Hire a CRM consultant who finds the weak spots first

Most CRMs do not fail all at once. One stage gets skipped, one report stops being trusted, and the sheet beside it grows.

Our CRM consultants start with a health check of the system you already run, tell you plainly whether it fits, then fix, rebuild or roll out what the plan calls for. We are Zoho-led, so most builds land in Zoho CRM or Bigin, but the first question is always about fit. A consulting plan for one Zoho product starts at $300* a month.

01Beyond the setup screen

What does a CRM consultant actually do?

A CRM consultant decides what your CRM should do before anyone configures it: which records matter, how a deal moves, what leaders need to see, and why your team will bother to use it. Setup is the last part, not the first.

  • Fit

    A straight answer on fit

Keep the CRM you have, fix it, or move. We look at your sales motion, your team size and the apps around it before recommending anything.

  • Process

Your sales process on one page

Lead sources, handoffs, stages and the moment a deal counts as won, drawn with the people who do the work rather than guessed from the settings.

  • Data

    Records your team can trust

Duplicate rules, required fields that earn their place, and a cleanup plan for the accounts, contacts and deals already sitting in the system.

  • Automation

    Rules that remove busywork

Assignment, follow-up reminders and approval steps designed around your process, so the CRM does the chasing your managers do today.

  • Reporting

    Numbers leaders stop questioning

A short list of dashboards agreed with the people who read them, built on fields that reps actually fill in.

  • Adoption

    A team that uses it

Role-based training on your own setup, plus a usage review after launch to catch the spots where people quietly went back to email.

02Try it · tick what hurts

When does a business need a CRM consultant?

Usually when the CRM costs more effort than it saves. Tick the problems you recognize and we will point you to one of four consulting tracks, with the engagement model that usually suits it.

Your ticks land in the message box below. You still decide whether to send.

    03Where your data lives today

Which CRM platforms do our consultants work with?

We build on Zoho CRM and Bigin, and we also advise teams currently on Salesforce, HubSpot, Pipedrive, Microsoft Dynamics, monday or plain spreadsheets. Sometimes the advice is to move; sometimes it is to connect what you have.

We are a Zoho partner, and we say so up front. If the CRM you run is sound and the trouble is process or training, the fit review will tell you that rather than sell you a move.

    04Four stamps on one card

What happens during a CRM consulting engagement?

Four stages in a fixed order: audit, plan, build, adoption. Each one ends with something you can hold, and you can stop after any stamp. Scroll and the card collects one stamp per stage.

    1. Stage 1Audit

Look under the hood before touching anything

Your consultant reviews fields, stages, rules, reports and login activity, then sits with a rep, a manager and whoever owns the numbers.

You keepA health scorecard with weak spots ranked by how much they cost your team.

      Zoho CRMZoho Analytics

    2. Stage 2Plan

Decide keep, fix, rebuild or move

The scorecard turns into a roadmap ordered by impact. Build work is written into a BRD with a fixed price that you sign before anything changes.

You keepA roadmap and, for build work, a signed BRD with the scope in plain words.

      How we work

    3. Stage 3Build

Change it in a sandbox, release it tested

Cleanup, new stages, rules and integrations are built away from your live data. Our QA people test each change before your reps meet it.

You keepA tested release and a short note of every change made.

      Zoho FlowZoho Books

    4. Stage 4Adoption

Train by role, then check who is using it

Reps, managers and admins each learn their own part of the setup. A few weeks later the consultant reviews usage and fixes what people avoid.

You keepTraining on your own setup and a usage review with the next fixes listed.

A brand-new rollout or a move off another CRM follows our full project track.

    05Advisory to full build

How much does it cost to hire a CRM consultant?

Ongoing CRM consulting starts from $300* a month if the scope is a single Zoho product. Several products, or a bigger scope, get a plan quoted for your account.

    1. Monthly retainerYour consultant works through a ranked list every month: fixes, reviews, new reports, questions from the team.
    2. Per-projectAn audit, a rebuild or a move with a clear end, scoped in a BRD for one fixed fee.
    3. Dedicated teamConsultant, developers, QA and a trainer assigned to your account; the mix is agreed at signing.
    4. On-demand hoursCall on a consultant before a renewal decision, a launch or a busy quarter, and pay for the hours used.

    06Weigh it for yourself

Should you hire a freelance CRM consultant or a certified partner?

A good freelancer is a fine choice for a single, well-defined fix. A partner makes more sense once the work spans data, code, training and cover for holidays. Drag each slider to say how much a point weighs for you.

    • One small, clearly defined change with no follow-up
    • Someone covering when your consultant is away
    • Developers, QA and trainers on the same plan
    • Honest advice on whether the CRM fits
    • Moving records off another CRM with sign-off
    • Talking to the same single person every time
    • Zoho partner credentials behind the work

    08Before you hire

Questions about hiring a CRM consultant

Fit, cost, timing and what you are left with at the end. Anything we have not covered, bring to the call.

What is the difference between a CRM consultant and a CRM admin?

A CRM consultant decides what the CRM should do: fit, process, data rules and reporting. An admin keeps it running day to day once those decisions are made. You can start with a consulting audit and then move to a retainer where the same consultant handles the ongoing changes.

Will a Zoho partner give unbiased advice on which CRM to use?

We are open that we build on Zoho CRM and Bigin. The fit review still looks at your current CRM on its merits, and if the real problem is process or training, the recommendation is to fix that and keep what you have.

How much does a CRM consultant cost?

Ongoing plans start at $300 a month for one Zoho product. Several products or a larger scope are quoted per account, and one-off audits or rebuilds are a fixed fee written into a signed BRD. Zoho bills its licenses separately.

How fast can a CRM consultant start?

Within 2 to 3 working days of the signed contract. The first days go on access, a sandbox copy and the audit interviews.

Can you audit a CRM someone else set up?

Yes. The audit maps the existing fields, rules and reports first and documents them, so nothing is changed blindly.

Do you only work with Zoho CRM?

We build on Zoho CRM and Bigin. We also audit Salesforce, HubSpot, Pipedrive, Dynamics and spreadsheet setups when a team is deciding whether to stay or move, and we connect HubSpot to Zoho when keeping both makes sense.

What do we have at the end of a consulting engagement?

Depending on where you stop: a health scorecard, a roadmap or signed BRD, a tested release with a change note, and training plus a usage review. Each stage hands over something your team keeps.

What hours does the consultant work?

Consulting runs within our US Pacific and CET coverage. The hours on your plan and our response times are written into the proposal email.

    09Getting started

How do you start working with a CRM consultant?
