zoho, and gather twenty examples. The first call is free; a plan spanning several Google apps or sensitive records may need a short paid scoping phase, priced up front.
We configure Gemini and Zoho connections remotely for teams across the US, Canada and Latin America, and teams around Los Angeles can have us on site for testing days.
